                     Collecting AS and A Level Examination Results
Dear Parent/Carer,

The students’ A-Level and Level 3 vocational courses’ results will be published on Tuesday 10th August
and they will be available for collection from the Sportshall from 8.30am until 10.30am.

Those who have applied to university will be able to find out if they have got their place via the UCAS Track
system before collecting their results. The Sixth Form team will be in the Sixth Form Centre from 8am on
Tuesday 10th August for any students who need advice about their courses or require clearing information.
On occasions students do not meet the entry requirements for their chosen firm or insurance university
choice. If this the case then your son/daughter will be eligible for UCAS Clearing. Please refer to the
UCAS information attached to this letter.

We are aware that results day can be a stressful time, and to assist with this, we have a system that allows
your son / daughter to open their results in a more private location should this be required, this offer is
available to all students. There will be staff available to support students on the day as well as further
guidance from our experienced careers adviser Sally Beech. Students will have access to support online
(https://nationalcareersservice.direct.gov.uk/) and through the exam results helpline on 0800 100 900.
Delivered by the Department for Education (DfE), careers advisers are on hand to answer any queries from
students who are exploring their options and unsure what to do next. Experienced careers advisers can
help students with anything at all they need guidance on. Common questions are often based on: resits
and retakes, Clearing, careers and employment, vocational routes, apprenticeships and gap years. This
helpline opens on Wednesday 12th August through to the end of August.
In addition, Miss James can be contacted by email at kjames@kingcharles1.worcs.sch.uk if you wish tio
have further guidance.

If for any reason your son/daughter is unable to attend they can either have resuts posted home or receive
the results at 11.00am via email. If you would like to receive results via email, please complete the attached
form by Friday 16th July and send to the examinations officer on jpaternoster@kingcharles1.worcs.sch.uk
Alternatively if you would like the results posted to your home address then please leave at Hillgrove
reception a stamped addressed envelope by Friday 16th July. Results will then be posted on the afternoon of
Tuesday 10th August. Please note that results cannot be issued over the telephone.

Although everyone will be working hard to make sure the students are issued with the correct grades on
results day, there will also be an appeals system as a safety net to fix any genuine errors that were not
identified earlier on. If a student believes an error has been made in determining a centre assessed grade,
he/she will have a right to appeal. Further details of this process can be found on the website here.

If your son/daughter would like to keep some of their non-examination assessments that they completed this
year they may be collected from school from January 2022. Please telephone the school in advance so that
staff can retrieve the assessments for you. Controlled assessments or non-examination assessments that
have not been claimed by July 2022 will be destroyed.

Examination certificates will be available for collection from the Hillgrove site reception area from December
2021. They cannot be posted home. Certificates can be collected against a signature by your son/daughter
in person or by another person with written permission from the student. Examination certificates will be
available for collection for 12 months. As per the JCQ guidelines, examination certificates that have not been
collected will be destroyed 12 months after issue. If students wish to claim their examination certificate,
following the 12 month window, students will need to contact the awarding bodies themselves for replacement
certificates. Please note that not all examination boards offer a replacement certificate service. If this is the
case a ‘Certifying Statement of Results’ will be issued.

At King Charles I School we are very fortunate that there are various organisations who provide financial
assistance to our students during their time in further and higher education. The organisations are:
▪ King Charles I School Foundation Trust
▪ Roy Woodward Educational Foundation Trust
▪ Old Carolian’s Association

Last year they gave approximately £30,000 to students to support them to achieve their potential on their
studies at college or university. The ‘Old Carolian’s Association’ only provide grants for the first year in
higher education and students must apply by 30th September 2021. Students can apply annually to the
‘King Charles I School Foundation Trust’ and ‘Roy Woodward Educational Foundation Trust’ whilst in

Students can also apply to the ‘Sebrights Educational Foundation’ (further information can be on their
website at http://www.sebrights.org.uk/) and the ‘The Baldwin Bewdley Trust (further information can be
found by contacting the trust directly at SGH Martineau, 1 Colmore Square, Birmingham, B4 6AA or by
telephone at 0121 214 0000).

Year 13 students - UCAS update

Finance
▪ Please ensure that you have submitted your application for a student loan via
   https://www.gov.uk/student-finance-register-login
▪ Further information is available on https://www.ucas.com/ucas/undergraduate/finance-and-support

Track login details
▪ If you are going on holiday make a note of your Track username, password and personal ID so you can
   follow the progress of your application and find out if you have met your offers on Tuesday 10th August.
▪ Keep your contact details, including your email address, updated. You can login into Track to change
   them. It is important that these are kept up to date as UCAS and your university or college choices may
   contact you with important information.

Confirmation 2021
▪ It is better to be around when you get your results so that you can then make any necessary decisions.
▪ Your A Level results will be available from 8.30am on Tuesday 10th August in the Sports Hall. Exam
  results do not appear in Track and UCAS cannot provide them over the phone.
▪ Miss James will be available in the Sixth Form Centre from 8am to discuss any concerns or queries with
  your application.
▪ Track will tell you whether your place has been confirmed. For example, the message in Track will
  change from “You have accepted an offer” to “Congratulations! Your place at XXX University (XXA) to
  study Accounting (N400) has been confirmed”
▪ Track will re-open on the morning of A level results day (usually at 8.00am for students and 7.30am for
  advisors). It is frozen for one week prior to this date. Staying up late, therefore, will be a waste of time,
  as no applicant will see whether they are placed or not in the early hours.
▪ You may receive confirmation of your offer at different times to your friends, this is quite normal.
▪ UCAS will send you a letter of confirmation once everything has been confirmed by the university.

Clearing 2021
   If your son/daughter doesn’t get the exam grades they hoped for and their places are not confirmed at
   either their firm or insurances choices, they can try to find another course through Clearing. UCAS will
   enter your son/daughter into the Clearing process. Even though they can’t approach a university for a
   Clearing place until they have their results and they have been made unsuccessful by the universities
   they applied to, it’s worth doing some research in advance to consider the types of courses that could
   be an option. You are also eligible to use Clearing if you fall into any of the following categories:
   • You got better grades than you expected and want to apply to a different uni although the
        Adjustment process is best for this.
   • You’ve changed your mind about your choice of university or course.
   • You’ve applied through UCAS but aren’t holding any offers
   • You didn’t apply before Wednesday 30th June but want to go to uni this year – you can apply
   Clearing opens on Monday 5th July so your son/daughter can search for course vacancies from this
   date. Clearing closes on Tuesday 19th October 2021. Searching for courses earlier than results day
   could save time if Clearing needs to be used.

▪   You will be eligible for Clearing if you did not meet the conditions of your firm and insurance choice.
    Track will say you are in Clearing and you will be given a Clearing number.
▪   Track will also give you the option to go through Clearing Plus where if you click “See matches”, you
    can view courses that match the original UCAS application so may be more relevant
▪   Clearing course vacancies will be advertised in the Telegraph newspaper and on www.ucas.com from
    midnight on Tuesday 10th August.
▪   Although the majority of places accepted in Clearing are confirmed on A level results day and in the
    week that follows, places will continue to be filled into September.
▪   The main steps to take are:
✓   Research your options
✓   Use the Clearing vacancy search to identify possible courses that interest you. Visit if you can.
✓   Contact the university direct to discuss whether they will accept you – you can only contact one at a
    time.
▪   Before you call, have the following to hand:
✓   Your Clearing number so that the university can confirm you are in Clearing.
✓   Your Personal ID so that the university can find your application.
✓   The course code.
✓   Details of the subjects you have studied and your results.
✓   A clear understanding of why you want to study that course at that university or college.

▪   If the university has agreed to offer you a place and you wish to accept it, click ‘Add Clearing choice’
    and enter details of your choice in Track.
•   Track will tell you if you have secured your place in Clearing and UCAS will send you a letter of
    confirmation once everything has been confirmed by the university.

Adjustment
▪ If your grades meet and exceed all the conditions of your conditional firm offer, you are eligible for
   Adjustment and will see an option in Track to register
▪ Whilst holding onto your confirmed place, you can spend time looking for an alternative place at any
   university or college.
▪ Unlike Clearing, there are no lists. You will need to identify possible courses on Course Search and call
   the university admissions teams.
▪ Adjustment is entirely optional
▪ There is no guarantee there will be any vacancies on the course you decide you want to be considered
   for.
▪ Before deciding to use Adjustment, you must also consider non-academic arrangements such as
   changes to accommodation and student finance.
▪ The Adjustment process is available from A level results day. Your individual Adjustment period starts
   on Tuesday 10th August or when your conditional firm (CF) choice changes to unconditional firm (UF),
   whichever is later. From this time you have a maximum of five calendar days (five 24 hour periods,
   including Saturdays and Sundays) to register and secure an alternative course. If your offer goes UF
   less than five days before 18 August 2021, you'll only have whatever time is left between then and 18
   August.
▪ The three main steps you need to take to secure a place in Adjustment are:
✓ Register in Track.
✓ Contact the university direct to discuss whether they will accept you.
✓ Wait for confirmation from Track.

▪ The 4 things you need when you call the university or college are:
✓ Your Personal ID.
✓ The course code.
✓ Your qualifications and results.
✓ A clear understanding of why you want to study that course at that university or college.
