Personal Trainer Registration Scheme Application Pack 2018 Contents: • Conditions of Registration • Code of conduct • Licence Types • Application form • Appendix one: Holland Park Bylaws This scheme is being managed by Quadron Idverde on behalf of the Royal Borough of Kensington and Chelsea Conditions of Registration 1. The conditions of registration apply to the green spaces and facilities at Holland Park for the period 01 April 2018 to 31 March 2019. This must be read in conjunction with the attached Code of Conduct. 2. This licence agreement is not a contract of employment and in no way implies that the licensee is a Royal Borough of Kensington and Chelsea or Quadron Idverde employee. 3. Licenced trainers shall be required to hold, as a minimum, Personal Training Diploma REPS Level Three fitness instruction qualification or equivalent. In addition, the instructor shall be required to provide evidence of current membership to the REPS Instructor Licensing Scheme. Failure to meet these requirements will result in the application being rejected. 4. Trainers shall not be permitted to use the green spaces and the park for fitness instruction prior to their licence being issued, regardless of an application being submitted or fees paid. Non-licenced trainers shall not be permitted to use the park for the purpose of group or personal training. 5. Trainers shall be required to apply for a licence annually for the period stated above. Termination of a licence prior to 31 March 2019 shall result in a forfeit of any pre-paid fees.
6. Trainers may only book the number of training classes agreed as part of the licence agreement. 7. Only areas as identified in the Code of Conduct document may be used for training purposes. 8. Groups of five or more participants, including the trainer, must use the Holland Park sports field. This will need to be booked in advance via the Sports Reception office and paid for over and above the licence fee. 9. All training classes must take place during the park opening hours. 10. The Personal Trainer will be required to wear a distinctive arm band that identifies the trainer as a licensed coach. An ID card will be issued to successful applicants which must also be carried at all time when training in the park. The ID card must be produced by the trainer if requested by officers of the Royal Borough or persons employed by Quadron Idverde. 11. Trainers must provide the Sports Manager with a CV, ID photo, original documents of all relevant qualifications and public liability insurance when submitting their signed application. They must also submit any subsequent qualifications gained throughout the current contractual year. 12. Trainers must ensure that they, and their clients, comply with the Code of Conduct, Conditions of Registration, and Holland Park bye-laws. Failure to comply with these may result in the termination of the licence agreement and the licensee will no longer be authorised to train at Holland Park. In this case the licence fee and/or any other fees already paid will not be refunded. 13. The Royal Borough of Kensington and Chelsea and Quadron Idverde accept no liability for any activity related to outdoor fitness training as part of the licence. 14. Licenses are issued to a named individual rather than an organisation. For group training sessions requiring more than one trainer, each trainer will need to hold the correct licence (see application form for more information). Outdoor Fitness Code of Conduct The purpose of the code of conduct is: To avoid conflict between the Licensee, other Park users and neighbours. To protect the Park. To ensure access to and use of public open space is preserved for all visitors. To provide the opportunity for visitors to benefit from, enjoy and engage in fitness training in a variety of outdoor environments. To provide quality assurance for activities undertaken within the Park and ensure that the Licensee and its Trainers are fully qualified and complying with best practice. To ensure that all licensed operators are fully insured and hold liability for participants’ safety. The Royal Borough of Kensington and Chelsea and Quadron Idverde accept no liability for any activity related to outdoor fitness training as part of the licence.
THE CODE: The Licensee/s shall not have exclusive rights over any area of the Park and shall ensure that right of way is given to other users of the Park. The Licensee/s will responsibly manage all matters pertaining to health and safety, and will ensure that thorough risk assessments are completed and that adequate procedures are in place relating to first aid and accident reporting. No large items of fitness equipment shall be used in the Park. Only hand-held equipment (e.g. Jogging weights, Kettle bells and resistance bands) is permitted. The Licensee/s will not leave any equipment or rubbish in the Park following a training session and shall ensure the Park is left in the same condition that it is found. The Licensee/s will comply with all applicable byelaws, orders and local restrictions applicable to the Park. This includes compliance with all Parks Police instructions. The Licensee/s will keep all Park pathways clear and accessible to other Park users. The Licensee/s will not display, produce or distribute any sign or advertisement whilst within the Park except to clients undertaking training and unless previously approved by the licensing officer. The Licensee/s are permitted to wear branded clothing as part of a uniform. The Licensee/s will wear a licence at all times making them clearly recognisable to members of the public, Council Officers and Quadron Idverde staff. The Licensee/s will not overuse any particular area of the Park or cause unreasonable wear and tear to the fabric of the Park. Areas of use must be rotated so as not to cause excessive wear. The Licensee/s will amend its information recording procedures so as to facilitate data sharing with Quadron Idverde including details of those attending training sessions. The Licensee/s will provide Quadron Idverde with quarterly figures relating to attendance and satisfaction. Areas in Holland Park where training may take place The Licensee/s are permitted to us the areas identified by attached map only. No other areas are allowed to be used for training. Park ‘No Go’ Activities: The following activities are not permitted: Whistles and loud shouting or other intrusive, noisy activities. Any music associated with the training. Aggressive, intimidating or unreasonably noisy training activities that interferes with the comfort of other visitors. Use of objects that mark out an area to imply exclusive use. Use of objects that damage any part of the Park, such as dragging tyres across grass.
Using anything in the park that is not specifically for the purpose of use. For example: stepping up on benches; using cricket net areas for non-cricket training; putting resistance bands on trees or goalposts. The Licensee/s must abide by this code of conduct at all times while in the Park. Non-compliance with the code may result in the licence being terminated and Licensee/s being asked to leave the park immediately.
Licence types Please Note: Licences are valid from 1 April 2018 to 31 March 2019. Please note: these fees are fixed for each licence period; pro-rata licences are not offered.
