HOW TO AND TIPS JOINING THE MEETING Join a meeting by clicking on the Zoom link sent from Zoom after you registered for the meeting. You must register first. The link sent by VSBA is only for registration and will NOT give you access to the meeting. If this is your first Zoom meeting on your device, click download and run Zoom. The Zoom.exe file will download, and you will need to open the file. Please note this only needs to be done once for any device on which you use Zoom for the first time. If you have already participated in a Zoom meeting, you do not have to download it again. Note: You do not need a Zoom account to participate in Zoom meetings hosted by VSBA. CHOOSE VIDEO LAYOUT At the upper right of your screen you can switch between Speaker View and Gallery View. You can also enter/exit full screen by clicking icon to right of Gallery/Speaker View. Speaker view will only show the active speaker. Gallery view will show all attendees in smaller boxes. When there is a large number of attendees, there may be an arrow to scroll through the pages of attendees. ZOOM CONTROL BAR Hover over the bottom of your active Zoom meeting window for the control bar to see your controls: MUTE You can Mute/Unmute your microphone by clicking the microphone icon. START VIDEO If your device has a camera, you can turn it on/off by clicking the Start Video icon . PARTICIPANTS If you click on Participants, you can see who is currently in the meeting. The participants list also gives you the option to rename yourself. Rename - hover over your name to change it as it is seen in the participants list & video window CHAT Use this feature to ask questions during the meeting. You can send a question or statement to everyone or privately to a VSBA staff member. It will be monitored by VSBA staff. LEAVE MEETING You can leave the meeting at any time by clicking on Leave Meeting button. ETIQUETTE TIPS: Prior to the meeting: Dress to impress: It’s easy to give in to the temptation to wear sweatpants and an old t-shirt because you’re working from home. Dress for your video conference the way you would for an in-person meeting. During your meeting: Mute your microphone when necessary: Zoom has a “Mute Microphone” option that cuts down on ambient feedback for the audience. Use Zoom’s chat function: You can send a question or statement to everyone or privately to a VSBA staff member. Think about your actions on camera: Always remember that everyone can see you. Someone is watching as you take a big, wide-mouth yawn, stretch, or wander around the room. These exaggerated movements are distracting to the audience and can be disruptive to the speaker. Try to stay still and be attentive! 7
