SUBMISSION CHECKLIST Mahalo for your interest in submitting a 2018 Made in Maui County Festival (MIMCF) Product Vendor Application. Below are step-by-step instructions to assist you with this application process: 1. Please read all MIMCF Product Vendor Information carefully. (pages 1-4) 2. Complete the MIMCF Application/Contract for Exhibit Space. (page 5-9) Include a Product Valuation for each type of product line you wish to exhibit at the Festival (page 9). 3. Include with your application, pictures of your products, packaging, manufacturing process, and your company logo. Images should be in any of the following digital formats: JPEG, TIFF, GIF, and PNG, with a high-resolution format of 300 dpi minimum required. Logo file formats would be preferable in an EPS format. These may be emailed to info@MadeInMauiCountyFestival. com or saved onto a CD or flashdrive to be mailed or hand-delivered. 4. Please keep a copy of your completed application for your reference. 5. Submit your completed application via one of the following methods. Application must be received no later than May 31, 2018, 4:30pm (HST). Please do not submit payment with your application. MADE IN MAUI COUNTY FESTIVAL PRODUCT VENDOR INFO. The 5th annual Made in Maui County Festival (MIMCF) will be held at the Maui Arts & Cultural Center on November 2 and 3, 2018. This is an opportunity for your business to showcase your made in Maui County products. Presented by the County of Maui Mayor’s Office of Economic Development (OED) and the Maui Chamber of Commerce, this two-day event is the largest products show in Maui County. This event was created to: • Showcase our local businesses who produce “Made in Maui County” products • Help to grow our islands’ businesses by providing opportunities for participating vendors to meet with prospective retailers and wholesalers and connect with new customers. • Help strengthen our community by encouraging job creation and diversification of our economy. WHERE: WHEN: Maui Arts & Cultural Center Friday, November 2, 2018, 12:30 pm – 6 pm One Cameron Way Buyers Preview (12:30-6 pm): Free for registered wholesale buyers/ Kahului, Maui, Hawaii distributors Exclusive Shopping Day (1:30-6 pm): Public admission: $35/person; tickets via MACC, children 12 and under free Saturday, November 3, 2018, 8 am – 4:30 pm The BIG Festival Day!: Public admission: $5 at the gate, tickets via MACC Box Office on day of event, children 12 and under free WHO IS ELIGIBLE TO PARTICIPATE: Local businesses who meet the following criteria are eligible to apply as a Product Vendor: • Business is based in Maui County (must have a current GET license). • All products offered for sale must be made, manufactured, grown and/or created in Maui County. Products may include source materials made and/or found in the State of Hawaii. • All products must meet minimum of 51 % “Made in Hawaii” product valuation. Refer to Product Valuation Form on page 9. APPLICATION PROCESS: Product Vendor Applications for the 2018 MIMCF will be available starting February, 2018. Application deadline: ALL APPLICATIONS MUST BE RECEIVED NO LATER THAN MAY 31, 2018 BY 4:30 PM (HST). Applications will be reviewed in June and July, 2018. Businesses will be notified of the MIMCF Selection Committee’s decision on or before July 13, 2018. Only completed applications will reviewed. Please refer to the Submission Checklist for the items you’ll need to submit. Product Vendor applications will be evaluated on the following criteria: • Products for sale must be made, manufactured, grown and/or created in Maui County. Although, products may include source materials made/found in the State of Hawaii (minimum of 51% “Made in Hawaii” product valuation). Please be sure to complete a Product Valuation Form for each product category. • Other judging criteria may include branding, packaging, website/online presence, and an interest in and readiness to export (see page 6). By signing the Application/Contract for Exhibit Space, applicant agrees that products sold in the Festival do in fact meet the MIMCF requirements. Any vendor found with products that in the opinion of the show management appear to be in violation of these requirements will be excluded from the show or asked to remove non-conforming articles. PAYMENT DEADLINE / REFUND POLICY If selected to participate in the 2018 MIMCF event, your vendor booth payment is due within 10 working days upon receipt of your confirmation email. A late fee of $50 will be accessed for payments received after the 10 working days deadline. Failure to submit payment after 20 working days will result in your booth space being reassigned to another applicant. Payment can be made via credit card (VISA, MasterCard and American Express accepted) or by check payable to “Maui Chamber of Commerce.” Checks returned (i.e. insufficient funds, closed account, etc.) will be assessed a processing fee of $30 in addition to monies overdue on booth space. No cash payments or post-dated checks will be accepted. Your cancelled check shall serve as your record of payment. Booth fees are refundable up to September 14, 2018. No refunds after this date. PRODUCT VENDORS’ SCHEDULE Product Vendors will be required to participate in BOTH the Friday, November 2 and Saturday, November 3, 2018 MIMCF events. The schedule is as follows: Friday, November 2, 2018: 7am - 11:30am Set-up at MACC (must be set up by 11:30 am) *Schedule is subject to change 7am - 10am Heavy equipment unloading 11:30am -12pm Vendors meeting (in Yokouchi Pavilion) 12:30pm -6pm Buyers Preview 1:30pm - 6pm Exclusive Shopping Day 4pm - 5pm Reception (in Yokouchi Pavilion) Saturday, November 3, 2018: 6:30 am Early entry for Vendors only *Schedule is subject to change 8am - 4:30pm The BIG Festival Day! 4:30pm - 6pm Clean up & breakdown You are required to have someone in your booth at all times until the end of each Festival day. You are not allowed to break down your booth before 4:30pm on Saturday under any circumstance. WHOLESALE BUYERS / DISTRIBUTORS EVENT Wholesale buyers and distributors will be invited to attend the “Buyers Preview” on Friday, November 2, 2018 from 12:30pm - 6pm. Buyers must register online, and their admission will be complimentary once they are approved. If you wish to submit names of qualified buyers that should be invited, please submit their contact information on your Application/Contract For Exhibit Space on page 6. Please note that a limited number of attendees from the general public will also be allowed to purchase “Exclusive Shopping Day” tickets ($35/person, children 12 and under are free) via the MACC Box Office to attend the Friday event. Exclusive Shopping Day event hours are 1:30pm - 6pm. MANDATORY TRAINING SESSIONS Mandatory Vendor Training Sessions will be held for participating vendors (dates to be announced in July). Attending one (1) meeting is a requirement of your participation. New vendors will be required to attend the entire two-hour session. If you are a returning Festival vendor, you only need to attend the last hour of the session. A penalty fee of $50 will be assessed if you do not attend any of the scheduled mandatory training sessions. Event logistics (final vendor schedule, set-up/take-down, storage/re- stocking of merchandise, parking, name badges, Dept. of Health permits, etc.), the Booth Decorating Contest, and promotional opportunities will be covered. You will also receive your final booth number at the training sessions. Page 2

Booth space will be assigned based on compatibility and type of product, electrical needs, with special preference given to sponsoring vendors. Management reserves the right to refuse any applicant. • Please be sure to provide a detailed description of your products on your application form along with photos of your product. • Multiple companies may not share the same booth unless they are applying as a single, official company, trade organization, co-op, association, or guild; with the exception of Molokai and Lanai vendors. • If you have heat-sensitive and/or wind-sensitive products, we recommend you bring appropriate refrigeration/cool storage and/or shade/wind protection to prevent damage to your merchandise. You may also avoid weather exposure by not indicating a preference for an outdoor booth space. • Include on your application whether you require electricity. There are only a limited number of booths that have access to electricity. Preference will be given to those who indicate a need on their application. • There will be no additional storage areas for vendors’ products during the Festival. Please take storage into consideration when designing your booth space and staffing. Vendors may not extend beyond their assigned booth space boundaries. Refrigerated/frozen storage and individual trash cans will not be provided. Page 3
ADVERTISING, PROMOTIONS, AND PUBLIC RELATIONS Approved product vendors have an opportunity to increase their visibility during the Festival via sponsorship and/or advertising in the 2018 Festival Directory Program Booklet. If interested in sponsorship opportunities, please visit www.MadeInMauiCountyFestival.com/sponsors, email info@ MadeInMauiCountyFestival.com, or call Linn Nishikawa or Casey Nishikawa at (808) 242-6717. If interested in placing an advertisement in the 2018 MIMCF Program Booklet, please complete the 2018 Festival Directory/Program Booklet Ad Reservation Form on page 12. Although not mandatory, we do encourage all participating MIMCF Product Vendors to become involved in the promotion of the Festival by providing promotional items, samples for media exposure, and being available for interviews by members of the press when opportunities arise. MADE IN MAUI COUNTY MARKETPLACE WEBSITE All approved MIMCF Product Vendors will receive a complimentary one-year Seller Webpage on the Made in Maui County Marketplace (www.madeinmauicounty.com). The Made in Maui County Marketplace is an online shopping resource website that provides local businesses who produce made-in-Maui-County products with an opportunity to connect with potential buyers year-round. INSURANCE AND SECURITY Security will be provided for the MACC’s general premise only. We strongly encourage exhibitors to maintain liability insurance for your protection. Ask your insurance company for a rider to your public liability policy, property damage and/or burglar insurance policies, if you desire additional coverage throughout the duration of the Festival. You are responsible for yourself, your staff and your merchandise. MIMCF’s security service will begin on the move-in date (Friday, November 2) and will end at close of the Festival (Saturday, November 3 at 4:30pm). Your booth must be staffed at all times when the show is open to the public in order to prevent theft and/or damage to your merchandise. All vendors are required to secure and/or remove merchandise (as you deem necessary) overnight and/or cover merchandise at the close of each day and theft-proof it. Security will be on the premises overnight, but all vendors should take appropriate precautions. VENDORS SERVING FOOD SAMPLES All product vendors serving food samples will be required to review and adhere to the Hawaii State Department of Health’s “Special Event Food Establishment Guidelines.” Information will be provided to participating vendors at a later date. AGREEMENT Initial I understand that the County of Maui Mayor’s Office of Economic Development and the Maui Chamber of Commerce reserve the right to cancel this application/contract at any time. I have read all of the contents of the Product Vendor Packet and agree to the terms set forth, including the Made in Maui County rules and regulations and definitions. I agree to complete a post-event survey by Wednesday, November 21, 2018, which will include total sales from my booth at the event. This information will be used by the County of Maui, Mayor’s Office of Economic Development, and Maui Chamber of Commerce to verify economic impact of the Festival. I understand that failure to submit a MIMCF post-event survey by this deadline may impact my eligibility to participate in future Made in Maui County Festivals. I agree to participate in the marketing of the Festival, including but not limited to distributing event material, participating in the Festival’s social media campaign, and providing photography / information for publicity purposes. HELPFUL INFORMATION FOR PRODUCT VALUATION FORM A Product Valuation Form (page 9) is required FOR EACH PRODUCT CATEGORY. Please write the name of your individual product on the “Product Name” line. GLOSSARY OF TERMS The following is a description of the individual cost components: MATERIAL COST - raw materials; distinguish by origin whether materials are imported or locally produced DIRECT LABOR COST - the cost of workers who add value to a product through their direct involvement in the production process here in Hawaii MANUFACTURING OVERHEAD COST - indirect manufacturing costs incurred in Hawaii, which includes: INDIRECT LABOR COSTS - wages of employees not directly involved in product, including: • Wages for employees performing equipment maintenance and repairs • Wages for production supervisors • Wages for personnel supporting production such as quality control inspectors CREATIVITY VALUE (IF APPLICABLE) – value of idea for product (a value assigned by the creator as to what they added as far as original concept or design) NOTES State law prohibits the use of “Made in Hawaii” as an advertising or media tool for any item that has not been manufactured, assembled, fabricated, or produced within the State and that has not had at least 51% of its wholesale value added by manufacture, assembly, fabrication, or production within the State. We want to encourage the use of Hawaii suppliers and we appreciate you supporting Hawaii by making use of ALL local opportunities in the development of your product.
