Welcome to the 2019 COOKIE MANUAL SUPPLEMENT 2019 Cookie Season! Dear Girl Scout Volunteers, Thank you for supporting the girls in your troop during the Cookie Program. This is an important part of the Girl Scout experience and one your Girl Scouts will remember forever. Girl Scout parents and volunteers tell us their favorite part of the Cookie Program is spending time with the girls and watching them grow and reach goals. As one Troop Leader shared in the 2018 Cookie Survey, “I love what the Cookie Program teaches the girls- they really come out of their shell and make amazing progress throughout the Cookie Season. Girls step out of the comfort zone and talk to people, learn how to run their business and the ethics of the business. They manage money and learn to count change. These aspects are all so positive and appreciated.” The Cookie Program is far more than a way to raise funds. It gives girls hands-on leadership and entrepreneurial practice through real-life experiences. Girls gain life-long skills like goal setting, decision making, money management, business ethics, and people skills. While developing skills, these girls are earning revenue to fund even more leadership experiences, like Girl Scout travel, camp, and STEM programs. Girl Scouts are smart, we earn while learning, so we can learn and experience even more! Please refer to the Program Manual for detailed information and guidance on the Cookie Program as a whole. What do these top selling troops 2019 COOKIE MANUAL SUPPLEMENT have in common? They set goals and make a plan to reach them! Troop 1892 - Lake Havasu City Sold 23,099 packages of cookies! The girls vote first on what trip they want to do, what organizations they want to donate to and what service projects they want to accomplish and then we decide how many boxes of cookies each girl needs to sell to accomplish those goals. With our cookie money, we do several service projects and we’ve given back to the church that lets us meet for free. We camp a few times a year which is mostly funded by cookie money. Last year, we went to Las Vegas for four days, saw the Blue Man Group, went to an aquarium, and the Apple Store along with other fun stuff. This year, we went to Disneyland for three days! Troop 436 - South Phoenix Our girls love a challenge! Troop 436 is a group of go-getters. The girls worked hard to meet their three-year goal and in June visited three European Sold 21,530 packages of cookies! countries and New York. When the girls were asked about their drive and ability to make such progress during Cookie Season the following tips were discussed: 1. Be sure to make a goal, so you know what you are working towards. Try to visualize yourself reaching that goal. 2. Have fun while selling at the booth. Keep a smile on your face and a positive attitude. 3. Be respectful, confident and enthusiastic about the product you are selling. 4. Presentation is key, so make sure your vest is always in tip top shape and be prepared to answer questions about Girl Scouts and your troop. Troop 156 - Rainbow Sands Sold 16,692 packages of cookies! Every year the girls select an activity they would like to do and learn about. We figure out how much it would cost and how many cookies we would need to sell to pay for the experience. This year, the girls chose to travel to Niagara Falls, New York. This big trip really inspired the girls to sell cookies! We did troop neighborhood walkabouts going door-to-door with cookie-selling buddies. We did as many cookie booths as possible and emailed family and friends. We made our goal and visited Maid of the Mist and Cave off the Winds in Niagara Falls. We also went to Letchworth State Park in Perry, NY and Cedar Point Amusement Park in Ohio. We also help at Feed my Starving Children, work with animal rescue groups and send cookies to the military troops overseas. We sell enough cookies and fall product to fund our yearly big event and the year-round activities. We come up with a plan in August to decide the badges, journeys, events, activities, community service and travel and then plan our budget. We are an active troop and it helps the girls stay involved. They want to do fall product and cookie sales because they get lots of experiences with the money we earn. Cookies for the Community 2019 COOKIE MANUAL SUPPLEMENT Spreading Girl Scout Cookie love! All donated cookies will be distributed at partner organizations serving people in need. Troops can either select a charity of their own or participate in the Council Cookies for Community. Girl Scouts–Arizona Cactus-Pine proudly supports St. Vincent de Paul, United Food Bank, the USO, Packages from Home and other local charities through this program. We heard you! NEW Cookies for the Community Patch options. Troops can earn the 2019 Cookies for the Community Patch (designed by a local sister Girl Scout) two ways! »» Participate in Council Cookies for the Community, sell 25 packages and log it in eBudde. »» Participate in Troop Cookies for the Community and tell us your Troop Cookies for the Community story. Please include the reasons why the girls selected the organization, how the girls pitched the sale to customers, and pictures of the cookie drop off! For more information visit www.girlscoutsaz.org/cookie-contests. Boothing Updates Both Self-Scheduled and Council Scheduled Booths are listed in Cookie Finder. Cookie Finder is an App that directs customers to the nearest cookie booth. Last year 67,942 customers used it to find cookies near them. Please make sure booth information is entered correctly, and if you are unable to staff a booth, you cancel it in eBudde as soon as possible, even if it’s at the last minute. Please see the Program Manual for detailed information about boothing. Remember to be a sister to all troops when boothing. Self-Scheduled Booths Troops may begin self-scheduling booths as soon as they have completed training and have access to eBudde. Enter all booths into eBudde as soon as possible. This helps speed up the process. Although we strive to have all booths approved within 48 hours, it may take additional time during high volume requests. Please email us at productprogram@girlscoutsaz.org if you have a last-minute booth opportunity and need to expedite your request. To help avoid double booking conflicts, please ask the store manager to complete the Self-Scheduled Booth Verification form found on our website. Keep the completed form in your files, you do not submit this to the Product Program Team. If there is a problem with double bookings, the form will be used to resolve disputes. Help your sister Girl Scouts! Many of our troops have established relationships with local Store Managers and Business Owners. If you find a business is providing more boothing opportunities than you can schedule with your troop, please don’t let the opportunity slip by. 2019 COOKIE MANUAL SUPPLEMENT Council-Scheduled Booths Council-Scheduled Booths are at many of the large grocery chains, Wal-mart, Sam’s Club, ASU, and others. See eBudde for a full list of Council-Scheduled Booths. Troops may not contact Council-Scheduled Booth locations to secure their own separate booth times. New! To improve access to Council scheduled booths, additional booth rounds have been added. Booth Round Schedule: »» Nov. 3 – Early Booth Round: Troops may earn two early bird slots; one for early troop registration (April 30) and a second for selling $350 in Fall Product. »» Nov. 10 – Cookie Booth Round 1: 2 picks »» Nov. 17 – Cookie Booth Round 2: 2 picks »» Dec. 1 – Cookie Booth Round 3: 2 picks »» Dec. 8 – Cookie Booth Round 4: 4 picks »» Dec. 22 – Open Round: Council will no longer audit the number of booth selections a troop has made. We do ask that you be considerate of other troops and only select what you can staff. Open rounds are not meant to be a free-for-all. Selecting multiple unopen booths, regardless if you can staff it, is not appropriate. The Product Program Team reserves the right to remove booths from any troop who abuses the system. CANCELING YOUR BOOTHS – if you are unable to make your booth, you MUST cancel it in eBudde or the eBudde App, even if it’s last minute. This is important because customers use Cookie Finder to find cookies! When a troop doesn’t cancel the booth and is a no-show, customers using the App are frustrated and disappointed. It also hurts troops who are looking for additional booth opportunities. Help keep our customers and your sister Girl Scouts happy, if you can’t make a booth cancel it in eBudde! If you are a NO SHOW, the Product Program Team reserves the right to release any additional Council- Scheduled Booths you may have. New! Troops who use the eBudde Troop App can request an email notification if booths become open in eBudde. Council-Scheduled Booths in the Extended Area If you live in Metro Phoenix and your troop loves to travel and booth, feel free to venture out of town, but please be considerate of the girls living in the local communities and allow the extended areas to select booths in their town first. Booth Safety and Theft 2019 COOKIE MANUAL SUPPLEMENT Nothing is more important than ensuring the health and safety of girls and volunteers. If a girl or volunteer feels threatened or compromised in any way, they should get to a safe place immediately, call the police and contact the Product Program Team at 602-452-7175, as soon as possible. For most of our girls, theft of Girl Scout Cookies or money will never be an issue. However, there are procedures in place to mitigate loss when theft happens. Fanny packs are recommended and should be used in place of a cash box at booths. If you do decide to use a cash box, never let it out of your sight. The smallest distraction can give a thief the opportunity to grab and dash off with the cash box. »» Starting cash: $30 in one-dollar bills. No more than $100 in your fanny pack/cash box at one time! »» When you have more than $100, move the money to a safe location. »» Never leave cash in your car or in an unsecured location. Please treat cookie money the same way you treat your own money. It’s simple! If you wouldn’t leave your own money somewhere - don’t leave the cookie money there either. »» Do not accept bills over $20. Council will not replace counterfeit bills over $20. When theft is reported to the Product Program Team, they will need to speak directly to the person making the claim. It is our duty to protect the interest of all girls in the Council and thoroughly investigate each claim independently. If an unfortunate event happens and cookie money or cookies are stolen, as with any other theft claim, you will be asked to provide documentation, including a police report. You may also be asked about your personal insurance as a good faith measure. This helps to validate the claim, the amount of loss and to rule out negligence. Sadly, it’s not unheard of for the Product Program Team to receive fraudulent claims of theft to hide the misuse of Girl Scout cookie money or the mismanagement of cookie inventory. Initial Order Information 2019 COOKIE MANUAL SUPPLEMENT Initial orders are important! A strong initial order will save you time and energy. It means your troop will have enough cookies to cover your demand for the first few weeks of the program. And you’ll spend less time re-stocking at the cupboard and have more time with girls. Your strong initial order also gives the Product Program Team a snapshot of troop inventory needs for the season. The council-wide initial cookie order is based, in part, on the number of cookies troops order. Troops who under-order, or don’t place an initial order, then must heavily rely on the cupboards, especially at the beginning of the sale. Over-reliance on the cupboards is a direct cause of council-wide cookie shortages. What’s a strong initial order? The Product Program Team recommends you order 80% of your 2018 total sales, adjusted for girl participation, as your initial order. New to the Cookie Program? We have a formula for that, too. Check out the Initial Cookie Order calculator on our website. It will give both new and veteran troops a personalized, flavor-specific recommendation for your initial order. If you have questions or concerns about the number of cookies you should order, talk to your Service Unit Cookie Team. They are familiar with your area and can help you decide the right amount of cookies for your troop. TROOP INITIAL ORDER REWARD 175 Troop PGA – One shirt per participating girl and one additional adult shirt. Three additional adult shirts may be ordered at $7 each. ACH Dates Successful money management begins with a well managed troop account. If you need assistance with your troop account, please contact banking@girlscoutsaz.org. The Program Manual contains the details of the ACH process but be aware the ACH takes a few days to process. Money is due in the troop account the Monday before the ACH date. Money is withdrawn from the account the following Thursday. If money is spent between Monday and Thursday, the troop account may be overdrawn. Troops are responsible for all overdraft fees. (ACH is an acronym for ‘Automatic Clearing House’ and is the transfer of monies to the Council’s account owed for cookies.) Design a Cookies for the Community patch and your creation just might be worn by Girl Scouts across the Council. Patches MUST be designed by the girl entering the contest.
