Resolution S.R. 20-20-007 •Outlines creation for Spring 2021 budget process • Need for a new budget was caused by several factors •Club and Organization Opportunity Grant •Student activities fee reduction ($15 per student)
Budgeting Guidelines/Considerations Normal Considerations Resolution S.R. 20-20-007 •Exigency fund must be at least 2% of total •Grant based allocation available budget •Considering economic hardships and setting •No changes to stipends within ASUP. the example for administration •Executive Board & Senate Discretionary •Appropriate measures will be taken to ensure remains the same as Fall 2020 funds are available for the entire semester •$15 from the Student Activities Fee goes into the Major Events Fund •No Rollover of funding from Fall to Spring for clubs and organizations
Spring 2021 Budgeted (11/22) Spring 2021 Other Budget 4% o $291,842 Total Budget Upper Budget o $154,642 to Upper budget Opportunity Grant Upper Budget Opportunity Grant o Clubs and Organizations Grant has 43% 53% Other $120,000 for clubs to draw from o $11,200 for other purposes o Clubs will apply for funding with a modified opportunity grant application o This reduced Student Activities Fee to $15 per person o ~$25,000spent by clubs in Fall 2020
How do I apply for funding? Engage UP - up.campuslabs.com/engage/ •‘Manage’ and click on your organization •Go to the org’s homepage, left tab, click on Finance •In the top right corner click on the blue ‘create request’ drop down •Select ‘Funding Request.’
What is the Process to receive money? 1. Fill out the Funding Request application on Engage UP at least 2 weeks before you need your funding 2. This request will be reviewed by the Financial Management Board 3. The Financial Management Board will notify you of the outcome of your application 4. Spend your Money!
What is information is needed in the form? 1. A description of your event 2. Amount of money requested 3. A count of How many people will benefit from this use of funds (estimate is okay) 4. Where do you intend to make this purchase from? 5. If you are not funded the full requested amount, is it possible to make your request happen with less money?
How will funding be allocated? •Apply for funding for a single event at a time • Example: One speaker event, club meeting or other event at a time •Funding priorities will be consistent with the ASUP Bylaws (Section 3-B) • Priority will be given to those events on campus and/or events, which benefit the most University of Portland students possible. •Follow the Rules outlined in the next slides •Apply for reimbursement after you have spent the funds via Reimbursement Form or schedule use of the “Pcard”
