Friend of Family Medicine, As a valued organization related to the area of Family Medicine, we are asking you to consider joining us for our Winter Regional CME Conference. With your assistance, we are able to provide lifelong knowledge, professional, and personal value to our members, which will allow them to create better relationships with your organization. This event will allow you to reach out to those members and start fostering a beneficial relationship. MDAFP offers a variety of cost-effective ways to increase your organization’s visibility and attendee awareness. In this packet you will be able to review the different sponsorship and exhibitor opportunities and select the combination that maximizes your exposure and effectively builds your brand. ATTENDEES Attendees at the Winter Regional CME Conference include Family Physicians, family medicine residents, medical students, and other primary healthcare providers. Though years in practice will vary, as will practice profiles, this group represents buying power and embodies the frontline of healthcare delivery in their respective communities. CONFERENCE LOCATION Renaissance Baltimore Harborplace Hotel 202 E Pratt St. Baltimore, MD 21202 LODGING RESERVATIONS MDAFP has secured a room block for this event at a discounted rate. Reservations must be made by January 2020 We are including sponsors and exhibitors in our room block rate. General Guidelines and Information RATES AND CANCELLATION: Sponsorships and Exhibit fees include registration for two (2) representatives only. Registration is non-transferable after February 1, 2020. The cost for additional representatives is $100 each. (Platinum sponsor is allowed four (4) complimentary registrations.) Cancellations received in writing by December 17, 2019 receive a 50% refund with no refunds for cancellations after December 17, 2019. MDAFP shall not be liable for any damages or expenses incurred by Exhibitors or Sponsors in the event the conference is delayed, interrupted or not held as scheduled. CONFIRMATION/EXHIBITOR ASSIGNMENTS Contact Karlee Fowler if you have not received a confirmation of your received application form within 10 days of submission. Exhibit layout will be available when finalized. You will be notified of your exhibit space assignment no later than February 8, 2020. Exhibit space will be assigned based on sponsorship priority and thereafter on a first-paid basis. Exhibit space is assigned upon receipt of application and payment in full. Exhibit space locations are not guaranteed. MDAFP reserves the right to reject any application. FAILURE TO OCCUPY SPACE The Exhibitor will forfeit space not occupied by 7:00 am on Saturday, February 22, 2019, unless prior arrangements are made. Exhibitor’s space may be resold, reassigned or used by the conference management. If you are having difficulty meeting this deadline, please contact Karlee Fowler prior to 7:00 am on February 22nd to discuss alternate accommodations. SHIPPING AND RECEIVING OPTIONS Receiving - Boxes will be received and stored at the hotel for a fee. Pick-up for shipping - Exhibitors are responsible for going to the hotel’s Concierge Desk to fill out a shipping form and to pay for shipping arrangements at that time. MDAFP is not responsible for arranging pick- up. Contact Karlee Fowler for more information and to request a shipping form for this event.

Please note that this is an application process. You will be advised of your selection as a sponsor within 30 days of application submission. Payment will not be processed until sponsor is notified. Payment in full will be required within 30 days. If payment is not received within the designated time period, the sponsorship opportunity may be awarded to another applicant and sponsor logo may be removed from material. Exhibit space will be assigned first based on sponsorship priority and second on a first-paid basis for exhibitors. Space is assigned upon receipt of application and payment in full. Exhibit space locations are not guaranteed. MDAFP reserves the right to reject any application. CANCELLATION OR POSTPONEMENT OF MEETING In the event the Winter Regional CME Conference is postponed due to any occurrence not caused by the conduct of MDAFP or Royal Sonesta Hotel, or that such occurrence be an act of God or the result of war, terrorism, riot, civil commotion, sovereign conduct or any person(s) not party or privy to this contract, then the performance of such parties under this contract shall be excused for such period of time as is reasonably necessary after such occurrence to remedy the effects thereof, and in any event for the duration of such postponement. In the event that such occurrence results in cancellation of the conference, each party hereby releases the other from all obligations under this contract.
