2021 Joint Summer Convention June 6-9, 2021 Hilton Sandestin Beach Golf Resort & Spa Miramar Beach, Florida
CONVENTION INFORMATION REGISTRATION: Everyone must register to participate at the convention. Registration fees include the Hospitality Suite on Sunday, Monday and Tuesday, Luau Welcome Reception on Sunday evening, Family Fun Fest/ Beach activities and Volleyball on the beach on Monday afternoon, the Corn Hole Tournament on the beach on Tuesday afternoon, and the Banquet & Entertainment on Tuesday evening. The Educational sessions on Monday morning are for CAAL & ARMCA members only. Please indicate the number of adults and children attending the events as requested on the registration form so appropriate arrangements can be made. The Paint Class & Lite Lunch on Monday, Snorkeling/Shelling Excursion and Golf Tournament on Tuesday will be additional fees. Deadline to register for the convention is May 24, 2021. CANCELLATIONS: There will be a $50.00 administrative fee for all registration cancellations. Cancellations must be made by May 31, 2021 to receive a refund, after that date all fees are forfeited. EXHIBITORS: Member companies are welcome to exhibit their products, services and latest technologies on Monday morning, June 7th. The table top exhibit will be a 6 ft. skirted table and 2 chairs. The cost is $300. Set up time will be at 7:30 am with exhibits opening at 8:00 am during breakfast. The Technical Sessions are from 8:30 am to 12:00 pm. Exhibit breakdown will immediately follow the sessions. SPONSORS Sponsorship for the CAAL/ARMCA Convention allows you the opportunity to get your company’s name in front of industry leaders and decision makers. See sponsorships available on page 6. Deadline for sponsorships is May 14, 2021. SPONSOR BENEFITS Conference sponsor sign, recognition in conference program book, recognition at conference (announced during event) and recognition in the Newsletter. CONVENTION ACTIVITIES - Subject to change due HOSPITALITY SUITE - SUNDAY, MONDAY & TUESDAY* The Hospitality Suite will be located in a poolside room and will be open on Sunday, June 6th from 1:00 to 5:00pm, Monday, June 7th from 10:00am to 5:00pm and Tuesday, June 8th from 10:00am to 5:00pm. We will provide snacks, water, soft drinks, and beer throughout the convention. Please note that the Florida drinking age is 21. Sandwiches will be provided for lunch on Monday and Tuesday on a first come first served basis. * Subject to change due to restrictions at that time. BEACH CHAIRS & UMBRELLA SETS - SUNDAY, MONDAY & TUESDAY* We will have several sets of beach chairs reserved and available for CAAL & ARMCA members and their families on Sunday, Monday and Tuesday during the convention. First come, first served. Please be kind and share the chairs! * Subject to change due to restrictions at that time. LUAU WELCOME RECEPTION - SUNDAY, JUNE 6 The Luau Welcome Reception will be held Sunday, June 6rd from 6:00 to 8:00pm on the deck by the Spa Tower pool. Come in your favorite Hawaiian attire and enjoy some great food and cocktails while visiting with your friends and colleagues. In case of rain, the event will be moved inside. TECHNICAL SESSIONS - MONDAY, JUNE 7 The Technical Sessions on Monday morning, June 7th from 8:30am to 12:00pm are for CAAL and ARMCA members only and will include industry presentations by DOTD and industry leaders.
CONVENTION ACTIVITIES - Continued PAINT CLASS & LITE LUNCH - MONDAY, JUNE 7 We will have a lite lunch while you design your own beach scene masterpiece at our painting class. Art instructors will give you step-by-step instructions through the basics of acrylic painting to produce a work of art on canvas. At sessions end, you will leave with your own painting feeling a little more like Picasso! Monday from 12:00pm to 2:00pm. The cost is $75 per person. FAMILY FUN FEST ON THE BEACH - MONDAY, JUNE 7 Grab the kiddos and come join us on the beach on Monday afternoon, June 7th at 2:30pm for some fun in the sun!. We will have a sand castle building contest and other fun beach activities. We will provide cold drinks for everyone! All participants will receive a ticket for a free scoop of ice cream from Picnix. BEACH VOLLEYBALL TOURNAMENT - MONDAY, JUNE 7 Get a team together and get your game ready for some fun and friendly competition!! The beach volleyball tournament is on Monday afternoon starting at 4:00 pm. You will need to mark this on your registration form if you want to play so we can plan accordingly. MONDAY NIGHT - DINNER ON YOUR OWN GOLF TOURNAMENT - TUESDAY, JUNE 8 The golf tournament will be on Tuesday morning, June 8th with an 8:30 am shotgun start at The Raven Golf Course. Cost for registration is $150. Fees include green fee, cart, range balls and refreshments. Participants should take their own vehicles to the course. Awards will be presented at the banquet on Tuesday evening. SNORKELING/SHELLING EXCURSION - TUESDAY, JUNE 8 (8:00AM -12:00PM) Join us for a three (3) hour 2-stop snorkeling excursion on a Coast Guard approved pontoon boat along the shores of the Gulf of Mexico and the Choctawhatchee Bay. You will be responsible for your own transportation from the hotel to the Harborwalk dock. We will depart from the Harborwalk in Destin at 9:00am. Cost: $45 for Adults and $35 for children (4-12). You must pre-register for this event. CARTOONS BY DEANO - TUESDAY, JUNE 8 (caricature artist) will once again be on hand to sketch your kiddos and/or your family’s picture in the Hospitality Suite on Tuesday, June 8th from 12:00pm to 4:00pm. CORN HOLE TOURNAMENT - TUESDAY, JUNE 8 Choose a partner and get ready for some fun and friendly competition!! The tournament is on Tuesday afternoon on the beach starting at 3:00 pm. You will need to mark this on your registration form if you plan to play so we can make the appropriate arrangements. BANQUET & ENTERTAINMENT - TUESDAY, JUNE 8 Join us from 6:30 to 10:00 pm on Tuesday evening, June 8th for a fun evening of cocktails, awards, dinner and Bingo! (great prizes). Don’t miss this family friendly event! SPECIAL NOTES Members with rooms registered in our group room block will receive a 10% discount at the Serenity of the Sea Spa, excluding merchandise and packages. Members with rooms registered in our group room block will receive a discount rate of $40 for daily beach/umbrella rentals, Sunday - Wednesday. Casual dress is appropriate for the entire convention.
HOTEL ACCOMMODATIONS Hilton Sandestin Beach Golf Resort & Spa 4000 Sandestin Boulevard, Miramar Beach, FL 32550 (850) 267-9500 Reserve your rooms as early as possible. When calling be sure to ask for in-house reservations. Our room block code is CAL. The room block allows for arrival two days prior to June 6th and departure two days after June 9th but we have a very limited number of rooms on these nights. Once our room block is full on these nights you will have to pay the standard hotel rate. All reservations must be made no later than Tuesday, May 4, 2021. When making reservations, a first night's room deposit is required. Individuals are responsible for their account and may pay their designated charges upon departures with cash or the following credit cards: Visa, MasterCard, Diners Club/Carte Blanche, Discover and American Express as long as the card is present on property. Hotel Cancellations: Please be aware that the hotel requires that cancellations must be made fourteen (14) days prior to your arrival date to receive a full refund of your first night's deposit. Early Departure Penalty: the hotel will add an early checkout fee of one night room and tax to your account if you checkout prior to your reserved checkout date. Guests wishing to avoid an early checkout fee should advise the Hotel at or before check-in of any change in their planned length of stay.
