DANCER HANDBOOK LETTER TO SUMMER INTENSIVE DANCERS & FAMILIES COVID-19 HEALTH GUIDELINES We hope you are doing well and staying safe during this time. We are looking forward to the Summer Intensive starting June 15th and committed to providing you quality training while prioritizing your health and safety. We are dedicated to offering the same curriculum and hours of training for our dancers as well as provide fun activities to stay social while being safe. We have exciting news in regard to Summer Intensive housing as well as health and safety guidelines we will be implementing this summer. Summer Intensive dancers will be housed at the Holiday Inn Express downtown. The Holiday Inn Express is a trusted partner of Ballet West. Students will be only steps away from the Ballet Centre where their classes will take place. As a result, we will avoid using public transportation and keep all dancers focused on attending classes and decompressing after a great day of instruction. There will be two students in a room. Based on availability, requests for a single room can be made for an increased cost. Requests will be processed on a first-come, first-serve basis dependent upon availability at the Holiday Inn. For those who opt for housing, breakfast and dinner will be catered daily. We will have a team of Resident Interns monitoring the students and planning fun, safe activities. You can refer to the Holiday Inn Express website here - Holiday Inn Express Based on our geography and population density, the age demographic of our Summer Intensive students is a low-risk group. Utah has some of the fewest coronavirus cases in the country. With that said we intend to be extremely cautious and will be implementing enhanced health and safety guidelines, including hiring a medical assistant to be onsite to aid in screening and provide continuous medical support. Please see the attachment to review the Summer Intensive Guidelines. Additionally, these guidelines and the status of the Summer Intensive may change contingent upon environmental factors and governmental directives. Our updated handbook will go through everything you need to know as you prepare for the Summer Intensive. We are, and hope you are, looking forward to a fun, safe, dance filled summer! © BALLET WEST ACADEMY 2020, ALL RIGHTS RESERVED 2
DANCER HANDBOOK SUMMER INTENSIVE HEALTH GUIDELINES PRECAUTIONS FOR STUDENTS AND FAMILIES – AS OF MAY 26, 2020 The Ballet West Academy 2020 Summer Intensive program includes a 3-week and a 5-week program for dancers ages 13-21, starting June 15 and ending July 17. After extensive review of the Utah Governor’s April 28 announcement, as outlined in the state’s Utah Leads Together 2.0 plan, Ballet West Academy has implemented health and operational procedures that will mitigate risk and ensure the safety of all our students and faculty. • Lower the Number of Attendees. To ensure proper social distancing as required by governmental directives, we have dramatically lowered our enrollment cap for all programs and limited the number of students in each studio. This year, given the studio square footage, we will maintain an average of 20 students per class. • Certified Medical Professional. Ballet West will hire a certified medical assistant to aid in screening that will occur two times per day, once before classes and in the evening after students return to their housing. The medical assistant will further provide continuous screening and assist with environmental protections for all students. • Increased Medical Waiver Requirements. In addition to our existing medical waiver and physician statements, we will require all students consult their physician regarding COVID-19 testing 2- weeks prior to traveling and confirm they do not possess ailments that place them in a high-risk level. • Travel. We will suspend any foreign travel of incoming students or guest instructors, thus not permitting those individuals to attend the program. In addition, we strongly discourage students to avoid any unnecessary out-of-state 2-weeks prior to the start of the Summer Intensive program. • Wear Face Covering.Ballet West students and faculty members will be required to wear face coverings upon entering and exiting the Jessie Eccles Quinney Ballet Centre. Ballet West Academy students may be required to wear face coverings in the studios when social distancing is not possible. Students must arrive with their own face covers. Based on County and State Health guidelines, we may limit the requirement of face coverings. • New Housing & Food Options. To minimize the chance of exposure, we have moved our student housing from the University of Utah to the Holiday Inn Express across the street from the Ballet Centre: • The Holiday Inn Express provides room service, enhanced cleaning and sanitization daily, and laundry services, all designed to limit the risk of exposure. • We will host telecommunication social events to provide students an opportunity to © BALLET WEST ACADEMY 2020, ALL RIGHTS RESERVED 3
DANCER HANDBOOK interact outside of the studios with study materials and assignments to keep their private time in their rooms productive. • Breakfast and Dinner will be catered and provided to the students at their housing (i.e., Holiday Inn Express). To limit public outings, students will be provided lunch options local to the Ballet Centre. • Enhanced Studio Cleaning Procedures. All studios will be frequently disinfected including door handles, railings, bathrooms, barres and floors. Throughout the day, the class schedule will include time between classes for the studios to be disinfected. Ballet West will use disinfectants/sanitizers effective against COVID-19 (approved list at EPA.gov). We will use disposable cleaning supplies, with reusable supplies laundered daily. • Mandatory Student Sanitary Measures. In addition to the twice a day screening, Ballet West will supply hand sanitization at each building and studio entry, requiring students to use hand sanitization prior to entering and departing the studio. Students will also be required to use the laundry services provided by their housing facilities to keep uniform/clothes clean and sanitized. • On-Site Physical Therapist/Trainer. Ballet West will provide students with an on-site physical therapist/trainer. This year, the medical assistant will work collaboratively with the physical therapist/trainer and Ballet West leadership to ensure proper hygiene, safety, and health requirements are maintained. • Curriculum and Equipment Modification. Faculty may modify instruction to limit and/or eliminate partnering and eliminate the practice of instructors providing corrections with physical touching. Faculty will also eliminate the use of common props, tools, yoga mats, and equipment in all studios unless approved by Ballet West leadership. Approved equipment will be sterilized thoroughly. • Online Parent Observations. All parent observations for the 2020 Summer Intensive will be conducted online providing families the means to watch their children. You may register for a Parent Observation through your iClassPro account. Once we approach parent observation week, we will send you information on viewing the class virtually. • Performances. With local governmental support, we still intend to host a Choreographic Workshop performance presented to a small audience hosted outside to ensure sufficient space for proper social distancing. We will also have the option for parents to view the performance virtually. • Online Orientation. We will host an online orientation per level 2-weeks prior to the start of the Summer Intensive program starting June 15. The orientation will review the enhanced © BALLET WEST ACADEMY 2020, ALL RIGHTS RESERVED 4
DANCER HANDBOOK guidelines and protocols, while reviewing the curriculum requirements of the programs as well as the packing list. A link will be sent through the Parent Portal in iClassPro for parents to attend. • Symptom Response. Any student or faculty member exhibiting symptoms of COVID-19 will be immediately quarantined for a period of time that complies with CDC guidelines governing quarantine periods. Ballet West is working with Intermountain Health Care to determine the availability of immediate testing in those instances where it is recommended by the Ballet West medical assistant. • Facility Movement. All class times will be staggered in such a fashion that there will be 15 minutes between the time that any group of students needs to use any entrance or exit paths. • Groups will use separate isolated pathways to and from their assigned classes. • Students will be expected to arrive to the Jessie Eccles Quinney Ballet Centre with the proper dancewear and will not be permitted to use changing/dressing rooms. • All students will be required to maintain social distancing using the floor markings provided by Ballet West throughout its facilities (i.e., entrances, studios, hallways, bathroom). • Risk Assessment. Ballet West conducted a formal risk assessment: • Reviewed historical case examples and protocols established during the H1N1 (A/H1N1) Heath Pandemic in 2009 that Ballet West Academy, Salt Lake County, and the State of Utah implemented. • Reviewed and incorporated in great detail, the Ballet West Academy Summer Intensive 2009 H1N1 quarantine policy and procedures in effect during the sustainment of the programs. • With the enhanced measures guidelines referenced in the above guidelines, we are further confident that the risk to our student demographic for the start of this program is low. FOR MORE INFORMATION Guidelines and the status of the Summer Intensive may change contingent upon environmental factors and subsequent governmental directives. For more information regarding health and safety procedures, we encourage students and families to first review the above guidelines in detail that we have specified.
