Now recognised as the largest arts festival in the world, theatre, comedy, cabaret, music, dance, physical theatre, spoken word, musicals, opera and exhibitions all have a place at the Fringe. Performer Information Pack - Edinburgh Festival Fringe 2018 THE FRINGE SOCIETY The Edinburgh Festival Fringe is co-ordinated by the Fringe Society, which is an administrative organisation with three major distinctive roles: • To provide advice and information on all aspects of participation for companies wishing to appear on the Fringe. • To publicise all Fringe Events by a variety of methods, but most importantly through the distribution of the free Fringe guide and the official Fringe website. • To operate a central Public Box Office selling tickets for all Fringe shows. The Festival Fringe Society produces a range of online booklets to help anyone interested in participating in the Fringe Festival from finding a venue to running a venue and not forgetting the definitive handbook “How to do a show on the Fringe”. Performer Information Pack - Edinburgh Festival Fringe 2018 JOINT VENUE POLICY Gilded Balloon, Assembly, Pleasance & Underbelly For the past 9 years the Gilded Balloon, Assembly, Pleasance and Underbelly have jointly marketed themselves by producing a joint brochure. This alliance is designed to develop the following aims and objectives: • To nurture, generate and produce the best possible programme of events, including all the arts, with a reasonable balance between comedy and theatre. The focus of the programme being on the new innovative, unusual and international. • To maintain and develop relationships with visiting companies. • To develop better recognition from funding bodies and sponsors. • To maintain and build on the individual character of each venue. • To provide a platform for visiting companies to get the best possible recognition from the press, radio, television, promoters and other International Festivals. • To run a linked computerised ticketing system to allow the public to buy tickets for Gilded Balloon, Assembly, Pleasance and Underbelly shows. • To maximise marketing and publicity 6
Performer Information Pack - Edinburgh Festival Fringe 2018 SERVICES & OPERATING INFORMATION Festival Fringe Dates The official dates of the Fringe are 3rd - 27th August 2018 The Gilded Balloon will run previews from 1st - 3rd August 2018 Performance Spaces We provide basic theatre facilities, most with raked seating, general lighting and sound equipment. All our theatre spaces are temporary, built especially for the Festival, so the details may vary from year to year. The plans of our performance spaces can be found on our website www.gildedballoon.co.uk. These plans will be frequently updated as additional information becomes available. This will also apply to spaces that are still in the process of being confirmed so keep checking the website regularly or call the main office for further details. Duration & Run Length Most shows chosen are available to play the full 3 weeks of the Festival, with previews in “Week 0”. Occasionally a show plays for week 1 & 2 only, but you should be aware that opening a show midway through the festival can sometimes be difficult. Most shows run between 50 minutes and 75 minutes without an interval. Obviously we do not disregard the epic project but the audience expectations are for short shows as well as having time to see many shows in a day. Scheduling Performances at the Gilded Balloon run from 10am—5am the following morning and each of the theatre spaces may present up to ten shows a day. However, despite the technical restrictions and tight turn around times, we can meet most requests if given advance warning. Some slots during the day and evening are perceived as better than others, however, it is also important to programme the right show at the right time and we will always provide you with our advice in relation to programming your show. Most importantly, you should know that the success of your show primarily depends on its quality, not its scheduled time. Rehearsal times are also constrained, so it is essential that you return your technical questionnaire promptly if your needs are to be met. While we encourage new work at the Festival we must stress that we can only allocate each company enough time to familiarise themselves with the space. This is also why we stress that you must ensure your show is fully rehearsed and prepared for its first performance before you arrive in Edinburgh. Staff Our technical crew are responsible for the efficient running of the space. It is not their direct responsibility to operate shows, although our technicians are qualified to do so if required (subject to an additional per show cost). Please see under ‘Discretionary Costs’ for further details. Front of House staff are provided for each venue. 7
Performer Information Pack - Edinburgh Festival Fringe 2018 SERVICES & OPERATING INFORMATION Box Office The Gilded Balloon Box Office is part of a wide network of Box Offices across Edinburgh. We provide a counter service within the venue, an external box office adjacent to the venue, telephone sales and 24hr ticket sales through our website. Being part of this wider network allows your tickets to be sold at numerous outlets throughout Edinburgh. Ticket Prices & Days Off The Gilded Balloon set these after consultation with you. Generally tickets are split into 3 pricing bands. Preview, mid-week and weekend. Most shows also opt for a concession price which is available for students, pensioners, unemployed and disabled customers. This structure is not set in stone but our advice would be to keep it simple. Further advice is available from the Box Office Manager. Publicity We produce a joint brochure with Assembly, Pleasance and Underbelly publicising all our events. We co-ordinate local, national and international distribution of 400,000 copies and direct mailing to our extensive data base, including major Festivals, organisers and promoters. Each visiting company is charged a fixed rate for entry into our brochure, which includes your show details, copy and an image. We will register your show on an online Portal which will then be used as a basis for your Fringe brochure and web entry. More detail will be provided with your offer to perform. Edinburgh Festival Fringe Brochure Entry All groups and performers with the Gilded Balloon are required to place an entry in the Edinburgh Festival Fringe brochure. The Gilded Balloon will collate the information about your show required for this entry and submit it to the Edinburgh Festival Fringe Society on your behalf. The cost of this entry will be charged to the group or performer by the Gilded Balloon who will then pay this charge to the Edinburgh Festival Fringe Society. Placing this entry automatically allows the Fringe to sell tickets for your show from their Box Office. Public Relations Our dedicated PR team promotes all Gilded Balloon venues, artists and companies who make up our programme as well as collaborating with the Fringe Office. The Gilded Balloon has its own Press Office and a compliment of Press Staff that will assist you and provide you with information on how to best publicise your show. However, the services of our Press Office should not be seen to replace strenuous promotional activities by the Visiting Company. Film and Audio Recording All television recordings during the festival must be cleared with the Gilded Balloon first and facility fees agreed upon. We would appreciate discussions concerning the first option on developing any performance presented for television, radio or recording purposes. If an independent producer gains a commission to film a production as a direct consequence of it being performed at one of our venues, then we expect to take a percentage of the production fee. 8
Performer Information Pack - Edinburgh Festival Fringe 2018 SERVICES & OPERATING INFORMATION Sponsorship The Gilded Balloon relies heavily on sponsorship. This does not prevent individual companies carrying sponsorship, but it does need to be cleared and approved by us. You should note that our sponsors usually include exclusion causes in relation to competitive branding. Drinks companies, for example, are sensitive about competitive brands. In the event that this is a problem we have the right of veto for visiting company sponsorship. If we raise sponsorship which is directly attributed to a visiting company production we expect to take 40% of the money raised as commission. Visas and Work Permits You currently do not need to hold a work permit to perform at the Edinburgh Festival Fringe if you are paying to come to the Edinburgh Fringe Festival or are a member of the EU. The Fringe Office applies for Permit Free Status, which means that overseas performers are permitted to work during the festival without a work permit. To make your entry into the UK as smooth as possible, we advise that you travel with an official letter from our General Manager, Rowan Campbell and one from the Fringe Society confirming that you are performing at the Gilded Balloon during the Edinburgh Festival Fringe 2018. It is very important that you check to see whether you are required to hold a visa to enter the UK under the Permit Free Festivals scheme. Please be aware that UKVISAS have introduced biometric collection for everyone applying for a UK visa. Biometrics (10 digit fingers scans and a digital photograph) will be collected upon visa applications. The immediate impact is that, whereas applications for visas were previously able to be done by post, online or through a travel agent without having to come to a visa section, now you will have to go into the nearest offices of the British mission overseas to enrol biometric data. The roll out of biometric data collection is an ongoing process and whilst not implemented in all countries at present it is enabled in quite a few with more countries being added to that list regularly. It is very important that you keep up to date with the requirements at the Embassy/High Commission in your country of residence for visa and biometric requirements. Performer Information Pack - Edinburgh Festival Fringe 2018 BOX OFFICE DEAL We Provide • The performance space for an agreed period of time in a specific time slot • General lighting rig and PA sound rig (exact details for each performance space available on request) • Box Office and Front of House staff • Venue Production Staff • Public Liability Insurance for the building You Provide • A show that is rehearsed and ready, complete with set, props, costumes etc • Your own cast and crew • Your own promotional material • You own Insurance and Public Liability Insurance. We reserve the right to refuse to store equipment, instruments, props etc if you do not carry adequate insurance cover. Facility Fee Facility Fee – 40% of the total Box Office Receipts or the Fixed Fee Guarantee (whichever is higher). Fixed Fee Guarantee – the minimum amount due for the hire of the venue. We will charge you a Facility Fee for the hire of the performance space and our services. We charge VAT registered companies 40% of the Net Box Office income as a Facility Fee. If this 40% is not met the Fixed Fee Guarantee is charged. We charge non VAT registered companies 40% of the Gross Box Office income as a Facility Fee. If this 40% is not met the Fixed Fee Guarantee is charged. We calculate the Fixed Fee Guarantee by working out what our split (40%) of the total Box Office income would be if you sold an average of 40% capacity over the full run based on average ticket prices. Deposits & Value Added Tax We charge a deposit at the time of confirming your inclusion in the programme. This is 40% of the Fixed Fee Guarantee (due in 2 instalments) plus brochure entry and publicity fee costs (see mandatory costs for further details). This deposit secures your performance space and performance time at the Gilded Balloon. All charges, both mandatory and discretionary, facility fees, services and equipment are supplied subject to VAT at the current rate. Settlement The percentage split is calculated using the total Box Office income from both the venue and the Fringe Box Office, before any deductions are made. The Fringe Society deduct 4% commission before the Fringe Box Office income is passed onto the Venue. The combined Venue and Fringe Box Office income, less all deductions are then paid to the Company. The Gilded Balloon requires the Fringe Box Office income (less deductions) to be paid directly to them prior to distributing to Visiting Companies. 10
Performer Information Pack - Edinburgh Festival Fringe 2018 BUDGETING YOUR SHOW Calculating Your Facility Fee Follow these steps as a guide to calculating your approximate Fixed Fee Guarantee that you will need to pay to the Gilded Balloon out of your final Box Office income: 1. Choose a performance space, note its capacity. 2. Work out your average ticket price. 3. Multiply the capacity by the average ticket price then multiply the result by 27 performances to give your potential gross Box Office income. 4. Take your expected minimum attendance (this is normally 40% of the total capacity) and multiply by your potential gross Box Office income. 5. Calculate 40% of this figure and this is the Fixed Fee Guarantee which Gilded Balloon will expect as a minimum return. 11
Performer Information Pack - Edinburgh Festival Fringe 2018 MANDATORY COSTS Venue Box Office Commission We charge 4% +VAT commission on gross Box Office sales made through our Box Office to cover the cost of ticket printing and credit card charges. Fringe Box Office Commission The Fringe Society charge 4% +VAT commission on gross Box Office sales made through their Box Office to cover the cost of ticket printing and credit card charges. Gilded Balloon Publicity Fee (These costs may be subject to change for 2018) There is a charge towards the cost of publicity, which covers an entry in the joint venue brochure. The publicity fee varies, depending on the size of your entry into the brochure. The publicity fees (which include entry into the Joint Venue brochure) for 2016 were:- • Single Entry (limited run) - £300 (£250 excl VAT) • Single Entry (full run) - £600 (£500 excl VAT) • Double Entry - £1080 (£900 excl VAT) • Quad Entry - £1920 (£1600 excl VAT) Fringe Brochure Entry (These costs may be subject to change for 2018) The Fringe Brochure entry fees for 2016 were:- • Full run - (6 or more performances - discount rate) - £295.20 (£246.00 excl VAT) • Full run - (6 or more performances - full rate) - £393.60 (£328.00 excl VAT) • Limited run (3 to 5 performances) - £204.00 (£170.00 excl VAT) • Limited run (1 or 2 performances) - £96.00 (£80.00 excl VAT) PRS (Performing Rights Society) If you use music during any point in your show including the audience get in/out, whether live or recorded (including film and video), you are liable for PRS royalties. Every show must complete and online PRS form for the Fringe Society. This applies even if you are not playing music. The Fringe and Fringe venues have an agreement with the Performing Rights Society on the calculation of PRS. The Gilded Balloon will provide each group or performer with the appropriate form and indicate when the form must be completed and returned by. Performer Information Pack - Edinburgh Festival Fringe 2018 MANDATORY COSTS Foreign Entertainers Tax If any members of your company are not resident in the UK for tax purposes, then you may be liable to pay Foreign Entertainers Tax. To see how much tax, if any, you will pay you need to submit an FEU8 (Reduced Tax Application) form to HMRC (Her Majesty’s Revenue & Customs). If this paperwork has not been processed, the Fringe Society and the Gilded Balloon are legally required to withhold the Box Office takings until the tax has been calculated. Any claim for a repayment of tax withheld must be made directly to HMRC. Further to this we are legally obliged to deduct tax at the basic rate unless an arrangement has been made with the Foreign Entertainers Unit and they have issued an amount other than the basic rate tax. Applications sent after 31st August 2018 may be refused. Internal Revenue will then inform us of any reductions and we will take that into account when we do your final Box Office settlement. Insurance Visiting Companies must arrange their own insurance for public liability, company members and equipment, as well as any damage to the venue building and its contents or injury to the venue staff caused by the Visiting Company members or equipment. 13
Performer Information Pack - Edinburgh Festival Fringe 2018 DISCRETIONARY COSTS Technical Staff Each performance space is maintained by technical crew who help with the get in and changeovers. You can bring your own operators or pay an additional charge for use of one of our crew if you need more technical help. Technical Staff Charges: • £20 for initial member of technical staff required to operate your show (charged per show) • £5 for each additional member of staff required to operate your show or assist with turnaround (charged per show) • £15 if you only require a member of technical staff to do ‘lights up/lights down’ for your show, not fully operate it (charged per show). Shows in the Debating Hall are subject to further charges, depending on how many members of staff are required to operate your show (LX, SX, SM & ASM all available). Details of exact costs are available from our Production Manager. Sales Commission On Merchandise All merchandise sold from our Box Office will be charged commission at 25%. All merchandise sold within the premises after the show by a member of your company will be charged at 15%. Arrangements for the selling of goods outside your venue must be made with the General Manager/Box Office Manager prior to the start of the Festival. Office Use There is a charge for the use of photocopiers, personal computers and the printing of documents. Internet Access Internet access in available in the Cafe area at the Gilded Balloon Teviot, wifi is also available throughout the building. Please Note That all charges both Mandatory and Discretionary, facility fees, services and equipment supplied are liable to Value Added Tax (VAT) at the current rate. 14
Performer Information Pack - Edinburgh Festival Fringe 2018 OUR VENUES Full Technical Specs and Plans can be found on our website GILDED BALLOON AT TEVIOT From the grandeur of the Debating Hall and the atmosphere of the Nightclub to the intimacy of the Wee Room. Teviot offers a wide range of performance spaces supplemented by great bars and cafes and a central Box Office. DEBATING HALL Capacity 350 The largest of Teviot Venues. The venue is based in the Debating Chamber with the stage area being 11m x 5m, height 1m and a grid height of approximately 6m. The Debating Hall has a full moving lighting rig, full PA system with at least 4 ways monitoring and a large storage and dressing room area. Just over half of the seating is on the flat with the back rows raked. There is approximately 20 seats on the upstairs balcony. This venue has housed a wide range of show genres including children’s shows, physical theatre, comedy, impro comedy, music, dance, theatre, the final of ‘So You Think You’re Funny?’ and the infamous flagship show Late ‘n’ Live. DINING ROOM Capacity 120 Perhaps the most formal performance space within Teviot Row House. The stage area is 6m x 4m and flat on the floor, the height from the stage to the lighting grid is 4m. The Dining Room lighting rig has a warm and cold wash and a down stage centre special, some moving lights and LED colour changers, vocal PA, complete with microphones and CD player. The Dining Room has a large dressing and storage area. All seating is raked. This venue has played host to children’s shows, international and UK theatre as well as top rate comedy. NIGHTCLUB Capacity 145 seated/300 standing The Nightclub (which includes a balcony), has an irregular shaped stage, is approximately 3.6m x 3m, 0.4m high with a stage to lighting grid height of 5m. This venue has both moving light profiles and LED colour changing wash light fixtures, as well as a warm and cold wash and downstage center special. There is a vocal PA complete with microphones and a CD Player. A storage and dressing area is available. There is seating on the flat at both ground and balcony levels. This venue also has standing as part of the capacity and is suitable for theatre and comedy. 15
Performer Information Pack - Edinburgh Festival Fringe 2018 OUR VENUES WINE BAR Capacity 150 The stage area is approximately 5m x 3.75m, 0.6m high, the lighting rig has a warm and cold wash and a a down stage centre special, some moving lights and LED colour changers. This room has a more substantial PA system with a base bin and three way monitor mix, making it suitable to music as well as comedy and theatre. Storage space and dressing room area is available. Seating on the ground floor and upstairs balcony is on the flat. The venue lends itself to either formal arrangement or can be transformed to cabaret style. BILLIARD ROOM Capacity 106 The Billiard Room is a favourite room amongst new performers, as it is a low capacity and has a great atmosphere. The stage is 6m x 3m, height approximately 100mm, in a formal black box. The lighting rig in The Billiard Room is made up entirely of colour changing LEDs from the front, sides and template wash from a 3/4 back position. The sound system is complete with vocal PA, microphones, and a CD Player. There is a small amount of storage and dressing space back stage in this venue. Depending on the needs of the season, there is also a crossover backstage. Seating is on the flat, apart from the back rows, which are on a small rake. BALCONY Capacity 60 The Balcony is one of the smallest of the Teviot venues. The stage height is 100mm with an area of 4.8m x 2.4m, in a formal black box. The lighting rig in the Balcony is made up entirely of LED lighting fixtures; front and side lights as a 3/4 back template. The sound system is complete with a vocal PA, microphones, and a CD Player. Seating is on the flat and raked at the back. This venue is fully air conditioned with available storage and dressing room space. SPORTSMANS Capacity 90 This superb theatre space has raked seating and a raised stage. The stage height is 450mm approximately with an area of 5m x 2m. The lighting rig has a warm and cold wash, a down stage centre special and LED colour changers. It has a vocal PA, complete with microphones and CD player. Dressing area and storage space is available. The Sportsmans has hosted small theatre productions, comedy and physical theatre. 16
Performer Information Pack - Edinburgh Festival Fringe 2018 OUR VENUES WEE ROOM Capacity 50 The Wee Room is an intimate performance space with flat seating. The stage dimensions are approx 4m x 2m, in a formal black box format and the lighting rig has a warm and cold wash with a down stage centre special and LED colour changers. It has a small vocal PA, complete with microphones and CD Player. Dressing area and storage space is available. THE TURRET Capacity 50 The Turret is almost identical to the Wee Room but is on the top floor of Teviot. The stage dimensions are approx 4m x 2m, in a formal black box format and the lighting rig has a warm and cold wash with a down stage centre special and LED colour changers. It has a small vocal PA, complete with microphones and CD Player. Dressing area and storage space is available. Both the Wee Room and The Turret are perfect for standup comedy and small theatre productions with minimal set and props. GILDED BALLOON AT THE MUSEUM AUDITORIUM Capacity 210 This superb theatre space has raked seating and a raised stage. The stage area measures 7m long x 3m deep x 300mm high. The lighting rig has a warm and cold wash with a down stage centre special and LED colour changers. It has a vocal PA, complete with microphones and CD player. There is a dressing room and storage area for larger sets. There is a projector and back cyc in house for use, with the ability to project from the ops box onto a wall cyc. Please note that the cyc is NOT floor to ceiling - it is more like a movie screen There is no capability to fly anything over head in the Museum auditorium. Performer Information Pack - Edinburgh Festival Fringe 2018 OUR VENUES GILDED BALLOON ROSE THEATRE The Rose Theatre was founded by esteemed ballet dancer and director Peter Schaufuss. The completed venue will bring four brand-new, mid- scale theatre spaces to Edinburgh’s city centre, with its Main Theatre space housing 300 seats. For the Fringe the Gilded Balloon take over the entire building to present an eclectic programme of over 40 productions. ROSE THEATRE Capacity 300 Accessibility: Please be aware this venue can only be accessed by 40 stairs up. The largest and most spectacular performance space at The Rose Theatre. Fully refurbished with built in church style pew seating and a stage area of approximately 6m by 6 under a proscenium arch. Suitable for musical theatre, theatre, comedy and cabaret, however here are no flying facilities in this theatre. BASEMENT Capacity 120 seats Accessibility: Please be aware this venue can only be accessed by 12 stairs down. The second largest space at The Rose Theatre, a versatile underground space perfect for music and cabaret shows with a small bar at the back of the room. With a stage area of 5m by 4m with a low ceiling height of only 2m above the stage. Studio Capacity 100 seats Accessibility: Please be aware this venue can only be accessed by 73 stairs up. On the top floor of the Rose, next door to the Attic, our Studio space has been designed to host theatre, m,usical theatre and cabaret shows. With a stage area of approximately 3.5m by 3m.
