Review of Goals The goals of CCA shall be made available to each staff member and each parent of students in the school and shall be reviewed annually by every staff member. Revision of Goals The administrator shall provide opportunity at least annually for parents and staff members to suggest changes in the goals of CCA. All suggested changes will be made only upon the consensus of the staff and the approval of the School Board. Use of Goals Enduring goals will be used to guide the school in its decisions regarding recruitment, retention and development of teachers and students and in the preservation of the spiritual, academic, socio-emotional and physical ministry of the school. Philosophy Cloverhill Christian Academy (CCA) is a ministry of Cloverhill Church. As a ministry of the church, CCA will support the vision, goals, and objectives of the Church. This means that CCA, its employees, faculty, staff, and student body will operate in full harmony with the ministry and programs of the Church. Facilities will be shared equitably between the Church and all its affiliated ministries. This includes the principle of shared usage and accountability for all Cloverhill Church assets and property. All assets, to include property and supplies are owned and administered by Cloverhill Church. This philosophy of shared values between CCA and the Church and the philosophy that CCA is a ministry of the Church is the guiding principle, which shall direct and influence all business and academic decisions relating to the operation of CCA. The educational philosophy of CCA is based on a theo-centric view that all truth is God’s truth, and that the Bible is the inspired and infallible authoritative Word of God. Upon this foundation our students will develop a Christian perspective on the total worldview. The philosophy fosters a proper understanding and acceptance of a person’s role in life, all grounded in Christian principles. Adherence to this philosophy guides us to promote the highest academic standards while helping students to achieve skills in creative and critical thinking, using the best curriculum available, encompassing Christian integration where possible. The preschool incorporates a structured, academic curriculum with a development program. Kindergarten implement a rigorous, structured, and demanding academic program. We believe that a well-rounded student will demonstrate discipline and expectation in spiritual, intellectual, and physical areas. Therefore, we teach spiritual values in all areas of the curriculum. All activities, both curricular and co-curricular will either facilitate or reinforce this Christian educational philosophy. This philosophy mandates that we create partnerships with parents in every phase of the student’s development, always offering assistance in understanding the purpose of CCA. This Philosophy of Christian Education for CCA shall be the guiding tool for applying Biblical principles to teaching practices. Any use of materials or practices inconsistent with this Philosophy of Christian Education will not be permitted. The Board shall apply this Philosophy of Christian Education in all Board meetings. All CCA faculty and staff members shall apply this Philosophy of Christian Education in their daily work for CCA. Employees shall be committed to fulfilling the principles outlined in the Philosophy of Christian Education in every reasonable way possible. Prayer Providing an atmosphere of thankfulness and spiritual growth in each child’s life is a goal at Cloverhill Christian Academy. Children will say a blessing before lunch and snack. Children may also have a time during their Bible lesson to make prayer requests known to the class and Cloverhill Christian Academy 2020-2021
to pray for individual needs. This time is highly encouraged and children learn quickly that God listens to their prayers and that He answers. Chapel time is another important part of our program, led by the Children’s Director at Cloverhill Church. The Kindergarten will gather in the Gathering Hall for a time of praise and worship, and the following elements communicated over the course of the year: God made me, I am special, and God has a plan for my life. These topics are communicated in a fun, loving atmosphere. **Due to COVID, we are unable to do chapel this year** Cloverhill Christian Academy 2020-2021
Parents as Partners Agreement At Cloverhill Christian Academy, we believe that it is a critical factor to our community success that we establish and maintain a professional and trusting working relationship with the parents of the children attending our school. We consider each parent at our school partners with us in the education of their child. Upon enrollment, and at each subsequent annual enrollment, each parent will be asked to sign a Parents as Partners Agreement. This agreement states the mission of Cloverhill Christian Academy and the staff will provide the following to the parents of the school: • Written and verbal communication with parents that is open and honest in regard to their child and the class. • Respect for the opinions and beliefs of each parent in regard to their child. • Follow-through on reasonable requests made by each parent. • Lunch is provided by the parents daily • Morning and afternoon snacks are also provided by the parents daily o Label each snack with child’s name and “a.m.” and “p.m.” Attendance Attendance is directly related to academic achievement. According to the law, it is the parents’ responsibility to ensure the student attends school and is punctual. Although assignments can be made up for excused absences, nothing can replace the classroom experience, the teaching, discussion, and interaction that fosters learning. Tardies A student is considered tardy if they are not in their classroom by 8:15 am. Students tardies will be considered excused for the following reasons: • Medical appointments • Traffic • Family Emergencies Absences Absences fall into 2 categories, excused and unexcused. When a student has been absent, the parents need to submit a signed and dated note stating the reason for the absence on the day he/she returns. Failure to provide a note will result in the absence being recorded as unexcused. Excused Absences The following are appropriate reasons for absences. This is not all inclusive list and is up to the discretion of the director. • Illness • Medical or dental appointments • Family emergencies • Funeral attendance and bereavement Excessive Absences Classroom attendance and participation is vital to the learning process. Excessive absences, whether excused or unexcused, have detrimental effect on the learning. A student who is absent from a class more than 15 times within a semester, whether excused or unexcused, may receive a reduction in grade or loss of semester credit for the course. Extenuating circumstances, such as prolonged illnesses, may be considered with proper documentation. Families will be notified in writing when students are absent more than 10 days. Parents will make request in writing to the Head of School, who has the final approval of waiver of this policy. Requests for Missed Assignments When a student is unable to attend school, a parent may call the school office and request work to be Cloverhill Christian Academy 2020-2021
collected and brought to the school office to be picked up by the parent/guardian. When the student returns to school, an excuse note should be given to the office. At that time, the student will be given any work outstanding from the days(s) of the absence. Late Policy The late fee will apply as follows: • 3:30 to 3:40 p.m. a charge of $10.00 per child, per teacher will apply. • After 3:40 p.m., the charge of $10.00 per child per teacher will apply, as well as $1.00 per minute, per child, per teacher for every minute thereafter. The late fee will apply as follows if a child is in after care: • 5:01 to 5:10 p.m. a charge of $10.00 per child, per teacher will apply. • After 5:10 p.m., the charge of $10.00 per child per teacher will apply, as well as $1.00 per minute, per child, per teacher for every minute thereafter. Immediate payment to the teachers directly is preferred, but required no later than the next morning. If payment does not occur, it will be added to the family’s account. Late notices are recorded in a family’s permanent file. Continual late pick-ups may be considered a breach of the Parents as Partners Agreement and may result in a family being asked to remove their child from the center permanently. Academic Standards Kindergarten students will use the following grading system: E - Excellent S - Satisfactory P - Progressing N - Needs Improvement Parent Teacher Conferences CCA believes it is very important for school and home to work together. In order to promote effective communication and understanding, parents are asked to cooperate with the following guidelines: Parents will have the privilege of meeting with their child’s teacher(s) in a personal conference at the end of the first nine-weeks grading period. Teachers will also use letters, phone calls, regular progress reports, and web-based tools to communicate with the parents. It is important that each parent schedule a conference with a teacher whenever a need or concern is evident. Parents should not feel limited to the personal conference. Many needs can be met through a simple conference between parent and teacher. Concerns need to be shared first between the parent and teacher. The principal is interested in all areas concerning students and the school and will be available for parent-teacher conferences following the initial parent-teacher contact. Retention Children develop and mature on their own timetables. Therefore, we are careful to see each child as an individual. We love to see them learn the basics and build on these foundations. This is essential for future success. We do not want to rush them into strenuous academic arenas before they are emotionally, developmentally, or academically ready to handle what is ahead. Our priority is the success of our students. There are times when it may be necessary to discuss the retention of a child to give them an extra year to appropriately develop skills, concepts, and/or foundations, and/or to further develop emotionally or socially. Particularly in Kindergarten, a report card grade may not reflect the challenges the student is experiencing; the A-Beka curriculum is geared towards building confidence and demonstrating that there is a measure of progress in the emerging student. Therefore, at this level grades do not always reflect the child’s struggles. Retention will be considered under the following circumstances: • Overall struggle to grasp concepts and/or ongoing frustrations • Immaturity • Below average performance throughout the school year in either math or phonics • Difficulty communicating thoughts logically Suspension The administrator has at all times the authority to suspend a student. The length of suspension will be 1-5 days as determined by the administrator. The reasons, which would give cause for suspension, are: • Continued deliberate disobedience/disrespect displayed. • A rebellious spirit that is unchanged after much effort by the school staff. • A continued negative attitude and bad influence upon other students. • A serious breach of conduct inside or on grounds of the school that has an adverse effect upon the image of the school. • Failure of the student to comply with the disciplinary actions of the school. • Failure of the parents to get recommended professional help for exceptional children. Expulsion A student may be expelled from school for a serious breach of conduct, and/or repeated problems with behavior or academic performance. Procedure: • In the case of such an offense, the matter will be referred to the Administrator. • The Administrator will then make a decision as to expulsion. • The Administrator has the authority to expel any student for non-compliance with the rules and regulations of the school. • If a student is expelled from CCA, the parents are still obligated to pay the full year’s tuition. Holiday and Center Closings Please refer to our Annual School Calendar for days off and holidays, we follow Chesterfield County School Calendar. Cloverhill Christian Academy 2020-2021
Closing Due to Weather or Emergency At Cloverhill Christian Academy, we strive to maintain normal hours of operation at all times. However, unforeseen events may prevent us from providing childcare during normal hours of operation. Such events include but are not limited to, severe snowstorms, ice storms, electrical or water failure. For any weather related closings, we follow Chesterfield County Schools: if they close we close, if they have a 2- hour delay, we have a 2-hour delay (mindful that we open at 8 a.m. – a two hour delay means we open at 10 a.m.) In all emergency situations, families will be notified via phone contact or e-mail. Clothing and Personal Belongings Children are busy at Cloverhill Christian Academy and we are asking that they be dressed in clothes that are comfortable and will allow them to participate fully in the planned activities for the day. Due to safety, all shoes must be closed toe. Every day, weather permitting, the children will go outside. All coats, hats, and gloves must be labeled with your child’s name. We do ask that you refrain from bringing in personal toys from home. We also ask that each child have the following items every day: Meals and Snacks Children have better dispositions and learn better when they have been properly fed. Please be mindful to pack healthy food to ensure they are getting proper nutrition. With the national concern for childhood obesity, we encourage you pack healthy snacks with little sugar. In addition, we will encourage children to drink a good amount of water each day, parents will be asked to provide an age appropriate water bottle each day to maintain proper hydration, build their immune system, and aid in brain development. Parents need to give strong consideration as to whether or not a child should attend the center if they are on prescribed medications, such as steroids, that may alter a child’s behavior, cause a child to need constant one-on-one care, or cause unusual discomfort. It is at the discretion of the Director or Assistant Cloverhill Christian Academy 2020-2021

The child may be able to attend the center if there is a doctor’s note on file describing the very specific condition, and the symptoms that may appear. Some of these conditions may include: seasonal allergies, clogged tear ducts, gastric reflux, eczema, etc. Health Alert A Health Alert will be sent home as soon as a communicable illness/body infestation is confirmed. Extended Dispersion of Over-the-Counter Medication Over-the-counter medications are not intended to be given for extended lengths of time. Therefore, if a child needs to be given pain reliever, cold medications, etc. more than once a day for more than 2 days in a row, a doctor’s note must be submitted in order for the medication to be administered for an extended amount of time. Prescription/Non-Prescription Medicine Children’s non-prescription and prescription medicine will be kept in a locked container and be inaccessible to children. Medicine can be administered at the center only with the following guidelines: • Medicine Dispersion form must be filled out. • Medicine must be in the original container, manufacturer’s directions on the label, not expired. • The container must have the child’s full name written on it. Behavior Policy Cloverhill Christian Academy staff believes that children who are directed in a manner that reinforces positive behavior, and who are encouraged in appropriate behavior, are less likely to misbehave. The staff will work to help children understand why certain behaviors are not acceptable, and guide them to make appropriate choices of acceptable behaviors. Children will learn that their behavior affects other people and things, and that there are positive and negative consequences to what they say and do. Parent Involvement at Cloverhill Christian Academy Parents are a vital part of Cloverhill Christian Academy’s community. We welcome parent’s involvement. If families arrive after 8:45 am, there is a door buzzer to alert us. Please wait for a staff member to let you in and conduct our health check as required. Due to Covid, teachers will be taking attendance in classrooms daily. Parents are asked to drop their child off at the classroom door and not enter the room in order to limit the number of people in the classroom. Child Security Children will be released only to their parents or persons listed on the Child Release Form that is kept in their personal file. If a person is not listed on the Child Release Form, a parent may call the center and inform the office of a change in pick up. For a one-time-only pick up, contact the office. Any person unfamiliar to a staff member will be asked to show identification in order to release the child. Parents need to inform family and friends of this policy, to avoid any confusion when picking up a child. Car Seat Policy Cloverhill Christian Academy fully supports Virginia’s laws in regard to child safety seats. In Virginia, all children under age 8, or weighing 80lbs or less, must be in a child safety/booster seat. It is our expectation Cloverhill Christian Academy 2020-2021
that the parents who attend the center will follow the Virginia laws. Our policy, due to insurance reasons, the staff of Cloverhill Christian Academy is not allowed to buckle in your child (1/2 day students). If someone else picks up a child, parents need to have a car seat left at the center for that person to use. If no seat is left, Cloverhill Christian Academy will provide a loaner car seat, if one is available at the time. The loaner must be returned the following day. If the seat is not returned, the family will be charged $5.00 a day until the seat is returned. Child Abuse Prevention Policy At Cloverhill Christian Academy, it is our moral and legal obligation to report, at any time, if we have reason to suspect any incidences of child abuse or neglect, to the Virginia Department of Social Services. Severe Weather Procedure In the event of a tornado warning, the children will be taken to the lower level, to the area designated as a storm shelter. Fire Safety The children will participate in monthly fire drills. A fire evacuation plan is posted in each room. Adjusting to Cloverhill Christian Academy Adjusting to change takes time and can be difficult. Almost all children have some fears and doubts about separating from their parents, especially if it is their first experience with a new child care environment. It may take a few days for your child to adjust to the new situation. Talk to your child about the upcoming changes in a positive way. A cheerful goodbye kiss and hug will help to reassure your child that you will return soon. Please feel free to call us during the day to see how your child is adjusting. Usually, it only takes a few short minutes after you leave and the tears dry and your child becomes involved in his class room setting. Thank you for choosing Cloverhill Christian Academy!
