The following guide will help you plan for your move into Student Residences. During your stay in the Student Residences the Accommodation Services and Residence Life teams will guide, support and manage your accommodation to ensure that you have the best possible experience. ACCOMMODATION FEES You can arrange to pay your accommodation fees by one of the following methods: One payment of full amount by: cash, debit card, credit card or bank transfer Direct Debit in 4 equal instalments (January – April) Recurring card payments in 4 equal instalments (January – April) If you choose to pay in one lump sum, payment must be made prior to your arrival. When making a bank transfer please ensure that you provide a reference number that includes your Name, Student ID Number and what the payment is for. Please note that you must have a UK bank account to set up a direct debit. Recurring Card Payment (RCP): 4 monthly instalments by credit/debit card from January to April. To set up a RCP using your debit/credit card you should login to the QMU Student Portal where you will see your invoice and the option to pay in instalments. Please ensure the invoiced amount excludes any payments you have already made (e.g. Prepayment of £250). If the invoice is not visible or your payments have not already been deducted, please contact the Finance Office before setting up the RCP. 1
RESIDENCE CONTRACT To view or print off a copy of your Residence Contract please login to your eAccommodation account. Your Residence Contract is a legally binding contract with Queen Margaret University. It cannot be ended after a few days or weeks if you decide to move to non-QMU accommodation or as a local student if you decide to return to the family home. Having accepted the contract electronically you should not enter into a contract with any other residence provider. Please note that the residence contract may extend beyond a student’s requirements. In such cases the University is unable to give refunds for any accommodation that is unused. As stated clearly in the Terms and Conditions of your Residence Contract (Sections 5 and 6), students who have accepted a contract for a room in the student residences must pay the full rent amount even if they leave halls and/or Queen Margaret University prior to the occupancy end date. RULES AND REGULATIONS When you live in halls, there are certain rules and regulations that must be observed. These conditions are outlined in your Residence Contract which is a legally binding document together with the accompanying Code of Conduct. The rules help to ensure the safety and wellbeing of all residents. You are sharing your accommodation with other students so it is important that you understand what is expected of you. All complaints or reported incidents of misconduct involving residents will be investigated by the Accommodation Office and disciplinary action taken where and when necessary. Please ensure that you are fully aware of your obligations. INSURANCE Every student in residence has a basic package of personal possessions and liability insurance which can be extended for an additional fee. The insurance is effective from the time you arrive until the end of your contract. Personal contents insurance is provided under the University Block Hall Scheme through Endsleigh Insurance. Details of your insurance cover can be found here. You can collect your insurance certificate when you arrive. When viewing your cover and choosing extra cover options, start to think about the items you’ll be taking with you to university, and which of these items you’ll take outside your room and may not be covered by the basic insurance package. 2

Using the wrong postcode or incorrect flat details may delay your mail from reaching you or result in it being returned to sender. Please note that you will only receive your flat and room number when you arrive. Please only arrange for luggage or any other items to be sent to you on or after your arrival. WHAT TO BRING WITH YOU Basic provisions for the first few days, until you have time to get to the shops Bedding and bed linen, including sheets, pillows and duvets. (Please note Standard Rooms have single beds and Premium Rooms have double beds.) Towels and tea towels Crockery – plates, bowls and mugs Cutlery and cooking utensils Pots and pans – a couple of saucepans, frying pan, baking tray Cleaning products and toilet roll If you decide to bring a television, you will need to arrange for your own TV licence. All rooms have a aerial point but we cannot guarantee the quality of the TV reception. More information can be found at www.tvlicensing.co.uk. All electrical equipment you bring must be of safe working order and of good condition. The above items can be either brought with you or purchased from local shops on arrival . Alternatively, you can also order some essential items before you arrive from www.Click2Campus.com and have them delivered to your room before you arrive. Please note that Click2Campus.com is not affiliated to the University. If you enter into a sales agreement with Click2Campus then it is your responsibility to ensure your moving in pack is delivered on time. For more information please contact them directly. INTERNET ACCESS Once you have matriculated you can connect your own computer to a network point within your room, or by using the Wi-Fi service. For further information regarding IT and technology at QMU please visit www.qmu.ac.uk/it. CARS As part of plans to encourage environmental sustainability, we advise students not to bring a car with them. Permits are granted according to set qualifying criteria and you must obtain a permit before bringing a car. For more details please visit www.qmu.ac.uk/travel. BIKES Our Student Residences have lockable bicycle sheds. Bikes may not be left in hallways or bedrooms. If you do bring a bike bring a lock and we recommend you top-up your basic insurance package to cover your bike. WHAT NOT TO BRING Items which are not permitted and which you should not bring with you include: candles, incense sticks, tea lights, BBQs, heaters, chip fryers, smoking equipment such as pipes and ashtrays, dartboards, weapons of any description either real or replica. Large items of furniture or equipment are not allowed in student accommodation for health and safety and fire safety reasons. Pets of any description are also not allowed. Any prohibited items you bring with you will be confiscated and may result in disciplinary action. 4
ARRIVALS Please do not arrive before the start date of your accommodation contract as your room will not be ready. Please remember to bring photographic identification (e.g. Student card, passport or driving licence) so that we can issue you with your keys. You can collect your keys from the Accommodation Reception which is located next to Block A of the residences. The Accommodation Reception is open from 9am until 8pm, Monday to Friday. If you are arriving outside these hours, please collect your keys from the Security Desk which is situated a minute’s walk away at the entrance of the Main Academic Building. MOVING IN PROCEDURES Your health, safety and wellbeing are our top priority. We have made a number of changes in response to COVID-19, so that we can ensure our residents are safe, secure and comfortable. Please ensure you have read and understand the guidance below when collecting your keys: In accordance with current Government restrictions on mixing of households, visitors are not permitted within the accommodation. If you are bringing a car, please park in the main university car park until you have collected your keys. Upon arrival please proceed directly to the key collection point (see above) to collect keys. The keys must be collected by the resident and only they will be allowed into the key collection area. Please wear a face covering in all indoor public areas. Please use the hand sanitising stations located at key points around campus. Please only use toilet facilities within your own room. Practice physical distancing at all times to ensure the safety of staff and fellow residents. Regrettably, there will be no luggage trolleys or staff available to assist moving items. If your arrival is delayed more than 24 hours please let Accommodation Services as soon as possible. 5
YOUR FLAT Though you will have your own study bedroom, you will be sharing a flat with other students. No cleaning service is provided and all residents are responsible for keeping their room and the communal areas tidy, clean and hygienic. There will be flat and room inspections throughout your stay so it is important to maintain standards of cleanliness. You must also be careful and keep your door locked and not to let strangers into your flat. Please be considerate of your flatmates and other residents when playing music or making noise. The first students arriving in a residence will find it cleaned and ready for occupation. People arriving later will be entering an environment that is already being lived in by earlier arrivals. While individual study bedrooms will all be cleaned, prepared and locked, communal areas will inevitably show signs of being occupied. Newly arriving students and their parents are asked to be aware of this. If you are an early arrival, please remember to show consideration to other residents arriving after you by making a special effort to keep the residence in a clean and tidy condition for them. WELFARE & SUPPORT The Accommodation Services team is on hand to give you advice and support whilst making sure that you are happy and settled in your new home. The team can provide mediation between flatmates, room moves and resolution of any complaints that are brought to their attention. ResLife Assistants are on duty every evening and every weekend. They are here to help you and can provide advice on a number of issues and signpost to other services. The University’s Student Services is a professional support department providing information, advice, guidance and opportunities necessary to support their successful experience and achievement whilst studying at QMU. Security can be contacted by dialling 0131 474 0000 and asking for ‘Security‘ when prompted. 6
GETTING HERE BUS: Lothian Buses services 30 and 45 operate from the campus on a regular basis into the city. Timetables are available online: http://lothianbuses.com/ TRAIN: The campus is served by Musselburgh Station (a few minutes’ walk away) which connects with Edinburgh Waverley Station in the city centre. The current train schedule can be found here: http://www.nationalrail.co.uk/ PLANE: Edinburgh Airport is the nearest airport to QMU. From Edinburgh Airport, you can catch the 'Airlink 'bus into the city centre and alight at the Waverley Station stop (just off Princes Street) then take a bus or train to campus. Alternatively, you can take a taxi from the airport direct to campus, costing approximately £35. CAR: QMU campus is situated to the east of Edinburgh city centre, by Musselburgh, although please note that vehicular access is only via a slip road off the A1 south- bound. You can find detailed directions on the following link: http://www.qmu.ac.uk/ the_university/access.htm SAT NAV: Please do not use the postcode as it will take you to the wrong entrance to the campus which is for buses only. Search for Queen Margaret University instead. 7
CORONAVIRUS RULES & REGULATIONS We take Government guidance about Coronavirus very seriously on the QMU campus. Therefore it is important that you follow the Government guidance about social distancing and self-isolation. This includes: Keeping a 2 metre distance from anyone you do not live with in all areas outside of your own flat, including reception, laundry, lifts, stairwells, the main academic building, catering outlets, and outdoor spaces. Wear a face covering in indoor public spaces like the reception, laundry, lifts, stairwells, and common areas. Use proper hand hygiene including frequent washing with soap and water and/or the use of hand sanitizer. Follow COVID-19 signage, particularly hallway and stairway directions, lift and room capacity limitations, and other notices. Self-isolate if you develop symptoms of COVID-19 or someone in your household does. If you develop symptoms of Coronavirus, you should arrange to get a test for free via the NHS Inform website and let the University know immediately. You can find out more about the symptoms of Coronavirus here. If you have any issues obtaining a test online, speak to Accommodation Services on 0131 474 0000 (say ‘Accommodation’ when prompted) who will be able to assist. While living in the student residences you and your flatmates will form a household and the government guidance for households should always be followed. It is also important that you respect the safety of all people who live and work in the student residences by following the guidance and procedures, and making every reasonable effort to minimise the risk of the spread of the virus. Failure to adhere to reasonable instructions from the University may lead to disciplinary action under the Halls of Residence Disciplinary Policy. You should also keep yourself aware and up to date with the guidance issued by the government. Please be aware that some breaches of regulations constitute an offence for which you could be prosecuted or fined. QUARANTINE RULES & INFORMATION Current Coronavirus regulations mean that most students travelling from outside the UK must self-isolate (quarantine) for 10 days on arrival. A small numbers of countries are exempt from quarantine measures so please take time to check the Scottish Government website for up to date information. If you are unsure of whether you will need to quarantine, please get in touch with Accommodation Services for further advice. If you are required to quarantine on arrival you must inform Accommodation Services in advance by emailing accommodation@qmu.ac.uk with the following information: NAME ARRIVAL DATE EXPECTED ARRIVAL TIME ON CAMPUS COUNTRY TRAVELLING FROM PHONE NUMBER Quarantine means you must travel straight to your student accommodation following your arrival and remain in your accommodation for 10 days. This is a legal requirement and the restrictions state that you can only leave your accommodation in limited circumstances, including: If you need to seek medical assistance If there’s an emergency which puts you at risk in your accommodation (including fire alarms) If you need access to basic necessities like food and medicines (but you should first try to arrange for these to be delivered) If you need to travel to leave Scotland, provided that you do so directly During your 10-day quarantine you should stay within your allocated room and avoid contact with other residents. When using the shared kitchen you should wipe down surfaces, taps, handles before and after you use them, keep kitchen use brief, wear your face covering, and eat in your bedroom. These steps will help reduce risk further. To help you settle into your accommodation quickly a bedding pack will be provided free of charge if you have informed us in advance that you will be quarantining. The pack will include a duvet, pillow, fitted sheet, duvet cover and pillowcase. If you develop symptoms of Coronavirus during your quarantine period, you should arrange to get a test for free via the NHS Inform website and let the University know immediately. You can find out more about the symptoms of Coronavirus here. If you have any issues obtaining a test, please email Accommodation Services or call on 0131 474 0000 who will be able to help you arrange a test. If you are ever unsure of your symptoms, call NHS 24 on 111. If you experience a medical emergency, call the emergency services on 999. 9
Food & Supplies Our campus catering outlet, Maggie’s Bar & Café, offer a pay as you go catering service to all students who have to quarantine meaning you can arrange to have meals and basic groceries delivered directly to your door. You can view the Quarantine Menu here. For more information or to place an order please email onlinecatering@qmu.ac.uk. If you need something urgently you can contact them on Facebook @MAGGIESBARANDCAFE. You can also check out companies like Deliveroo, Uber Eats, Just Eat and Domino’s who all offer lots of different takeaway food options that can be delivered directly to your door. To purchase your own groceries to cook in your kitchen, supermarkets like Tesco, and Asda provide an online delivery service that you can arrange once you have arrived on campus. To register and book a delivery slot, you are required to have a UK phone number. For your convenience, we have included a pay as you go UK sim card in the key envelope should you wish to use it. If you need food urgently, Shoply (Levenhall Village Store) , Uber Eats (Londis) and Deliveroo (The Co-op) can provide basic essentials within the hour. Please ask all food delivery companies to press the buzzer at the entrance to your block. From there, you can use the phone by your front door to allow them access into the building. If you don’t have a UK bank card, ensure your card is authorised for international transactions or consider obtaining a pre-paid debit card. This can be used for the first couple of weeks to pay for items such as online shopping before opening up a UK bank account. Mail You may receive post while you are in self-isolation. If so, this will come to Accommodation Reception or it will be put in your flat’s mailbox. It is important that you do not leave your flat to retrieve your mail. As long as you’ve notified us that you are quarantining we will deliver any mail received for you to your flat door on a daily basis. If you need something particularly urgent then please email reslife@qmu.ac.uk during office hours. 10
Laundry Unfortunately you will not have access to the laundry room whilst you are quarantining as this is a shared facility out with your flat. Please plan for this when you arrive and bring sufficient clothes and towels for the 10 day quarantine period. At the end of your quarantine please ensure all items that need laundered have been quarantined for at least 48 hours before going into the washing machines. Support A member of the ResLife team will be in touch via email or phone at the start of your quarantine to check in with you. Should you wish to reach out to them you can do so through reslife@qmu.ac.uk or 0131 474 0000 (say ‘Accommodation’ when prompted). Should you like extra support during this time, you can ask the ResLife team to contact you more often. The University’s Wellbeing Service can provide advice and support to students during this time. They can assist you with support throughout quarantine and your time at QMU. The service can be contacted by emailing wellbeing@qmu.ac.uk. Fire Alarms In the event of a fire alarm activation, you should evacuate the building by the nearest fire exit as normal but keep a 2-meter distance from others at the assembly point. We recommend that you keep a face covering within easy reach to wear when evacuating. 11
