Executive Director’s Message Welcome to an exciting new school year at the Nanaimo Conservatory of Music! I am thrilled to have joined this community of music lovers, teachers, students and their families and it is with much enthusiasm that I look forward to a new year of music appreciation. I enjoying meeting new faces, and revisiting with familiar ones. With all the changes in our lives in the last several months due to COVID-19, the NCM will have some new policies and procedures in place, to keep everyone well and safe. I am excited to work together to make this a fabulous new school year Our Instructors have been busy preparing materials and arranging their teaching schedules for both the summer 2020 and 2020-2021 school terms. You will need to contact the office if you will be taking summer lessons, as it is not counted in as our yearly tuition. We ask any students returning in the fall, to get in touch with their teachers as quickly as possible to set up lesson times. Please read this course catalogue carefully as there are some policy changes. Don’t hesitate to get in touch with the office if you have any questions, comments or suggestions. TERMS | CONDITIONS | POLICIES NANAIMO CONSERVATORY OF MUSIC PLEASE ENSURE YOU KEEP THIS DOCUMENT FOR ONGOING REFERENCE SCHOOL TERMS Students will enroll for either the School Term (September through June) and/or Summer Term (July & August). Tuition payments are calculated according to the number of weeks in each term. STATUTORY HOLIDAYS Some instructors may elect to come in and teach on statutory holidays. Some instructors have indicated they may not teach on statutory holidays. All tuitions will reflect the preference of each individual instructor. Please check with your instructor to go over your schedule if you have questions. IMPORTANT DATES 2020-2021/ The NCM office will be closed during all statutory holidays. *This does not necessarily affect individual student lesson times.* Canada Day • 1 July Remembrance Day • 11 November BC Family Day • 15 February BC Day • 3 August Christmas Day • 25 December Good Friday • 2 April Labour Day • 7 September Boxing Day • 26 December Victoria Day • 24 May Thanksgiving Day • 12 October New Year’s Day • 1 January STUDIO (INDIVIDUAL) INSTRUCTION Students typically have one lesson per week from September to June, unless alternate arrangements are made directly with the office and instructor. Students may begin individual lessons at any time during the school year. Students will be referred to an appropriate instructor based on: musical background, goals, availability, and fee options. Students may request lessons with a specific instructor, but the NCM cannot guarantee availability. GROUP CLASSES AND ENSEMBLES/ Please contact the office as not all group lessons can proceed at this time due to COVID-19 Students in group classes typically begin their studies in September. Classes fill up quickly – please register no later than one week prior to the start date. If space permits and the instructor agrees, a student may join a class already in progress. TUITION Participation in lessons, group classes or ensembles will not begin until tuition arrangements have been made. A payment plan is available for weekly individual lessons only. Cheques should be made payable to the Nanaimo Conservatory of Music. OTHERS FEES • Returned cheque o $30.00 charged for any cheque refused for any reason by the bank. Subsequent payment can only be made by certified cheque, debit card, money order or cash. • Refund processing fee o $25.00 • Transaction Fee o $2.25 per payment including payment plan payments • Cancellation Fees
PAYMENT Tuition for the School Term is due before lessons begin. Registration fee is due when handing in registration forms. Accepted methods of payment are: cheque, creditcard, debit card, e-transfer and cash. A payment plan is available . If the payment plan is chosen, the balance is paid over equal monthly installments by pre-authorized debit on the 30th of each month, beginning with the first month of enrollment and continuing until June 30. A void cheque and signed pre- authorized payment form are required. FINANCIAL ASSISTANCE Applications for financial assistance are available by request from the office. Financial assistance is applied as a discount against tuition fees. Financial assistance only covers a portion of tuition costs and is not refundable. Application forms are available through the office. CANCELLATION POLICY Students are expected to be present for all scheduled lessons. This includes vacations, sports events, etc. If an instructor cancels a lesson, he/she is obligated to make up that lesson. No refunds will be given in either case. The NCM reserves the right to cancel, postpone, or combine classes and to limit registration or change instructors. Should insufficient registration cause the cancellation of a class, fees will be refunded or the student may transfer to another class if room is available. REGISTRATION FEE A one-time registration fee of $50 per student/$80 for families per year is required of every NCM registration. Early Bird registration fees for 2020-2021 school term are $30 per student/$55 per family if a student registers between June 1—June 30, 2020.. The Registration Fee is non-refundable. REFUNDS AND WITHDRAWALS Group Classes and Ensembles Full refunds will be processed by contacting the office a minimum of 72 hours prior to program start date (less supply costs). Full refunds are issued when the NCM cancels a program. Refunds will not be given once the course begins, except in cases of illness or injury, accompanied by a doctor’s letter. If a doctor’s letter is produced, a pro-rated refund will be given for the class. Individual Lessons All withdrawal requests must be submitted in writing or by email to the Executive Director only. Two lessons’ notice and a $25 fee is required in order to withdraw from individual lessons. In the case of injury or illness only, the two lesson notice will be waived upon receipt of a doctor’s letter. Once notice is received and confirmed by the teacher, then a refund can be processed or cancellation of payment plan can take place. HARASSMENT, PRIVACY AND CONFIDENTIALITY POLICY The Nanaimo Conservatory of Music (“NCM”) recognizes the right of all members of the Conservatory community, including administrative staff, faculty, students, and parents to learn, work, consult and otherwise associate in an environment free from harassment, discrimination, and bullying. The NCM recognizes its role in actively supporting employees’ and contracted faculty’s work to prevent discrimination and harassment of students and their families. The NCM will not tolerate any conduct that could be classified as harassment, sexual harassment, discrimination or bullying, and will make every reasonable effort to ensure that no employee, contracted faculty member, student, or parent is subjected to such behaviours. The NCM complies with the BC Human Rights Code and is committed to providing healthful environments in which fairness and respect are modeled.
