Re-commencement Information
Ivanhoe Girls’ Aquatics wishes to inform our customers that until further
announcements are made, the learn to swim program remains closed.

As per Victoria’s Roadmap, indoor sporting facilities are not expected to
open to the public until a vaccination rate of 80% is reached (expected in
early November).

Re-opening our facility is in accordance with the directions provided by
State and Federal governments, industry peak bodies, DHHS and Victoria’s
Chief Health Officer.

Unlike public aquatic facilities, re-commencement of our program also
remains contingent on the directions provided by the Department of
Education and Training and Independent Schools Victoria, who dictate the
terms of use for school facilities.

Temporary program re-structure
We have compiled this resource for families, to assist in
preparing you for a return to swimming. As you might imagine,
there will be significant changes due to be temporarily
implemented as our program recommences.

All changes to the program align with information provided by
the Department of Education and Training, Independent
Schools Victoria, State and Federal governments, industry peak
bodies, DHHS and Victoria’s Chief Health Officer.

In the interests of maintaining a safe aquatic
environment for all stakeholders, we kindly request
that you review the following information carefully.
Return to Swimming Guidelines

These guidelines are applicable to the return to swimming for learn
to swim students and their families, teachers, coaches, volunteers
and personnel (hereafter all referred to as ‘participants’).

The following information contained within this document is subject
to revision in accordance with the changing advice provided by
Ivanhoe Girls’ Grammar School, the Department of Education and
Training, Independent Schools Victoria, State and Federal
governments, industry peak bodies, DHHS and Victoria’s Chief
Health Officer.
Health Monitoring of Participants
No-one is to attend the venue if they are feeling unwell, particularly
with any of the following symptoms, (even if only mild):

       Cough
       Sore throat
       Fever (e.g. night sweats or chills)
       Shortness of breath or other respiratory issues
       Other cold or flu-like symptoms

• Anyone experiencing these symptoms should contact their doctor
  or the National Coronavirus Information and Triage Line – 1800
  020 080.

• A participant with a possible respiratory tract infection should
  refrain from swimming until they have been cleared to do so by a
  doctor, given the potential for worsening illness.

• If a participant becomes unwell with COVID-19 symptoms while
  attending the venue, the participant should be isolated in a safe
  area and the National Coronavirus Triage Line called for advice on
  how to proceed.

Ivanhoe Girls’ Aquatics Temporary Measures
To ensure the health and safety of all staff, students, families and other personnel, Ivanhoe
  Girls’ Aquatics will be temporarily implementing the following measures throughout our
                                            centre.
Before arrival…
Arrival and Departure
• Separate entry and exit points have been established, to minimise the risk

  of congestion.

• Please familiarise yourself with the entry and exits here

• When parking, please walk around the perimeter of the Performing Arts

  Centre (via Upper Heidelberg Rd) and enter the school via Noel Street

  (first entrance on your left)

• Check-in via our QR Code or manual sign-in is required for entry

• Once you have left the facility, please exit via the staff carpark

• Participants will be required to follow the directional arrows,

  as indicated on the centre map and throughout the facility

• See our ‘Arrival and Departure’ video for more information
• Students and their families MUST NOT attend if they are unwell

• Students must be showered and ‘ready to swim’ prior to arrival

  (swimwear to be worn under clothing where possible)

• The use of changing rooms is discouraged. Reduce the need to utilise

  these areas.

• Only bring essential items to class (towel, cap, goggles, drink bottle)

• Students with Asthma, Anaphylaxis or other complex medical

  conditions must pack their own Ventolin and/or Epipen e.t.c
Upon arrival…
• Students will be required to arrive no more than 5min ahead of

  their class start time and meet at the designated entrance (click

  here for details).

• Further clarification of new density limits will determine the number

  of patrons permitted at any one time

• Students who can independently prepare for their lesson should

  attend without a parent/guardian. Drop-off and pick-up are

  preferred for older students
• Please allow at least 1.5m distance between yourself and other

  participants when queuing at the sign-in area

• Observe centre signage

• No unnecessary intermingling or congregating

• Participants are required to check in using the QR Code or
  manual sign-in

• If you are uncertain of whether you should attend, click here to
  complete a COVID-19 Symptom Checker online

• All participants MUST sanitize their hands before entering the
  centre
While attending…
• All patrons can utilise the toilets (if required). Children must
  be independent if they are unaccompanied (centre staff
  cannot assist).

• Patrons MUST wash and sanitize their hands if using the
  bathrooms during class time

Lesson Duration
To be confirmed once a date is set for recommencement
Upon conclusion of the lesson…
Unaccompanied students
• Will be directed by a teacher to their designated exit (click
  here for more information).

• Students cannot be dismissed if their parent/guardian is not
  visible at the exit point.

• Therefore, it is important that the parent/guardian arrive on
  time to collect their child at the end of the designated lesson
  time.

Students accompanied by a parent/guardian
• Will be dismissed from their class lane and must follow centre
  markings to meet their parent/guardian.

• Use of changing rooms is dependant upon industry guidelines
  (TBC)

• Please use hand sanitizer provided before exiting the centre.
Changing Rooms & Showers

Please note: Until further information is made available, use of
changing rooms (for changing and/or showering) will not be
permitted.

In the event that changing rooms remain closed upon
recommencement of the program, we encourage students to
bring sufficient towels and warm clothing that can be worn out of
the centre.

Toilets will remain available to all participants.
What should I do if I cannot attend my weekly
                    lesson?
• We would kindly request that you email or phone ahead if you are due to

  be absent

• Customer credits can be arranged where a medical certificate or

  equivalent is submitted (for illness/injury/isolating)

• Where advanced notification of absence is provided, students are entitled

  to 2 x make-up lessons per term (where a medical certificate is not

  supplied)

• Make-up lessons may be deferred to later terms if there is insufficient

  capacity to offer this in Term 4 (availability dependant upon centre

  capacity - TBC)
Communicating with Centre Staff
General Enquiries

Customers wishing to speak with either their child’s swimming teacher,
a Teacher in Charge (TIC) or the Swimming Manager are encouraged
(where possible) to email or phone the swim school office. General
information is also available via our website.

Assessment & Student Progress Enquiries

Where possible, customers are encouraged to contact us via the
above email address or telephone number. Alternatively, please
observe floor markings and centre signage if approaching the
swim school office.

If you observe a queue forming outside the office, please remain
seated and a member of staff will be with you momentarily.
Payment for Term 4
Issuing of accounts and payment due date
Customer accounts will be issued ahead of our proposed
recommencement date.

Term 4 accounts due

To be announced following a confirmed return date.

Customer credits accrued
Customers whose accounts remain in credit will have this
amount applied to their upcoming Term 4 account. Should the
credit amount exceed the total cost of Term 4 fees, the
remaining credit will be carried forward into 2022. Credits may
otherwise be requested as a refund.
Temporary removal of cash payments
To reduce the handling of petty cash, Ivanhoe Girls’ Aquatics
will temporarily remove the option to complete payment of
caps, goggles and term fees in cash.

Cap & goggles purchases

Customers wishing to purchase caps and goggles will be
issued an invoice via email for these items.
Understandably you may currently be determining whether it is suitable to
recommence swimming at this time. Whilst you or your child may not receive as much
time in the water, it is important to consider the additional opportunities available to:

Request to Withdraw of Defer
To ensure that we can ascertain accurate numbers leading into the upcoming program,
we would kindly request notification in writing (via email) if you wish to defer or
withdraw from the upcoming Term 4 program. Customers are liable to complete
payment for any lessons occurring prior to notification. Advanced notice of your
intentions is greatly appreciated.
