EVENT QUICK FACTS Event Name: Equestricon Event Objective: This convention will bring together horse racing industry, stakeholders, fans and horseplayers to participate in a lively atmosphere of engagement, discussion, and entertainment. Frequency of Meeting: 2nd Annual Event Event Dates and Times: (approximations) October 29, 2018, 12p-9p October 30, 2018, 9a-6p October 31, 2018, Pre-Function and Meeting Space Open November 1, 2018, Pre-Function Open Event Venue: Kentucky International Convention Center Exhibit Hall Total Area: 40,000 sq. ft. + 30,000 sq. ft pre-function Anticipated number of exhibitors/booths: 100-125 Anticipated Attendance: 3500-5000 over 2 trade show days Booth size(s): 8x10 and 8x20, custom spaces for top-tier exhibitors Function Space: (1) Exhibit Hall (Ballrooms A-E), (1) Registration Area/Pre-Function Space, (1) Exhibitor Break Room (M105), (1) Staff Office, (1) Theater-Style Meeting Room, (2) Workshop Style Meeting Rooms Website: www.equestricon.com
EXHIBIT BOOTHS Each 8x10 standard booth should include: • black pipe and drape • 6ft table with black linen • 2 chairs • 1 wastebasket • 1 meter board sign • 10 Artist booths with 8ft high caging on 3 sides
TECH HUB & LOUNGE • Modern lounge furniture • Phone charging buffet or stations • Racing-themed arcade games (i.e. Final Furlong, Derby Owners Club, pinball, etc.) • Area for virtual arcade (Oculus Rift supplied by Organizers) • Minimum 3 large monitors for video game display • “Retro” arcade decor with racing tilt
LEGENDS & AUTHOR HUB • Large central hub for celebrity appearances. • Should be an area with vertical height (see photos above), • Multiple Signing Desks (counter height) for jockeys, authors, artists, etc • Chrome Stanchions and red carpet should be available • Specialty lighting
MAIN THEATER (HALL “EQ”) • Ballroom space with seating for approximately 350 • Expected attendance per panel roughly 200-250 • High-end stage design with lounge seating for presenters in a “storytelling” arrangement • Large screen and instant feedback camera needed • Stage Lighting. Interesting Backdrop • Air walls may be used but possibly requiring some chiffon drape if needed for effect
VIP LOUNGES • 2 Racing-themed rustic lounges for Breeders’ Cup and other sponsors • Lounge seating and trendy, casual decor • Areas will likely be sponsored so displays may be necessary 1 Social Lounge (see photos) 1 “Paddock Bar” themed to look like a racecourse paddock

• Small but visible stage in feature area of the room. MAIN • • Live Music to be hosted on stage. One bar should be in this area. STAGE • • Backdrop should be tall and interesting. Stage Lighting, Monitors near stage for Sponsor reels
MAIN STAGE
HORSE ROW “Horse Country” Exhibitors. 10’ walls with mural images (life-size) of horses in the fields. Most likely a custom build. Should accommodate 10-15 booths (5-8 per side)
SILKS Jockey Silks on some sort of display and iPads on stands DESIGN for an app-hosted silks design contest STATION
REGISTRATION Registration build-out with 4-6 dedicated registration desks with customized backdrops or facades. Flags with logos and signage in the pre-function area. Stanchions.
In lieu of a standard step-and-repeat, we would like a STEP & winners’ circle set up with: • Fake horse statue REPEAT • Stand for a trophy presentation • Extensive florals and natural elements • Possibly a neon sign or large PVC lettering
TED TALKS-STYLE THEATER Small, open theater on the Main Convention Floor to accommodate 50-60 seated guests. Small stage with interesting backdrop. Instant playback on monitor. Please price lounge furniture seating option.
Small live set using background consistent with the SMALL event for live social content, recorded interviews, etc. Stage lighting, sound to be coordinated by LIVE SET Equestricon.
