The exhibitor understands and agrees that the below Exhibitor’s Instructions and the
Maksoud Exhibit Regulations are an integral and binding part of the exhibition agreement.
The rules and regulations might be changed or revised with previous notice. All Exhibit

6. Material Shipping & Delivery
Due to heightened security and limited storage space, special arrangements must be
made for receiving equipment, goods, displays and other materials, that will be sent,
delivered or brought into the hotel. Failure to do this may result in deliveries being
refused or materials being unavailable when required. Small boxes and materials
shipped to the hotel may be delivered three (3) working days prior to the meeting
dates. The hotel is unable to accept shipments that may require forklift or other
power lifting movement. Please contact our Event Planning Manager for additional
assistance with oversized items.
Upon check in please verify receipt of shipped materials with Front Office personnel or
Event Manager. The Maksoud Plaza will not accept packages or shipments arriving
C.O.D. The hotel will refuse any shipments not prepaid and the hotel will make no
notification to the shipper. Additionally, the hotel assumes no liability for any loss or
damage to packages, boxes, or shipments received prior to, during or following your
event.

Exhibits: A table and 2 chairs will be provided free of charge by the organizer for
each exhibit. Small Folding Booth or Roll-ups are recommended to be used on behalf
of the Industry. The Exhibits are located in the Foyer / Coffee Break area of the
session room.

9. Booth Confirmation and Allocations
Important Note: The concept for our technical industry exhibit is planned for table tops,
small Pop Ups, Roll Up or folding booth only. There is no contracted logistic partner for
unloading, build-up and dismantling on site. Please plan accordingly. A draped table and 2
chairs will be provided free of charge by the organizer for each exhibit. The ICRS reserves
the right to relocate exhibitors and reassign spaces at any time if this becomes necessary
for a specific reason. Kindly note that to build up your booth, all invoices must be settled
before the meeting.
10. Insurance – Liabilities
The exhibitor is liable for damage caused by himself, by his staff, by his visitors and clients
and by any agent acting for him; the exhibitor indemnifies the Exhibition Management in
all such cases. The ICRS recommends that the exhibitors take out an insurance policy to
cover damage and theft to/of their exhibits and their furnishings and fittings during the
entire time of the exhibition, including the time for set-up and dismantling, as well as
during the exhibition days, as the Exhibition Management is not liable for personal or
property damage. While your booth is unattended, we suggest that you keep valuable
goods and gifts stored in a secure place.

deverá ser repassada aos eventuais
expositores.
Notas Fiscais de simples remessa deverão ser
emitidas com os dados da empresa participante
do evento/empresa expositora.
No corpo da nota fiscal deverá constar a
observação das mercadorias e/ou serviços
prestados, bem como a data de realização do
evento, com respectivas quantidades, valores
unitários e totais.
O recebimento e conferência dos materiais
utilizados no evento/estandes serão de
responsabilidade da CONTRATANTE ou da
empresa Organizadora do Evento por ela
designada.
10. Integram este Manual duas versões
inseparáveis e interdependentes do mesmo
texto, sendo uma em língua portuguesa e outra
