RACV Marine 2019 Melbourne Boat Show The RACV Marine Melbourne Boat Show is the largest promotion of recreational boating in Victoria and we are excited to have you exhibiting this year. The RACV Marine Melbourne Boat Show is owned and organised by the Boating Industry Association of Victoria (BIAV), which represents an industry worth $4.5 billion to the Victorian economy and provides more than 17,700 FTE jobs. With a core function to support member businesses and promote the growth of recreational boating and the boating lifestyle. The Exhibitor Manual will assist Exhibitors with their preparations for the 2019 Show. Throughout this manual exhibitors will be provided with important planning information and forms that must be completed and returned by specific due dates. Please read to ensure that all staff are aware of all safety protocols and procedures - especially for Move In! If you have any queries please do not hesitate to contact us well before you Move In. Page 8 of 29 General Information The Exhibitor Manual is provided to assist Exhibitors with preparations for the RACV Marine 2019 Melbourne Boat Show. Throughout this manual you will be provided with important planning information and relevant forms required to be completed and returned by specific due dates as listed below. EDMs will also be posted on the Show website. https://www.melbourneinternationalboatshow.com.au/exhibitorinformation ACCESS to EXHIBITION HALLS: Vehicle and equipment access to the MCEC during Move In and Move Out is via the loading dock accessible from Normanby Rd. Delivery and pick up of exhibits and stand construction material can be made via the loading dock at the rear of the exhibition halls. It is mandatory for all exhibitors during Move In and Out periods to wear approved safety vests at all times. SAFETY VESTS ARE NO LONGER AVAIABLE FREE ON SITE & ARE ONLY AVAILABLE from MCEC Vending Machines and can be located in the foyer and loading Dock area. EXHIBITOR EVENT DAY ACCESS: Exhibitors will be granted access to the Show from 9am prior to the doors opening to the public at 10:00am each day. In order to maintain security, Exhibitors will not be permitted into the Show prior to this time unless previously arrange through Event Manger. Exhibitors must leave the Show when requested at the close of trade each day (generally within 30 minutes after closing) ACCOMMODATION: ShortStay Apartments are the official accommodation supplier for Show exhibitors and offer BIA members 15% off their best available online rates for ALL apartment types between 12/04/19 - 31/12/19. The awards will be judged from industry leaders who bring their extensive knowledge, enthusiasm and expertise to the judging process ensuring that the winning entries are truly outstanding. The awards will be presented at the Exhibitors Function in front of the stage Friday 14 June 8pm. Page 10 of 29 BANNERS Drop off and collection of banners is the responsibility of the exhibitor. Banners are to be dispatched direct to the Loading Dock office clearly marked with company name, contact name, phone number, stand number and name of Show. When banners are removed at the conclusion of the Show, exhibitors must be on site to collect them or make arrangements for their collection. If you cannot be on site to collect your banner, request that the banner be left near the Agility Fairs & Events Help Desk that will be operational at the back of the Hall near the Loading Dock. Advise couriers to report to the Help Desk to pick up the banner. Please note that BIAV, Clifton Rigging and Agility, will not be held responsible for any misplaced banners CAR PARKING: For further information check https://mcec.com.au/visit/visit-information#car-parking There are five car parks available for exhibitors and visitors to MCEC: Please note that Car parks are operated by third parties and are not managed by MCEC. Page 12 of 29 CATERING: The MCEC has the sole catering rights for all food or drink within the MCEC. Exhibitors are not permitted to bring food and beverages into the venue from outside sources. Exceptions may be granted in relation to events involving food and/or wine tastings, however these must be discussed with the Organsier and approved by the MCEC. Further details are available in the MCEC Exhibitor Services Kit (available on the MCEC website) https://www.mcec.com.au/exhibitors including the sampling form required to be submitted to the MCEC. Exhibitors may arrange accounts for kiosk, for this facility all arrangements need to be made directly with the MCEC. Private Catering - For all your private catering needs, the MCEC offers an extensive menu selection. Please refer to the MCEC Exhibitor Services Kit online or contact Exhibition Services on (03) 9235 8110 to obtain further information. CLEANING: PLEASE NOTE: The cleaning of exhibition stands is the responsibility of the individual exhibitor. At the close of the show each day if you have any rubbish that needs to be taken away please place near the rubbish bins provided in the halls. Exhibitors requiring stand cleaning for the duration of the Show can book with IMK Cleaning Contractors by completing the online form. https://www.melbourneinternationalboatshow.com.au/exhibitor-forms COMPETITIONS ON STANDS: Exhibitors intending to run competitions on their stands over the value of $5,000 must contact the Victorian Casino and Gaming Authority on (+61) 1300 182 457 or (03) 9651 3333 at least one month prior to the Show to ensure compliance with current regulations. Details of any competition must also be sent to the Event Manager for approval one month prior to the Show. CONTRACTORS: The Organizer has appointed contractors for specific services – refer to Contact List in the first section of this manual. Unless otherwise stated, exhibitors are responsible for making their own arrangements for services required. It is the responsibility of all exhibitors to see that their contractors or agents are familiar with the Rules and Conditions of the Show and are registered contractors with the Melbourne Convention & Exhibition Centre. ELECTRICAL: Moreton is the official Electrical Contractor for the RACV Marine 2019 Melbourne Boat Show. As the official electrical contractor Moreton will be the ONLY company permitted to provide installation services into the electrical pits at the Melbourne Convention & Exhibition Centre. All Exhibitors and Stand Builders requiring an electrical connection will be required to inform Moreton of all electrical requirements and will need to place all electrical orders directly to Moreton. EXHIBITOR FUNCTION: OUR DIGITAL BOATING AFTER 8 NETWORKING/ EXHIBBITOR AWARDS FUNCTION For entry please complete and return booking form by 7 June send to Mary Papantoniou mary@biavic.com.au Function date: Friday 14 June – Wristband required for entry, no wristband no entry security manned From 8.00pm to 10.00pm 8.00pm Start at the stage for Official Awards and Presentations, followed by food and drink at the Great Northern Café/bar with live 3 piece band ‘Full Circle’. EXHIBITOR HELP DESK A Help Desk will be operated by Moreton Hire during the move in stage for all stand construction and electrical inquiries. The Help desk will be located internally of the Halls in front of entrance doors 4 & 5. Page 13 of 29 EXHIBITOR/MEMBERS DINING ROOM: A dining room for exhibitors & member’s will be available upstairs above the Organizers Office offering quality meals at an affordable price. The dining room will be open Friday, Saturday & Sunday. Access to the dining room is via the Organizer’s Office. EXHIBITOR/MEMBERS & MEDIA LOUNGE: The lounge area will be situated on site across from the Organizers Office. This site is external to the Organiser’s Office a comfortable area in which to take a break, with high speed internet access and tea and coffee facilities. Exhibitors Badges are to be COLLECTED from the Organiser’s Office On site from Tuesday 11 June after 12noon ** Please note that Name Badges will not be mailed out ** Name Badges must be worn by all members of staff working on exhibitor stands for the duration of the Show and permit access to the Melbourne Convention & Exhibition Centre for the duration of the Show. They will only be issued to bona fide staff of exhibitors and are non-transferable. Exhibitors will be required to show their Exhibitor Badges to security staff at the commencement of each day and a hand stamp will be issued on exit for re-entry. No exhibitors will be allowed re- entry without a hand stamp. The Organiser’s reserves the right to reject any application for Exhibitor Name Badges. The number of badges issued is strictly limited according to the size of space booked. Fire Proof Material Any material used for stand construction or display purposes must conform to the following standards: • Non-combustible and inherently non-flammable material; • Durable, flame-proof fabric; • Self-extinguishing plastic; • Plywood, hardwood, pulpboard or fibre board rendered flame-resistant by a process of impregnation acceptable to the Authorities. 2019 Exhibitors Manual MBS FINAL

Additional safety precautions for Exhibit Stands If your exhibit contains any features listed below, please contact the Events Manager to discuss any special approvals and safety steps that may be required. Agility on line forms to be completed and returned to Agility by 17 May 2019 ONSITE MATERIALS HANDLING: Exhibitors or their stand-builders requiring a forklift during move in or move out, must pre-book these services in advance with Agility. Please do not just assume that Agility will be onsite. To avoid disappointment, you must complete the MATERIALS HANDLING FORM (available on the Event web site) and return it to Agility by the due 17 May. Agility will be operating a forklift service during bump in and bump out to assist exhibitors requiring forklifts, pallet jacks and flatbed trolleys. Storage – empty packaging There will be limited on-site storage facilities for packing materials and boxes. It is recommended that exhibitors consider their storage needs (of packing crates and freight forwarding materials) for the duration of the exhibition. Exhibitors may not leave boxes and packing material in the exhibition display area during the show. Agility can arrange off-site storage at a cost of $66.00 incl. GST per m3 or part thereof if required. Exhibitors or their stand-builders requiring offsite storage during the show, must pre-book these services in advance with Agility. Please do not just assume that Agility will be onsite. Please note: • If you are using your own transport company, Agility cannot sign for delivery of goods on your behalf. Each application will be assessed by the event organiser for approval and to confirm if there is adequate storage available at MCEC. Gas cylinders delivered on-site may be refused if the delivery was made without prior approval or if the representative of the exhibition stand is not present to accept the cylinders. LPG cylinders shall not exceed 9kg in size with a maximum of two per 3m x 3m stand. The installation and use of gas appliances and gas cylinders shall be undertaken in accordance with the relevant acts, regulations and Australian Standards as amended from time to time. LPG CYLINDERS STORAGE: All LPG cylinders and flammable liquids need to be removed from the exhibition area overnight and stored in the gas cage in the Exhibition Centre Loading Dock. The exhibitor is responsible for moving the cylinders to and from the gas cage in conjunction with the MCEC Logistics Team. INSURANCE: To purchase Public Liability Insurance from Network Steadfast, please complete the relevant form and return to Mary Papantoniou mary@biavic.com.au by 3 May 2019 Exhibitors are required to hold Public Liability Insurance cover, endorsed to the value of 20 million dollars ($20,000,000). Public Liability Insurance for the RACV Marine 2018 Melbourne Boat Show can be obtained via Network Steadfast Insurance Brokers for a cost of $350 inc GST. The BIAV must receive a copy of an Exhibitor’s Public Liability Insurance. Exhibitors who fail to provide the BIAV with a copy of their Public Liability Insurance will not be permitted to exhibit. Please ensure that the Public Liability Insurance is current for the duration of the Show In the case of Public Liability Insurance, Exhibitors must ensure they advise their underwriter of the dates and location of the Show to receive an endorsement that their present policy covers this event. Page 18 of 29 Important information relating to your Boat Show Insurance from Network Steadfast Insurance Brokers: Do I Have The Correct Liability Insurance? When you enter any boat show or exhibition, organizers will ask you for proof of your liability insurance and their interests to be noted as interested parties. What you may not know is that not all Liability Insurance covers will protect you at exhibitions; in fact some charge you extra for the extension of their cover. This is important to check at renewal time, you should ensure that cover is in place for all your business activities, including exhibitions. What about My Stock Whilst At the Show? Business/Commercial Insurance Packages in respect to fire cover and burglary only cover your stock whilst at your business location. Stock carried to and from the show in transit, plus whilst on display needs separate specific cover to ensure your full protection. What if A Prospective Buyer Wants To Take The Stock Boat On a Test Run After The Show? For trailer boat retailers, your stock is covered at your site. You need to extend cover to allow your stock boat to be transported to and from the water, whilst on the water and the liability cover should something go wrong on the water. In the management of BIAV Marine Insurance, it is our aim to have our clients exposures covered, including their exhibition activities. LOST CHILDREN: If you have a lost child please contact the nearest security officer immediately or the Organsier Office as they will place an announcement over the P.A and remain with the child until parent/ guardian arrives. All lost property can be taken to the Organiser’s Office suite 3.101. LOADING DOCK: All vehicles entering the MCEC loading dock will be issued with a 30 minute unloading permit. Please advise loading dock staff if a longer time is required. The MCEC Loading Dock area is gazetted under the Road Safety Act and is under the control of the City of Melbourne. Failure to remove your vehicle after 30 minutes may result in a parking fine issued by the City of Melbourne. MOTOR VEHICLES; Motor vehicles (including Electric and hybrid cars) that come on-site for display at events require prior approval from Event Organiser and must adhere to the safety guidelines below: • Vehicles in exhibitions cannot be started and run without prior permission from Event Organiser & MCEC. • Flooring must be protected by drip trays under each vehicle. • Under no circumstances is fuel to be decanted or vehicles filled in the Loading Docks or within MCEC. • Ignition keys are not to be left in the vehicle and are to be strictly controlled by the exhibitor during the exhibition. • EVERY car must have at least 1 x 2.3kg, A:B:(E) dry powder extinguishers mounted in a prominent location in accordance with relevant Australian Standards. • All vehicle bump in/out must be discussed with the event organiser and approved by MCEC. 2019 Exhibitors Manual MBS FINAL
Page 19 of 29 • The motor vehicle fuel filter cap must be either sealed or secured to prevent the easy removal of the fuel cap by unauthorised persons. • Motor vehicles powered by flammable gas (LPG) may be displayed under the following conditions: • LPG powered motor vehicles must have their systems fitted in accordance with relevant Australian Standards for LPG gas fuel systems for vehicle engines. MOVE IN – NEW PROCESS 2019 NOTE: Pre MBS Exhibitor meeting Tuesday 14 May at 5.30pm at BIAV (Move In and general Show information) All exhibitors will be processed through Munro Street check point (located near the Freeway Carpark in Munro Street) prior to transitioning to the MCEC Loading docks in Normanby Rd. Vehicles will need to arrive 15 minutes prior to their scheduled Move In time and then will be held in Munro Street until MCEC advises they can proceed and join the queue on Normanby Rd . • Coloured cards will be issued to drivers by MCEC staff as they enter through the gates (cards are specific to the day and time of Move In. • If exhibitors arrive at the loading docks of the MCEC via Normanby Rd without a coloured card they WILL NOT be allowed entry under any circumstances and will be advised to turn back and be processed through Munro Street. • As vehicles enter through Munro Street check point MCEC staff will advise the driver either to proceed through to loading docks via Normanby Rd or to wait. If exhibitors arrive too early MCEC staff will advise if they vehicles can stay until a spot is available. • Please ensure that your Spotter is with you or waiting in the MCEC halls/loading docks. If your spotter is waiting for you in the halls please call them prior to your departure from Munro Street so that they can meet you at the loading docks when you arrive. Please ensure that you are wearing your high Vis vest when you enter the loading docks NO exceptions. Please note: High Vis vest are NO longer available for free and only available from MCEC vending machines. MOVE IN OVERVIEW HALLS: The Organiser has control of bays 5 - 20 from 0.01hrs Tuesday 11 June when carpet and rigging will begin installation. Bays 3-4 will be from 14.00hrs. Move In details will be emailed to exhibitors and available on the Exhibitors page of the MBS website prior to the 1 June. Note: Move In times also apply to any contractors that have been engaged to construct stands. It is extremely important that times are adhered to, to ensure a smooth and cooperative Move In for ALL. Page 20 of 29 Remember: • High Vis Vests are compulsory and must be worn at all times within the halls whilst Move In is in progress. • Spotter required (note MCEC will not allow you to Move in without a spotter no exceptions) Boats and Vehicles entering the halls ALL require a Spotter. Each vehicle that is driven into the halls will require a spotter to walk the vehicle from the door way into the halls to the position on the stand. All vehicles must travel at walking pace. Exhibitors will be required to provide spotters for all their movements. Please ensure that you consider this in your planning. MOVE IN – CONCOURSE (EXTERNAL OF THE HALLS) Exhibitors with approved boats and equipment for the concourse will be required to be on site via the loading bays by 6:00am Tuesday 11 June, unless otherwise advised by the Events Manager. Time constraints are set in place as the concourse is a public thoroughfare. If your goods can be hand cartable (by one person) you can access the foyer at any time throughout the day. Move Out Concourse: Sunday 16 June pack down can begin from 7pm. However trailers/ boats/ heavy equipment cannot be moved from the concourse into the halls until late and advised by events manager. MOVE OUT: HALLS Start Sunday 16 June 2019 Approx. 7.00pm until 12midnight, priority passes for vehicles are required for Row E & issued by BIAV. Hand cartable goods can be remove from sites after Close of Show. End Monday 17 June 2019 All equipment and boats MUST be cleared from MCEC halls by 12noon. Exhibitors in Row E (closest to loading bay doors) will have first priority for Move OUT on Sunday 16 June after close of Show. Priority Passes will only be issued to exhibitor site managers who then have the responsibility to distribute to their drivers collecting boats. Priority cards will be issued on Sunday 16 June. Vehicles will not be granted access to the loading dock before 6.30pm on Sunday 16 June and will only be granted access to the dock on a need only basis until Row E Exhibitors have been cleared. All boat trailers on display at the Melbourne boat show that are over 2.5 meters wide will be required to display an A4 size sign that makes patrons aware of the additional legal requirements for towing of the trailer on Victorian Roads. The Organiser’s will inspect Exhibitor boats and trailers and distribute a sign to display in a prominent position on the trailer. The sign will contain the following information. NOTICE: Over - width Trailer This boat or trailer is over standard width for Victorian Roads. As such additional legal requirements apply to towing by VicRoads the trailer. Unregistered Vehicle Permits can be obtained from your local VicRoads office Phone 13 11 71. PAYMENTS: ALL final payments for Boat Show space are due by 15 May, 2019. Exhibitors will NOT be allowed access to the MCEC until full payment of all space costs has been received by the BIAV. PASSOUTS: A hand stamp will be issued on exit for re-entry. Re- entry will not be granted without a hand stamp. PHOTOCOPYING: Photocopying facilities will be available in the Organizers Office suite 3.101 PLASTIC BAGS: It is a BIAV policy that no plastic bags are to be distributed from stands to the public/visitors during the Show at the Melbourne Conventions and Exhibition Centre. Reusable tote bags only. POST FACILITIES: Post boxes are located on Clarendon Street, outside the main entrance. PROHIBITED AND CONTROLLED WEAPONS MCEC and the Event Organiser bans carriage, display or possession of ALL the firearms, prohibited and controlled weapons on site including exhibitions and all other events. PUBLIC ADDRESS SYSTEM: The public address system is controlled by the Organiser’s and reserved for official announcements and emergencies to avoid excessive noise. SECURITY: The Show will be patrolled by BIAV contracted security (Securevent Security) 24 hours from Move In to Move Out. Security will be located at entry doors 2 & 6 or via Organiser’s Office suite 3.101 Fire, medical and security emergencies Dial ext. 6666 (or +61 3 9235 8333 from any phone) In any emergency, notify the event security immediately or dial 6666 from the nearest internal phone. Precautions to minimize theft: • Assume that all exhibition venues are high risk areas and warn your staff accordingly; • Security mark all valuable equipment; • Do not leave personal belongings – mobile phones, wallets, handbags etc. lying around; • At all times there must best a least one person on your stand during operational hours • DO NOT open emergency exit doors, except in the case of an emergency or advised by Security • Do not leave any personal belongings including lap tops in shell booths/cupboards after close of Show Sunday 16 June. SHOW NEWSLETTER: The Exhibitor Newsletter will be available free of charge each morning of the Show, a copy will be delivered to each exhibitor’s stand. Additional copies will be available from the Organizer’s Office. The Newsletter is an important means of communication during the Show and can further support your marketing efforts. Please Contact Amelia Kelly communications@biavic.com.au as all input is welcomed. SMOKING: The MCEC has a ‘No Smoking’ policy inside the exhibition halls. Exhibitors are therefore required not to smoke while in the venue. SPECIAL APPROVAL REQUIRED Exhibitor displays which include animals, helium balloons or food tasting as part of their exhibit are required to submit a proposal in writing to the Event Manager briefly outlining the purpose of the display and how it will be used. Please refer to the MCEC Exhibitors Services Manual for further details https://www.mcec.com.au/exhibitors STAFFING OF STANDS: All exhibitor sites must be staffed at all times during Show hours and staff must be wearing exhibitor name badges. Page 23 of 29 STAND DESIGN: As a general rule the MCEC Operations or Logistics Manager will endeavour to inspect all stands to ensure that they are safe and do not pose a hazard to any user at MCEC. MCEC reserves the right to request modification or close any stand which is deemed to be a safety hazard. Custom stand plans and upgrades will need to be approved by the Organiser. STAND FLOORING: Flooring that is between 32mm and 115mm high requires a bevelled edge which does not exceed an angle of 30 degrees or a grading of 1:1.4. This bevelled edge is to be incorporated within the stand space and not encroach into the aisle. All flooring that exceeds 115mm in height is deemed to be a step. If the stand is to be occupied by the general public or exhibition attendees, a ramp must be provided within the allocated stand space. STAND MATERIALS: • Must not cause dampness, stain or be readily ignitable. • Must not be capable of emitting toxic fumes should ignition occur. • Crepe paper, corrugated cardboard, straw, hay, untreated hessian, untreated material fabrics or PVC sheet (except on floors as a protective membrane) requires prior approval from MCEC. • Sawdust, tan bark or wood chips of reasonable size may be used to decorate floors, with the below considerations: • A protective membrane is laid first and chips are kept slightly moist at all times. • A fire extinguisher must be provided by the exhibitor and be placed in a prominent location on the stand. • Any fabric used in the construction or decoration of a stand, including the stand ceiling, must be treated with a fire retardant. MCEC will require proof of treatment. • Moving machinery or equipment likely to injure a member of the public or a swimming pool or spa containing water, must be separated from the public by a physical barrier and supervised at all times. • Fountains, aquariums, spas, rock pools and swimming pools can be displayed, provided suitable provisions are made to prevent water leakage onto the floor. • No core drilling or fixing into any floor or wall is permitted. STAIRS: - HAND RAILS If two or more steps are installed, a handrail will be required to be installed on at least one side, all steps and platforms will be inspected by MCEC prior to opening. Where the width of the stairs is 2m or more, there must be a handrail affixed on both sides Handrails must be at a height of not less than 865 mm measured above the nosing of stair treads and the floor surface of the ramp, landing, or the like. STORAGE: There is no onsite storage available for exhibitors at the Show. If you require storage this needs to be arranged through Agility who can store it offsite during the Show. The suspension of banners and/or promotional material is permissible in the area directly above an exhibitors stand. All rigging must be contained within the vertical boundaries of your allocated space. All rigging must be constructed by an approved MCEC rigging contractor. SHARING OF WALLS: For those open space exhibitors who back onto another exhibitor please do not assume that a wall for your use will exist. A line delineating your space with your neighbors on the floorplan does not mean that a divisional wall will be installed. It is up to open space exhibitors to construct their own walls. If you are backing onto another space contact your neighboring exhibitor to discuss what type of stand they are constructing. You may both wish to split the cost of a wall. Note: Walls are only permitted on sites that back onto the MCEC halls/fire egress, all other walls will require approval by the Event Manager. Any walls that are constructed MUST be finished on both sides, it is the responsibility of the exhibitor to ensure that walls meet with all build requirements. 2019 Exhibitors Manual MBS FINAL
Page 25 of 29 SAFETY: Aisle Way Clearance: It is a requirement of the Melbourne Convention and Exhibition Centre that a minimum clear 3 metre aisle must be maintained at all time (including overhead). Exhibitors are not permitted to place product, anchors, A Frames, stands or activation/ promotion material including banners in designated aisle ways at any stage including Move In. Exhibitor equipment and stock must remain within their site boundaries at all times. Children on Loading Dock: Any persons under the age of 15 years are prohibited on the loading dock, or in the halls whilst move in or move out are taking place. Persons under the age of 15 are not permitted to remain in any vehicle unattended by an adult whilst vehicle is being loaded/unloaded on the loading dock. Clear Aisles: Note that certain aisles will be designated as clearways for forklifts and pedestrians. These aisle ways will be identified with signage during move in and move out and must be kept clear at all times. Display of Sharp Objects: We recommend that dangerous or sharp objects, such as fishing knives, be displayed behind lockable glass cabinets and placed in a position where sales staff are present at all times. Emergency Evacuation Procedures: It is important for all occupants of the Melbourne Convention and Exhibition Centre to be aware of the MCEC Emergency Evacuation Plans. Melbourne Convention and Exhibition Centre Security Control Centre will dial 000 to co-ordinate emergency service response as required. For non-emergency security enquiries dial ext. 8333 (or 9235 8333 from any phone) Fire: Please familiarise yourself with the nearest fire exit and in the event of a fire Do not use lifts and follow fire warden instructions. Forklifts: Are required to have a spotter whilst moving inside the buildings and must be fitted with flashing lights and reverse beepers. Forklifts are strictly operated at a Walking Pace only at all times. All forklift drivers must be able to produce their licence upon request. Evacuation: In the event of an emergency one of two alarms may sound. 1 - ALERT ALARM -BEEP-BEEP-BEEP. The alert alarm is operated from the building’s emergency warning intercommunication system. It is designed to alert everyone in the vicinity of a possible emergency. This is only a warning alarm – if it sounds please standby for further instructions. 2- EVACUATION ALARM - WHOOP-WHOOP-WHOOP evacuation alarm is designed to notify all occupants that an evacuation is necessary. When the evacuation alarm sounds all occupants will be directed by wardens to leave via the emergency exits. Everyone must follow directions issued by the wardens and meet at the nearest evacuation assembly area. The evacuation assembly points will be at the discretion of the chief fire warden, depending on the location of the emergency, type of emergency, crowd density and wind conditions. 2019 Exhibitors Manual MBS FINAL
Page 26 of 29 Portable fire extinguishers: Every car must have at least 1 x 2.3kg, A:B:(E) dry powder extinguishers mounted in a prominent location in accordance with relevant Australian Standards and is the responsibility of the exhibitor. OH&S: In the interests of Occupational Health and Safety it is important to recognize that during Move In and Move Out the exhibition is a construction zone and extreme care must be taken at all times. We request that you adhere to the following basic safety requirements. o All vehicles entering the halls must have a spotter otherwise they will be turned away and not permitted to enter o Enclosed solid footwear should be worn at all times o Aisle ways must be kept clear at all times o Be aware of forklift thoroughfares and keep a look out o Exercise care around moving equipment such as forklifts, cranes, scissor lifts, etc. be aware of your surrounding when walking through the halls. o Remove your vehicle from the loading dock area as soon as you have unloaded. Look out for other vehicles, forklifts and trucks. o All accidents, injuries and near misses MUST be reported to the Organiser’s Office o All persons working at the event must have the current, appropriate Licences for the work they perform. Pedestrians on the Loading Dock: Safety zones are established on the MCEC loading area. All pedestrians must utilise the pedestrian walkway behind the bollards when walking along the dock and cross the dock at the appropriate pedestrian crossing. Pedestrians are to enter and exit halls via areas marked RED at Roller Doors and through fire exit doors located in each bay. Exhibitors MUST report all incidents or near misses to the Organiser Office or Security. This allows for tracking and rectification of hazards and common problems. Safety Vests: Please ensure all staff are supplied with safety vest prior to arriving onsite. It is the responsibility of the exhibitor to provide safety vests for all staff who enter the halls. SPOTTERS/ SAFETY OBSERVER Boats and Vehicles entering the halls ALL require a Spotter. Each vehicle that is driven into the halls will require a spotter to walk the vehicle from the door way into the halls to the position on the stand. All vehicles must travel at walking pace. Exhibitors will be required to provide spotters for all their movements. Please ensure that you consider this in your planning. TESTING & TAGGING: All plug in type electrical equipment must be inspected, tested and tagged. It is a legal requirement within all temporary exhibition work sites that all electrical equipment be tested and tagged in accordance with AS/NZS 3760:2010 In – service Safety Inspection and Testing of Electrical Equipment. This applies to all contractors working on site and exhibitors who bring in electrical leads and appliances for their stands during exhibitions.
