MINUTES OF THE 2018 ANNUAL GENERAL MEETING 2.1 MOTION: That the Minutes of the 2018 Annual General Meeting be endorsed as a true and accurate record. 3. BUSINESS ARISING: Nil 4. REPORTS 4.1 President’s Report: Ann Pilkie presented her President’s report which included acknowledging Jenny Watts receiving recognition for her long term volunteer work at the NSW Sports Awards, Margaret Jopling receiving an OAM in the Queen’s Birthday honours list, as well as highlights of the top SNC swimmers’ achievements, including Tylah Crabtree being named swimmer of the meet at SNSW LC Country Championships. Tylah Crabtree, Lachlan Walker and coaches Simon Watkins and Graham Walker were praised for their inclusion on the Swimming NSW Gold Squad. Praise was given to our Multi-class swimmers that were selected on squads after their outstanding performances at Australian Age – McKinley Arnison (Para Potential Squad) and Morgan Jean, Sarah McIntosh & Ben Auckram (Para Development Squad). Ann noted that we are a Swimming NSW association and as such her report reflects the results from NSW meets but also mentioned the achievements of swimmers who, because of location, compete in QLD. Taylor Corry’s achievements were also mentioned from when she was a part of SNC. At this point Pat Troy, Swimming NSW President, was invited to join Ann and present the 2018/2019 Championship trophies to the respective clubs. Coffs Harbour Swimming Club was the Champion Club in summer, and Trinity Lismore for both 2018 and 2019 Winter meets. The swimmers of the meet were Tylah Crabtree (Trinity Lismore) and Jack Hosking (Trinity Lismore) in the 2018 winter and Tylah Crabtree (Trinity Lismore), Dane Jeffery (Foster) in the summer and Tylah Crabtree (Trinity Lismore) and Nash Wilkes (Foster) in the 2019 winter. Re Development days, a thank you was given to all Clubs and Venues for hosting the days. Re Technical Committee, a thank you to all TO’s for volunteering their time throughout the year, with a special mention to Faye, Andrew, Simon and Ian for achieving high level accreditations. Special thanks were given to Ian Barfoot for completing the Audit again this year. Ann attended the SNSW AGM and strongly encourages all clubs to send a delegate to attend the AGM, State Forum and Technical Forum day this year. It is a great opportunity to meet and share information with people from other regions. A special thank you was given to Lyn Connell for help throughout the year. All volunteers including club committees, technical officials and the SNC Management and Standing Committee Members were thanked for their efforts over the past year and for providing opportunities for our swimmers. Simon Watkins moved that the President’s Report be accepted. Seconded: Brian Grant CARRIED 4.2 Treasurer’s Report: Helen Green presented the Financial Report for the year and acknowledged the work of the auditor in preparing the report. Helen outlined that a deficit of $3,063.76 had been incurred in the last financial year and that the balance at the 31 March 2019 was $36,771.56 plus stock on hand of $8,717.43 Helen Green moved that the Financial Report for the year ending 31 March 2019 be accepted. 4.3 Registrar’s Report: Graham Canning reported on the Area Membership numbers and comparisons over the previous years which shows an increase in paying Swimmer members from previous years as well as an increase in all other membership categories apart from Junior Dolphin Members, where there has been a decrease. Graham also outlined the records that had been broken and results that had been uploaded to the National Results Database. Graham Canning moved that the Registrar’s Report be accepted. Seconded: Peter Brack CARRIED 4.4 Competition Committee Report: Andrew Jones reported on the success of the Winter and Summer Championships in 2018- 2019 season which included higher swimmer numbers than previous years. Andrew thanked the clubs and officials for their support over the year and outlined that the Summer LC championship structure would change for this coming year. A presentation was also given during the forum. Andrew thanked the Competition Committee Members for their help and support over the past year. Andrew Jones moved that the Competition Report be accepted. Seconded: Warren Phillips CARRIED 4.5 ATSC Report: Jennie Riley reported on the work of the Area Technical Committee and thanked its members for their work and support. Jennie went on to thank all Technical Officials for their work over the past year at all levels of swimming. Jennie invited Josh Karp, a Swimming NSW representative, to present the Technical Official Service awards for 10, 15, and 30 years. Jennie then invited Pat Troy to present the Technical Official of the Year awards to Andrew Jones of Taree Torpedoes and Simon Watkins of Trinity Lismore. Jennie Riley moved that the Area Technical Swimming Committee report be accepted Seconded: Brian Grant CARRIED 4.6 Development Committee Report: Simon Watkins thanked the Coaches and venues for their commitment to Development activities and their assistance throughout the year, and he also thanked Peter Harvey for his work at the beginning of the year. Simon briefly mentioned the change to the Development program and that further discussion would take place during the forum, and also spoke about the introduction of the Coaches Forums which have been well received in the area. Simon went on to thank all the Team Managers, Presenters, Volunteers and Committee members for their help and support throughout the year. Simon Watkins moved that the Development Report be accepted. NOTICES OF MOTION 5.1 Submitted by Management Committee That the Club Affiliation Fee to SNC for 2020/2021 Season be $50.00 Moved: Helen Green Seconded: Warren Philips SNC AGM 2019 3
5.2 Submitted by Management Committee That the Affiliation Fee for 2019/2020 for an Individual Member of SNC who is registered as a “swimmer” be $5.00 Moved: Helen Green Seconded: Brian Grant 5.3 Submitted by Management Committee That the Affiliation Fee for 2019/2020 for an Individual Member of SNC who is registered as a “non-swimmer” be $2.00 Moved: Helen Green Seconded: Warren Philips 5.4 Submitted by Management Committee That clause 29.5 be added to the constitution – please refer to Notice of motion Attachment 1 Moved: Warren Philips Seconded: Ian Smith 5.5 Submitted by Management Committee That clause 11.2 of the Constitution be removed and replaced with clauses 11.2 – 11.10 and subsequent clauses be re-numbered – please refer to Notice of Motion Attachment 2 Moved: Graham Canning Seconded: Simon Watkins NOTIFICATION OF CHAMPIONSHIP FEES Ann Pilkie, on behalf of the Management Committee advised the members that the cost of entries to 2019-20 championships will be $6.00 per individual entry, and $7.00 per relay entry. 6. ELECTION OF MANAGEMENT COMMITTEE Ann Pilkie stepped down as chair and Pat Troy chaired the meeting for the elections of the Management and Standing committees. 6.1 President: Warren Phillips – Port Macquarie Ann Pilkie – Laurieton Ann Pilkie withdrew her nomination, Warren Philips was elected unopposed. 6.2 Two (2) Vice Presidents: One North & One South North: Peter Brack – Kingscliff Faye Rowles – Twin Towns An election took place, Peter Brack was elected. South: Warren Phillips – Port Macquarie Ann Pilkie – Laurieton Warren Philips withdrew due to being elected as President, Ann Pilkie withdrew her nomination. SNC AGM 2019 4
Nominations were taken from the floor, Ann Pilkie nominated Joanne Hodgson (Bellingen), Jennie Riley seconded the nomination. Joanne Hodgson was elected unopposed. 6.3 Secretary: Jo Kilburn – Trinity Lismore Ann Pilkie – Laurieton An election took place, Jo Kilburn was elected. 6.4 Treasurer: Helen Green –Twin Towns Helen Green elected unopposed 6.5 Competition Coordinator: Helen Green – Twin Towns Andrew Jones – Taree Ann Pilkie – Laurieton Helen Green withdrew due to being elected as Treasurer, Ann Pilkie withdrew her nomination, Andrew Jones elected unopposed 6.6 Registrar: Helen Green – Twin Towns Ingrid Jensen – Trinity Lismore Ann Pilkie – Laurieton Helen Green withdrew due to being elected as Treasurer. An election took place, Ann Pilkie was elected. 6.7 Area Technical Swimming Coordinator (ATSCC): Ann Pilkie – Laurieton Jennie Riley – Woodenbong Ann Pilkie withdrew due to be elected as Registrar, Jennie Riley elected unopposed. 6.8 Development Coordinator: Helen Green – Twin Towns Simon Watkins – Trinity Lismore Helen Green withdrew due to being elected as Treasurer, Simon Watkins elected unopposed. The following Management Committee members elected for the 2019 to 2020 year were: 6.1 President: Warren Philips 6.2 Vice Presidents Peter Brack North Joanne Hodgson South 6.3 Secretary Jo Kilburn 6.4 Treasurer Helen Green 6.5 Competition Coordinator Andrew Jones 6.6 Registrar Ann Pilkie 6.7 Area Technical Swimming Coordinator (ATSC) Jennie Riley 6.8 Development Coordinator Simon Watkins SNC AGM 2019 5
ELECTION OF STANDING COMMITTEES 7.1 Area Competition Committee: Peter Brack – Kingscliff, Helen Green – Twin Towns, Joanne Hodgson – Bellingen, Ingrid Jensen – Trinity Lismore, Jo Kilburn – Trinity Lismore, John Miall – Wauchope, Alex Philips – Port Macquarie, Ann Pilkie – Laurieton, Simon Watkins – Trinity Lismore Ingrid Jensen and Simon Watkins withdrew their nominations, and an election took place. Peter Brack, Helen Green, Joanne Hodgson, Jo Kilburn, Alex Philips and Ann Pilkie were elected. 7.2 Area Development Committee: Helen Green – Twin Towns, Ingrid Jensen – Trinity Lismore, Jo Kilburn – Trinity Lismore, Helen Phipps – Coffs Harbour, Ann Pilkie – Laurieton, Kim Roach – Sawtell. Development Committee were endorsed as nominated. 7.3 Area Technical Swimming Committee: Janelle Barnett – Kempsey, Brian Grant – Port Macquarie, Helen Green – Twin Towns, Andrew Jones – Taree, Ann Pilkie – Laurieton, Jennie Riley – Woodenbong, Faye Rowles – Twin Towns, Simon Watkins – Trinity Lismore Jennie Riley was declared ineligible as she was already elected as the ATSCC. Janelle Barnett, Brian Grant, Hellen Green, Andrew Jones, Ann Pilkie, Faye Rowles and Simon Watkins were elected unopposed. Brian Grant moved a motion that all Ballot Papers be destroyed Seconded: Joanne Hodgson CARRIED Pat Troy thanked Lyn Connell and Josh Karp for their assistance as returning officers for the election. 7. APPOINTMENT OF AUDITOR Helen Green talked about the great service provided to the Association by Ian Barfoot of Club And Association Audit Services (CAAAS), and made the suggestion that she would be happy to use him for next year’s Audit. Helen Green moved that we continue using Ian Barfoot (CAAAS) as the Auditor. Seconded: Peter Brack CARRIED 8. APPOINTMENT OF PUBLIC OFFICER Warren Phillips moved that Ann Pilkie continue in the position of Public Officer for Swimming North Coast for the 2019 to 2020 year. Seconded: Joanne Hodgson CARRIED 9. APPOINTMENT OF PATRONS Ann Pilkie outlined that currently all Federal and State Members of Parliament are invited to be Patron’s of Swimming North Coast. Jennie Riley moved that all Federal and State Members of Parliament be invited to be Patrons of Swimming North Coast for the 2019 to 2020 year. Seconded: Brian Grant CARRIED SNC AGM 2019 6
10. SWIMMING NORTH COAST SERVICE AWARDS Ann read citations for both Awards which were presented to Margaret Cornall and Margaret Jopling OAM. 11. DATE OF THE 2019 AGM Ann Pilkie outlined the date as the 21st June 2020 at Woolgoolga RSL Club. Andrew Jones moved that this be the date of next year’s AGM Seconded: Peter Brack CARRIED Margaret Cornall spoke to the meeting and would like to have Ann Pilike’s long standing record of service to Swimming North Coast as past President recognised and noted.
