These informal webinars (live online meetings) are perfect opportunities for Troop Leaders, Troop Cookie Managers, and Service Unit Cookie Managers to learn all the ins and outs of the Girl Scout Cookie Program and ask questions throughout the program. 5 STEPS TO GIRL SCOUT COOKIE SUCCESS 1 KICK OFF GIRL SCOUT COOKIE SEASON Help girls get ready by selecting learning activities that fit their experiences and interests. You can start by creating a custom plan with the Girl Scouts® Built by Me™ online tool. Next, kick off your first cookie meeting with a video! Girls Scouts® Cookies Live™ videos are engaging, interactive shows that inspire girls to reach high goals. Girls learn selling tips and have loads of fun along the way. First-time sellers love Girl Scouts® Cookie Rookie™. Made especially for young girls, this show teaches cookie names, how to ask customers to buy and more essential skills. Turn teens into Girl Scouts® Cookie Captains™. Keep experienced teens interested in the cookie program and give them a chance to give back with the Cookie Captain program. Older girls love being mentors to Cookie Rookies. 2 SET GOALS AND TRACK PROGRESS When you help girls set high goals for the Girl Scout Cookie season, they learn an important skill for life. Encourage girls to set two types of goals: how many cookies they want to sell and how they want to use their earnings. 3 HAVE A FAMILY PARTY Hold a short family meeting so girls can tell their families about their goals. COUNCIL PROMOTIONS Cookies from the heart Our council participates in a council wide Gift of Caring pro- gram to provide cookies to deployed military and veterans. We partner with a nonprofit organization serving military personnel and veterans to deliver the donated cookies. Girls can earn customized rewards with this program. For more information, refer to your order card. Cookies on the Go weekend! February 1-3, 2019 During the first weekend of the cookie sale program, girls are encouraged to hit the pavement in their neighborhoods! Take it back to the basics before booth sales begin and grab your wagons to offer Girl Scout Cookies to each person in your community. Send photos of you and your troop selling door to door the Girl Scouts of North-Central Alabama facebook page or email them to communications@girlscoutscnca.org to be used in newsletters and on social media. VOLUNTEER RESPONSIBILITIES It’s a labor of love! The main job of the Girl Scout Cookie volunteer is to: • Be a registered Girl Scout adult volunteer. • Honor and live by the Girl Scout Promise and Law. • Follow all policies, procedures and meet all established deadlines. Here’s an overview of your roles and responsibilities: Before the sale • Complete training. • Set the troop up in eBudde™ (the baker’s online order management system). • Download the eBudde™ Troop App to your mobile phone or tablet. GIRL SCOUT COOKIE BONUS AND REWARDS Troop Bonus: Level 1: Fall Sale Bonus • Troops that participated in the Fall Sale who had $1800 in combined sales and submits a 2019 Cookie Initial Order PGA of 245 will receive additional $0.01 per package on the Initial Order. Level 2: Initial Order Bonus • Troops who exceeds the previous year (2017-18) Initial Order by 5% or higher will receive an additional $0.03 per packages on the Initial Order. Level 3: Participation Bonus • Troops with 95% of girls participating will receive an additional $0.01 per total packages sold. Level 4: Final Troop Reward • Troops with final PGA of 295 packages will receive the Goal Getter Patch for each girl in the troop. Each Troop Cookie Manager will receive a GSNCA customized long sleeve G.I.R.L. T-shirt *** Troops will forfeit the troop bonus (Initial and Participations) due to the following: • Returned ACH Debit for insufficient funds • Non payment of approved extensions 14
GIRL REWARDS Girl Scouts can earn a wide variety of rewards for their achievements in the Girl Scout Cookie Program®: • Official Girl Scout badges. • Symbols of accomplishment in the form of patches and other reward items promoted on the order card. • Cookie Dough to use toward annual membership dues, council- sponsored activities, resident camp, GSUSA Destinations and merchandise from the council store. The Girl Scout Cookie Activity Pin All girls who participate in the Girl Scout Cookie Program are eligible to earn the annual Cookie Activity Pin, which recognizes the 5 Skills learned and practiced during the sale. Girls can collect a different color of pin every year. Get details at girlscoutcookie.org Pins are available for purchase in our council shops. Official Girl Scout badges are a great way for a girl to explore her interests and learn new skills. There Girls at every grade level can earn badges that relate to the five essential skills of the Girl Scout Cookie Program. THE BUSINESS OF GIRL SCOUT COOKIES ® November – December 2018: Training girls and guardians: • TCM will work with the girls and guardians to set personal and troop goals. • Troops should plan for the “First Twenty -five” dollars earned to be used to register each returning Girl Scout during Early Bird registration. • Talk to parents about safety and how to keep their daughters and the rest of the girls safe during the Girl Scout Cookie Sale program. • Go over deadlines with girls and guardians. • Have guardians sign up for Cookie Booths and inform them of the booth sale guidelines. • Secure a signed Cookie Program guardians permission form for each girl. • Review cookie pick up and money procedures. • Collect money from girls and guardians frequently throughout the sale. • Schedule times to collect money at troop meeting or at another agreed upon time. o Money envelopes are provided for girls and guardians to assist with the collection of money. o For each payment the TCM must issue a receipt and give the guardian/girl a copy and retain the original for the troop’s records • Refer to the GSNCA Family Guide December 18, 2018: Girls begin selling to potential customers. • Girls can use their order cards to sell to potential customers in person. • Girls can use Digital Cookies to send emails to potential customers. Attend the Webinar: How to Submit my Initial Order and More on December 19, 2018 Jan 7, 2019: Submit Initial Cookie and Rewards orders via eBudde™ • The TCM must enter the girl orders in eBudde™. • After you submit the troop Initial Order the rewards will automatically calculate. • The TCM must enter any cookies needed for booth sales in eBudde™. • Review the Rewards tab in eBudde™ to ensure the girl rewards are automatically calculated correctly. • TCM must submit order by 11:59 pm via ebudde on January 7, 2019. ** Dates in eBudde™ are date and time sensitive** January 7-9: TCM can sign up for Count and Go Cookie pick up starting at 8:00 am • TCM will sign up for a delivery location, time and date by clicking on the Delivery Tab in eBudde™. • Once the location has been chosen print off the delivery confirmation. • Count and Go sign up ends at 5:00 pm on January 9, 2019. ** No changes can be made after this date.** 16
THE BUSINESS OF GIRL SCOUT COOKIES ® Attend the Count and Go Webinar January 15 and 17, 2019 (see webinar schedule on page for more details) January 19, 2019: Cookie Booth Scheduler Opens • All booth sales that are organized by the product sales staff will be coordinated through the online eBudde™ system. You can reserve three, one slot per location during the first round. o Round One: January 19, 2019, 9:00 am o Round Two: January 22, 2019, 6:00 pm o Round Three: January 28, 2019 9:00 am January 29, 2019: Unlimited booth sale sign up on first-come first-serve basis. January 25-27, 2019: Count and Go Cookie Pick up begin • Refer to your confirmation for vehicle case loading information. • Arrive at your schedule pick up time with the appropriate number of cars. • Make sure you count your cookies before leaving the Count and Go location. • Refer to the Count and Go guidelines on the council’s webpage under the Cookies section. February 1-3, 2019: Cookie on the Go Weekend Grab your little red wagon and hit this street. • Encourage the girls in your troop to go door to door selling girl scout cookies. • Girls in your troop that participate can earn a Cookies on the Go patch by submitting the report of the number of packages that were sold over the weekend. Webinar Series: How to place my Cupboard order and more! February 5 & 7, 2019. (see webinar schedule on page 6 for more details) February 1, 2019: Council Office Cupboards open o Birmingham, Florence, Huntsville and Tuscaloosa office locations only. February 7, 2019: Cookies on the Go patch order due February 8, 2019: Warehouse and Volunteer Cookie Cupboards open February 8, 2019: Booth Sales begin February 25, 2019: Payment through ACH debit - 1/2 of initial order Collect money from parents and make frequent deposits into your troop bank account to ensure funds are available for ACH debit on February 25, 2019. • Council will directly debit the troop’s bank account on February 25, 2019 for 1/2 of the initial order. • Council will send weekly reminder emails of the amount due starting February 6th. • If your troop will not have the ½ payment by the deadline, you must fill out the ACH Debit Extension request form on page 33 of the manual. This form must be received by council no later than 3 business days before the date of the sweep. 17
THE BUSINESS OF GIRL SCOUT COOKIES ® o Troops that do not pay ½ of their initial order cookie money due will be contacted by their SUCM, Membership Manager and SUM to discuss the reason for non-payment. o The troop will not be allowed to pick up any more cookies until payment is made. o A parent meeting will be held, if needed, to plan how to sell, to donate or transfer to other troops needing cookies. March 9, 2019: DOC Girl Delivery option ends • To ensure girls receive credit for all Girl Delivery orders on Digital Order Card, the delivery option will end. • Customer will no longer be allowed to select this option when placing orders using Digital Order Card. March 11, 2019: Mid Payment ACH Debit - remainder of initial cookie order balance. March 16, 2019 Booth Sales end March 17-19, 2019: TCM will assign cookies to girls on the Girl Order tab in eBudde The Girl Order tab allows you to enter by girl, additional cookie orders and booth sale packages sold. • You can comment on each row to identify whether the cookies were an additional pick up or assigned from a booth sale. • Rewards will automatically calculate for girls on the Rewards tab from the numbers entered into eBudde on the Girl Tab. March 19, 2019: TCM will submit the Girl Rewards in eBudde™ by 11:59 pm • Review rewards order in eBudde under the Rewards tab. • Complete all the Size/Catalog Selections needed. • Reward orders will be submitted by GSNCA by 9:00am. Any rewards not submitted by the due date will be submitted at a later date with no guarantee of timely delivery. • If you earned the Troop Final PGA reward or the Service Unit Cookie Manager reward and have not selected a size by March 21, the default size you will receive will be an Adult X-large. March 21, 2019: SUCM submits final Girl Rewards in ebudde by 11:59 pm. March 22, 2019: Reward orders will be submitted by GSNCA by 9:00 am. • Any rewards not submitted by the due date will be submitted at a later date with no guarantee of timely delivery. • If you earned the Troop Final PGA reward or the Service Unit Cookie Manager reward and have not selected a size by March 21, the default size you will receive will be an Adult X-large. March 25, 2019: Troop Final payment ACH debit • Council will send reminder emails of the amount due starting March 20th 2019. • Council will direct debit the troops banking account on March 25, 2019. • If your troop will not have the final payment by the deadline, you must fill out the payment delay request form on page 33 of the manual. o Troops that do not pay the final cookie payment due will be contacted by their SUCM, Membership Manager and SUM to discuss the reason for non-payment. 18

Promote the option with posters and a special box (or wagon) for donated cookies. Keep the variety’s nutrition label in full view in case a customer has food sensitivities. SAFETY TIPS Be sure girls understand and follow these safety rules: • Show you’re a Girl Scout—Wear the Girl Scout membership pin and/or Girl Scout clothing to identify yourself as a Girl Scout. • Buddy up—Always use the buddy system. It’s not just safe, it’s more fun. • Be streetwise—Become familiar with the areas and neighborhoods where you will be selling Girl Scout Cookies®. • Partner with adults—If you are a Girl Scout Daisy, Brownie or Junior you must be accompanied by an adult when taking orders or selling/delivering product. If you are a Girl Scout Cadette, Senior or Ambassador you must “buddy up” when selling door-to-door. Adults must be present at all times during cookie booth sales. • Plan ahead—Always have a plan for safeguarding money. Avoid walking around with large amounts of it or keeping it at home or school. Give proceeds to supervising adults who should deposit it as directed by your Girl Scout council as soon as possible. • Do not enter—Never enter the home or vehicle of a person when you are selling or making deliveries. Avoid selling to people in vehicles or going into alleys. • Sell in the daytime—Sell only during daylight hours, unless accompanied by an adult. • Protect privacy—Girls’ names, addresses and email addresses should never be given out to customers. Use a group contact number or address overseen by an adult for customers to request information, reorder or give comments. Protect customer privacy by not sharing their information except for the product sale. Girls should never take credit card numbers. • Be safe on the road—Always follow safe pedestrian practices, especially when crossing at intersections or walking along roadways. COOKIE SELLING FAQ Who can sell Girl Scout Cookies? All registered girls! Although parents and Girl Scout adults may assist girls, it is the girl who makes the sale, set learning and sales goals, and learn the entrepreneurial skills that are part of the program. What if a parent does not pick up his/her cookies? If a parent/girl fails to pick up product in a timely manner, notify your Service Unit Cookie Manager immediate- ly. If you wait until the end of the program, it is much more difficult to find someone that needs the cookies and it is most likely too late for anyone to help. What if I have cookies I cannot sell? If you have cookies you cannot sell contact your Service Unit Cookie Manger for assistance. Follow the steps below: • Contact your Service Unit Cookie Manager for help. She will send out a message to troops in your SU to inform them of your cookies on hand. • The Service Unit Cookie Manager will contact the Product Sales Manager to send out a message to troops in surrounding areas to inform them of cookies you have on hand. Can my troop use a Credit Card Device at the booth sale? Credit Card devices are a great resource to have at your booth sale. They are a convenient way for customer to purchase Girl Scout cookies. When using the device please remember the following: • You cannot change the cost of the Girl Scout Cookies that the customer is purchasing to reflect any surcharges. • Make sure your customer is aware of any charges that you are adding to his/her bill. Examples of phrases you can say are, “For the convenience of using your credit card, we will add _____ to your order.” Or “The troop is charging a fee for using the credit card, because the charges from the company will reduce the profit our troop will make”. What is ACH? ACH stands for Automated Clearing House and refers to an electronic banking network used for direct deposit and electronic bill payment. If your paycheck is direct-deposited into your bank account then you are already using ACH. Will the troop need to complete the authorization form each year? No, as long as the bank account and the signers stay the same. If the bank information changes or there is a change in signer, a new ACH form will need to be completed and sent to council. 28
COOKIE SELLING FAQ Does my troop have to have a bank account to participate in the cookie program. Yes Is ACH mandatory for my troop or service unit? Yes, participation in ACH is required for all troops. Service Units are also required to participate in ACH transactions to receive any Service Unit bonuses. What are the benefits of ACH? • Less work for the TCM. They will not have to deal with deposit slips or have to make deposits into both the troop account and then into the GSNCA’s account. • No worries for the troop about over depositing money into the Council account and then needing to wait for a refund. • Its greener. Less paper mailing for refund checks and no deposit slips for the Council account. • All troops can participate easily, even if they are located far away from a bank used by the council. Will the troop be notified before the money is taken out of the account? Yes, the troop leaders and TCM will be notified via email with the balance that will be withdrawn from the troop ac- count for each ACH. The email will be sent to the email address listed in the troop’s profile on eBudde™. The TCM is responsible for entering accurate and current emails into the troop profile in order to receive these important email communications. The dates of the ACH will be: • February 25, 2019 • March 11, 2019 • March 25, 2019 What should I do if I know the money will not be in the bank on the date of the ACH? Timely and regular communication among the leadership of the troop is vital component of the success of ACH with your troop. If you find that this is the case, the troop can fill out an ACH Deadline Extension Form and submit to the council. This form must be received by council no later than 3 business days before the date of the ACH. If the money is not in the troop’s bank account when the sweep is planned, what happens? All sweeps are communicated with a troop in advance and the troop has time to confirm and discuss the status prior to the sweep. However, if the troop bank balance is non-sufficient to cover the agreed upon ACH balance; an NSF charge may be incurred by the troop. 29
COOKIE SELLING FAQ What if Council pulls an incorrect amount from my troop's account? Your attention to eBudde™ is important. Any incorrect entries in girls selling, transfers or reorders will affect your balance. Since we pull funds from your account based on these variables, it is possible that an incorrect amount could be pulled. Your outstanding balance will be clearly listed on your Troop Sales Summary Report. If we dis- cover something that changes your balance during closing review process, your troop will be credited or debited accordingly. Will Digital Cookie Sales be calculated toward each girl’s initial order reward? Yes. Please note: if the Digital Cookie order is placed before the troop cookie manager submits the initial troop order in eBudde™, then it will count towards the girls initial rewards. Any digital orders placed after the initial troop order will not count towards the initial rewards. How are Digital Cookie sales calculated towards each girl’s rewards? The digital orders are calculated the same way in which we calculate the traditional delivery methods. When should my troop pick up more cookies from the cookie cupboard? Troops should ask for a girl inventory of unsold cookies before going to the cupboard for more cookies. Pick up more cookies from a cupboard when you are sure none of your girls have unsold inventory and you cannot find a troop who has more cookie than they can sell. Can I pick up cookies by the box from the cupboard? No. Cookies are distributed from the council and cupboards in cases only. Troops may transfer packages to other troops. Can my troop set up a booth at Walmart, Lowes or Krogers? No. The SUCM will set up the booth slots for troops at Walmart, Lowe's and Krogers. You will be contacted by the SUCM to choose your booth slot. You will also have the opportunity to choose booth slots in the eBudde system. Council staff will set up booths at some locations, such as malls, limited access facilities, and sporting events. 30

Product Sales ACH Debit Extension Request Please use this form to request a delay in an ACH sweep during the Fall Product Sale or Cookie Program Sale. Submitting this form DOES NOT mean that your extension has been granted. You will receive an email from council staff explaining whether the request was approved or denied. A meeting will be set up with the SUCM, SU, Troop Leader, Troop Cookie Manage, and Membership and Community Development Manager to discuss your troop’s finances before making a decision. Requests must be submitted at least five business days, preferably sooner, prior to the scheduled transaction. Requests received after that date may not be processed in time to prevent the transaction. Each extension sweep is exactly one week after the originally scheduled sweep.
