Hotel Room Block With a hotel room block, you can enjoy your special day to the fullest knowing that you and your guests have overnight accommodations on the property! Requirements Must block a minimum of 10 rooms on peak Group must fill 90% of rooms blocked Guests must be 21+ to stay at the Willows Hotel Benefits Rooms guaranteed for your group up to one month prior to your wedding Discounted room rates All guestrooms tracked in group block You Will Receive Periodic updates on the status of your room block Reminders of approaching room booking deadline Assistance with reservations and special requests Making a Reservation Reservations can be made online or by phone and referring to your custom group code to avail your discounted group rate. Guests will have until 1 month prior to your wedding to book rooms. All reservations must be guaranteed with a major credit card. Individual cancellations must be made 24 hours prior to arrival to avoid no show charges. No show charges will be billed to the individual’s credit card at the prevailing group rate. It is our understanding that all guestroom charges, including room, tax and incidentals will be paid for by each individual. Resort Fee A daily resort fee of $10 plus current 12.5% tax will be added to your nightly rate and includes: Access to Pool & Hot Tub, Fitness Center, Business Center, Complimentary Self & Valet Parking and Wi-Fi in the sleeping rooms and event space. Check In/Check Out Check-in time is 4:00pm and check-out is 11:00am. A credit card is required and will be authorized for the amount to cover room, 12.5% tax, $10.00 daily resort fee, and $50.00 (Viejas Hotel) or $75.00 (Willows Hotel) per night for incidental charges. The authorization hold can take 3-7 business days after check-out to be released. Prepaid cards are not accepted. Viejas Hotel is 100% non-smoking. If you are unsure about the amount of rooms you wish to block at the time of contract signing, rooms can be added at a later date, based on hotel availability. If you have an existing room block in your initial contract and you wish to add more, we require rooms be added in blocks of 10, with the same 90% booking requirement for total contracted rooms.
Wedding Coordinator vs. Viejas Catering Manager You will be working with your Catering Manager through all of your details leading up to your event date. Your Catering Manager will not be your main point of contact on the day of the event. We require all couples to have a Day of Coordinator for the day of your Wedding. Your Catering Manager Will… Answer any questions, provide event venue recommendations and act as your primary Viejas Contact throughout the planning process Act as a menu consultant for all food and beverage selections Detail your catering contract and Banquet Event Orders, outlining all of your event specifications and ensure that it is communicated flawlessly to the operational team at Viejas Create an estimate of charges, outlining your financial commitments to Viejas Create a floor plan of your event space in order for you to provide seating arrangements Act as a liaison between your Wedding Coordinator and the Viejas operational team Oversee the setup of the ceremony and reception venue(s), food preparation and other resort operations Ensure a seamless transition to the venue’s Banquet Captain on the day of the event Review your banquet checks for accuracy prior to the completion of your financial statement Your Day of Coordinator Will… Create a comprehensive timeline with all the details of your big day Act as a liaison between your family, bridal party, band or DJ, florist, photographer, videographer and other vendors on the event day, to create a seamless operation Work with you to organize and facilitate your ceremony rehearsal Remind Bridal Party of all pertinent instructions and call times for wedding day Setup decorative items such as place cards, favors, guest book, cake knife, server set, etc. Check in on couple and bridal party throughout the event day Arrange ceremony site components Coordinate timing of ceremony and reception, line up bridal party, cue music, organize grand entrance, first dance, toasts, etc.
