Working safely during COVID-19 in or from a vehicle Introduction This document is to help Instructors, Trainers and our Students throughout the UK, understand how to work safely during the COVID-19 pandemic. We hope it gives you a practical framework to think about what you need to do to restart operations during the COVID-19 pandemic. We understand how important it is for Instructors to teach safely and support their Students health and wellbeing during the COVID19 pandemic. This document sets out guidance on how to work safely. It gives practical considerations of how this can be applied in the workplace. 2.

1. Risk Assessment Pass N Go has completed a full in depth risk assessment on conducting driving lessons during the COVID-19 pandemic. This risk assessment has helped build a platform for the publication of this document and our additional safety measures. 2. Mandatory Training Courses Pass N Go Instructors and Trainers are required to complete a minimum of two training courses before they are permitted to teach driving lessons. These courses are as follows: Introduction to infection prevention and control: https://www.virtual-college.co.uk/courses/health-and- safety/introduction-to-infection-prevention How to put on and remove personal protective equipment (PPE): https://openwho.org/courses/IPC-PPE-EN We highly recommend our Students complete these online courses. This will raise their awareness of our new policies and train them on how to correctly wear Personal Protective Equipment to minimise risk when conducting driving lessons. 5.
3. Introduction of new mandatory safety measures Pass N Go has introduced further policies in order to limit the chances of contamination, and increase safety on driving lessons during the COVID-19 pandemic. No acceptance of cash. Handling cash is one of the many ways the virus can be transmitted. Students are required to pay for all lessons via debit/credit card using the Pass N Go online system. All driving lessons to be booked using the Pass N Go online diary system to ensure full record keeping as per government guidelines. Temporary relaxation of the Pass N Go uniform policy. Instructors permitted to wear non Pass N Go branded clothing for the foreseeable future. This will allow Instructors to have a higher rotation of clean clothing to limit contamination. Instructor to wear Pass N Go branded clothing whenever safely possible. 6.
4.1 PPE – Mandatory Instructor Requirements Instructors and Trainers are required to wear the following mandatory PPE: Face Mask/Face Covering or Face Visor/Face Shield Face visors/Face Shields should cover the forehead, extend below the chin, and wrap around the side of the face. Fresh Gloves or Wash Hands with alcohol-based handrub/sanitiser (Minimum 60% Alcohol). Gloves to be disposed of following completion of the lesson and fresh gloves to be used for the next lesson/student. Alcohol-based hand sanitisers (with at least 60% alcohol) are a practical alternative when soap and water aren’t available. You need to make sure you cover your hands (including between your knuckles, wrists, palms, back of your hand and your fingernails) fully, rubbing it in for at least 20 seconds. 4.2 PPE - Washing Hands Procedure If a driving instructor or student conducts a driving lesson without wearing gloves they must ensure they follow these mandatory safety measures: Wash hands using a minimum of 60% alcohol based handrub/sanitiser. Wash hands before each lesson begins. Wash hands after each lesson ends. (Where possible wash hands during the lesson.) Ensure their student follows the same procedures For in depth steps on how to correctly wash your hands please read our supporting document ‘Pass N Go Hand Cleaning Guide – use of handrub/sanitiser. 4.3 PPE – Optional But Recommended PPE This is a list of our optional but recommended PPE for our Instructors and Trainers, we highly recommend the use of all of the below PPE measures: Apron or overalls covering clothing Disposable Vehicle Seat Covers Covers to be disposed of following completion of the lesson and fresh covers used for the next lesson/student. Disposable/Washable Steering Wheel Cover In addition to the above we recommend both Instructor and Student to wear a long sleeved top and pants or leggings, even if its tempting not to do so when in hot weather. 9.
4.4 PPE – Student Mandatory Requirements Our Students are required to follow these mandatory PPE guidelines: Wear gloves or wash their hands with an alcohol-based handrub/sanitiser (Minimum 60% Alcohol). Wear a Face Mask or Face Covering Our Instructors and Trainers shall remind the students of these requirements: When Booking The Lesson (unless student books directly online) On The Day Of The Lesson For Safety Reasons - If a Student turns up for a lesson without the required PPE, they’ll be asked to return to their home to collect their PPE. The time this takes will be deducted from the lesson time. If a Student cannot get/locate their PPE, the lesson will not commence and the Student will forfeit the lesson fee. 10.
5. Vehicle Cleaning Techniques Instructors will ensure the vehicle is cleaned down prior to and after each lesson following Pass N Go’s official ‘Vehicle Cleaning Techniques - Checklist’ document. The vehicle cleaning checklist is as follows: Exterior Door Handles Interior Door Handles Window Controls Seat Adjusters Steering Wheel Steering Wheel Position Adjuster Parking Break Gear Lever Indicator Stalks Wiper Stalks Light Controls Interior Mirror Door Mirror Controls Vehicle Keys Seat Belt 11.
6. Limiting Contamination in Vehicle In order to reduce contamination in the vehicle the following steps should be taken: Instructor and Student to wash their hands before they enter the vehicle… Or Fresh Gloves used for each lesson. Gloves to be disposed of following completion of the lesson and fresh gloves used for the next lesson/student. Face Mask/Face Covering or Face Visor to be worn on all lessons, until end of the working day. Improved ventilation – Open a window at all times. Cleaning down the vehicle prior to and at the end of each lesson. Store used PPE in Ziplock bags on the backseat area of the vehicle. Store fresh PPE in the boot of the vehicle. 12.
7. Limiting Contamination out of Vehicle In order to reduce contamination out of vehicle the following steps should be taken by the Instructor: Never return home or go to any other place in between lesson. If you must travel home for a comfort break, you should try and limit the amount of separate occasions. When you go home, make minimal contact with any surface or person and leave home again immediately following your comfort break. Take a packed lunch – Do not return home for lunch and/or do not visit the high street for lunch. Do not run errands in between lessons. Basically limit the journeys from driving lessons to high streets or other locations and home. This will vastly reduce the chances of contracting and/or spreading the virus. Ideally you should remain in your vehicle from the beginning, to the end of your working day. 13.
8. End of Working Day – Deep Clean Instructor will ensure on returning home, at the end of the working day to perform a ‘Deep Clean’. This includes: Clean down the vehicle Safely dispose of used disposable PPE equipment Deep clean the reusable PPE Removal of clothing immediately on entering Home, place in washing machine to be cleaned Instructor to immediately shower/bathe to clean away any contamination. Limiting contact points from the vehicle to the inside the home is of the highest priority to reduce the chances of contamination. 14.
9.1 The ‘New Normal’ on Driving Tests – Instructor The Instructor shall adhere to the social distancing measures put in place by the DVSA. Following the completion of the test and once the Examiner has left the vehicle the Instructor shall clean the vehicle contact points listed in our ‘Vehicle Cleaning Techniques’ policy - Page 11 of this document. 15.
9.2 The ‘New Normal’ on Driving Tests – Student Do not arrive for your driving test more than 5 minutes before your appointment time. The driving test centre waiting room and toilets will be closed to help prevent the spread of coronavirus. However, you’ll be able to use the toilet if you have a disability or medical condition, or you’re pregnant. Keeping you safe when you take your test DVSA has introduced social distancing measures and safety precautions, these include: Driving examiners wearing face coverings – they might also choose to wear gloves and use disposable seat covers Limiting the number of people arriving for a driving test at the same time Not allowing your driving instructor or supervising driver to sit in the back during your test 16.
9.3 The ‘New Normal’ on Driving Tests – Student Students must bring and wear a face covering when they come for their tests, unless they have a good reason not to. Where a Student turns up for test wearing a face covering/mask, Examiners may ask the Student to temporarily remove their face covering/mask so their identity can be confirmed. Where Students present for test wearing glasses and a face covering/mask, Examiners should make them aware of the increased possibility of glasses/eye protection fogging up. If you have a problem with your face covering during the test, your driving examiner will ask you to stop so you can adjust it. Your driving examiner will end the test early if it becomes a safety issue. Please Note- Your test will be cancelled if you come for your test without a face covering and you did not declare you could not wear one when you arranged your test. 17.
9.4 The ‘New Normal’ on Driving Tests – Student At the end of your test Your driving examiner will: ask you to get out of your vehicle before they give you your test result feedback ask if you want your instructor to come over to listen to the feedback if it’s safe to do so This is to minimise the amount of time you need to spend in the vehicle. 18.
9.5 The ‘New Normal’ on Driving Tests – Student When you must not come for your test You must not come for your driving test if: you or someone you live with has coronavirus symptoms you’ve been told by the NHS Test and Trace service that you’ve been in contact with a person who has coronavirus you have entered or returned to the UK in the last 14 days, except in very limited situations You have to stay at home (self-isolate). Change your driving test appointment if you need to self-isolate on the day of your driving test. You can do this free of charge if you’re self-isolating, including if you do it at short notice (within 3 clear working days of the test). 10. What are the Symptoms of COVID-19? There are two main symptoms of COVID-19: a high temperature – this means you feel hot to touch on your chest or back (you do not need to measure your temperature) a new, continuous cough – this means coughing a lot for more than an hour, or 3 or more coughing episodes in 24 hours (if you usually have a cough, it may be worse than usual) The 111 online coronavirus service will ask about your symptoms and tell you what to do: https://111.nhs.uk/covid-19/ Only call 111 if you cannot get help online References: https://www.nhs.uk/conditions/coronavirus- covid-19/check-if-you-have-coronavirus- symptoms/ 20.
11. What to do if exhibiting symptoms of COVID-19 If any of our Instructors, Trainers or Students exhibit symptoms of COVID-19 they should: Inform Pass N Go head office immediately, lessons will be put on hold. Self isolate for 7 days After 7 days: If you do not have a high temperature, you can stop self-isolating. If you still have a high temperature, keep self-isolating until your temperature returns to normal You do not need to keep self-isolating if you just have a cough after 7 days. A cough can last for weeks after the infection has gone. 11. What to do if exhibiting symptoms of COVID-19 If you live with someone who has symptoms, self isolate for 14 days from the day their symptoms started. This is because it can take 14 days for your symptoms to appear. If more than 1 person at home has symptoms, self- isolate for 14 days from the day the first person started having symptoms. If you get symptoms while self-isolating – you should self-isolate for 7 days from when your symptoms started, even if it means you’re self-isolating for longer than 14 days. If you do not get symptoms while self-isolating – you can stop self-isolating after 14 days. 12. Don’t be an Idiot, Follow the Guidance, Stay Safe It is the Instructors and Trainers responsibility to ensure they’re following this safety guidance. Lessons will be cancelled if they’re found to be: Not wearing their Mandatory PPE Teaching Students who are not wearing their PPE Accepting Cash for lessons Booking Students in ‘Off-Books’ – i.e. not using the Pass N Go online booking system For the health and safety of our Instructors, Trainers, Students and their families, it is imperative this guidance is followed. We shall not hesitate in cancelling lessons and restricting use of our online system if we find any of our team members being irresponsible during this pandemic. Stay Safe ☺ 23.
13. Disclaimer Notice This guidance is produced in line with our ‘Risk Assessment’ and ‘Vehicle Cleaning Techniques - Checklist’ Documents. This publication is created to clearly outline our operating guidance in order to mitigate the spread of COVID-19 whilst carrying out driving lessons and tests. Important Notice: Even with all of our additional safety measures and new safety policies in place there will always be an element of risk of catching COVID-19 whilst conducting driving lessons. Anybody that is or lives with someone at higher risk (i.e. someone 70 or over, has a long-term health condition, is pregnant or has a weakened immune system) should not participate in driving lessons for the foreseeable future and do so at their own risk. Any Students that don’t feel comfortable doing lessons, your lesson credit expiry dates will be extended. Your Safety, is Our Priority. 24.
