Mission Statement We aim to provide quality care for girls boarding at Enwood. The management of Enwood are committed to supporting the Mission Statement by providing well trained staff with the necessary skills to provide sensitive, supportive care, to develop independence in each girl in readiness for their future when they leave. The following is an outline of the rules, practices and procedures currently observed at Enwood House. Management retains the right to alter this statement in whole or part from time to time and without notice. There is an expectation that the young ladies board- ing at Enwood will maintain standards of behaviour that reflect the Boarders Conduct Agreement and reflect our values. House rules and procedures have evolved over many years. They have been relaxed and tightened as experience has demanded. You may not agree with all of them but they have proven to be reasonable and practicable. Some of them obviously must be observed strictly in the interests of safety, good order and efficient organisation. Others may be capable of more liberal interpretation to suit different circumstances in the hostel. School and Hostel policies are available on the school website and at the Enwood office. Values: Respect, Responsibility and Integrity Our School’s core values are embodied in three words: Respect, Responsibility and Integrity. All boarders and staff at Enwood House are valued as part of the school community. All members of the Enwood House community will be encouraged to take responsibility for the care of themselves, other boarders, the wider community and the environment. Inherent in hostel life is the value of long lasting friendships formed with tolerance and compassion. We prefer to focus on good role modelling, excellent leadership, displays of personal responsibility, kindness, cheerfulness and helpfulness. Recognition is given for those behaviours i.e. we value displays of Respect, Responsibility and Integrity. 1
Enwood Boarders Conduct Agreement Enrolment in the hostel implies acceptance of its rules and the Enwood Boarders Conduct Agreement. • I will be a woman of integrity, honest and have strong principles. • I will be kind and caring. Common sense and respect for others’ feelings, and property, will guide my behaviour. • I will follow hostel rules and any directions from staff. Boarding rules are chosen with my safety and the communities needs in mind. Some conditions may be more restric- tive than I would like, but at all times Enwood Staff are acting “in loco parentis” for students. Breaking of these conditions is serious and can undermine the structure of our community. • I will attend Prep, work diligently and study to the best of my ability. • I will represent my family, myself and the hostel, with pride. • I will communicate responsibly and politely to staff and other boarders, speaking up about issues/concerns effecting my welfare. Enwood Girls stand out in the crowd … for all the right reasons 2

Enwood House Cell Phone: A contact address or phone number for 027 354 8023 parents is also useful. Illness and Medication Minor Illnesses: Girls need to let staff know if they are feeling unwell. If an illness is minor (colds, headaches, period pains) and requires only part of the day or a day off school, all care will be given and staff will dispense minor medication as needed. A record of all medication distributed is recorded. Parents will be notified if the illness requires the services of the hostel doctors. If the illness has the potential to become prolonged or recuperation is required, parents may be asked to take their daughter home. It is requested that girls do not return too early after illness. Often the girls feel well and come back to the hostel only to find they are too tired to continue their normal routine and they do not tend to rest as often as they should. If your daughter wishes to be at the hostel we can arrange that she spend less time at school to allow her to rest. Mostly the girls are concerned that they are not keeping up with their school work, but part time attendance at school has proved to allay those fears. Medications: Girls may keep their minor medications (such as throat lozenges, plasters, cotton buds, support bandages and safety pins) with their belongings. Other medications such as Panadol, Ibuprofen, Nurofen, cough mixtures should be stored in the locked First Aid cupboard and are dispensed as needed. All prescription medication, except for inhalers for asthma, are to be handed in to be dispensed by staff as there can be a danger of medication being ‘borrowed’ or used incorrectly by others. We ask that girls report any medication they are taking with the Director or her Deputy so a decision can be made as to whether it is kept in the medicine cupboard, or if they should keep it themselves. This is for their safety and that of other boarders. 4
Please talk to the staff if you have any concerns and keep them updated on any illnesses, allergies, and their physical or emotional state. We wish to provide the best possible care for your daughter. Doctors and Prescription Charges Vercoe, Brown & Associates, are the official hostel doctors and the staff can make appointments for your daughter. Vercoe, Brown and Associates will post an invoice to you. Baillie & Lewis Pharmacy will fill prescriptions and can deliver. Your daughter needs no money for this service as we will on-charge the costs to your hostel account. Prescriptions may be faxed through from the surgery and collected or delivered to the hostel the same day. Staff will accompany junior girls, and seniors if the girl wishes. Parents can make arrangements with their own doctor if they prefer. Enwood House Facebook Group We have set up an Enwood House Facebook Group as a form of up-to-date communication, it is a Closed Group, not a chat group, and only admin members can post on the site. To request to be a member please search on Facebook for Enwood House (under the Group Section). There will be reminders for parents and other notices from time to time, via email or the Facebook page. Enwood House Management Committee Overall responsibility remains with The Board of Trustees for the management of Enwood House. Their responsibility is delegated to the Enwood Management Committee which is comprised of The Southland Girls’ High School Principal or her Deputy along with the Director of Boarding and the School Accountant as required. Monthly meetings are held separately by both committees except in months with holidays. Parents with concerns should address these in the first instance with the Director of Boarding. If you feel that you are unsatisfied with her response you may then contact the Principal. Enwood House Parent’s Association The Parent’s Association meetings are held at Enwood once a term, usually on a Friday afternoon or Monday morning with the AGM held about March. Reports from the Enwood House Parents Association with dates of meetings and any other relevant information will be posted for parents on the Enwood House Facebook Group page. House Reports Boarder’s parents receive house reports in the middle and end of the year. 5

We have staff on duty 24 hours on weekdays, they are awake and actively checking girls welfare. Window and door alarms are monitored by a security agency who also provides security guards for spot checks around the grounds. Taxi dockets are provided for girls to travel by themselves or in groups without requiring immediate cash. Enwood pays this monthly account and provides the School accounts department with the Taxi charges list of individual amounts. Parents are then invoiced with the individual monthly totals. The original invoices for all fares are kept. If you have any queries regarding taxi charges please inquire from the Director of Boarding or her Deputy. You may inspect the original individual invoices at any time. Use of Vehicles The Management of Enwood House acknowledges the convenience for parents and their daughter/s for boarders to have the use of vehicles when travelling to and from home and in some instances to other events. This policy endeavours to allow for the accommodation of this need and to provide guidelines to minimise risk, and encourage safe use. Vehicles Parking space is limited within the grounds. OnBoard Leave Software Enwood Boarding House uses an online boarding software programme to document requests, permissions and transactions around leave. Parents and Guardians are given a log in and password to complete overnight leave approvals. Parents agree not to share this with their children, nor give their children access to their email account to which leave requests are sent (this includes mobile phone access). The House takes no responsibility if this is the case. Students are given a log in and password to complete any leave requests and sign in/out procedures. The students agree not to share their password. The Boarding House uses the OnBoard Software for all documentation including: • Maintaining all student records. • Leave: Casual, Special and Overnight. • Maintaining learning records. • Maintaining key competency records. • Implementation and documentation of positive psychology pastoral systems. All students and parents are given a log in. To log in at home parents go to: http://sghs.onboard.net.nz Parent Portal You will be sent information regarding your username and password at the beginning of the year. As a parent/caregiver you are able to log in and see the following records regarding your child: • Overnight or Special leave. • Attendance and indicators of attitude, organisation and application regarding Prep. • Positive character nominations. • Weekly key competence indicators. We encourage parents to use this portal regularly as a means of keeping abreast of their child’s progress. Student Portal Each student is allocated a log in and password upon enrolment. Students are able to change their password and must keep this to themselves. Students use the portal to complete leave processes primarily. They are also able to see their learning, key competency records as well as their character nominations. Students will be taught upon enrolment how to use this system. 20
We use a high trust model with our boarders on leave and expect them to behave safely while on leave. We aim to ensure consideration is given to what is appropriate for their age and provide guidance towards independence. On town leaves or walks girls must be accom- panied by another Enwood girl. Our first priority is their safety. All boarders are responsible for talking with duty staff about their leave plans and signing out before they leave the hostel at any time. Similarly, they must notify their return immedi- ately to the staff member on duty. This is very important for their safety and in case of fire or emergency. Leave is a privilege, staff have discretion to decline leave in the instances of poor behaviour/ consequences following the breaches of code of conduct. Staff reserve the right to decline leave if they decide the leave has potential for risk e.g. riding bikes and walking in the dark. Year 13 Supervised Flatting for Year 13 Students Enwood House has a 5 bedroom, self-contained flat within the hostel and a house on attached sections that has accommodation for 5 students. Living in the house is a wonderful opportunity for selected girls to experience the challenges of flatting life in a supervised and assisted environment. There will still be hostel meals available but girls will be able to make their own evening meal once a week. This is considered a Year 13 privilege permitted under certain conditions during their final year of boarding, providing their previous behaviour has been satisfactory. There is a minimum of two people in the house overnight. When there is only one, they must sleep in the main hostel. The use of Nelson Street house is at the discretion of the Director of Boarding. Access to Nelson Street House and Enwood House Flat must firstly be via the main hostel to sign in. The house is closed for the weekend. Seniors returning Sunday night or staying in for the weekend will be required to sleep over in the main part of the hostel. The Flat and House have: Fully furnished bedrooms with study areas. A bathroom/laundry with showers, toilet, hand basin, tub, washing machine, iron and ironing table. A fully equipped kitchen with pantry, fitted cupboards and cleaning equipment, including a vacuum cleaner. A fully furnished dining room/lounge with coloured TV and DVD Player. Appliances may include a multi-function electric range, microwave, fridge-freezer, electric jug, toaster, sandwich maker, milkshake maker and water filter. Bakeware, crockery and cutlery are supplied. Boarders in the flat/house can make their own breakfast daily (food provided) but must make their lunches in the hostel kitchen. Once a week, a flat/house occupant makes an evening meal (food provided) for all in the flat/house. The occupants of the flat/house are responsible for all cleaning while they are there. 29

No visitors are permitted at the flat or at the hostel over meal times on any day of the week, except if they have permission from the Director of Boarding or her Deputy. Circumstances may indicate that they may be invited for a meal, or they may wish to pay for a meal. Student Voice Enwood Head and Deputy Head Boarder Applications from Year 12 boarders are sought for consideration by the panel that consists of the Director of Boarding, her Deputy Director and the current Head Boarder. The successful girls will be announced as Head Boarder and Deputy Head Boarder at High Tea. The role is one which provides leadership, represen- tation and organisation of activities for all boarders. Support for the Head Boarder comes from the group of year level representatives known as the Enwood Executive. Representatives are voted on by their year level and meet regularly with the Head Boarder and Director of Boarding to make plans, initiate changes, and voice concerns etc. Enwood Executive: A representative from each year level meets with Director of Boarding weekly. 30
Enwood House Parent Association (EHPA) Enwood House Parents Association (EHPA) are a committee made up of Parents and Caregivers of the girls who board at Enwood House. EHPA’s role is to bring about greater co-operation between Parents, Caregivers, Enwood House Management, Staff and Boarders. EHPA aims to be involved, to support the girls and keep them informed about the aims and activities of the hostel. Funding: Each boarder’s family is charged a yearly amenity fee and subscription. This is set annually by the Enwood House Parents’ Association (at present $250.00 a family per year). The EHPA decide how the money from these two funds is dis- tributed. The money donated by the boarder’s family, will be spent on the boarders during their stay at Enwood House. The amenity fee is used to help pay for larger items and capital expenditure, as well as to pay for smaller everyday items that the boarders may request for i.e., prizes for games on family night. How Often Do We Meet: The committee meets once a term, alternatively on a Monday morning or Friday afternoon. The meeting in the second term is an Annual General Meeting (AGM). 31
