Because we know the importance of leadership and staffing, each of our consultants has served as a nonprofit staff leader, board member and/or key volunteer. This experience, coupled with extensive training and years of consulting, gives our team the expertise and strategic ability to deliver our services to all segments of the nonprofit sector, including community-based service agencies, human serving enterprises, faith- focused institutions, associations, foundations, health care entities, arts/culture organizations, education institutions, and senior living/aging communities. THE OPPORTUNITY: PROJECT MANAGER As a central role in the firm, the Project Manager provides support in the consistent and timely delivery of high-quality, customized solutions to clients, prospective clients, and for internal projects. This role will serve in all the firm’s service areas, but will focus primarily in the area of Executive Search. The Project Manager, alongside the Project Lead, will interface with the client, offer input and recommendations, answer questions, and be the initial primary contact with all candidates. It is a role that is approximately 50% external (with clients, job applicants, partners) and 50% internal (with the KEES team). Clients we are Proud to Serve
PERFORMANCE OBJECTIVES Client Relationship and Service Management • Work closely and proactively with team members at all levels to anticipate, delegate and/or execute tasks critical to the delivery of high-quality service and work products. • Facilitate professional and expedient communication among and between the KEES service team and clients. • Proactively project manage multiple, complex Executive Search client partnerships as assigned, including interviewing stakeholders; writing job descriptions / performance expectations; drafting plans, timelines, and reports; developing candidate screening questions; utilizing our online Applicant Tracking System (ATS) and CRM (Zoho); performing candidate phone screenings; drafting a narrative write-up of a candidate profile; scheduling interviews; and supporting the overall client interview process. • Support the candidate outreach process for each search, including conducting research on candidates, initiating telephone outreach to support email and social media initiatives, and ensuring advertisement is visible in key locations. • Issue regular communications (weekly/biweekly) to clients on the status of the project and upcoming timeline/needs. • Facilitate search closing steps, including reference and background checking. • Track candidates placed by KEES, including titles, hiring manager, salary ranges, dates, etc. • Support consulting projects in Human Resources, Specialty and Interim Staffing, and Leadership Development in the areas of project management, timelines, client communications, research, etc. • Serve clients directly, as needed and appropriate for skill set, as interim staff in Specialty and Interim Staffing assignments. • Serve as an editor of materials such as presentations, work plans, timelines, candidate reports and other related items. • Manage internal team functions such as work planning and scheduling. • Accompany other members of the team on sales meetings by phone, video, or in person as necessary. Operations and Events Support • Process and submit general operational expenses monthly via the firm’s online expense tool and provide backup to client expense submission when needed. • Coordinate travel and logistics for client and firm meetings, including travel for candidates being presented. • Support client project and event planning as needed in specific instances, including maintenance of lists and responses, event logistics, online communications, day-of event support, etc. 6-year Celebration - Chicago, IL
General Expectations / Miscellaneous • Learn and remain up to date about KEES products, services, and standards. Participate in the process of developing/refining materials that support all lines of client service. • Keep current regarding developments in the nonprofit sector and engage in networking and outreach in groups and professional associations as appropriate. • Research and author blog posts to support general firm marketing and awareness. • Track work and utilize formal tools (ATS, CRM, etc.) to ensure that work is logged and data tracked in firm’s systems. • Understand and execute, with independence, special projects as assigned by senior members on the team, including proposals or marketing initiatives, supporting other consulting projects, research, etc. • Conduct research, draft articles or position papers, and develop new tools or services to meet client needs. • Scrutinize documents via proofreading to ensure excellent grammar, syntax, and style to represent the brand of the firm. • Serve as a representative of KEES and market the firm’s expertise in all settings. KEES is a virtual company, so all employees work remotely and gather monthly for team meetings and client projects as needed. Local travel may be required to meet project needs. Out-of-town travel may be needed in select cases. THE QUALIFIED CANDIDATE KEES seeks an energetic, emerging leader with a commitment to the nonprofit and public sectors. The incoming Project Manager will be a skilled, intuitive multitasker who thrives in an extremely fast-paced environment, advancing multiple priorities and engaging with multiple stakeholders daily. This is an externally facing role and requires a high level of comfort with frequent candidate and client interaction, as well as a confident and appropriate external presence to multiple audiences. The new Project Manager needs an inquisitive, collaborative spirit that supports the growth of the firm and its individual service lines. Success in this position will be defined by mastery of the performance expectations, superior client service, positive client feedback, and effectiveness in helping the firm expand its client and market share.
KEES has been a virtual company since 2013. The 2020 start of the pandemic challenged us to help our clients adapt while also building stronger meeting and communication capabilities. All KEES employees work remotely, and equipment is provided for full-time roles. It is expected the Project Manager will be able to work in a variety of locations (home office, group meeting spaces, public spaces, etc.). The Project Manager will need regular access to a secure and quiet location (aka home office) with a closed door for private video meetings with clients, candidates, stakeholders, and team members. A solid and reliable internet capable of running 2-3 programs during a video call is required. General business hours are Monday through Friday, 8am – 5pm; however, it is common that client meetings occur outside those hours due to the nature of the nonprofit industry and geographic location of our clients. The Project Manager will need some flexibility, with notice, to attend such meetings. Based on client location, some key milestone meetings (i.e., project kickoff, final interviews, final report delivery, etc.) may require overnight travel once conditions are safe and in-person meetings become the norm again.
