Agenda ✖ Welcome/Introductions/Q.O.T.D. ✖ Brainstorm on Contingency Planning ✖ Things to Consider ✖ Tips & Best Practices ✖ Type or Talk: Community Sharing ✖ Resources
Question of the Day Q. When it comes to dealing with change, how would you describe yourself?: A. LOVE LOVE LOVE CHANGE! Bring it on! B. I can take it or leave it. I don’t love it, but I know change can be a good thing. C. I hate change. If it ain’t broke, don’t fix it!
What Is A CONTINGENCY PLAN? A course of action designed to help an organization respond effectively to a significant future event or situation that may or may not happen. Sometimes referred to as "Plan B," because it can be used as an alternative action if expected results fail to materialize. “If this, then what?”
Brainstorm: TALK or Type (T.O.T.) • Why should you create a contingency plan (i.e. Plan A, B, C) for your CAPP/PREP/SRAE Program? • Would anyone like to share a time when not having a back-up plan proved problematic?
Not being able to control EVERYTHING is not the same as having no control over ANYTHING
Things to Consider Your implementation site (e.g. school, CBO, residential facilities): Are they allowing outside entities in the building? Your organization/agency: Are they allowing staff to travel and/or work in densely populated areas like schools? Your staff: How comfortable does your staff feel going to sites with large numbers of young people?
Things to Consider Implementation site and/or your agency’s COVID protocols (e.g. vaccination? testing?) Do you have everything you need to implement in- person (e.g. hard copies of the curriculum) as well as virtually (e.g. access to the virtual curricula, smart board or jumbo screen at the implementation site or a familiarity with Google Classroom for asynchronous learning) ANYTHING ELSE?
Tips/Best Practices Have an M.O.U./L.O.A. signed by agency & program site Develop a written ”what if” plan & discuss with your agency staff & program site staff. Have contact info (phone & email) for EVERYONE and make sure they have yours (e.g.. include in signature line of email) Create a current EBP master list/ML (in- person) &/or virtual implementation plan/VIP (for virtual) Make sure all educators are familiar with them & have access to them
Tips/Best Practices For in-person programming, review the curricula & discuss any changes that need to be made to accommodate social distancing. Touch base with your implementation sites to get a sense of what the space looks like. Learn from lessons of the past (e.g. from dealing with COVID & other emergencies or high stakes events like conferences or trips) Have more seasoned staff mentor new staff re: differences in virtual vs. in-person EBPs. If you have all new staff, try to connect with another provider doing the same EBP for guidance and/or support? Ask ACT for help. Any other suggestions or tips?
“If the plan doesn’t work, change the plan, not the goal”
Time to share: t.o.t. • Were there any lessons learned from the past 18 months that have informed your planning for this year? • What are you are doing to prepare for possible changes to your programs for this year (e.g. due to COVID)?
