How to Perform a QuickFind A QuickFind search allows you to search Entity, Allocation, Proposal, Contact Reports and Tasks. A query is built by entering criteria into data fields for each parameter on which to search. To perform a QuickFind: 1. Within AWA, click the ‘QuickFind’ icon on the menu bar. 2. When the QuickFind page displays, first select a Lookup Type. The default is ‘Entity’. Next select a Lookup Action. The Lookup Action determines what should happen once the results are generated (i.e. Print results, Display results, etc.). The default is ‘Display results/Open on exact match’. 3. By default the criteria ‘Record Status’ equals ‘A’ctive is displayed. However, this could be modified as needed. To add search parameters, click on the button ‘Add Criteria’. Then select criteria from the list of parameters. 4. To change the operator (i.e. Equals, Not Includes, etc.) for listed parameters, click on the down‐arrow key to view the drop down. Depending on the parameter, various operators will appear. Select Equals when there is only one code you need to use. Choose Includes when you wish to choose multiple codes. 5. To select or enter a value in the drop down box, calendar or select box, click on the down‐arrow key and select the desired value(s). 6. To remove all criteria click the ‘Clear Criteria’ button. 7. Criteria can be saved by clicking ‘Save Criteria’. A pop‐up displays asking if the saved criteria should be private or made available to everyone. Also, this is where you would name the saved criteria. Once complete, click on ‘Save’. 8. The ‘Search’ button initiates the search. A message will appear above the criteria indicating the search is taking place or there was a problem with the criteria. 9. To retrieve saved criteria, click on the button ‘Load Criteria’. A pop‐up displays which list all criteria saved by you. Then a listing of all available saved criteria from other users sorted by last name appears. Select the saved criteria you wish to work with and then click ‘Load’. 10. To run reports based on QuickFind results, go to Actions (from the Entity Lookup List Bar), then click Reports. Click the ellipse button next to the type of report you wish to run. Once you choose your report type, enter a title for the report and click Continue. You can then either modify or view any entity exclusions, or just click Run Report. Page 1 of 13

Biographic Search ‐ Address Search for entities that have a degree in Social Work and graduated in 2000, living in one of the 8 Buffalo counties. NOTE: When searching by Zip code or Geographic area you need to specify the Address Type such as Home, Business, etc. This can be completed by including the Address Type criteria OR Address Preferred Indicator. The example below is gathering data by the Address Type of ‘H’ome. Geographic Area ‐ CMSA (Equals): Buffalo (All 8 Counties) Address Type (Equals): Home Degree School (Equals): School of Social Work Page 3 of 13
Biographic Search ‐ Mailings Search for entities that have a degree in Social Work and graduated in 2000. NOTE: When sending a mailing of any type always include the Handling Code criteria to exclude those that do not wish to receive a mailing. The list of handling codes will vary based on the type of mailing that is sent. Gift Search – Annual Giving Search Search for donors that gave to Center for the Arts or College of Arts & Sciences. Gift Search – Lifetime Giving Search for donors that gave $5,000 or more to the School of Nursing over their lifetime of giving. Gift Search – Allocation Lookup NOTE: When searching by Allocation change the “Lookup Type” dropdown from Entity to Allocation. Retrieve active allocations within the School of Management. Prospect Tracking Search – Demographic – DonorTek Search for individuals that have a high likelihood to give to UB. NOTE: The Prospect Research office worked with Professor Wagmiller analyzing the alumni data within the database. The result of the analysis is stored in the demographic area in AWA. The data is broken into ranks ranging from 1 to 10. A rank of 1 signifies those that have the highest likelihood of giving to UB. A rank of 10 signifies those that have the least likelihood of giving to UB. Demographic Source (Equals): DonorTek Demographic Level (Equals): Management ‐ DonorTek Page 10 of 13
Prospect Tracking Search – Prospects located in Boston Search for prospects in the Boston area that are not assigned but have a prospect rating. NOTE: When searching by Zip code or Geographic area you need to specify the Address Type such as Home, Business, etc. This can be completed by including the Address Type criteria OR Address Preferred Indicator. The example below is gathering data by the Address Type of ‘H’ome. Prospect Tracking Search – Open Proposals by Staff Search for open proposals by selected staff member. Copy all proposals to the Clipboard. Utilize the “VCR” functionality to cycle through all proposals within the clipboard. NOTE: When searching by Proposals change the “Lookup Type” dropdown from Entity to Proposal. Select Copy All/Replace to copy all proposals to the Clipboard. Select the checked default of “Proposal”. Click OK. Turn on “VCR” functionality by clicking on “Actions” and “VCR”. Click on the first proposal within your search results and now cycle through all proposals by clicking on the arrow buttons within the “Clipboard Information” box. Page 13 of 13
