RBC BLUESFEST MERCHANDISE ADVANCE 2019 Merch In Motion is pleased to return as the official merchandiser for RBC Bluesfest. Located in Ottawa, Ontario, Canada, RBC Bluesfest 2019 runs from July 4 to 14. We are expecting over 125,000 unique visitors and over 100 performers throughout this 10-day event. Please do not respond to mass emails. PLEASE note your artist’s name in the subject line of all correspondence for easy reference. MERCH AREAS: The main merchandising area is in the hustle and bustle of The Fort. The Fort Merch Tent is located at the bend in the road behind the main City stage. A second area is located at the main entrance in bowl. We have a minimum of 12 vendors on staff at any given time. HALL FEES: At RBC Bluesfest we sell your merchandise. We collect a 25% fee on net sales of soft/non-recorded merchandise (t-shirts, hats, posters, trinkets, etc.) and 10% on media (CDs, DVDs, vinyl, download cards, books, posters). Each location accepts cash, debit, and credit cards. There is no share of the credit card fees passed on to the Artist. TAXES: RBC Bluesfest retains the 13% HST (Ontario Harmonized Sales Tax) and submits it to the Canada Revenue Agency on all sales. If you wish to retain your share of the tax please provide your GST/HST number prior to settlement. A Federal Tax Withholding Performance Waiver Number does not apply to retail sales tax (you claim tax credits when your tour is complete). MERCHANDISE PRICING: For uniformity in pricing there is no headliner price matching. All Artists must price their main apparel items (shirts, tank tops, hoodies) at a minimum $30 price point. Any Ottawa Bluesfest event merchandise which lists performers will also be priced at a minimum $30 price point. Other apparel items such as hats and bandanas, and all media, can be priced at any level. All items must be priced in $5 increments. We discourage xxl upcharges.
RBC BLUESFEST MERCHANDISE ADVANCE 2019 MERCHANDISE LIMITS: Artists headlining the City Stage: 5 apparel and 3 trinket items. Artists headlining the Videotron and Bluesville stages: 3 apparel and 1 trinket item. All other artists - 2 apparel items and 1 trinket item. *If you are a major headliner playing as a double bill limits can be increased upon advancing. Please note that the same design on two different colored shirts counts as two apparel items, and the same design on a mens T and womens T counts as two apparel items. There is no limit on media titles. Independent Artists are limited to initially checking in 25 copies of your latest CD and 5 copies each of older titles/vinyl. If you sign up to participate in an Autograph Session after your set you will be allowed to check in more product on the day you play. CHECK IN: You can only check in at the Fort Tent with one of the merch reps listed above. You can find us at the Fort Tent location any time after 12 noon on weekdays (5:00pm doors) and 11am on weekends (2:00pm doors). Your stage manager can help with directions. If you need assistance to transport your merch please come see us to arrange for a golf cart. Early check in for big headliners should be arranged well in advance. RBC Ottawa Bluesfest works with AtVenu to provide real time settlements. If you use At Venu pleaseas to send a link request. To ensure we have your proper information at settlement please provide your full company information and tax number (if applicable) in advance or at check in. SHIPPING IN MERCHANDISE: If you will not be traveling with merchandise you can ship directly to the festival. For small amounts we also recommend shipping merchandise to your hotel (since it is open 24-7) and then bringing it to the venue when you do sound check. You may pre- arrange to ship in additional tour merchandise but storage space is limited so you must advance so we can pre-clear space and deliver the day before your show at the earliest. Please allow extra time for shipments as July 1 is a holiday in Canada so this does not count as a shipping day. * Note that we have had issues with Purolator shipments to this location due to their zoning system the postal code may come up as Gatineau QC and deliveries have ended up at the Humanities Museum in Gatineau (5 minutes away) so please mark Purolator packages clearly as OTTAWA” allow an extra time for Purolator deliveries, or ship to your hotel. If you will not have a rep and are shipping merchandise directly to the festival please e-mail a packing slip with selling prices, your company information and tax number (if applicable) and tracking numbers. Please notify us when your shipment(s) have arrived, or add greg@merchinmotion.com to the shipping notifications so we can more easily track your delivery and get your merch up for sale early.
RBC BLUESFEST MERCHANDISE ADVANCE 2019 Merchandise being shipped in must arrive NO EARLIER THAN THURSDAY JUNE 27th to the below location: RBC Bluesfest c/o Canadian War Museum- Atelier B 1 Vimy Place Ottawa, ON - K1A 0M8 – Canada Attn: OBF Merchandise Tent - Greg Campbell 519.854.8507 INTERNATIONAL SHIPMENTS: Please follow your courier’s commercial invoice guidelines and note the content (ie) 100% cotton, and country of origin (on the tag) for each item. Mark as shipping and customs charges billed to your courier account as RBC Bluesfest will not accept charges for any packages. Note that Customs regulations for shipments to and from the Canada have changed. For international shipments is it important to add the RBC BluesFest Tax ID Number: 86936-2780. Merch In Motion can help with importing/exporting and paperwork. Any shipments valued at more than $1500 CDN ($1100 US) will require additional brokerage paperwork so please contact Greg ahead of shipping to avoid customs delays. SELLING FOR MULTIPLE DAYS: You may choose to ship in merchandise early or leave your end of tour merchandise to sell throughout the remainder of the festival as room permits. All returns will be ready to ship on the Monday after the close of the festival. Larger acts may increase sales up to 20%. Smaller acts will do 90% of your sales on show day so selling for multiple days will not dramatically increase your sales. CHECK OUT: Acts checking out on show day will be checked out according to their placement on the bill. If there is a major headliner on your show day then non-headliner acts are advised to check out by 10pm or in the afternoon of the following day to avoid an extended wait. Because the festival is located on a temporary site if you have left your merchandise to sell to the end of the festival it will be ready for pickup and payment on Sunday the 14th unless you have made advance arrangements for Merch In Motion to handle your returns. If you are playing on Sunday the 14th you must check out within 1 hour after your set/signing session ends. The merchandise tent tears down throughout Sunday and there will be no one on site on Monday the 15th. Any merchandise that is not settled by Sunday the 14th is subject to a $25/box transportation fee to the Merch In Motion warehouse in London, Ontario and may not be accessible for up to 14 days after the event. Any Artists who have not provided settlement information by July 31 will have their show settled as Merch In Motion Inc and a $100 processing fee will be applied to your settlement.
RBC BLUESFEST MERCHANDISE ADVANCE 2019 SHIPPING OF RETURNS: During the festival we offer free drop off for Fed Ex and UPS packages providing you supply the shipping labels and all charges are to your account. The last drop off available is on the Monday following the last day of the festival. The artist is responsible for supplying a commercial invoice for international shipments. Costs associated with returns are the sole responsibility of the Artist. Please use the address below as the 'ship from' address as there will be no one on the festival grounds after Sunday. RBC BluesFest, 450 Churchill Ave, Ottawa ON K1Z 5E2, Greg Campbell 519.854.8507 PAYMENT: Payments for both merchandise settlements and artist settlements are issued by the accounting office in The Canadian War Museum Accounting Office located in Atelier D. After settling your merchandise we can provide transportation back to your bus and then on to the accounting office. Merchandise can be settled in cash, cheque or wire. Tour managers can save time by settling at the merchandise tent before proceeding to accounting for your performance payment. If you settle with AtVenu you will not have to go to accounting unless you wish to receive cash. Please note that the accounting office closes at midnight every show day and payments are not issued after 6:00 on Sunday the 14th. ESTIMATING YOUR SALES: Attendance can reach 15,000/day on weekdays and up to 25,000/day on weekends and for major headliners. Because this is a 2 week event with over 100 artists spread out over 5 stages, expect your per heads to be about 1/3 of a normal venue show. Previous merchandise sales estimates at RBC Bluesfest: Stadium Artist: $80,000 to $100,000 Arena artist doing more than $10/head: $50,000 to $80,000 Arena artist doing approx $7.50/head: $25,000 to $50,000 Arena artist doing approx $5/head: $15,000 to $25,000 Theatre artist doing more than $6/head: $5,000 to $15,000 Theatre artist doing less than $6/head artist: $2,500 to $5,000 Club artist: $1,000 to $2,500 Independent artist: $100 to $500 MEDIA STORE: We have great success with our Media Store selling new and back catalog from past and present artists that have appeared at Bluesfest. We receive product from all the major Canadian labels in advance so please contact your Record Company Representative to ensure all your titles are for on sale for the entire festival, especially if you participate in the Autograph Tent. Artists with limited distribution are encouraged to ship product in early to sell throughout the festival and bring vinyl !
RBC BLUESFEST MERCHANDISE ADVANCE 2019 AUTOGRAPH TENT: Due to its’ immense popularity we are again providing a secured autograph area within the main merchandise tent for artists from all stages. At times we can have have 10+ artist signings per day and up to 200+ fans at a signing. Festival goers are well aware of the autograph area and frequently check the autograph tent billboards, Twitter, and video screen ticker tape updates for artists and signing times. We encourage participation of all acts after your set. For larger acts we can provide security and barriers which can be tailored to your requirements. To manage time we can limit the number of people in line by issuing a fixed number of wristbands to fans who purchase your merchandise. Advancing your signing is appreciated so we can allocate resources (especially important for acts playing the Barney Danson Theatre). Our Autograph Tent Manager, Madeline Campbell, will co-ordinate your experience on show day. CO-OP EVENT MERCHANDISING OPPORTUNITIES: Ottawa BluesFest is all about the customer experience. We encourage bigger acts to produce special event shirts or posters on sale for the entire festival. Please note that your Artist Contract allows your name to be printed on the Ottawa Bluesfest Event Shirt and allows Ottawa Bluesfest to produce a limited amount of an event specific shirt if you do not advance that you will be selling merchandise at the festival by June 25. Please discuss opportunities with us ! BLUES IN THE SCHOOLS SILENT AUCTION: In support of our charity work we respectfully request the donation of items that can be used in the silent auction. More information can be viewed on the ottawabluesfest.ca website. Items can be shipped to the War Museum address above, included with a merch shipment, or brought to the merch tent by your artist rep. MERCHANDISING LOGISTICS: If you are a foreign act in need of merch assistance Merch In Motion can aid with brokerage, shipping, banking, tax refunds, avoiding tax withholding, warehousing of returns and provide design and printing services for not only BluesFest but Canadian tours.
