INTRODUCTION Welcome to SEXPO Brisbane 2019! Regardless of whether you are a returning exhibitor or it’s your first time at the event, we ask that you please read through this manual thoroughly as there have been some changes! If you have any questions or concerns, please don’t hesitate to contact a member of our team. Be sure to complete all of the tasks in the below checklist to ensure you are SEXPO ready! SEXPO CHECKLIST 1. Fill in, sign and return your booking form with a 25% deposit paid 2. Provide Sarah Celotto with a copy of your current Public Liability Insurance certificate 3. Please note: the SEXPO Information Office cannot provide printing or faxing services, nor can it sell stationery. PARKING The BCEC provides a 24 hour undercover parking for up to 1,500 vehicles. The car park has direct lift access to the BCEC. Exhibitors are entitled to a flat rate of $17 for parking. This discount can be redeemed at the pay stations with the use of an event-specific QR code. These codes are emailed out directly to exhibitors by BCEC Exhibitor Services. Please contact them if you have not received this code by two weeks out from the event. Monday – Sunday 0-2 hours: $15.00 2-3 hours: $20.00 3-4 hours: $25.00 4 + hours: $35.00 Maximum daily rate: $35.00 24 hour parking from time of entry to time of exit the following day. Early Bird: $16.00 Enter before 9am, exit between 3pm-6pm (Mon-Fri only) Monthly Pass – Car & Motorcycle: $320.00 Entry height restrictions vary depending on which way you enter the carpark: Car Park one: 2.3m, Car Park two: 2.2m (Merivale St) or 2.1m (Russell St Ramp) or 2.2m (Melbourne St), Car Park three: 2m (Merivale Street) or 2.1m (Grey St). PUBLIC TRANSPORT Getting to BCEC via public transport is easy and efficient with bus, ferry and train options available. More information about planning your journey via public transport can be found on the TransLink website. TRAIN South Brisbane Railway Station adjacent to the Convention Centre on Grey Street or South Bank Railway Station are the most convenient stations to the Brisbane Convention & Exhibition Centre. BUS SERVICES The Cultural Centre Station on Melbourne Street and the South Bank Busway Station corner of Colchester and Tribune Streets are closest to BCEC. DATES & TIMES SEXPO OPERATING HOURS Public opening hours: Friday 2nd August: 11:00 AM - 12:00 AM (midnight) Saturday 3rd August: 11:00 AM - 12:00 AM (midnight) Sunday 4th August: 11:00 AM - 6:00 PM Containers: Wednesday 31st July: Between 10.00 AM and 12.00 PM Move in (contractors only): Wednesday 31st July: 7.00 AM – 12.00 AM (midnight) Move in (exhibitors only): Thursday 1st August: 7:00 AM - 12:00 AM (midnight) Friday 2nd August: 9:00 AM - 10:30 AM Move out (all): Sunday 4th August: 7:00 PM - 12:00 AM (midnight) Move out (all): Monday 5th August: 05:00 AM – 12:00 PM (midday) Official and accredited SEXPO staff (performers, exhibitors, speakers, presenters, and promotional staff) may access the event floor no more than one hour prior to the published public opening times. No deliveries will be accepted on-site before move-in has officially begun, and no packing of stock or dismantling of stands is permitted before show close on any day. STAND INCLUSIONS SEXPO has appointed Exponet as the official stand builder for SEXPO Brisbane 2019. Exponet offers a comprehensive range of furniture, audio visual, and other building enhancements that you may find useful for the event. Exponet will be in contact with every exhibitor to discuss their individual requirements within 30 days of the event. They will provide you with log in details to their online Exhibitor Portal where you can view your booth inclusions, confirm your fascia text and order additional items. STANDARD Stand Inclusions: § 2.4m high white seamless Octanorm walling § Charcoal coloured carpet tiles § 1 x 4 AMP power point § 2 x track lights § Digitally printed fascia board with company name Furniture is not included but can be arranged by the exhibitor directly with Exponet. SPACE ONLY: If you are interested in having a custom-built stand, you will be charged the space only rate, which has a minimum size of 18m2. Your custom stand must be approved by SEXPO. For all additional power, lighting, furniture, signage and custom stands, please log in to the Exponet Exhibitor Portal. IMPORTANT SAFETY INFORMATION SAFETY INFORMATION § All personnel working at the event must complete the Venue Safety Induction. The induction can be found here: https://www.linksafe.com.au/bcec-visitor/ § High-visibility safety vests and closed-toe shoes must be worn at all times during move-in and move-out periods. You will not gain access to the venue without these. You can bring your own or purchase vests onsite from the Info Office for $5. Please note: if you access the hall via the loading dock and do not have a vest, you will not be given access. § Smoking is strictly prohibited inside the halls and within the loading dock. § Children are strictly prohibited from being onsite at any time during the license period. MOVE-IN § On arrival, please head to directly to the Information Office to sign in and collect your accreditation. You will not be permitted inside the hall without a high-visibility vest. § If you require use of the loading dock, all traffic accessing the service road and loading docks must enter off Glenelg Street, and exit via Melbourne Street. Parking is not permitted, with dock marshals enforcing a 15 minute unloading period for each vehicle. § You must be onsite to accept your deliveries as security/venue staff will not accept these on your behalf. Please see Page 10 for more information. FREIGHT/OFF-SITE STORAGE § Agility Fairs & Events is the official freight forwarder to SEXPO 2019. Agility specialises in exhibition freight forwarding - both domestic and international. Agility can ensure that your product, display and merchandise are in the right place, at the right time. Agility provides a complete service including monitoring of freight to your exhibition venue to make sure your goods are handled in a professional manner and all formalities/deadlines are met. See Page 10 for more information. FORKLIFTING § All exhibitors are entitled to one load of stock to be forked to their stand during move in, and one load of stock to be forked from their stand to their vehicle during move out. Any additional fork lifting requirements must be organized via Agility. § If you are bringing a large amount of stock via the loading dock, please advise Sarah Celotto so we can schedule deliveries and minimize congestion in the loading docks. MOVE-OUT § Move out cannot commence until all members of the public have left and all personnel are wearing high-vis vests. § Move-out will be directly after the Expo closes. Don’t forget those safety vests and closed-toes shoes! § All goods and stand materials MUST be removed by midday Monday 5th August. PAGE 8
EXHIBITOR CONDUCT It is expected that all exhibitors will demonstrate professional and courteous behavior throughout the show, both to other exhibitors, SEXPO staff and, most importantly, SEXPO patrons. This includes providing customers with a way to contact you post-show, should they need any replacement products or advice. Any exhibitor queries or issues should be directed to the Information Office. X-RATED MATERIAL It is extremely important that all exhibitors ensure no unclassified, X 18+ or RC material is sold at their stand. It is an offence to sell or display for the purpose of sale any unclassified, X 18+ or RC material. These offences carry large fines and custodial sentences. REGULATIONS SEXPO in conjunction with the venue have obtained an Adult Entertainment Permit from the state government to conduct this event, under the conditions of the Liquor Act 1992. All event personnel must abide by the rules and regulations outlined in this permit. Please take note of the below listed rules and regulations. All event personnel are bound by the following, including performers, contractors, volunteers and the general public. No one is permitted to: - Participate in sexual intercourse, masturbation or oral sex; - Touch the genitalia or anus of another person; - Penetrate, to any extent, the vagina, vulva or anus, either by any part of the body or by an object; - Solicit for the purpose of prostitution; - Wear anything less than a g-string, with the exception of main stage entertainers. SPRUIKING/CANVASSING Canvassing for business, including roaming the event and handing out flyers or using a public address system is not permitted at SEXPO unless approved by the Event Manager. Any spruiking activities must take place at the exhibitor’s assigned stand and must not encroach on the 3m egress space between stands. Music is permitted at stands, provided it is at a reasonable level and does not interfere with the sales capability of nearby exhibitors. EXHIBITOR REGISTRATION PUBLIC PROFILES Each exhibitor is entitled to a public profile on the official Sexpo website, providing a snapshot of your business to the public. Information submitted in your original contract will be used to create this profile, such as a link to your website, social media platforms and contact details. Additional information you will need to submit: 1. A 1000x1000 square image/logo. 2. A short blurb about the products and/or services your business provides. EXHIBITOR ACCREDITATION Exhibitors will be given their allocated accreditation on arrival during move in. You cannot share passes between staff – those caught using their accreditation to provide PAGE 9
access to non-approved staff will be asked to leave the event. Quantities Exhibitor accreditation quantities are determined during the planning phase and are dependent on the size of your booth. All staff names are to be provided to Sarah Celotto to add to our registration list. Collection Your exhibitor accreditation can be collected from the Information Office, located just inside the entrance of Hall 3. Exhibitor registration will run from 07.00AM onwards on Thursday 1 st August. MARKETING EVENT GUIDE Advertising space is available in the official SEXPO Event Guide, which is handed to every patron as they enter the show. It contains lots of important info about the show, as well as entertaining editorial content. If you want to put your product or service directly in front of every SEXPO patron, please contact Thom Parry on thom@sexpo.com.au. FREIGHT/TRANSPORT/LOGISTICS Agility Fairs & Events is the official freight forwarder to SEXPO 2019. Agility specialises in exhibition freight forwarding - both domestic and international. Agility can ensure that your product, display & merchandise are in the right place, at the right time. Agility provides a complete service including monitoring of freight to your exhibition venue to make sure your goods are handled in a professional manner and all formalities/deadlines are met. Agility Fairs & Events offers the following services: · All local, interstate and international transport services including delivery to the venue. · For international exhibitors, a comprehensive international freight forwarding service tailored to each particular exhibitor’s requirements. Prior to the show, Agility will make contact to discuss and determine your individual freight and logistics requirements. Shipping containers must be delivered within a specific window from 10.00 – 13.00 on Wednesday 31st July – please notify SEXPO staff to ensure there is space available and confirm an arrival time. All freight must be removed from the venue within 24 hours of the event close. The VENUE will be not hold any freight onsite once official show tenancy has concluded. PAGE 10
STORAGE - EMPTY PACKAGING: If you require storage of goods during the exhibition, please advise the Event Organiser directly, along with the Venue, as space must be pre-booked directly. Please be aware that charges may apply with the Venue. Please note: · Please ensure you make specific arrangements with your transport provider and/or ensure you have a representative onsite at the time of delivery. · Agility Fairs & Events standard trading conditions apply for services provided – it is important that you are aware of these. Services include: transport, cranage, forklift, porterage, clearance, delivery, storage, positioning and all other onsite services. The Agility Order Form can be found in the Sexpo Exhibitor Portal. GENERAL A - Z Alcohol/Drugs No person is permitted to consume or be under the influence of alcohol or illicit drugs while working at any time during the event, move in or move out, on premises. RSA is managed by the venue, who will treat all personnel the same. ATMs There will be a number of ATMs located within the exhibition hall, to supplement the existing venue ATMs. Children All Sexpo Australia events are strictly 18+ events. No one under the age of 18 is permitted onsite during the event at any time, including move in and move out periods. Cleaning The BCEC will manage the cleaning of the venue, however during event operational hours, exhibitors are responsible for maintaining the cleanliness of their own stands. Please place waste in the bins provided by the venue. If you would like to organize cleaning for your stand, you can place an order via the venue’s Exhibitor Ordering Services portal, accessible here. Deliveries Please ensure you are onsite to accept any deliveries and that these times fall within the approved access times (see Page 6). It is crucial that you give the correct information to your couriers to ensure your stock does not get lost. above information will ensure your stock gets delivered to the correct event. Encroaching Please be aware of the Occupational Health & Safety and Egress requirements into Aisles of the venue. Aisles must remain clear and unobstructed, and a minimum of 3m wide. Event and venue staff will conduct checks of this and any items placed outside of your allocated booth will be removed. Emergency In the event of an emergency all event personnel must follow the instructions Procedures given by the venue Fire Warden and security personnel. The BCEC assembly point is located on the grass area at the corner of Merivale and Glenelg Streets, South Brisbane. Exhibitor Lounge An exhibitor lounge has been provided for your enjoyment. This is a perfect space for quiet meetings, networking or resting. The exhibitor lounge will be located in Hospitality Room 3 (Hall 3). Immigration For those who are travelling from overseas to exhibit at the event, it is YOUR responsibility to apply for your WORKING VISA. We can provide you a letter of invitation to help with your application process. Please email Sarah Celotto if you haven’t already done so. The Immigration department recommends Temporary Activity Visa (Subclass 408) under “Invited Participant” activity type. You will need to create an IMMI account as this is an online application. Please note: A tourist visa is not appropriate to use if you will be working at the event. You may be turned back by the Department of Immigration on arrival in Australia. Internet The Brisbane Convention & Exhibition Centre provides a basic complimentary wi- fi connection (256K) for all patrons and exhibitors. The network name is BCECLINK However for those needing a more reliable or faster service, we advise you to book an independent connection directly with the venue using the link provided above under “venue.” Public Liability It is an expectation, and a condition of exhibiting, that exhibitors carry their own Insurance annual policy for Public Liability Insurance. SEXPO Public Liability insurance does NOT cover you, your staff, or your products against loss, theft, injury, third party injury or otherwise. You must submit a copy of your Public Liability Certificate to SEXPO management prior to arriving onsite. Security Security will be in operation throughout the event operational hours including move-in and move-out. The safety of all event personnel, contractors, performers and patrons is of the upmost importance to our event; please do not hesitate to notify the Information Office if you see witness an accident or see a potential hazard, near-miss or suspicious behavior. Do not leave personal items onsite overnight. Show Bags For those exhibitors who will be selling showbags, it is a requirement that you provide a contact card inside every bag sold which includes a contact name, phone number and e-mail address. Like in any retail environment, it’s important that patrons and consumers have a point of contact through which they can PAGE 12
resolve faulty products or returns. Storage SEXPO does not take responsibility for your stock. Every effort is made to ensure the venue is secure, but the onus is on exhibitors to adequately insure their stock. There is always a large security presence during show opening times, and night security comprises regular patrols around the exhibition floor throughout the evening. Storage space on the show floor will not be secured by lock during show opening hours. It is advisable to only bring enough stock as required for each day of the show. There will also be limited on-site storage facilities for packing materials and boxes. It is recommended that exhibitors consider their storage needs (of packing crates and freight forwarding materials) for the duration of the exhibition. Exhibitors may not leave boxes and packing material in the exhibition display area during the show. Agility can arrange off-site storage at a cost. Test and Tag Testing and tagging of electrical equipment is included in your booth package. It is a legal requirement in temporary Exhibition Work Sites that all electrical equipment be tested and tagged in accordance with SAA 300 Wiring Rules and Code of Practice for Temporary Installations under the WHS ACT 2011. Random checks are carried out by venue staff to ensure equipment meets Australian Standards. Non-compliance and failed equipment will result in the owner of the equipment being asked to remove the equipment. It is recommended getting items tested and tagged prior to the event to ensure they are safe for use. Double adaptors are not permitted. Test and tag contractors will be onsite on Thursday and Friday morning to do a sweep of all booths. PAGE 13
