CONGRATULATIONS!
Planning your wedding is an exciting time! The Depot Hotel Restaurant and Garden has had the
honor of hosting many Ceremonies, Weddings, Receptions, and Rehearsal Dinners. No matter
how many “special events” we do, we always remember that this is a most important day in the
life of the bride and groom. This special day, surrounded by family and friends who have come
to celebrate with you, is one filled with many happy memories for years to come.

Our goal is to make the planning process, and the wedding day itself, simple and joyful for the
bride and groom. Our in-house Event Manager enjoys planning unique, personalized weddings.
The wait-staff is highly trained in anticipating a guest’s wishes. Our team of culinary professionals
is led by a Chef of remarkable skill, creativity, and experience. After extensive travel through
Europe, Chef Antonio Ghilarducci worked at La Folie in San Francisco, El Dorado Kitchen in
Sonoma, and at Angele, Red and the French Laundry in Napa. Together, our team provides
elegance, thoughtfulness, and a level of professionalism that is hard to match.

OUR WEDDING SERVICES
In order to assist you with your planning, all of our packages are as all-inclusive as possible. At midday, the
only charges are for food, beverages, tax and tip. In the evening, the charges are the same, plus an
additional evening site fee for private use of the venue in the evening. There are no other charges of any
kind. There are no hidden costs or “add on” fees.

The minimum for midday events is 50 adult guests. The minimum for evening events Wednesday and
Thursday is 50 adult guests. The minimum for evening events Friday and Saturday nights is 80 adult guests.

Included in all our wedding packages at no extra cost:
       Private use of the Gardens, Terraces, and Dining rooms, from the time of the guest arrival.
       One-hour of wedding rehearsal time, scheduled one or two days prior to the reception.
       Ceremony on site, if desired, and the reception following.
       White market umbrellas.
       Votive candles in white chimneys.
       Dramatic Italian copper space heaters, for evening events
       Dancing terrace.
       Professional quality sound system throughout.
       Tables and chairs, both indoors and outdoors.
       White linen tablecloths and napkins.
       European-style flatware, white china, and glassware.
       Services of our on-site Event Coordinators to assist you in planning and coordinating your event.
       Professional service staff.
       European-trained Chef, supported by a trained team of culinary professionals.
       Cake cutting and service by our staff.
       On-site venue insurance for the duration of the event.
       Our Coordinators do all your event set-up for you, prior to the event.
       Our Coordinators do all your event clean-up after the event.
       Complimentary parking for 500 vehicles, in our private lot and two large public lots
        directly across the street.

Not included:
       Flowers.
       Wedding cake.
       Live music or DJ,
       Photography services.

This menu option is available for small groups up to 79 guests only.
An exact count of the number of each of the three main-course choices is required three weeks in
advance. We request that the host/hostess of the event provide the Event Manager with guest place
cards two days in advance that clearly identify each guest’s main course choice using a large block letter
symbol. This assists our wait staff in delivering each different entrée to the correct guest.

Prices are per person for ages 12 and up.
Children ages 5-11 are half price. Children under 5, if eating at all, have an alternate menu arranged with
the Event Manager.

For all of the above buffet packages prices are per person attending, for ages 12 and up.
Children ages 5-11 are half price. Due to market fluctuations, food prices are subject to change and are
guaranteed no more than 4 months in advance. We write menus to order all the time, so do not hesitate
to ask, if changes or alterations to a Buffet Menu are preferred.

We are also happy to arrange ADDITIONAL specialty dessert service for you!

These packages provide for not only for the wide variety of beverages included, but this package also
covers the payroll for the professional staff that is hired to care for all of your guests for the duration of
the event. The packages must include all the hours of reception event time when guests are present.

Each group selects one of the above packages for the entire guest list attending. ALL guests over 21 years
of age are charged at the same adult package rate. All scheduled hours of the event must be included,
excepting set-up and break-down hours.

Guests 5 to 20 years, and vendors working the event, are charged at a flat rate of $8.00 for soft
 beverages for the entire event.

Unlimited Beverage Package service is “unlimited” service within limits of California State Liquor Licensing
Law and commonsense. We are not allowed to serve persons who are clearly inebriated. Beverage service
will cease immediately if members of the party serve alcoholic beverages to underage guests.

We make every effort to provide the exact wines discussed in every package on the day of the event.
However, we cannot control supplies available from wineries and distributors. In the event a particular
wine becomes unavailable, we reserve the right to substitute a wine of similar quality and price.

There are no Rental Fees. All our events include insurance and event coordination at no additional
charge. The Evening Site Fee provides you with completely private use of our entire venue in the
evenings, including all dining rooms, bars, terraces, and the garden. A nighttime event is an event with

Frequently asked questions
1. How much does a wedding at the depot hotel cost?
    Midday wedding reception costs are based only on food, beverages, tax and tip.. Evening wedding
    receptions are the same, with the addition of an Evening Site Fee (buyout fee.) There are no other
    fees or charges of any kind.

    There are no additional costs.

    By California State law, all food, beverages, evening site fees, and banquet service charges are
    taxable. Tips are based on 18% of food and beverage only. All evening site fees, deposits and
    final payments, are non-refundable and non-transferrable in the event of a cancellation. The
    Security Deposit is refundable, if all contract Terms and Conditions are followed.

2. What guest minimums are there for private use of the entire venue?
    MIDDAY EVENTS and MIDWEEK EVENINGS: 50 adult guest minimum for food and beverages.
    EVENING EVENTS FRIDAY – SATURDAY, and HOLIDAY MONDAYS: 80 adult guest minimum for
    food and beverages. We do not do “buyout” events of more than 50 guests on Sunday evenings.

3. May we use just part of the venue for a small wedding?
    Groups of 20 to 50 may reserve a smaller area for a ceremony followed by a wedding lunch
    (Wednesday to Sunday) or dinner (Wednesday, Thursday, Sunday,) while the remainder of the
    venue is open to the public as a Restaurant, in a semi-private format. Friday and Saturday
    evenings are not available for small wedding events. For more details, ask for the “Event and
    Party Information Package.”

4. How are deposits and payments scheduled?
    A Reservation Deposit of $1000 is required at the time a booking is made.
    An Evening Buyout Fee for evening events is due 6 months in advance.
        (There is no Buyout fee at midday for events from 10 am to 3 pm.)
    A Security Deposit of $1000 is required 4 months before the event.
    A Food Deposit is due 3 months before the event.
    The Guest Count is due 3 weeks before the event.
    The Final Balance is due 2 weeks before the event.

 5. When is the guest count due?
      An accurate guest list is always the key to a very successful event.
      A “best-guess” of the number of guests is required 90 days before the event.
      A “final” accurate guest count is due 3 weeks in advance of the event, and is considered a
      guarantee. The final guest count many not be reduced after that date. If unexpected additional
      guests attend the day of the event, a supplemental bill will be calculated and paid for from the
      Security Deposit.

 6.    What forms of payment are accepted?
      Cash, local checks, PayPal, Master Card, Visa, American Express, Discover, and Diners Club.

 7. When may we visit the venue?
      Wednesday through Sunday! The Restaurant and the Garden may be viewed informally during
      any of the hours that we are open to the public for lunch or dinner. If you would like a tour or a
      more-in depth meeting to discuss dates, timing, and menus, then an appointment with the Event
      Manager is recommended, so that she may give your plans the attention they deserve. Call
      during office hours 707-938-2980, from 9 am to noon, Wednesday through Sunday. Email
      inquiries and questions are welcomed at any time, and returned promptly.

 8. When do we plan our event?
      Usually about five months in advance of the event, but no later than four months in advance, the
      couple makes an appointment with the Event Manager to plan their wedding day in detail. At this
      meeting we discuss the menu, beverages, tables, timing, ceremony, and all the other details of
      the event. At this time, final menus and beverage packages are set and final prices are guaranteed.
      The Event Manager goes over every wish of the bride and groom—to make sure that their special
      day will be exactly as they wish. Naturally, the Event Manager and her team is also available at
      any time before and after these meetings to answer questions, to offer suggestions, and to assist
      the bride and groom in making sure all their plans go smoothly. Our goal is to make the wedding
      planning process as easy as it can possibly be—and to make the time prior to the reception a
      relaxed and happy one for the bride and groom.

 9. When can we rehearse and is there a fee?
      Wedding rehearsals are frequently scheduled a day or two before the wedding and they are free
      of charge. One hour of complimentary rehearsal time is included in your wedding package.
      Additional time may be arranged for at an additional cost.

 10. Where is the ceremony and is there a fee?
      Many couples hold their ceremony in our beautiful garden at the start of the reception itself.
      There is no charge for a ceremony at the DEPOT HOTEL RESTAURANT, when followed by a
      reception. Ceremonies may also be held earlier in the day at one of our many local ceremony
      venues. Please be aware that in the winter months from November to March particularly, when
      rain is more likely, we strongly recommend a separate ceremony site for groups larger than 80.
      Please discuss your ceremony plans with the Event Manager in advance.

 11. How Long is Our Wedding Reception?
      The venue may be reserved for four, five, or six hours. The most usual is a five-hour event, but it is
      up to the bridal couple to decide how long to reserve for their reception. We also include 2 hours
      vendor set-up and 1 hour vendor break-down time before and after your reserved event hours.
      Additionally, the coordination staff of the Depot Hotel does all other set-up for the bridal party.

 12. Are music and dancing allowed?
        Absolutely! Before planning music for your event, discuss your ideas with the Event Manager.
        While live music or a DJ is allowed, there are County-wide curfews after 10 pm on weekends
        and 9 pm on weeknights for amplified music. However, unamplified music is allowed after 9 /
        10 pm with live acoustic music or through our state-of-the-art house sound system, by iPod.

 13. May A Florist decorate the Venue?
      Absolutely! The host or hostess of the reception often makes arrangements with a florist to
      decorate the cake, the tables, and to provide flowers for the wedding party. We will be glad to
      work with your florist in planning the arrangements. The florist may tour the Restaurant any open
      day prior to the reception. The florist may also have access to the Restaurant to set up flowers in
      advance of the event, by prior arrangement only. We will also be happy to order flowers from a
      florist for you, if desired.

 14. Is there a charge for cake cutting?
      Not at all! We are delighted to cut and serve the cake for you as part of our complimentary
      services. The host or hostess planning the wedding reception may select a cake from a baker and
      arrange to have the cake delivered before the start of the reception, the day of the wedding. We
      know many excellent local bakers we are glad to recommend. Many couples also choose one of
      our dessert buffets instead of, or in addition to, a traditional wedding cake.

 15. When may we have access to the venue the day of the event?
      By prior arrangement, professional vendors who are providing music, flowers, and cake may have
      access to the facilities two hours in advance of the event to do their professional services set-up.
      Please discuss the needs of your vendors with the Event Manager. The guests, the bridal party,
      the hosts, and the photographer may arrive up to 30 minutes before the event start time. As our
      staff is at work preparing the venue for your event, please do not ask guests or bridal party
      members to arrive at the Depot Hotel sooner than 30 minutes before your event! The venue is
      not available for photography while we are setting up for your event. We can recommend great
      local sites nearby for fantastic “first look” and family photography.

 16. Do you have vendor recommendations or require us to work with
     certain vendors?
      Over the last 30 years, we have become familiar with many excellent local bakers, florists,
      musicians, photographers, etc. We are also able to recommend local lodging and entertainment
      for your guests. Upon booking an event, we are delighted to share our "Highly Recommended
      Vendors" list with you. It is an excellent resource to assist in your planning process. Most vendors
      may be selected freely. However, there are special requirements to be met regarding music,
      (band or DJ,) in order to conform with Napa and Sonoma County ordinances. Please check with
      the Event Manager before hiring a band or DJ.

 17. Do you offer a “tasting menu”?
      We invite you to enjoy a sampling of some of our current restaurant menu items at your
      convenience. However, it is not usually possible for us to reproduce many of the large-scale
      dishes from our banquet menus. There are two reasons for this: Our menus in this package have
      been carefully thought out, and specially selected to work well for large groups and are not
      easily scaled down for “just a taste.” Additionally, acquiring the finest and freshest seasonal
      ingredients is very important to us. Often, you are selecting your menu 4-8 months ahead of the
      event and seasonal items are not available. If there are specific concerns or questions you have,
      please discuss it with us, for an additional fee we can arrange a custom tasting menu.

         “I am long overdue to write a review of our lovely wedding last fall. Gia and her staff took
exceptional care of our event and guests. It was a crazy wedding as it rained, (seriously, the only day all
of last year), we had maxed out the venue capacity and it was Game 4 of the Giants World Series. You
would never have guessed that it was such an eventful day. The staff was cool, calm, and professional
and despite having so many guests, no one had an empty glass all evening. The mushroom risotto was
such a hit that our guests were going back for full plates and the kitchen had no issue making more. As
far as lacking a tasting menu before the wedding, I completely understand the feelings of hesitation with
this policy. We dined at the restaurant before selecting the menu and the food is delicious so felt
