Costs and Registration Basic Exhibit Space $3,000.00 Include 6ft draped table, 2 chairs, access to electrical outlet and complimentary registration for 2 representatives for both program days. There is a meeting room capacity of 200 persons. Limited space is available, so please register by July 15, 2018. The Santa Fe Bone Symposium is an annual forum devoted to advances in the science and economics of osteoporosis, metabolic bone disease, and assessment of skeletal health. Attendees are healthcare providers, researchers, technologists, and industry representatives with a special interest in bone disease. Additional Representatives $75.00 Additional Opportunities E-blast to attendees $350.00 2-3 weeks prior to event. Customize an e-blast to registered attendees to let them know of your attendance and contact for appointments during the event. You provide the content, OFNM will email to all registered attendees. Exhibitor Registration Steps: 1. Visit the foundation website at www.OFNM.org and click on the Bone Symposium logo on the front page. It should take you to the Santa Fe Bone Symposium page. 2. Click on Exhibitor Registration. You will be redirected to the Eventbrite sponsorship page. 3. If paying by check please choose the “other payment options” under the order now button. If using a credit card, select the order now option. 4. Complete the registration using the name of the person attending the event and be sure to add the names of the other complimentary booth attendees. If more than 2 people will be attending, you can register additional attendees for $75 by choosing the option on the Eventbrite page. If you are doing any of the additional opportunities, please register for those as well. Please note these are on a first come first serve basis and once filled no additional opportunities will be available. Be certain to acknowledge the Exhibitor Space Contract. A copy will be sent with the email confirmation and is also included below for your reference. 5. Deadline for booth fees is July 15, 2018. EXHIBITOR REGISTRATION AND CONTRACT EXHIBITOR SPACE CONTRACT As an accredited Continuing Medical Education (CME) provider, Greater Albuquerque Medical Association (GAMA) is governed by the Accreditation Council for Continuing Medical Education and New Mexico Medical Society Standards for Commercial Support of Continuing Medical Education. In accordance with these standards, GAMA has established the following policies for commercial exhibits held in conjunction with its education activities: Arrangements for exhibits may neither influence planning nor interfere with the presentation of the educational activity. Exhibits cannot be a condition of the provision of commercial support for CME activities. Commercial/promotional materials may not be displayed or distributed in the same room immediately before, during, or immediately after the CME activity Representatives of commercial supporters and exhibitors may attend the CME activity if they wish but may not engage in sales activity in the room where the educational activity is held. To meet requirements of the standards and to maximize benefits to you as an exhibitor, Osteoporosis Foundation of New Mexico (OFNM) has made the following arrangements for exhibitors at our conference: Exhibits will be placed in an area of the hotel conference center which is either to be next door or adjacent to the educational activity. Installation - Set-up time is 3:00pm-6:00pm on Thursday, August 2, 2018. Exhibits may be displayed between the hours of 7:30 am – 3:30 pm on Friday, August 3th and 8:30 am –1:30 pm on Saturday, August 4th. Tear down is 12:30pm- 4:30pm on Saturday, August 4, 2018. Exhibitors will be listed in the conference brochure and/or final syllabus. Description of Booths – A 6-foot draped table. Liability for Losses – Neither OFNM, GAMA, nor the hotel/conference center will be responsible for loss or damage resulting from any cause connected with transfer, installation, maintenance, storage or removal of exhibits, or management of the exposition. The exhibitor assumes complete responsibility and liability for all injury to any and all persons or property in any way connected with exhibitor’s display or caused by exhibitor, his agents, representatives or employees, except for liability that arises from the negligence or willful misconduct of OFNM, GAMA and/or the hotel/conference center. Protection of Property – Nothing shall be pasted on, tacked, nailed, screwed or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Exhibitors violating this regulation are expressly bound, at their expense, to repair any such damage they may cause. Refunds –No refunds will be granted with one exception: If the meeting is cancelled due to circumstances beyond the control of OFNM or the hotel/conference center, all payments connected with space rental will be refunded. In making this application, we agree to abide by all regulations governing exhibits as set forth in this exhibit space contract.
