Recruitment To Do List • Prepare personal information packet • Social resume • Test scores • High school transcript • Photos (Full length, 3/4, headshot) • Cover Letter • Request reference support • Network to secure references for each of the sororities on your university campus • Your personal circle, your best reference will come from someone who knows you well • UA Reference Writers List • Know what each organization requires (single reference, letters of support, etc.) • Call, visit or email to request references and letters of support - do not text your request Specify what you need – a recommendation or a letter of support • Establish/refine social media • Genuine • Positive • Connect with chapter members before silence periods when possible
Focus . . . Sororities focus on details that tell them your story • Scholastics/Academics • Most have a grade requirement, minimum high school GPA 3.0, some require higher • Leadership/Involvement • Sororities are very involved in their campus communities • They are looking for girls who can get things done • Social Connection • Chapter Members (Big Sis/Lil Sis, parties, events, philanthropy, projects, etc.) • Other organizations (Greek organizations, philanthropies, university groups, etc.) • Philanthropy/Service • Our Bears know service! • Each sorority has a national philanthropy and sometimes support local philanthropies as well • Learn about each chapter’s philanthropy
Packet Contents for Recommendation Writers • Letter of Introduction • What are you requesting? Recommendation or Letter of Support? • Where are you attending college? • What are your interests and what do you plan on studying? • What is your residence hall/apartment building and who is your roommate? • Social Resume • Let them know what you’ve accomplished! • Organized format (great examples on Etsy, Pinterest, Canva, etc.) • Name • Contact Information: home address, email, phone number, consider Facebook and Instagram • High School: GPA on a 4.0 scale, test scores, graduation date, 222 students in UA Class of 2021 • University (major, scholarships received, etc.) • Academic Recognition/Awards • Leadership • Extracurriculars (athletics, performance & visual arts, activities) • Community Service • Internships/Work Experience • Relatives with Greek affiliations and college they attended • Parent Information (first and last names, occupations, college attended, Greek affiliations) • Provide details for clubs or awards and specify elected, selected, or nominated as needed
Packet Contents for Recommendation Writers • Photos • 3 (4x6 with: full length, ¾ length, headshot; they do not have to be professionally done) • Make sure they look like you (appropriate attire, recognizable hairstyle and color) • Do not feature uniforms, pets, or other people • Electronic considerations – high resolution but manageable file size, 350 kb, jpg • Include a printed label on the back of photo prints: Mary Smith Ursuline Academy/Dallas, TX University of Texas • Transcript • Test Scores • Folders, Stickers, Stationery • Envelopes With Postage (if needed, large size for reference writers) • Thank You Note • Mail to each reference and letter of support writer during the third week of April, prep with packets
Packet Contents for Recommendation Writers • Extra Information To Consider Sharing (in cover letter, social resume, etc.) • What is your major and why did you choose that? • What are 4-5 words you believe others would use to describe you? • What would you like to talk about during recruitment? • What kind of person would you most like to connect with during recruitment – leader, academic, bubbly/outgoing? • Why do you want to pursue sorority recruitment? • What is your proudest moment? • What are characteristics that define you (loyal, dependable, outgoing, etc.)?

Packet Preparation • Each person writing you a reference or letter of support will need a packet • Design both electronic and printed packets, some reference writers may request both formats • Ask what delivery format they prefer • Each national sorority determines the format for its alumnae to submit references (electronic or printed, file sizes, etc.) • Actives do not see these packets (but may see elements) • Your packet should reflect your personality - it should be neat, organized and professional • Track support contacts with an Excel spreadsheet • Template provided in our Greek Connection Google Folder • Contact details • Name • Address • Phone number • Email address • Preferred packet format (electronic or printed) • Date delivered • Thank you note sent
Tracking Spreadsheet You will have access to this template. Please download to your personal computer. Not every reference writer will need a printed packet. Many will want electronic packets. Determine your specific needs before spending money printing packets, folders, stickers, etc.
Recruitment 101 • Recruitment = Rush • Prospective New Member = PNM • Reference = Recommendation/RIF/Recruitment Information Form • Mutual Selection • Potential New Members (PNMs) and sororities mutually select one another • Parties • Held at the chapter house or lodge • Sessions are shorter at the beginning of the week and get longer and more serious as the week progresses • Selection • At the end of each day, each PNM and each sorority select their top choices • Electronic matching system (weighted by placement on sorority’s list and PNM’s list) • Some of your bottom choices may remain on your list and some of your top choices may fall off, be prepared for those things to happen
What Makes A Good PNM • Good Academic Standing • First gate to navigate, these are academic organizations • SAT/ACT scores • Activities & Involvement • Teams, clubs, service projects, interests • Were you elected or selected? Did you join? • Leadership, recognition, awards? • Compatibility • Connect • Connect with members you know before silence periods • Engage with new people you meet • Be positive • No complaining, recruitment is tiring and stressful • Stay upbeat • Be smart and make good decisions • No negativity – be positive about other events, other sororities, other PNMs, etc. • Avoid sensitive discussion topics (partying, politics, religion, etc.)
Recruitment Week • Timing • Usually 4-6 days • Rounds • Initial Round/Open House • Every girl goes to every chapter • May cover 2 days in a larger Greek community • Brief parties, usually approximately 20 minutes, in and out Note: the end of the alphabetical line may get the least amount of time in the house • Long days for everyone, be as engaged at the end of the day as you are at the beginning • Take notes after each party The days are long and the events and people will start to run together You want to remember your impression of the energy and vibe, as well as the names of members you meet • Round Progression • Fewer, longer parties • More in-depth discussion • Conversations and tone grow more serious as the week progresses
Recruitment Week Tips • Make connections, be interested in every chapter • Use your conversation skills • Research each chapter and prepare questions (philanthropy, big events/projects, values). Prepare a few stories (favorite volunteer project/moment, travel, work experience). Listen, ask questions, maintain eye contact. Prepare to answer the same question multiple times. Invest in the process. • Pay attention to videos/skits • Avoid sensitive discussions • Don’t curse or trash talk • No gum - enjoy mints or breath strips between parties • Be YOURSELF - you want to land where you fit • Plan appropriate attire
Appropriate Attire • Refer to your university’s website for specific guidelines and visit chapter sites to check for requirements and attire references. Attire should be appropriate – flattering, comfortable clothes in breathable fabrics. Some schools allow a specific t-shirt on certain days. • Avoid silk, patterns hide sweat stains better than solids. • Most recruitment attire gets progressively dressier as the week progresses. • Shoe considerations. . . • Be prepared to walk far and quickly (as in you may need to run). • Switch to flip flops or tennis shoes for transitions between parties. • Test shoes, skirts, shorts before recruitment. • Consider length of clothing and uncertain seating options. • Practice walking up and down stairs and graceful transitions (standing to seated and vice versa - you may be sitting on a couch or on the floor and you should be sure you are covered and can sit and transition gracefully.) • Have a tote bag to access things you need between parties. • Consider water bottle, snacks, notepad, pen, mints, deodorant, mirror, band-aids, oil wipes, face powder, lip gloss/lipstick, hairbrush, ponytail holder, flip flops/tennis shoes, and other personal refresh items.
Virtual Recruitment Considerations • You may need to submit a video as part of your Recruitment Registration • Solid color blouse will be less distracting on camera • Considering sharing something memorable – something distinctive about you or a funny story • Consider using a video conference light kit (inexpensive is fine) to improve lighting • Be prompt • Set up your background, an interesting background may spark a conversation • Pay attention to videos, stay engaged • Check your makeup (video washes everyone out) and remember that your smile and posture make a statement on camera. • Get fully dressed, wear fun or meaningful jewelry – you’ll feel more confident
Additional Considerations • Legacy Considerations • Deferred Recruitment • Snapbids vs Continuous Open Bidding • Snap bidding ends when bids are distributed on bid day. Snap bidding is an option for chapters that do not fill their quotas during bid matching. During this process, chapters are permitted to offer bids to PNMs whose preferences were not matched. This process takes place before bids are distributed. Snap Bidding is only allowed for those chapters that did not match to quota in the bid matching process of primary recruitment. • Continuous Open Bidding (COB) is a way for sororities to offer bids to a few women after Bid Day begins. Continuous Open Bidding doesn’t operate on a schedule, so some sororities may complete their COB process before another begins it. • Sophomore Recruitment
Recent Sorority Alumnae Tips • Follow your university’s social media: Greek Life, Student Life, specific sororities. • Nothing is private, not even your private sites – clean up all your social media and watch for tags. • Be genuine – show them who you are. Connect as much as possible before silence periods and at recruitment events. • Use your conversation skills, be prepared with questions and topics. • Practice gracefully transitioning from standing to seated positions in your recruitment outfits, practice walking up steps in your shoes, shave, etc. • Consider what you want long term from your sorority commitment – college friends, structure, alumnae community, etc. Try to see beyond recruitment week. Try to find the group that makes you most comfortable and that will push you to change, grow and feel empowered during your college experience. • Keep an open mind. Trust the process. It means something when a group wants you.
