A guide to Imperial College RAG’s first ever JAILBREAK Contents: 1. The essentials 2. How the event will be run 3. Departure Day 4. What you must know before the event: rules and regulations, insurance policy 5. Good luck and RAG contact information
1. The Essentials What is Jailbreak? Jailbreak is an event where teams aim to get as far away from a certain point in a specified time frame without spending any money. Why should you do Jailbreak? It’s something different! You’ll be spending the weekend with a small group of friends, travelling across the world. It’s a challenging and exciting way to raise money for charity - for information about the charities that RAG week is supporting see our website: www.icragweek.com How big are teams? Teams of two or three people are allowed. You are not allowed to do Jailbreak alone. RAG strongly recommends that each team has at least one male member; however all female teams are allowed. When will the event be happening? Jailbreak will take place on the weekend of the 29th – 30th March, at the end of RAG week. It will run for 36 hours, from 10am on the Saturday to 10pm on the Sunday. Participants will be required to meet at the union at 8:45 on the Saturday in order to complete the registration process and safety briefing. Fundraising target The fundraising target is £50 per team. This will be required to be raised by Friday the 2nd May at the latest. A few tips on Fundraising Sponsorship based on a certain amount per mile is very effective for Jailbreak. For example, if you get 10 people to sponsor you 1p per mile you travel, if you were to reach 1500 miles away from London, you would then have reached your minimum sponsorship target.
2. How the event will be run What to bring with you on Jailbreak? Money (we recommend Euros and cards that work reliably abroad (inform your bank you may be visiting several countries as they would be suspicious of multiple transactions in different countries over a weekend) • Passport • Food • Photocopy of passport and visa if applicable How will teams be monitored? RAG have developed a custom tracking system which uses the android platform (Note: participants DON’T need android phones for this). Teams will be required to text the RAG control room at given times (you will be told these on the day of departure). The texts must be in a specified format (again this will be explain on the day of departure). Teams’ updates will be posted live on the RAG website, including mapping software which will allow their progress to be displayed. 3. Departure Day What do you need to bring on departure day? Photocopies of passports for RAG (remember to have your passports on you if you’re planning/hoping to leave the UK). What happens on departure day? Photocopies of passports will be held by RAG for the duration of Jailbreak (these will be destroyed afterwards). Disclaimer forms must be signed by every participant. A form stating that each team will meet its minimum sponsorship target will also be signed. Copies of these forms and the full insurance document can also be obtained from the RAG website. A safety briefing will be held emphasising how to use the tracking system effectively, what the emergency response protocol is and more general advice regarding hitch hiking and using public transport in foreign countries. What will RAG provide you on the day? 1. Letter-headed covering letter, to explain what the participant is doing and to give them more authenticity 2. Insurance policy 3. Rules and regulations 4. Contact details of RAG Control Room 5. Imperial College Union “Emergency procedures when away from campus” card (number for participants to call if they cannot contact RAG Control Room) 6. Emergency numbers for various countries (e.g. 999 for UK, 911 for USA) 7. Jailbreak T-shirt 8. Brief written explanation of the event in French, Spanish, German and Italian (for the same reason as point 1) 9. Safety advice 10. Snacks 4. What you need to know Rules and regulations 1. The participant’s entry will only be finalised once RAG has the following: a. The participant’s registration fee b. All the participant’s personal details, as listed on the registration form c. A signed copy of the disclaimer d. A photocopy of the participant’s (valid) passport photo page (these will be destroyed after the event has finished) 2. Participants must be Members or Associate Members* of Imperial College Union and be over 18 years of age. 3. ICU RAG will arrange appropriate travel insurance for Jailbreak participants, the details of which will be made available to participants on the day of departure. 4. If a participant is likely to require a visa for their possible/intended destination(s), they must seek advice and obtain necessary documentation. This is their responsibility and unfortunately RAG is unable to help them with this. 5. Teams must contain 2 or 3 participants, we advise that at least one member should be male. Travelling alone is unacceptable; members of a team must stay together at all times until their return to London. 6. Participants must be aware that it is illegal to hitchhike from the side of a motorway. 7. A participant will not be allowed to depart on their Jailbreak without the following (note these must be held by every member of the participating team): a. A valid passport, with a photocopy (separate to the photocopy given to RAG) b. Insurance documents (provided by RAG on the day of departure) c. A European Health Insurance Card (EHIC), if held d. At least one fully-charged mobile phone that works abroad (plus plenty of credit, if pay as you go) e. The contact details of the RAG Control Room (provided on the day) f. An “Emergency procedures when away from campus” card (provided on the day) g. Instructions of how to comply with the tracking system (provided on the day)
h. A credit or debit card that will work abroad i. Jailbreak T-shirt (provided on the day) j. A camera of some description (phone camera is sufficient) k. Money to buy food on the trip, and souvenirs at the final destination 8. None of the participant’s own money is to be used for transport on the outward journey. 9. Participants may not use their own transport. 10. Participants must text the RAG Control Room number specified for tracking with details of their team number, location and any other details at the four-hour intervals specified during the safety briefing and in their information packs. They must also contact RAG Control Room every time they cross a border or change their mode of transport. 11. If participants are likely to be un-contactable at any of the 4-hour intervals** when they are required to update RAG Control Room of their location and status (e.g. sleeping or flying), they must phone (not text) in to inform the RAG Control Room that this is the case, and provide details of when they will next be contactable. They must also contact RAG Control Room as soon as they become contactable again. When participants are stopping for the night, they must provide details of where they are staying. 12. Upon entering any vehicle (car, train, plane etc.), participants must provide details of vehicle licence plate number / flight number etc. and destination to RAG Control Room. 13. If participants take a flight or other long-haul journey, they must ask about the return journey. It is not recommended to take a flight without guarantee of return, as RAG is unable to pay for a participant’s transport back to London. 14. Participants must not collect any money in public during the 36 hour event period (online donations remain acceptable during this time) 15. When Jailbreak has ended/ at the furthest point in the participant’s journey, they must: a. Take a photo of themselves wearing their Jailbreak T-shirts beside a landmark or street sign of some sort b. Contact RAG Control Room to confirm their whereabouts c. Send a postcard to ICU RAG (if possible): Imperial College Union RAG, Beit Quadrangle, Prince Consort Road, London, SW7 2BB d. Buy a local newspaper (if possible) 16. Participants must advise RAG of their return plans after Jailbreak has ended. If this is not done on Saturday, it must be done by 2pm on Sunday. The following details should be given: a. When they intend to return to London b. How they intend to return to London c. Details of any places they intend to visit / stay overnight 17. All donations to the participant’s team must be given to RAG by Fri 2nd May, along with the evidence of their final location. 18. Prizes will be awarded to the team that travels the farthest and the team that raises the most money. 19. Good sportsmanship is a key part of Jailbreak. If RAG hears of any individuals/teams using intimidating or aggressive behaviour, or violence, they run the risk of being disqualified and being subject to Union/ College disciplinary procedure. 20. Failure to comply with any of the above rules may lead to personal injury and/or disqualification. ICU RAG will not be held responsible for any action that contravenes these rules or the laws of any country the participant passes through. * All registered students of Imperial College (full time, part time, undergraduate & postgraduate) are automatically Members of Imperial College Union. Staff and Alumni of Imperial College, and students who are over 18 and studying at other Higher Education institutions, may become Associate Members. What happens if I break a rule? If the ICU RAG committee learns that a team has broken a rule, they will automatically be disqualified from Jailbreak, and will not be able to win prizes. Furthermore, if this occurs during the Jailbreak, the team will be removed from the map and their progress will not be available online. If the rule broken contravenes any national laws of the country you are in or College rules, appropriate action may be taken by the College. What happens if I fail to meet the fundraising target? As part of the registration process, participants will sign a legally binding agreement stating that they will pay RAG the minimum sponsorship target of £50 per team by the 2nd May. If participants fail to reach this sponsorship target, they will have to pay the excess themselves. If participants refuse to pay the excess, RAG and Imperial College Union will then take appropriate action, which may involve College procedures. (In our experience, it is very rare indeed that someone fails to reach the minimum sponsorship target, especially given the extended fundraising deadline). Summary of the Insurance Policy 1.1. The only sections to be covered under this policy would be Medical Expenses, Hospitalisation, Personal Accident, Personal Property and Legal Expenses – all other sections listed within the quote are not included. Please also note that the single article for the Personal Property is restricted to £150 per item. 1.2. Geographic Limit: Worldwide (excluding Afghanistan, Chechnya, Democratic Republic of Congo, Iraq, Israel (Gaza and West Bank only) and Somalia) 1.3. Sum insured per insured person: • Medical Expenses (section 1 of quote) – Up to £10,000,000 • Hospitalisation (section 2 of quote) – Up to £3,500 • Personal accident (section 4 of quote) – Up to £100,000 • Personal property (section 11 of quote) – Up to £5,000 (see above also) • Legal expenses (section 18 of quote) – Up to £25,000 1.4. Assistance – Medical Emergency • If help is required for a medical emergency call Intana Claims and Assistance: +442088 650728 – failure to do this may prejudice your claim. 1.5. Medical Expenses - covered: • Medical, hospital, treatment expenses, ambulance charges • Additional expenses of repatriation to the UK • Emergency dental treatment (pain relief) up to £500 • Accompanying medical attendant if agreed by prior consultation • Reasonable travel and accommodation expense of partner/relative/friend who is required on medical advice to travel to stay with/escort the insured person. • NB: Doctors note required if the insured person must return home early
1.6. Hospitalisation: • £50 pounds paid for each full 24hr day spent in hospital outside the UK for up to 70 days. 1.7. Personal Accident: • One of the following benefits will be paid: 1.8. Personal Property: • Single article maximum is £150 • Loss/theft must be reported to the police within 24 hours 1.9. Legal Expenses, covered: • Bodily injury or illness caused by a third party 1.10. Legal expenses, not covered: • Fines/penalties • Any legal expenses in relation to a criminal act • Expenses sustained in more than one country. A full copy of the insurance policy is available on request. We strongly advise that you read this before the event. Each team must have at least one copy of the policy with them at all times – RAG will provide the appropriate number on the day. If you feel that you require additional insurance, we advise you to purchase your own. 5. Good Luck! After all the serious talk- good luck, make RAG proud and have lots of fun!
