1. OPEN SPACE STANDS Open Space stands are located on grass and face tarmac walkways. Exhibitors need to make their own arrangements for appropriate cover of their stand space (recommended contractors list on page 15). Trade stand space is divided into three zones: YELLOW ZONE Above Ardingly Parade – minimum stand size 4 x 3m GREEN ZONE Ardingly Parade and below (excluding Lower Kleinwort Avenue) – minimum stand size 6.5 x 6.5m BLUE ZONE Lower Kleinwort Avenue – minimum stand size 9.5 x 9.5m REGISTERED CHARITIES A restricted number of stands are available for Charities registered with the Charities Commission. A 25% discount will be applied to stands 6.5 x 6.5m (42.25m2) or bigger. AGRICULTURAL & NURSERY EXHIBITORS To apply for these stands, Exhibitors must be agricultural companies or nurseries. A 50% discount will apply to all stands 6.5 x 6.5m (42.25m2) or bigger. 2. COVERED SPACE STANDS A number of covered options are available for Exhibitors who require a smaller space and prefer to have cover provided. • Apart from the floored bays, all other options will be on grass • Additional frontage available in 3m increments • Exhibitors will need to provide their own furniture • Covered stands do not come with guaranteed space behind for storage/parking SHOPPING PARADES Located in Upper Turners Hill or on corner of Ardingly Parade & Hackney Terrace these individual 3 x 3m canvas bays are designed for companies selling smaller or more delicate items who prefer to be undercover. Comes with tie-front curtain. FLOORED SHEDDING BAYS Located on both the west side of the Main Ring and below the Member’s Pavilion, these 3 x 6m canvas shedded bays are designed for high-quality stands that want the benefits and prestige of proximity to the Main Ring and Member’s Enclosure. Comes with tie-front curtain and banner rail. 3. FOOD & DRINK FOOD HALL Located in our Queen’s Jubilee Hall, along from the Green Gate entrance, our Food Hall is one of the most popular areas of the Show. Sold in units of 2 x 3 or 3 x 3m, they are all open space, with concrete flooring. You will need to provide your own screening materials and tabling etc. FOOD VILLAGE Located adjacent to the Food Hall, these 3 x 3m bays are designed for food or drink-related Exhibitors. ENGLISH WINE WALK Located close to the Members Pavilion this parade of 3 x 3m bays, offers English Wine producers the perfect opportunity to show case their wines to visitors. With two pricing options depending on whether you will be selling by the bottle to take home only or by the glass for consumption at the show & by the bottle to take home. APPLYING FOR A STAND NEW ONLINE BOOKING This year exhibitors can apply online, using a system called Event Halo. This makes it easier for you to make and follow the process of your bookings. If you don’t have the link to the system please request from a member of the trade stand department. EXISTING EXHIBITORS • If you exhibited with us in 2019 you will receive priority booking and retention of your stand space for the 2020 Show. • We must receive your completed application and 50% deposit by FRIDAY 6 DECEMBER 2019. This will entitle you to a 2019 price freeze. Applications or deposits received after this date will be charged 2020 prices. • Anyone who exhibited with us in 2019 but wishes to request a change in location, will be offered suitable space before new exhibitors as long as the stand application and deposit has been received before the 6 December deadline. Space will be offered in date of application order. We will try to accommodate as many possible in their preferred locations, although we cannot always guarantee suitable spaces will be available. • If you wish to make changes to the dimensions of your stand, we unfortunately cannot guarantee you will be able to retain your 2019 location. To make changes, please complete and return the application form with 50% deposit and we will contact you after the deadline date to discuss options. • PLEASE NOTE You may lose your space if we have not had the necessary application and payment back by the deadline date of Friday 6 December. NEW EXHIBITORS • If you want to exhibit at the Show for the first time, please complete the application forms, with 50% payment of stand costs, as soon as possible with a full description of what you will sell/display on the stand, any photographs you may have of your stand and website/Facebook page details. • New applications will be reviewed in date of receipt order and available suitable sites will be offered from February onwards. Stand options will not be offered to new applicants without 50% payment. • Applications received after the 1 April 2020 must be accompanied by full payment. STAND PAYMENT 2019 EXHIBITORS All 2019 exhibitors are entitled to split payments of 50% deposit due by Friday 6 December 2019 with the remaining balance due by the Sunday 1 April 2020. NEW EXHIBITORS New exhibitors (didn’t exhibit in 2019) are required to pay 50% of the stand costs on application. Sites will not be offered without this payment. Once a site has been agreed the outstanding balance will be due within 30 days. Applications recieved after the 1 April 2020 are required to send the full price of stand costs when applying. PAYMENT OPTIONS CHEQUES made payable to SEAS ONLINE/BANK TRANSFER to Lloyds, a/c: 01265561 sort: 30-18-30 (please use your company name as a reference) CARD PAYMENTS can be taken over the phone, please call 01444 892700 via online booking system CANCELLATIONS Once a stand site has been agreed it is considered confirmed, after this point if you need to cancel your stand for any reason, please notify us in writing as soon as possible.
