This Guide includes all relevant information about the HERNIA2021 conference exhibition and is designed to assist you in the preparation of your participation at the HERNIA2021 conference. Please forward this manual to anyone involved in the HERNIA2021 conference exhibition, including your stand builder contractor. Additional exhibitor registrations for company staff can be purchased for 250 EUR (1.850 DKK), directly via the registration system. Additional registrations for guests can be purchased for a discounted rate of 550 EUR. You can pick up your badges the day before the conference on October 12, 2021 starting from 16:00 at the Registration Desk (just outside the Exhibition Hall) and at any time during the following days. Important note: • A company’s own badge or business card will not be accepted instead of the official congress badge. Individuals who do not have badges will not be admitted into the congress area. • Neutral (non-branded) lanyards will be available for exhibitors, or you can use your company lanyard. Both the exhibitor and full registrations includes the following entitlements: • Access to Exhibition Area • Access to all Scientific Sessions • Catering (welcome reception, coffee breaks and lunch) o Exhibitors will have the possibility to access catering in a dedicated area, 30 minutes before the official coffee and lunch breaks start. All exhibitors will receive a Welcome Folder (one per company) that will be placed at your stand after build-up on October 12, 2021 and available at the Registration Desk if you need additional copies. It will summarize the opening times of exhibition, breaks and any other information that is relevant and important to keep handy. Stand Builder Access Control Stand builders are not required to register or carry a badge prior to arrival. To gain access to every stand builder must be able to inform the security guard at the gates at Bella Center about company name and exhibition space number/allocation. For convenience and ease of contact, please submit your stand builder name and contact to us, or please ask your stand builders to contact Katerina Vicen (kv@cap-partner.eu). Stand builders for stands 31 sqm and above are encouraged to inform Katerina Vicen (kv@cap- partner.eu) regarding approximate time of arrival and unloading, so that we can prevent queues and delays. Metro / Underground / Subway Copenhagen city center is located 10 minutes away by metro. The Metro line M1 (Vanløse – Vestamager) connects the Airport with Bella Center (stop “Bella Center”) and Bella Center with the City Centre (stop “Kongens Nytorv”). The metro station "Bella Center" is located close to AC Bella Sky Hotel. From the metro station, it is a 3-minute walk (500 m) to the Congress entrance – walk all the way through to the AC Bella Sky Towers and you cannot miss it – the hotel is on your right and the Congress entrance on your left. Car and parking The motorway connecting Denmark and Sweden is located 500 meters from Bella Center. Follow the “Airport Motorway”, E20. The exit to Center Boulevard is number 19, called "Ørestad" with "Bella Center" listed below. You can park your car upon unloading on the public car park named P1 and P2 just in front of Entrance 4. It is possible to buy parking tickets in the parking machines on the car park or via app (Apcoa or Easypark). Congress venue facilities Cloakroom: A cloakroom facility is located in the foyer behind the registration area, where participants can deposit their luggage and coats free of charge. Disabled access: All levels of the Bella Center have a disabled access – please let us know if you would like us to provide you with more information. Lactation room: We would be happy to find a private and calm space for you – contact Registration Desk, or Katerina Vicen (kv@cap-partner.eu) directly. First aid provision: If first aid provision is required during the congress days including exhibition, build-up and breakdown, delegates and exhibitiors should approach the nearest venue security guard to be attended to and helped. ATM: ATM machine is located in the Bella Sky Hotel lobby, right next to the congress venue. Printshop: If you need to copy or print on A4 or A3 during build-up or event days, please contact the conference counter in Tower 2 at AC Bella Sky Hotel just next to Bella Center Copenhagen (phone +45 32 47 36 00). The opening hours are weekdays 7.00-19.00. Meeting Rooms at the venue Meeting rooms of different sizes will be available for companies to book for meetings or to use as a hospitality suite. The rooms can be rented for the entire congress, or just for part of it – though as a minimum for one day. The meeting room can be furnished as you wish, however additional charges may apply. Please send your requirements to Katerina Vicen (kv@cap-partner.eu) at your earliest convenience, the number of meeting rooms available is limited. Side 10 af 22
Exhibition planning, stand building and furniture ordering Exhibition space rental All exhibition stands are sold as space only. The hall is carpeted (navy blue) and daily waste removal and vacuuming are included in the exhibition space price. All else, incl. walls and electricity must be ordered via Bella Center. Further supplies must be ordered directly from the venue via the web shop: • Walls / shell scheme • Electricity • Furniture (table, chairs, counter, showcase etc.) • Decorations • Brochure holders etc. Bella Center Web shop To plan your exhibition, Bella Center will provide you with all necessary equipment and suppliers. Ordering will take place via a Web shop (https://exhibit.bchg.dk/login/ ) that will open on June 1, 2021. Bella Center will send you individual login and password to access the web shop where you will find an overview of: • Stand designs • Stand equipment • Furniture • Decoration • Food and Beverages You are free to send the login and password to all parties involved in the planning of your booth at HERNIA2021. By sharing your login, it is also possible to create another user for your stand builders, if they want a personal account or want to add different invoice information. Orders made with Bella Center must be received no later than: September 7, 2021. Orders can still be accepted after deadline however with a surcharge and subject to availability. COVID-19 The Organizers reserve the right to adjust the exhibition floorplan according to the restrictions valid at the time of conference. We will keep all exhibitors informed in the months and weeks leading up to the conference as more specific information becomes available. Please contact us anytime if in doubt. Side 11 af 22
Branding possibilities We can provide a selection of branding opportunities at HERNIA2021. Please refer to the Branding Catalogue or contact Katerina Vicen at kv@cap-partner.eu Food and beverages Bella Center Copenhagen’s food and beverage (F&B) department has exclusive rights to serve food and drinks in the exhibition area, and as an exhibitor you must therefore not provide food or drinks on your stand. If you want to serve food and beverage samples on your stand, please email Bella Center beforehand to make an agreement: HERNIA2021Expo@bellacenter.dk Side 12 af 22
Sponsor and Exhibitor Terms and Conditions Bella Center Exhibitor Terms Order confirmation When you have submitted our orders on the web shop, you will receive a mail confirming your requests to Bella Center. When the requests are processed, you will receive a formal order confirmation. It is important to check the order confirmation, as some requests might be rejected for various reasons. Any rejections are of course followed by an explanation. After deadlines Orders received after the deadline September 7, 2021 cannot be guaranteed delivered in time for commencement of build-up. Furthermore, a 25% price increase will be charged for supplies ordered between September 8 and October 6. From October 7 until the closing of the event a 100% price increase will be charged for ordered supplies. Fire Security (IMPORTANT!) Use of any chemicals or gases in any quantity at your stand might be subject to approval. Please apply for approval latest by August 18, 2021 by sending information to Congress Secretariat (kv@cap- partner.eu). As a minimum, please submit information about the type of chemical/gas, how it will be used, quantity and safety precautions that you are putting in place. Location of Installations We reserve the right to place rigging and water supply in suitable positions in case no drawing of the desired position has been received within deadline. Goods deliveries Shipments must be delivered to DSV Solutions’ warehouse at Bella Center. More information for shipping and goods delivery on page 13. Storage of empty packaging Packaging, pallets and other surplus materials may not be stored in the halls during the event and must be removed for storage by DSV Solutions against a fee charged to exhibitor. Please contact DSV Solutions to pre-order and get information on pricing etc. At the end of the build-up period, any material left in the aisles will be removed by DSV Solutions at the exhibitors’ expense. Waste handling Waste handling during build-up, exhibition days and dismantling is included in the exhibition space price. We encourage all exhibitors to order wastepaper basket for their stand (10,14 EUR excl. VAT). Side 13 af 22
Left materials Packed goods (pallets, boxes etc.) left on the stand when break-down hours end will be removed to DSV Solutions’ warehouse in Bella Center and can be collected on the first workday after the event. The handling fee for this will be invoiced to the exhibitor. Please contact DSV Solutions for arrangements, and information on pricing etc. Any other left material will be considered as waste and disposed of. Invoicing Bella Center sends invoices for services and supplies, which have been ordered for stand build-up, stand furnishing, catering etc. prior to the event. Please note that payment must be made before the start of the event. As an exhibitor, you are responsible for payment – regardless of whether the deliveries have been ordered by you or your supplier. HERNIA2021 Code of Conduct Exhibitors, as well as their subcontractors and partners, are obliged to adhere to the following rules: Annoyance: The Organisers reserve the right to stop any activity on the part of any exhibitor that may cause annoyance to other exhibitors or visitors. Business must be conducted only from the exhibitors’ own stand and under no circumstances may this be carried out from an aisle or elsewhere within the exhibition area. Microphones and audio-visual equipment: The use of microphones and audio-visual equipment is permitted, but the volume must not be such as to cause annoyance to other exhibitors; the exhibition organisers reserve the right to prohibit such use of it, if in the exhibition organisers’ opinion, this is the case. Advertising and promotional material: Brochures, catalogues, give-aways are to be distributed only by exhibitors on their own stand. Exhibitors cannot distribute their give-aways from the aisles nor outside the exhibition area. Leaflets displayed at any other point throughout the premises will be removed or destroyed by the exhibition organisers. Symposium organisers must refer to the Satellite Symposia Guidelines for further information about advertising materials. Potentially dangerous: Exhibit or working demonstration involving substances of dangerous, explosive or objectionable nature (including x-ray machines) should be notified to and approved by the exhibition organisation prior to the congress start. Posters, banners and advertising: Exhibitors are not allowed to put up advertising on walls, windows or doors in any public area of Bella Center. Only authorised branding advertisements and banners can be displayed at the congress venue. For more information about the branding opportunities, please refer to the Branding Catalogue. Special effects and projected images: Special effects lighting may be used on exhibition stand only. Projected images, however generated, may not play on to aisles or on walls of the exhibition hall. Photography: Photographs can only be taken prior to the opening of the exhibition, and during the congress, at the exhibition stand. If an exhibitor is planning any filming or photography within the venue, the organizer should be informed at kv@cap-partner.eu. During the congress, only handheld and battery-operated equipment may be used within the venue and all the aisles, particularly the exhibition hall since it must be clear of dollies, tripods and cables. Advertising of prescription medication: Exhibitors are only allowed to advertise prescription medication to healthcare professionals. It is the responsibility of the exhibitor to discern the type of information they can provide to professionals, without the qualification to prescribe medicines. Security: Exhibitors are responsible for the safety of their products, displays and stands at any time, including the build-up and breakdown periods. Neither the venue nor the organization are liable for any possible theft occurred. For this reason, exhibitors are highly recommended not to leave unattended any type of belongings during and after the closing of the exhibition. Use of electricity: For security and sustainable reasons, exhibitors formally undertake to switch off the lights of their stands each evening and to unplug all the electrical appliances. If the booth manager does not switch off the stand lights, it will automatically be done by Bella Center, and will not be liable for any damages caused by this action. Exhibitors must personally provide the installation with current stabilizers, no break devises, overvoltage protection for all applications requiring a pure electrical network. The use of generator sets is strictly prohibited. Only Bella Center is authorized to provide electrical switchboard and supply. Please be advised that Bella Center provides 24 hours electricity both during build-up, event and dismantling. Cleaning: Exhibitors are responsible of the cleanliness of their stands. Stand floor and aisles between the stands will be vacuumed daily, after the close of the exhibition. In case additional cleaning is required, please order it via the web shop. Catering: Serving of food and beverages is only allowed when ordered through the venue. Liability: Organizers will endeavor to protect exhibition property while on display at the exhibition. However it must be clearly understood that the congress venue and the congress organisers cannot accept liability for any loss or damage sustained or occasioned from any cause whatsoever. Exhibitors are responsible of all damage to property and for any loss or injury caused by them or their agents, employees, representatives and will indemnify the exhibition organisers against all claims and expenses arising. Exhibitors and/or their stand builders are requested to be insured for injuries or damage the first party causes. Side 15 af 22
Technical Information for Stand Constructors and Exhibitors Stand design restrictions and approval Maximum building height: • Stands up to and including 30 sqm 2.5 m • Stands 31 sqm and above 5.0 m Hanging banners are allowed and available for stands 31 sqm and above. If a hanging banner is used, the top of the banner may not exceed the maximum allowed height – i.e. 5.0 m height. Double-decker stands are not allowed. Stand ceiling should not cover more than 25% of the stand surface area unless the material is water permeable. More details are available upon request. All visible back-walls facing other stands need to be white. Visible back-walls not facing another stand can be branded. To ensure safety and optimal experience for all exhibitors, all stands are subject to stand approval by the Organizers. Please send your stand design to Katerina Vicen (kv@cap-partner.eu) no later than August 18, 2021. If you are using Bella Center as your stand builder, it is sufficient to send a short email saying, “using Bella Center as stand builder”. We will grant the approval no later than 5 working days from receiving your stand design. If you need to stick material on to Bella Center Copenhagen’s stand walls and fascia boards you must use a tape called DuploColl 43102, which can easily be removed without leaving marks or damages. It can be purchased onsite at the Exhibitor Service desk, where you can also find wall hooks for light weight equipment (e.g. poster frames). If you do not remove sticking material from the stand upon departure you will be charged for damages. If you fail to remove stand materials and your own carpets from the stand, we will ensure that they are removed and environmentally sorted. You will be invoiced for this service. Carpet The exhibition hall floor is covered with a navy-blue carpet with a very discreet pattern. It is the exhibitor’s responsibility to protect the carpet during build-up as well as it is possible to buy another carpet or floor laid by Bella Center personnel. If you bring your own carpet, please note that you must put an underlay, Eagle soft, between the carpets to avoid any loose assemblies and dents in the carpet. Side 16 af 22
Deliveries ordered at Bella Center Deliveries which have been ordered prior to the deadline through Bella Center web shop, will be delivered and ready on build-up day by 7:00 am. Both Organizer and Bella Center staff are available during build-up and throughout the entire duration of the event if you have any additional requirements. Power and electrical installations 24-hour power will be connected from the first stand build-up day and up to and including the day end of the exhibition. Wireless network If you want to establish your own wireless network on the stand, it must be approved by Bella Center Copenhagen IT. IT connections supplied by Bella Center Copenhagen must not be shared with a third party. Goods dispatch If you need to have packages and goods sent to Bella Center, we recommend you ship with DSV Solutions, as they are the official appointed shipping and delivery company for HERNIA2021 and have a warehouse on-site so they can quickly react to last minute requests and changes. Packages and goods arriving before stand build-up: DSV receives and stores your package/goods and will deliver them directly to your stand on build up day. You will be invoiced for this service. Packages and goods arriving during stand build-up: If you use other courier, you must ensure that couriers are supplied with the correct name of event, company name, telephone number and stand number and the address must be sent to DSV. Couriers are referred to DSV, which receives and stores your package/goods and delivers them directly to you on the stand. You will be invoiced for this service. Packages arriving during the event: Packages and goods sent by another courier than DSV are still delivered to DSV and signed for on delivery. Remember to include event name, company name, telephone number and stand number on the package. Your package/goods will be delivered directly to you on the stand. Side 17 af 22

DSV Solutions - Shipping and Delivery DSV Solution is the official appointed company to ship and deliver all packages and shipments for HERNIA2021. Deadline for receiving the shipments is: September 29, 2021. When using other carriers and to avoid failed delivery attempts, courier shipments arriving on site prior to your staff must be sent to DSV warehouse. Please note that handling charges for receiving the goods and delivering it to your stand will be invoiced separately. All goods must be clearly marked with exhibition name and stand number. Legal conditions – shipping All services rendered are subject to the General Conditions of the Nordic Association of Freight Forwarders (NSAB 2015). Under these conditions our liability for loss of or deterioration of or damage to goods is limited to SDR 8,33 per kilo and our liability for delay is limited to the amount of freight, but not exceeding SDR 50,000 per order. In connection with storage, the freight forwarder's total liability for damage is limited to SDR 500,000 for any incident of damage occurred (clause 27). Special attention is directed to the stipulations that claims against the freight forwarder are statute-barred after one year (clause 30) and that the lien on goods (clause 14) applies to both current and previous claims. After 05-10-2021, 12:00 CET cancellation and reduction of stay is non-refundable. Name change is possible only via marriott.com and up to 48 hrs. prior to arrival. Date changes are possible according to availability. Additional nights can be booked via marriott.com with the daily rate. No-shows will be charged in full. Force Majeure In the event of war, mobilization, disasters, severe weather conditions, strikes, lock-outs, fire, explosions, acts of terrorism, legal restrictions imposed by state, governmental and/or municipal authorities (e.g. boarder closures or other legal restrictions effectively preventing events from being held in Denmark) or other circumstances of force majeure outside a Party’s (i.e. Client or Hotel) control or influence, whether foreseeable or not foreseeable, effectively preventing or restricting such Party from fulfilling its obligations, such Party shall be entitled to terminate the agreement with immediate effect by written notice to the Party without thereby incurring any liability for compensation to the other Party, the other Party’s sub-contractors, Exhibitors or guests in the booking. If the event the event Organizer terminates the Agreement due to an event of force majeure as set out above, the hotel shall be obliged to cancel all link bookings and return any pre-payments made by the clients.
