The latest version will be sent to you by email . * Please note, coffee breaks will be served in multiple waves according to scientific presentations. **Lunch will be served in three waves. Please note, lunch will be available moments before lunch period for exhibitors. This allows exhibitors to maintain availability at their booth for attendees as the dessert will take place in the exhibition room. We highly recommand that at least one representative stays at booth at all time considering the peak periods should be during coffee breaks and desserts which will both occur in the exhibition area. ***Extra fees apply to attend. Important Reminder All exhibitors must register online at https://www.agora-inscription.ca/icsv26/en/exhibitor- registration before the event; With all booth rental comes two complimentary exhibitor badges which include access to the exhibition, the Welcome cocktail, the lounge area and covers for lunches and refreshments. Exhibitors may purchase maximum two extra complimentary exhibitor badges for CA$ 250 each. Regarding the fifth or more representatives, you must make a regular registration online at http://www.agora-inscription.ca/icsv26/en/exhibitor-registration. Exhibitors benefit from a preferential price to upgrade their exhibitor registration to a full congress registration in order to have access to scientific events and the Gala Banquet; All exhibitors are responsible for their booth; we highly recommend at least one representative is present at the booth during exhibition open hours; Doors of the exhibition area will be locked outside opening hours. Only authorized organization members can penetrate the exhibition area during this period; Proof of liability insurance valid for the duration of the event, covering any damage to equipment, injury and death and all related liabilities (minimum CA$ 2 million), must be sent to the Exhibition Manager, at julien.biboud@mecanum.com by Monday June 3rd, 2019; Final attribution of the stand location will be made two months prior the event. Here are situations where you must contact ConsultExpo: You need assistance to import and export goods; You need to store goods before, during or after the congress. Please note, before departure of goods from your facility, exhibitors must complete ConsultExpo customs and transport forms at the end of this document and return them to info@consultexpoinc.com in order to facilitate the customs clearance of your goods. *If you wish to use your own shipping carrier, it must be approved by Hotel Bonaventure’s administration prior the venue. This means, whoever is not able to carry a box, an equipment, etc. in his/her arms or needs a trolley must contact GES. Only certified workers are allowed to do such manipulations. Here are situations where you must contact GES: You need storage* and transportation to the site prior the event; You need assistance and/or a trolley to carry your goods inside Hotel Bonaventure; You need assistance to unpack and install your display before your arrival at the venue; You need assistance to dismantle and pack your display after the venue. *Storage is available from June 12th to July 8th (please note, all shipments must arrive at the latest on July 3rd).
