Annual Quality Assurance Model This table identifies the key annual quality assurance activities required for the BTEC programmes identified. Please note BTEC PSD/Workskills/Level 1 Introductory qualifications are not included in this model. For more information on these programmes go to our Home of Quality Assurance (Work-Based learning) webpage. Annual Quality Assurance Model specific web pages (use Find a Qualification as a quick link) Two briefs per programme sent ● Full details can be found at the Assignment Checking Service: to assignment checking service Assignment checking service (Optional) (Open from 6 September) Production of Assessment Plans ● Forms and templates are available on the BTEC forms and guides and Internal Verification plans to page show how the programme will be ● CPD training is available by accessing on The Home of Quality delivered Assurance (BTEC page) ● Review course materials tab within subject specific web pages for sample delivery guides/plans (subject to availability) Quality Nominee to ensure their ● Make sure the Quality Nominee box is ticked within their Edexcel details and those of the Head of Online account: www.edexcelonline.com Centre are up to date and correct ● Make sure Head of Centre Details are listed within Edexcel Online ● Confirm Centre details are accurate on Edexcel Online Registration of learners ● Confirm registration details of continuing learners are accurate. Transfer or withdraw learners not continuing their course. Essential to complete by 1 November in year programme commences (and prior to any formal assessment taking place). Annual Quality Assurance Model declaration of Roles and Responsibilities. Deadline for completion 30 September ● ALL Lead IVs should register (if new) or re-instate (if existing) on Edexcel Online Deadline 30 September Lead Internal Verifier register or ● Access our bitesize video LIV registration and standardisation re-register each year and ● Book Lead IV’s onto our CPD event – Roles and Responsibilities of the Lead Internal Verifier Download Standardisation ● Ensure that all Lead Internal Verifiers (all qualification suites) hold materials a standardisation meeting with their teams prior to any formal assessment taking place. This should be formally recorded ● Ensure that all Lead IVs have ticked the box to confirm that the standardisation meeting has taken place. Annual Quality Assurance Model Oct - Lead Standards Verifier Activity ● Level of activity depends on categorisation of the centre; see the Dec BTEC Centre Guide for Quality Assurance on the The Home of Quality Assurance (BTEC page) ● Lead Standards Verifier (LSV) will contact Quality Nominee (QN) for initial discussion ● LSV or PQA carries out remote meetings with the QN and agreed Lead Internal Verifiers ● All centres not allocated a LSV will have review of the ACD and registrations carried out ● Programme Ratings for Standards Verification shared with QN ● LSV Centre report will be submitted and uploaded onto Edexcel Online within 10 days of visit (unless required for audit) Review Centre Policies LSV review will be conducted on essential policies for this year. See the BTEC Centre Guide for Quality Assurance • Centre Guide to Policies and procedures for vocational qualifications 2021-2022 External Assessment Entries Entries due for any January series vocational external assessments see the Entries & Information Manual for full details Nov Deadline for Learner Registration 1 November – check all active learners are registered accurately. If this deadline is missed, there is a late fees penalty and can negatively impact quality processes. Annual Quality Assurance Model Subject Specific Standards ● Book onto Managing the Standards Verification Process Jan - Verification ● Allocation of Standards Verifiers to those programmes rated as May requiring Enhanced or Medium Control ● Look out for the SV introductory email to the QN; QN to pass to the Lead IV for action ● Recommendation for early sampling to ensure early ‘banking’ of grades ● Log into Edexcel Online at www.edexcelonline.com to find SV contact details Check accuracy of learner ● By 31 January request deletion / refund of learners registered registrations before 1 Nov who have left. Annual Quality Assurance Model June Final deadline for Second All second samples should be verified by the 15 June to allow time for Standards Verification Samples any re-sampling July Completion of certificate claims. Check the deadlines for submission of results by SRF and on Edexcel Double check to ensure accuracy Online making careful note of the deadline for UCAS applicants and for certification by results days. Bear in mind a new full approval takes 23 days to approve a fast-track approval (new qualification linked to existing approval) takes 5 days to approve. Annual Quality Assurance Model Review any changes to centre It’s important that you have approval from us before you begin structure i.e. consortia delivering programmes so that we can support you and put in place agreements quality assurance mechanisms which will strengthen your Collaborative arrangement. This policy applies to centres which deliver vocational qualifications, including regulated BTECs, NVQs, SVQs, and Pearson’s Self-Regulated Framework qualifications. Full guidance can be found in the; Collaborative and consortium arrangements for the delivery of vocational qualifications policy on the The Home of Quality Assurance (BTEC Entry - L3 page) If any of the centres included in a formal or exceptional arrangement decide to end an agreement, it is important to inform us within ten working days of the arrangement ending Centre Mergers If you are considering a merger with another centre please contact your Centre Quality Manager via the Pearson Support Portal as soon as possible for the discussions to be started.
