Exhibition information Time: 09.30-17.00 on 11th September 08:30-15.30 on 12th September Setting up in the conference venue and approaching all delegates at regular tea time and lunch breaks. Set up: 12.00-17.00 on 10th September Pack out: 16.00-19.00 on 12th September Note: Due to health and safety and also noise effecting the conference sessions, pack out must take place after the official closure of the conference.
Entrance to Atrium for equipment Access to the unloading area Service Lane The best way to access the Atrium for unloading your marketing collateral or equipment is going through Gate 3 and turning left into the service lane at the end of High Street. With the temporary parking permits below you will be able to park at the service lane only at the set up and pack down times. Parking information Please be aware there is strictly no parking available on site at the Wintec City Campus during the conference. Exhibition passport Thank you for your support and enthusiasm on the exhibition passport. Please prepare your own stamp, interactive activities and giveaways for passport holders as they visit and interact with you at your stand . The delegates who successfully get all the exhibitors stamps in their passport will have the chance to win the top prizes donated by you. The winners will be announced at the end the conference. Venue restrictions • The Exhibitor shall take all reasonable care when installing and dismantling its equipment and stand as not to cause damage to the venue walls, floors and the prefabrication booths including the panels, fascia and furniture. The exhibitor will be responsible for repairs if the structures are damaged. • Specified hazardous work cannot proceed without the permission of the Event Manager. • Stands and exhibits shall be kept clean and tidy throughout the conference. Cleaning of the stand is the responsibility of th e exhibitor and if you need special help please contact the Event Manager. • No promotional material may be distributed (eg. on seats in plenary sessions) or displayed outside of the stand area without permission of the Event Manager. • All personnel must be registered and report to the registration desk on arrival. Failure to wear a name badge may result in the exhibitor being evicted from the venue. • ITENZ and the venue reserves the right to modify the floor plan to accommodate changes as necessary. While ITENZ will use its best endeavours to consult the exhibitors when modifying the floor plan, ITENZ and the venue are not obliged to do so. • Alcohol cannot be served from stands. Alcohol is permitted as part of stand prizes. • Give-aways of food is permitted from exhibition stands but only if it is pre-packaged. Exhibitors are not permitted to sell, prepare or cook food within the exhibition area. • Exhibitors have the responsibility to control the noise level on a reasonable level at all times and not detract from other e xhibitors displays. Exhibitors must not obstruct the aisles and public walking areas.
Delivery information For those exhibitors needing to deliver items to the venue prior to the conference, please follow the below procedures: • Delivery address:Attn (Jane Guo, Venues Team) Wintec City Campus Main Stores, Gate 4 Tristram Street Hamilton 3240 • All goods being sent to the venue must be clearly labelled. Wintec Venues will not take any responsibility for loss of items or items not arriving in time. • Please note no goods will be accepted before Thursday 6 th September and after Monday 10th September. Unpacking and setting up are the responsibilities of the goods owner. • All goods not taken on departure must be collected within one working day following the conclusion of the event. The packing up and collection of materials is the responsibility of the owner. All items must be packed and labelled with an appropriate signed consignment note. Couriers are to be arranged by the owners. All items and boxes must be left neatly packed and labelled for collection by couriers.
Health and Safety • When you arrive at the venue please take time to familiarise yourself with the location of the nearest fire escape. • As an exhibitor we ask that you ensure any display items you have on your stand are fixed appropriately. Please make sure that all your electrical items have been checked and tagged properly. Only authorized personnel from Exhibition Hire or the venue are permitted to alter the structure of the exhibition stands or associated electrical service equipment. For any special power requirements please contact stu.strawbridge@wintec.ac.nz before 31st August 2018. • In the case of emergency evacuation, please follow the onsite instructions. • Exhibitors are requested to identify any hazards on or near their stand and report these promptly to the ITENZ or Wintec Venues staff. SECURITY • While every reasonable precaution is taken, the ITENZ and Wintec Venues will not accept any responsibility for any loss or damage to any equipment, merchandise or valuables left on the premises prior, during or after the event. • It is recommended that all exhibitors take out their own public liability and property insurance that covers them and the exhibition stand. • Due to the Awards Dinner being held in the same venue, it is strongly advised that all valuable items are not left at the exhibition stand unattended and not left after the sessions of Day1. • Wintec Security contact: 0800-852-900. WHAT TO BRING Please ensure that you bring the following items with you: • Packing tape (for rebinding, packing cases) • Velcro dots to attach posters etc. to your stand • Multi boxes and extension cords if required. Power will be supplied on site. • Delivery labels for re-packaging of items for delivery once the conference is finished.
