FOUNDATIONAL CONCEPTS DISTANCE BIAS IS REAL Distance Bias* is our brain's natural tendency to put more importance on the people and things that are closer to us than those that are farther away. We must be aware of this and put plans into place to mitigate it. COMMUNICATION NORMS COMMUNICATION 3. Decide what must be synchronous communication and what can be asynchronous Synchronous - communicating live with another person, expecting a real time response. Typically phone or video meetings, instant messages or texts. Asynchronous - not expecting a real time response. Typically, email and persistent chat (e.g. MS Teams or Slack channel threads). ASYNCHRONOUS COMMUNICATION Incorporate new software tools (and the communication norms to go with them) to reduce email overload and meeting fatigue Workflow / Project Management: Asana, Microsoft Planner, Monday.com Document Collaboration: Google drive, OneDrive / Microsoft Teams, OneNote Virtual Whiteboarding: MURAL, Miro SYNCHRONOUS COMMUNICATION Virtual Stand-up Meetings These can happen daily or weekly The morning works best so that the team is on the same page for what will be worked on that day or week. COMMUNICATION NORMS SYNCHRONOUS COMMUNICATION Ensure Meeting Hygiene Step #1: always ask yourself if you really need a meeting, or if you can get to the outcome in another way Step #2: prepare a thorough agenda using the 5 Ps 5 Ps Agenda 1. Why are we meeting? Do we really need a meeting, or PURPOSE can it be handled in a different manner? 2. PRODUCT What is the specific intended outcome? 3. PROCESS How will we facilitate the discussion or get to a decision remotely? 4. What preparation is needed? What work can get done PRE-WORK asynchronously to expedite the meeting? 5. Who needs to attend? Narrow the invite list to the PEOPLE smallest group of the right people. (
