Your wedding is one of the most important days of your life Whether you are planning a lavish celebration or a more intimate party for family and close friends, we understand how important it is that everything goes smoothly. At DoubleTree by Hilton Swindon our role is simple. We promise to take care of all the little details, to ensure you enjoy the wedding of your dreams. From the moment, you come to see us, you will enjoy a personalised service dedicated to exceeding your expectations. During the first consultation, you are invited to view the hotel facilities and packages offered to you for your special day. Your own dedicated Wedding Planner will then meet with you again to secure your booking by signing of the contract and payment of the deposit. Communication is key throughout the planning of your wedding therefore 4 weeks prior to your wedding date we ask to meet you to ensure final details are prepared for your big day. Furthermore, to this we then arrange a final Toastmaster meeting 4 weeks prior to your Wedding Day. This meeting allows you the opportunity to meet with the Conference and Banqueting team who will be specifically dedicated to running your wedding on the day. To help you with this special occasion we have created the below packages in the aim to exceed your wedding expectations. Should there be any specific requirements or amendments you may also possibly need please do not hesitate to ask.
CEREMONY When booking a Civil Marriage, it is the sole responsibility of the client to arrange the registrar themselves. Notice is to be given to the Superintendent registrar of the district of the hotel. This is Chippenham for DoubleTree by Hilton Swindon. The Registrar should be booked prior to signing any contracts at the hotel. Fees for the Registrar are to be paid directly to the Registrar office. Timings for your ceremony should also be arranged through the Registrar and fed back to the hotel. MAKE A NIGHT OF IT Your guests can indulge themselves in our contemporary bedrooms at a specially discounted rate. Take advantage of our check in from 3pm and check out 12pm the following day along with a late breakfast served until 11.00am. We are delighted to offer discounted accommodation rates for guests who wish to stay. These rates are subject to availability and require full pre-payment. Please also note that pre-paid bookings are non- transferable and non-refundable. A minimum of 10 rooms on one night is required to gather this discounted rate. This number can be increased, subject to availability, by your Wedding Coordinator. You will have up until 6 weeks prior to your wedding date to book this accommodation, after this date all further accommodation required will be subject to the standard selling rate. A specially created reservation link will be sent from your designated Wedding Coordinator along with a reservation code to book all accommodation. You will be advised when this discounted rate is live to book by your Wedding Coordinator. Queen Hilton Guest Bedrooms from £55.00 bed & breakfast inclusive Upgrades are available at a supplement, all our rates include Full English breakfast and overnight complimentary car parking. Our luxury rooms have been modernized to ensure the most comfort for our guests and include a Plasma TV, Wi-Fi access, Iron facilities, hairdryer, tea and coffee tray and a direct dial telephone. All residential guests will also have full access to our Leisure Club Gym facilities throughout their stay.
HOW TO BOOK Once you have received our brochure, we hope you will be interested in viewing the hotel and our facilities. Please contact our office directly to arrange a mutually convenient time to meet 01793 410958, should our team be unavailable to take your call please do feel free to email our generic email address: events.swindon@hilton.com Once you have decided on a date for your wedding, we can provisionally hold the space for 14 days without any commitment. Once you are ready to confirm, a non-refundable deposit of £500.00 will be required to secure the date. After that, your 2nd payment of 50% of the estimated outstanding costs is required halfway between the time you book and the date of your wedding. Final balance is due 2 weeks’ prior with your final catering numbers. Please note should you cancel your wedding at any point, the payments you have made up until this point are non-refundable and a further cancellation sliding scale may apply. Once the initial deposit is paid, we will issue the contract outlining the arrangements made to date. At this stage, there are usually a lot of things “to be advised” but this is only natural. Once you have received the paperwork please read the details carefully before signing, returning one copy to us by the agreed date. The second copy is for your records. The arrangements for the day can be discussed at any time once the contract has been signed. We would recommend an appointment together around 2 months before the wedding date to update details but this can be done as soon as you are ready - we will work around your schedule. Please do note that any unauthorised alcohol or food brought onto the premises for consumption will be confiscated by a member of staff. A £500 fine will be charged to the client for any unauthorised alcohol/food brought on to the premises. Full terms and conditions will be issued by your wedding coordinator along with the contract for your wedding.
FREQUENTLY ASKED QUESTIONS Can I bring others with me for the menu tasting? Yes you can bring additional guests with you, charges will apply. Who is the contact on the day? Do I have to get married on a Saturday? A dedicated toastmaster will be on hand throughout your day to ensure everything runs smoothly. Saturday is traditionally the favoured day however there are many reasons to choose a different day. We offer weddings throughout the week and weekend all subject to availability and terms/conditions. What happens at a civil ceremony? A civil ceremony is a non-religious ceremony, conducted by the Registrar from the Swindon Registry What shape and size is your cake stand? Office. Please refer to our ceremony page for all details on how to book your Registrar. We have a square cake stand at 38cm x 38cm to suit most cake designs. Can we book the civil ceremony with you? Can we have fireworks? No – you need to contact the Registrar yourselves to arrange your desired date. You can book your Unfortunately, the hotel does not permit fireworks. Registrar up to a year ahead: it’s worth remembering that most couples book their wedding here at least nine months in advance. All details for the Registry Office are stated on our ceremony page. Can we have confetti? Yes, biodegradable only. How many people can sit at each table? The round tables in our function rooms seat up to 12 guests. How do we make a booking? To book please contact our events team on 01793 410958 Can we provide our own flowers, entertainment, beverages...? We are more than happy for you to arrange your own flowers/decorations and entertainment. Please When do we pay? note that each supplier must be able to comply with legal requirements such as Insurance/PAT testing We will ask for a £500 deposit to confirm your booking on return of the signed contract. 50% of the total etc. All food and drink will be provided by us as part of your wedding package.
