All exhibition booths must be set up by 17:00. No booth set-up will be permitted on Wednesday 1 September 2021. All exhibitors will be required to collect their name badges from the registration desk located on the Conference Level of the Pan Pacific Hotel, prior to proceeding to the exhibition area for bump-in. Any booth equipment that has arrived at the venue via courier will be delivered to your booth. If you are bringing (small/light) equipment with you, hotel staff at concierge will be able to assist – trolleys will be available to transport equipment to your booth. Heavy items must be delivered via the loading dock where banquet staff will be available to assist. 1.2 EXHIBITOR BUMP OUT Exhibitor bump-out will take place during the final conference session on Thursday 2 September 2021. Please ensure your booth is cleared by 17:00 and the area is left clean. Should you wish to courier any items you will need to arrange this independently and have all items clearly labelled with a courier consignment note. You may leave these items in the booth and they will be moved to the loading dock for collection. If you are taking (small/light) equipment away with you, hotel staff will be able to assist – trolleys will be available to transport equipment to the lobby for pick up. Please note Paydirt Media does not take any responsibility for items left at the hotel for collection. The hotel accepts no responsibility for items left at the venue. Any items stored for more than 48 hours may be subject to a storage fee. 2. EXHIBITION DISPLAYS Each exhibition package includes a 3m wide x 2m deep x 2.4m high exhibition booth. Each exhibition booth includes the following: • Booth: 2.4m high display booth with black velcro compatible walls • Signage: One company name per open side (written in UPPERCASE PAYDIRT ORANGE) • Lighting: 2 x 150-watt spotlights per stand • Power: 1 x 4-amp power outlet • Posters to be attached using velcro dots (hook version only) to secure to material backing panels • Complimentary WiFi will be available to all delegates and exhibitors for the duration of the conference. If you have large data requirements, please contact the Pan Pacific Hotel to organise additional data services. • Please contain your exhibit within the area contracted. 2.1 PERTHEXPO PERTHEXPO is the conference exhibition supplier and will provide all furniture and electrical requirements for your booth. A representative from PERTHEXPO will be in touch with all exhibitors. Should you wish to get in touch with PERTHEXPO, please contact JenniferHume@perthexpo.com.au for all your: • Furniture and display accessory requirements • Fascia sign requirements. All fascia signs will be written in PAYDIRT ORANGE, UPPERCASE, unless you specify otherwise. To add company logos or change the font/colour of your company sign will incur an additional cost from PERTHEXPO. • Electrical requirements such as power boards or extension leads, audio-visual (AV), and IT requirements. 2.2 FIXING No items or material shall be taped, tacked, stapled or otherwise affixed to any surface of the venue. No core drilling or fixing into any floor is allowed or permitted. No structure can be fixed to the venue structure. No pins, nails, tape, or tacks are to be used on any surface of the venue. We recommend the use of Velcro dots (hook version) for affixing posters to your exhibition stand walls. 2.3 SIGNAGE Freestanding banners can be erected within the stand boundaries. Banners hung over aisles or public areas are not permitted. Signage above 2.4m facing an adjoining stand is not permitted. 2.4 CONTRACTORS All contractors, services technicians and tradespeople who work in the venue are required to adhere to all relevant Australian Standards, perform their tasks within set Industry Codes of Practice, and hold all necessary licences. Apprentices must be supervised. 2.5 CABLES Electrical or other cables crossing walkways or public areas at floor level could cause a trip hazard. Cables need to be covered with carpet tile, matting or taped with gaffer. In high traffic areas changes in floor level should be highlighted with high visibility or yellow/black hazard tape. 2.6 STAND CLEANING Public areas, foyers and exhibition aisles are cleared, and rubbish bins are emptied daily by the venue’s cleaning staff. Exhibitors requiring individual stand cleaning should contact the venue directly. If you have specific waste requirements, especially toxic, grease, oil etc., please discuss the correct disposal method with venue. Africa Down Under Conference, Paydirt Media Pty Ltd P.O. 3. DELIVERY OF BOOTH MATERIAL TO THE PAN PACIFIC HOTEL Delivery of booth material will only be accepted through the loading dock between 07:00 and 15:00 (weekdays) from Thursday 26 August 2021. Please advise the conference organisers if you will have large/heavy materials that are not able to be moved via trolley. Parking is not permitted in the loading dock. Short stays are permitted only for the purpose of dropping off goods. Leaving goods unattended is done at the responsibility of the driver. All booth material must be delivered to the Pan Pacific Hotel by Monday 30 August 2021 using the Booth Material Delivery Label. NO GOODS WILL BE ACCEPTED AT THE LOADING DOCK AT ANY OTHER TIMES. 4. DELIVERY OF SATCHEL INSERTS TO PAYDIRT MEDIA Sponsors and exhibitors are entitled to include one (1) piece of corporate literature or a promotional item in the delegate satchels. You will be required to provide 350 satchel inserts for inclusion in the delegate satchels. All satchel inserts must be delivered to the offices of Paydirt Media by Wednesday 25 August 2021, using the Satchel Insert Delivery Label. Please advise us of the item you will be including in the satchel or if you will NOT be providing satchel inserts. 4.1 SATCHEL INSERT IDEAS The key question every delegate ask is, “do I need or want this?” We encourage you to be creative with selecting what to include in the delegate satchels. We have included some suggestions for your consideration. 5. SHIPPING The preferred shipping and courier service for interstate and international deliveries is Australian International Express. Please contact Vince Gallagher on +61 (0)8 9243 0808, or email vince@aiexpress.com.au for a quote. If using Australian International Express please mark your delivery as “free distribution valued at less than $1000” to avoid duty tax and customs entry charge. International Air Express recommends allowing up to four (4) weeks for overseas deliveries using the economy service. Paydirt Media will take no responsibility for damaged items or for payment of customs clearance charges. 6. PARKING AND PUBLIC TRANSPORT 6.1 PARKING The Pan Pacific entry and car park are located on Hill Street, just off Adelaide Terrace. Parking is charged at $14.00 per day for self-park, and $38.00 per day for valet parking. This information is correct at time of printing, however is subject to change without notice. 6.2 PUBLIC TRANSPORT Buses are a fast way to travel from the Pan Pacific Hotel into the shopping precinct. All buses heading west down St Georges Terrace can drop passengers into the shopping precinct and this journey is free. Take the city buses a bit further to get to Kings Park for a small charge.
