EXHIBITOR APPLICATION
General Information: The 2022 Fremont Oktoberfest will take place September 16-18 in Seattle, WA.
Space Assignments: Booth location will be determined two weeks before the festival once all accepted
applications are processed. The festival hosts over 20,000 guests to taste over 80 craft beers and german
beers, this area is 21+ only with required ticketed admission. Space assignment within these areas will depend
on the nature of sponsor activation, as well as needs for electricity and water.
Permits: It is the exhibitor’s responsibility to acquire all needed city and state permits for on-site activation.
The event will do its best to aid in this process.
Additional Rentals: There are additional charges for rented tents, tables, chairs, linens, electricity, lighting,
water and in some cases waste.
Ground Surface and Weather: Fremont Oktoberfest is an outdoor event with some locations on concrete or
grass. There are locations that are not level. Please be sure to indicate whether your on-site activation has
specific needs in this case. Regardless of ground surface, we do require that all tents have a 25lb weight (no
stakes) on each leg for safety in any windy weather. Fremont Oktoberfest will take place rain or shine, please
be prepared for all kinds of weather.
Load In/Load Out: Load in for the festival will depend on the size, location and specific needs of the exhibitor.
Load out for the event will be Sunday night, September 18, after the festival closes.
Onsite Activation: This event is strictly 21+ for all attendees, sponsors and exhibitors. Event policy states all
guests of the event must adhere to the Code of Conduct as set forth on our website. We do not allow drinking
while sponsors or exhibitors are working behind their booth.

checks made payable to “Fremont Oktoberfest”. Email application and mail check to Fremont Oktoberfest at

If you are paying by credit card a Bold Hat representative will send you a payment link after completed
submission. Please note we accept all major credit cards. An additional 4% transaction processing fee will be
added to all credit card payments.
All payments are due within 30 days of signing this application. Should the event be less than 30 days away,
we require payment immediately. Payment must be completed before load-in.

EXHIBITOR APPLICATION
Activation
• Exhibitor activation is required to follow all rules and regulations set forth by all event, city, state and
national law making organizations. Responsibility to perform in compliance is solely owned by the
exhibitor and noncompliance does not void above contract or associated fee.
• Any additional activation or leveraging of the sponsorship is under the responsibility of the exhibitor.
• All above tangible benefits to be provided by Bold Hat Productions to Exhibitor unless otherwise agreed
upon.
Insurance Requirements
• All exhibitors and partners are required to provide a Certificate of Insurance listing Bold Hat Productions
and Fremont Chamber of Commerce as additionally insured on the exhibitor or partner’s General Liability
policy.
• All exhibitors and partners are required to provide General Liability limits of at least $1,000,000 per person
and $2,000,000 per occurrence.
• All proof of insurance requirements and certificates of insurance must be submitted 30 days prior to event.
• Failure to provide Certificate of Insurance could result in termination of contract without refund.

Indemnification Clause
Each Party shall defend, indemnify and hold harmless the other Party, and their respective directors,
officers, employees and agents from and against any claims, suits, and liens of whatever nature, including
bodily injury and property damage, arising of any claim by a third party resulting from: (i)the Party’s breach or
alleged breach of any term, condition, warranty or representation contained in this Agreement; (ii) the Party’s
acts or omissions in performing its obligations under this Agreement; or (iii) the intellectual property provided
by a Party hereunder, when used as instructed, infringes the intellectual property of any third
party.
Intellectual Property
Exhibitor grants to Bold Hat Productions a limited, revocable, nonexclusive royalty free license for the Term of
this Agreement
solely to use exhibitor’s trademarks and other intellectual property (“Exhibitor’s Marks”) to carry out its
obligations as explicitly set forth in this Agreement. Bold Hat Productions is not authorized to use the
Exhibitor’s Marks at any other time or for any other purpose.
Force Majeure
Neither party shall be held liable or responsible to the other party nor be deemed to have defaulted under or
breached this Agreement for failure or delay in fulfilling or performing any obligation under this Agreement
when such failure or delay is caused by or results from causes beyond the reasonable control of the affected
party, including but not limited to fire, floods, embargoes, war, acts of war, insurrections, riots, strikes,
lockouts or other labor disturbances, or acts of God; provided, however, that the party so affected shall use
reasonable commercial efforts to avoid or remove such causes of nonperformance, and shall continue
performance hereunder with reasonable dispatch whenever such causes are removed. Either party shall
provide the other party with prompt written notice of any delay or failure to perform that occurs by reason of
force majeure.
Cancellation Policy
Event reserves the right to cancel exhibitor booth space up to 20 days prior to event. If an industry
competitor applies at an exclusive exhibitor level, all previous exhibitors will be given first right to activate
at that level. Refunds will only be provided should the festival be canceled or postponed prior to the event
dates by organizer.
