District Cataloging Procedures Outlined All schools share titles (MARC records). Schools do not share the copies. Do not edit titles (MARC records). When the last copy of an item is deleted, so is the MARC record. This is a district default setting. Before adding a MARC record, check to make sure the record doesn’t already exist in the district database. If no record exists in the district database, use Alliance Plus and then Z39 sources. Merge MARC record process is run twice per year (merges any duplicates) at the district level. Schools can freely add, edit, and delete copies without affecting other schools’ records. The ultimate responsibility of cataloging materials belongs to the media coordinator. Burke County Public Schools 5 Destiny Documents 02/2011
Patrons Updated nightly via NC WISE data automatically. Should not add patrons manually. However, if it is a must District ID is required. Students moving out of county with checkouts If it is certain that a student has moved out of the school district, the patron’s status may be changed to INACTIVE (Back Office>Manage Patrons>Search for Patron>Edit Patron). The Destiny patron update does not delete patrons. Any students who have withdrawn from the district will continue to be in your database until you delete them. Do not mark books as lost or delete the patron for 1 year Student moves between BCPS schools and has checkouts- Checkouts are retained on both the patron and copy records. Fines remain charged to the patron. They are not, however, payable at the new site. They must be paid, waived, or deleted at the site where they were incurred. Checkout history goes with the patron. Holds and reserves are deleted. All of the circulation statistics for the patron appear in the Patron Statistics Summary and Patron Statistics - Historical reports when generated for the patron's new school. The media coordinator at the new school should try to get the books returned. If returned, courier to student’s former school and check them in. If a student says the books are lost, the media coordinator should call or email the media coordinator at the student’s former school and ask for a price, collect money from student, send to previous school who should then receipt it and courier a copy of the receipt to the student via the media coordinator. If the lost books are not returned, the books should remain in the student’s patron record for 2 years and attempts should be made to get the books returned or collect a fee for lost books Burke County Public Schools 6 Destiny Documents 02/2011
Patron Empowerment Procedures Check the Destiny Document Library for video tutorials for setting up patron empowerment features or for training students/staff to use the features. Access Levels Destiny is access level driven. Patrons only have the rights the administrator gives them. Access levels can now be edited by the Destiny administrator user (MEDIA COORDINATOR ONLY) at each school. Carefully consider what you want your students and teachers to do. Many access levels have been set up at the district level to suit a wide variety of needs. Patron Updates It is not recommended that patrons be added manually. However, if the need is critical, and you must add someone, the student District ID field MUST be populated with the NC WISE number. Teachers are only updated twice each year (beginning of each semester). If a teacher needs to be added, changed to another school, or set up at two or more schools, let Angela know. Patron Accounts In order for teachers and students to use the patron empowerment features in Destiny, they need accounts (unique usernames and passwords). These can be created from NC WISE and uploaded to Destiny for you. My Info Tab Train kids to use this. They can log in and view their checkouts, fines for lost books, and the status of holds. Recommendations You may choose to allow your students and teachers to write book recommendations and send to others through Destiny. Recommendations MUST BE READ and APPROVED by the MEDIA COORDINATOR before being published without EXCEPTION. Be careful. Recommendations done in Destiny QUEST DO NOT GO THROUGH THE MEDIA COORDINATOR. Holds A setting in the teacher and the patron access level allows for the creation of holds. Hold messages come to the media coordinator in the Processing Needed Area. Train kids to check their My Tab Info Tab in their Destiny account to see when holds are ready. Teach them not to place holds until they are really ready to read a book. Reviews Students may also be allowed to give starred reviews to books. This can be set up through the patron access level. The media coordinator sets up how student’s name appears- MUST USE INITIALS ONLY. This is done in SITE CONFIGURATION. Reviews may be deleted by student, by date range, by graduation year, or all at once. Wish Lists Students and teachers may be allowed to add titles they would like to see purchased to a wish list if the option is turned on in their access levels. This comes to the media coordinator in the Processing Needed area. Resource Lists With a Destiny account, patrons can create resource lists. They can choose to make these public or to keep them private. An option in access levels can allow them to create multiple lists. Resource lists can be linked to icons in visual searches if teachers choose to use them that way. Media coordinators can create resource lists for new books to make an announcement. Training Training students and teachers to use the patron empowerment features. There are videos in the Destiny Document Library if you want to use them. Emergency Circulation Plans Destiny is an internet-based application. Be prepared to handle book circulation in the event that the internet is down. Using Follett Remote is only recommended if an internet outage is prolonged (days). In the event of a temporary internet outage, such as a couple of hours, it is recommended that check outs are recorded on a paper form prepared in advance and then added to Destiny later. These are only recommendations. Using Follett Remote is the media coordinator’s decision. Reports Monthly circulation reports will be created at the district level. Interlibrary Loan Guidelines Interlibrary Loan (ILL) allows for direct borrowing of library materials between each of our high schools. The purpose of ILL is to extend the availability of resources so that students have access to the widest variety of materials possible. Responsibilities of Lending Libraries 1. The library should be as generous as possible with the needs of its own patrons given primary consideration. 2. The decision as to whether particular items should be loaned rests with the media coordinator. 3. The following are examples of exclusions to normal lending practices: a. Material is already owned by the borrowing library b. Material is one that the lending library would not normally lend to its patrons c. Material is in current or high demand at the lending library d. Material is reserved for particular students, teachers, classes, or groups 4. Responsibilities of the Borrowing Libraries 1. Each media coordinator should strive to build collections which meet the typical needs of students and teachers. 2. The media coordinator should exhaust his/her own resources before requesting materials through ILL. 3. Requesting students should have a Destiny account. 4. Requesting students must have an ILL Agreement on file at his library. 5. Requesting students must not have outstanding transactions such as overdues or outstanding fines. 6. All ILL requests must be made by the student or by the media coordinator on behalf of a student through Destiny. 7. All ILL requests will be made from library to library. No library will complete an ILL transaction directly with a student. 8. Written documentation should be given to the requesting student indicating an item’s due date. 9. Ensure that borrowed materials are returned to the lending library on time and in the same condition as when they were borrowed. 10.All borrowed materials should be returned to the lending library on or before the last day of book circulation at the end of the school year. 11.Borrowed materials are subject to return to the lending library and should be returned promptly if recalled. 12.The media coordinator may decide to actually place the HOLD in Destiny or he/she may allow students to place holds by giving the Paton access level the necessary rights. Responsibilities of the Student 1. Students must not have outstanding transactions such as overdues or fines. 2. Students must return materials to their home library by the due date. 3. Students are responsible for paying replacement costs if materials are lost or damaged while in their possession. 4. ILL privileges will be revoked for students who do not return materials in a timely manner and in good condition. 5. After ILL requests are entered into Destiny, students are responsible for checking their Destiny account on the status of the ILL request. Burke County Public Schools 10 Destiny Documents 02/2011
