well, color us excited... We’re thrilled you’re going to be joining us on our build site! This packet contains everything we think you’ll need to know in order to prepare for your Team Build. Of course, if we missed something, we’re here to answer all your questions. When Bethany UCC comes out to the construction site, you’ll be standing on the shoulders of hundreds of volunteers that came before you and setting the stage for hundreds more to come after. You’re becoming a part of a chain of amazing citizens committed to strengthening Chicago and helping families realize the stability and health of homeownership. If anyone arrives at their location and have not registered they will be sent home for the day. build activities Build site activities can include anything it takes to build a home from start to finish. The specific activity your group will work on is difficult to predict more than a few days in advance due to a number of factors including, weather, the performance of previous volunteer groups, sub-contractor schedules, and the approvals process of the City. Your flexibility and enthusiasm for whatever activity you’re working on is most appreciated! Some typical volunteer activities might include framing, siding, painting, roofing, laying flooring, hanging doors or windows, trim work, finishing, landscaping and cleaning. All of it is critical to a finished home and a healthier, happier family!
build site policies experience and conduct • No construction experience is required. Bring a good attitude and the discipline to follow instructions • Volunteers must be able to sustain a seven-hour day of physical labor with reasonable breaks • Volunteers are expected to be engaged in the tasks at hand; use phones only when absolutely necessary or while on break and minimize absences from crews for personal reasons safety • All volunteers must be present for the on-site safety orientation in the morning. Any volunteers absent from this orientation may forfeit their right to volunteer for the day • Prior to coming to the build site, each volunteer must take a brief online safety course. This course will be provided via email to each registered volunteer several days in advance • Face masks are not required when working outdoors and volunteers can maintain a safe distance from others. However, we ask that team members, volunteers and customers wear a mask/face covering at all times indoors. We will have available face coverings upon request. • Whenever possible we encourage volunteers to bring their own work gloves. Again, if you don’t own work gloves or forget them, we will provide glove attire • Proper build site attire is required at all times. This includes hard-soled shoes (boots preferred; robust sneakers acceptable), long pants, appropriate layers for the weather, and clothes you don't mind getting dirty. Avoid loose-fitting clothing and jewelry drugs and alcohol • The use of drugs and alcohol is not tolerated on or near Habitat Chicago worksites • Anyone under the influence of drugs or alcohol will be immediately escorted from the premises • Smoking is not permitted on Habitat Chicago worksites; volunteers may smoke outside of the worksite and must clean up after themselves first aid and medical • If there are known medical considerations in your group (e.g. pregnancy), please inform the Habitat Chicago staff coordinator before your build date. We will work with our construction team to try and accommodate the volunteer with appropriate tasks if possible • Medical emergencies or injuries sustained on site must immediately be reported to a Habitat Chicago Crew Leader for next steps • First aid supplies and hospital directions are available on site weather and emergencies • We build year-round in all kinds of weather; if rain is in the forecast, don’t assume your team build can’t happen! We will only cancel the build day for three reasons (each of which is dependent on the stage of the house at the time): extreme cold; extreme moisture; or sustained threat of lightning • If we do need to cancel your build day due to weather, we will notify you by phone and/or email at 7:00 am on the day of the build at the very latest • In the event of an on-site emergency, the Habitat Chicago construction team will give clear instructions; all volunteers must stop what they are doing and respond immediately volunteers under 18 • All participants must be at least 16 years of age; volunteers under the age of 18 must be accompanied by a chaperone in a ratio of no more than four youth to one adult; all youth must bring a minor’s waiver signed by a guardian in order to participate • Chaperones must be at least 21 years of age and remain with their assigned minors the entire day
coordinator checklist As the group coordinator, you get an extra star in our book! We rely on your communication and influence to make sure that your team build has a solid foundation. To help you out, we’ve put together this handy checklist to make everything as easy as possible. ongoing Serve as the primary contact person with Habitat Chicago – keep us up-to-date on the ever- changing information surrounding your build day and ask us any (and all) questions you have! 30-60 days before your build day Recruit your colleagues to join you and make sure they register on your team registration page (hint: use the Communications Kit found in the logistics section) Inform Habitat Chicago staff of any: Medical considerations in the group Volunteers with significant construction experience (if known!) “VIPs” on-site who would like to address the group or be highlighted by staff Photography or videography plans you may have Specific instructions you’d like to include in our auto-generated emails to volunteers (see logistics section for examples) Other requests or needs If your group has volunteers under the age of 18, begin recruiting/identifying chaperones in a 4:1 youth to adult ratio; Chaperones must meet these requirements to be eligible Coordinate transportation for your team if desired (see logistics section for recommendations) 7-30 days before your build day Ensure Habitat Chicago receives payment by 10/23/2021. Your invoice includes instructions on how to pay and we are always happy to reissue it if needed Coordinate lunch for your team if desired (see logistics section for recommendations) Direct all volunteers to sign up using the Bethany UCC registration page at least one week before the build day If your group has minors, return your Chaperone Roster at least three days before your build Review the roster of registered volunteers that Habitat Chicago staff will periodically send you. Check for inconsistencies and inform us if a registered volunteer is no longer participating. Having an up-to-date roster ensures that all volunteers agree to our waivers prior to the build day and gives our team the most accurate head count so we can best prepare for the day. build day Enjoy your build day, you’ve earned it! WP logistics 1/3 transportation take your car Free street parking is available right in front of the build site as well as on the surrounding blocks. If you’re using GPS to get to site, be sure to include the zip code! Project Location: 11942 S Union Ave, Chicago IL 60628 take public transportation The build site is accessible by CTA and Metra transportation. Enter your starting location into this custom Google Maps page to find the best route. lunch You can’t build on an empty stomach! You will have a 30-minute lunch break and it is highly recommended you stay on-site due to time constraints. Some groups have individuals bring their own lunches; others opt for delivery. The following local restaurants all deliver to our build site if you’d like to order a group lunch (just tell them you’re with Habitat Chicago so they know where to go!)* Lunches can be ordered to be delivered, but should not be communal (no pizza or buffet-style lunches) & will need to be delivered to each separate location. Boxed lunches or individually wrapped items preferred. Group coordinators may bring their bottled water for their group, but should plan on having it separated by site before arriving in West Pullman. *If you’d like to include our 5-6 crew leaders in your count, they’d be thrilled, but it is not at all expected. logistics 2/3 communications from Habitat Chicago You’re communicating, we’re communicating, but who’s saying what, exactly? When your team members sign up on your team registration page, they will begin receiving a series of logistical emails to prepare them for the build day. Please meet at 7:00 am in the lobby for boarding. Lunch will also be provided – notify me if you require dietary considerations beyond vegetarian.
logistics 3/3 communications kit Since part of your job is getting the word out about your upcoming build day, we’ve assembled a Communications Kit to make it as easy on you as possible. The following link will give you access to a handful of templates to use however you see fit. go here: habitatchicago.org/communications-kits to find: a variety of Communications Kits that each include Habitat Chicago logos, email templates, printable flyers, social media ideas, and the Habitat for Humanity Brand Guide so you can bring it all together. groups with minors If your group includes 16 or 17 year olds, we require: • Minor Waivers: found here as well as on your team registration page if you’ve told us your group will have minors – each minor must have a fully signed waiver with them in order to volunteer. • Chaperones: at least a 4:1 youth to adult ratio is required in order to help support our Crew Leaders. You can find the Chaperone Agreement here as well as on your team registration page. Use the language in the Communications Kit to help you recruit the necessary chaperones.
