Central Bay District UMW Annual Responsibilities of Mission Team Members D zone Responsibilities: • Write to churches assigned to you and introduce yourself; • Keep informed of all schedules events • Send them updates from Mission team meetings • Offer to visit their unit during the year • Read District handbook for duties and responsibilities; • Read ‘Standing Rules’ and note items that pertain to your area of responsibility; January -Attend Mission Team meeting; -Update Dzone units February -Attend Spiritual Enrichment Brunch March - April -Attend Mission Team meeting; Update Dzone units -Attend Spiritual Growth Retreat May - June -Attend Finance Committee meeting & Mission Team meeting; -‘Around the Bay’ articles due by June 15; include information concerning our program areas from July – December; -Update Dzone Units July – Oct -Attend Mission u at a location of your choice or Mission u of the North September -Attend Mission team meeting; -Prepare for Annual Celebration and Elected Leadership training; -Report information to Communications Coordinator for program; -Update Dzone units October -Attend District Annual Celebration; -Conduct Elected Leadership training for Local Unit Officers; -Attend Elected Leadership training for District Officers; -Attend Conference Annual Celebration; November -Mission team meeting, meet the team members, conduct joint Meeting for 2020-2021 teams; -Program planning, e.g. in Fall 2020 for 2021; -‘Around the Bay’ articles due; include any information concerning Our program area from January – June; -Prepare Annual report for Mission Team meeting; (4 copies: Pres, Sec, Nom, and Self); 9
Dzone Groups Mission Team members are assigned to a group of local UMW units to serve as the liaison between the District and Local unit. In the Shepherding role the liaison should: 1. Contact (via letter, phone, and/or email) the president of the local unit, or other representative to encourage units to participate in District/Conference events. These events planned for their benefit include… Leadership Training, Spiritual Enrichment Brunch, Spiritual Retreat, Social Action Day, Mission u, Mission Awareness Trips, Annual Celebration, and Conference Annual Celebration. 2. Ensure your Unit receives the District Newsletter, ‘Around the Bay’, and other mailings. Send a brief summary of each Mission Team meeting; your District President requests a copy of the letters you send. 3. Remind your groups to submit online their Membership reporting, by March 31. Instructions on reporting were in the December ‘Around the Bay’. 4. Remind units to submit information on their newly elected offices to the District Secretary by November 1st of each year so that their unit may receive information necessary for each office as well as the newsletter. A form is in the July ‘Around the Bay’. Please encourage them to submit form even if there are no changes. 5. Remind units to submit items due November 30th to the District Treasurer: (a) monies for current year giving, (b) list of transient money for current year. A pledge form is in the July ‘Around The Bay’. 6. There are also forms in the July ‘Around The Bay’ for submitting reports to other District Officers on Reading Program accomplishments, names of deceased UMW members, Mission project distributions, and Five Star/Member monies. Please note deadlines to ensure your information is printed in the Annual Celebration Program book. 7. Visit each assigned Dzone unit. Submit a visit report form and unit evaluation of visit form to the District President and the Coordinator of MNO. Be available to the unit for answering questions and communicating any concerns. 8. Churches without units shall be kept informed of events and encouraged to pass on information to women of their Church. There is a form available for a unit to request a visit. Contact MNO Coordinator or District President. 9. Work with local units too small to function to see if forming a dZone unit is feasible. 10
10. Encourage interested women in Churches with no active unit to become district members if there is no possibility of continuing or reorganizing a unit in that church. 11. Please notify the District President or Past President if a unit no longer meets or ceases to be active. 2020 GOALS FOR CENTRAL BAY TEAM MEMBERS Relationships/Communications: a. Establish groups of 2 or 3 to get to know each other. Keep in contact with each other at least monthly by phone, e-mail, notes, etc. b. Invite Conference officers to CBD team meetings so that we are intentional in establishing a relationship with the Conference team. c. Have identification (name tags, little tents) at district meetings. d. Visit at least one DZone unit other than your own. Diversity Recruit two women for scholarships: (a) who are under 35 or, (b) first time attendees for the Spiritual Life Retreat. Missions a. Encourage units to be aware of United Methodist Community House in Grand Rapids b. Encourage units to give a mission gift to UMCH in Grand Rapids. c. Encourage units to visit UMCH in Grand Rapids or to invite a speaker from UMCH to their meetings. Attendance a. Increase attendance at the District Annual Celebration by five units. b. At least one month in advance of CBD events each cluster leader will make a personal contact (phone call) with the president of the local units to invite them to the events. Reading Program a. Each CBD officer will read books for Plan 1 A short “book” report will be given at each District Meeting by the Program Resources coordinator or her designee. 13
