SWAN CENTRE - RULES AND REGULATIONS Pitches • We request that all pitches are erected centrally within the shopping malls and not directly in front of the units or on any of the mall boundaries leading from the Centre. • Pitch sites must not be relocated without prior consent from the Centre Management. • We reserve the right to move pitch locations if necessary. • The Centre is partially covered and open – but all pitches are under cover. • Market pitches should not exceed 7ft x 7ft without prior consent. Promotions 12 ft x 7ft max • A display barrow can be borrowed from us at no extra charge (two available) • No boxes, stands, sacks or storage should be on view. • Displays must be neat and tidy and are not permitted to have a jumble sale like appearance. Table tops must be covered to the floor. • The public must not be harassed or approached in any way, shouting, leafleting etc. • Staff must stay within the display area and not encroach on other areas. • Helium balloons are not permitted. • PAT certificates must be produced for any electrical goods that a vendor may be using, unless the item is less than 12 months old in which case a receipt of purchase must be provided. • All vendors are required to have Public Liability Insurance for a minimum of £5 million. • All vendors must not exceed the measurements of their allocated site. • Car dealerships must ensure that there is minimal fuel in the tank of the car being parked on location for the booking. This will be checked on arrival. Cars with a fuel level deemed to high will be refused access. • A risk assessment and a method statement is required before the booking commences. • Please provide your own tables and chairs. • It is the promotional bookings responsibility to ensure social distancing is adhered to. • Trading Hours • Normal shop trading hours are between 09.00 and 17.30hrs Monday to Saturday. Some tenants trade outside these hours and some trade between 10.00 and 16.00hrs on Sundays. • Monthly market trading 09.00 – 17.00hrs. Merchandise • At all times merchandising displays should be of good quality and visually attractive to the satisfaction of the centre. No decorative ribbons, embellishments etc. are permitted unless previously authorised. • In the event of direct conflict with an established centre trader we reserve the right to require merchandise to be altered. • Exclusivity is not granted and other traders selling similar ranges may coincide with the vendor’s license period. In this instance no refund will be given. • If edible products have been permitted, the vendors must be registered with a Local Authority and provide evidence of registration.
SWAN CENTRE - RULES AND REGULATIONS Payment • Payment must be made 7 days before you are booked to come to the centre or you will not be allowed on site. Or on receipt of the invoice if booking is within 7 days. • If you cancel less than 7 days before you are booked into the centre you will be liable for 50% of the total amount due. If you cancel less than 48hrs before you are booked into the centre you will be liable for the full amount. • Payment terms are strictly in advance by BACS payment. • We cannot give refunds but if enough notice is given we can carry booking datesforward. • A receipted vat invoice will be sent Parking • Parking on the service deck area from Monday – Saturday is reserved for tenants’ visitors, Centre Management staff, Swan House, Leret House, The Fairfield Centre and contractors working within the Swan Centre premises and all loading bays must be kept clear. • Parking on the service deck by promoters and charity bookings shall not be permitted, unless agreed in advance with the Management Office and a permit gained (which must be displayed in your car window at all times whilst on the service deck). The area is monitored by CCTV and patrolled by a car park attendant who will issue warning / fixed penalty notices for any unauthorised parking. Overnight parking on the service deck is strictly prohibited. • The Swan Centre multi storey car park has a height restriction of 1.9 metres. There is car parking pay and display in the Swan Centre multi storey car park. This car park is run by Mole Valley Council and does not come under the shopping centre remit. This is normally 4 hr stay maximum but people having a stall in the Monthly Market can stay all day by following the guidelines below: • Park on levels 5 or 6 • Pay the full rate for however many hrs you need (you will need to purchase two tickets) and display • these in your car along with a sign saying ‘Swan Centre Market’. • If you don’t you are liable to get a fine. • Alternatively park on any level for 4 hours and then move your car to a different location in the car park and purchase a second ticket. Access to lifts is from levels 2, 4 and 6 of the car park. • The other levels have lifts to Sainsbury’s store. You can park and unload from lower levels but to stay all day with the two ticket system you are requested to then move the car to levels 5 or 6. • Please don’t unload from the top of the steps by Sainsbury’s. This is the mini bus area and taxi rank… the enforcement officers are strict. • If in doubt please call the office on 01372 376358. • There is no parking in the High St between 06.00 and 18.00 hrs. Loading, unloading in the High Street and vehicle access for car promotions in the Swan Centre is permitted before 10.00 and after 16.30hrs. • Please display a notice in your car if you are unloading/loading.
