Dear Team Manager Hawke’s Bay Hockey Association is excited at the prospect of hosting teams at this year’s Mary Clinton Cup Tournament in Hawke’s Bay. Please find enclosed a comprehensive newsletter. This will provide you with the bulk of information you need for this tournament. I have a Mary Clinton Cup page on our website and will post all information up on this page pre, during and post tournament. Just to note Tournament Programmes will now be online via Hawke’s Bay Hockey’s website as well as the Hockey New Zealand website closer to the tournament. There will no longer be any hard copies for teams. All game will be administered through the Altius system so there will be no score cards but instead score sheets and Manager’s will be required to complete team line ups daily on the system pre match. You will be receiving a log in for this system and instructions on who to register have been sent to you previously via Sandra at Hockey NZ. We are here to help with this during Tournament. Hawke’s Bay Hockey Park Island Hockey Stadium 44 Clyde Jeffrey Drive, Napier The Tournament HQ is being held at the Hawke’s Bay Hockey Stadium which has two water turfs, Umpires Room and a large Pavilion with Café. The Tournament Control Office is situated upstairs in the Pavilion on the Mezzanine floor. Mary Clinton Cup Tournament Newsletter # 1
IMPORTANT INFORMATION Tournament Director Mr Bob Morrison – Life member of HBHA and recipient of the HNZ Gold Service to Hockey award. Umpires/Managers Meetings Umpires and Managers Meetings will be held in the Pavilion at the Stadium on Sunday, 2nd September 2018. The times are still be confirmed but are normally, Umpires at 5.00 pm and Managers at 6.00 pm Very important – Managers MUST bring: • Primary playing strip (shirt, shorts, socks) • Alternative playing strip (shirt, shorts, socks) • Team Registration Form signed by each player with the Hockey New Zealand cover sheet (fully completed and must be signed by School Principal). Café/Coffee A full café will be operating throughout the week inside the Pavilion with a Coffee vendor external as well, offering a variety of healthy snacks and hot food. Car Park Buses and mini vans can use the car park closest to the entrance to the turf at Park Island and for parents/supporters there is car park next to Turf 2. This extra parking can also be used for over-flow from the main car-park. Please do not leave valuables in your vehicles. Closing Ceremony/Prizegiving Prizegiving will take place approximately 20 minutes after the last game has finished. Teams are requested to be dressed in their team tracksuit. If the day is dry, prizegiving will take place on Turf 1. If wet, it will take place inside the Pavilion. Contact Details It is important that Tournament Control is able to contact a member of your team’s management (ie Manager / Coach / Assistant) at any time. I have included a template for this if you could please type in all information and send back in excel format. Match Balls Each team is to supply their own match balls for this tournament. Match Sheets Match Sheets will be used for this tournament which means that each day you will be required to complete a Match Line-up sheet prior to the game. Meal Deal Speights Ale House has come on board as a supporter of the Tournament and is offering teams meal deals for the week. Menu/Pricing is on the last page. Practice Turf We have half turf time slot for any teams wishing to book a time to train on Sunday 2nd September. The first available time is 2pm. Team Registration You will be required to register your team with Hockey NZ via the Altius Management Programme by the 17th August 2018. If you have any problems entering information once you have been issued with your username/password feel free to contact me. Please make sure you bring you cover sheet along with your signed registration sheet. You will also have an excel form sent to you by HNZ to complete as per the NZSSSC regulations. Tournament Draw The draw is due out on the 6th August so as soon as I have it I will email it to you. Tournament Results Results will be posted on our Tournament Noticeboards in the Pavilion regularly throughout the day. The results will also be posted on the Altius Hockey NZ programme after each game which is great for those that can’t be at the Tournament. Tournament Rules These are available on the Hockey NZ website. You should bring your own copy and be well- versed on these prior to Tournament. You should also be familiar with the Hockey NZ Code of Conduct, Anti-Doping Code, Head injury and Smoke free policies. (All are contained on the Important Downloads page from the “Inside the Game” tab on Hockey NZ website. Turf Practice The turfs at Park Island will be available for team practices on Sunday, 2nd September 2018 – The cost of this is $58.75 (GST exclusive) per half turf per hour. If you would like to make a turf booking, please indicate on form attached – turf-time will be allocated on a first in, first served basis. We will invoice your School for this. Turf Fees – Tournament Hockey New Zealand will be invoicing each School direct for turf charges etc. Venue The Tournament is being held at the Hawke’s Bay Hockey Stadium in Napier. The venue has water surface turfs, changing rooms and Umpires Rooms. Park Island Hockey turf has a Pavilion with Café and vendors on site. Medical on Site Cape Physio will be in attendance at this Tournament for all initial medical needs. They will be located inside the Pavilion at all times during the Tournament. First Aid Teams are responsible for their own basic First Aid kit (including chiller pads/ice etc.). Emergency ice will be available in chilly-bins in the dug-out. Tournament Merchandise There is a tournament hoodie and singlet available to purchase for the event. We have an online shop via Score Sportswear where a team or individual can order online and this will close 4pm on the 8th September. The link is set up and can be access through the site. Key Information & Timelines • Tournament merchandise will be available via online orders. It is encouraged that individuals process their own orders • Tournament merchandise for team or group orders of OVER 10+ will be made via a manual order form – attached with this newsletter and return to info@scoresportswear.co.nz. • The online shop/manual orders will CLOSE at 4pm on 8th September 2018 • All orders regardless of the order date will be collated in BULK and delivered as per below: Orders received prior to 4pm on the 10th August will be delivered pre tournament Orders received after 4pm on the 10th August will be delivered post tournament. • STRICTLY NO ORDERS ACCEPTED AFTER THE CLOSE DATE. This is to allow time for production for a bulk order including; ordering product, applications (embroidery and print) along with pre-tournament delivery • There will be a courier fee charged to each customer of $5.00 for each order and $xxxx for rural delivery • All orders will be sent DIRECTLY to the customer there is no option to pick up merchandise We look forward to meeting you all here in the Bay in September. This proved enormously popular with teams from last year’s tournaments to Hawke’s Bay due to the ease of pre ordering and prompt hearty meals for their teams.
