SCHOLARSHIPS FOR OUTDOOR PROGRAMS Girl Scouts of Western New York Outdoor Program creates girls of courage, confidence and character who become leaders through educational programs in nature. When available, our grant-funded scholarships allow any girl the opportunity to experience adventure and challenge, develop character and compassion, and learn leadership skills and service ethics, regardless of financial ability. Scholarships and program space are based on availability of support from grant funders and awarded on a first- come, first-served basis. Scholarships cover the program fees as listed in the guide, and do not cover transportation to and from the course start location, or personal expenses such as clothing, insurance, airfare, and baggage fees. To request an Outdoor Program scholarship, please proceed with the following steps: 1. Browse this guide or the website to select the program you wish to enroll in. 2. Visit the Outdoor Program Scholarships section on our website with the link: bit.ly/girl-scout-scholarships to determine whether you are eligible for financial support. 3. If you are eligible, follow the link to register for your chosen program. 4. Complete your registration by the deadline listed in the guide to be eligible to attend the program! Program Expectations Unless otherwise noted, all programming occurs outside. Appropriate clothing and footwear is required. Participants should check the weather forecast and come prepared: If it’s cool, bring warm layers. If it might rain, bring a rain jacket. If it’s sunny or buggy, bring sunscreen and bug spray. We require sturdy, closed toe shoes unless council says otherwise. In winter, participants must wear waterproof boots and bring: hats, gloves, snow pants and waterproof jackets. All programs will run in warm, cold, rain, snow, or sunshine unless weather conditions become unsafe. Every opportunity to be outdoors is a learning opportunity but, weather is unpredictable! We will modify program content as necessary for the weather conditions. Policies and Procedures How will I be notified that my registration is confirmed? An email will be sent to all registrants using the email address they provided at registration two weeks before the registration deadline. All programs will have a waitlist. If you must cancel, please be courteous and notify Customer Care at customercare@gswny.org, so others on the waitlist are able to attend. When will I receive more information about the program I am attending? An informational email will be sent at least 10-12 days before overnight programs (including a packing list) or at least 7-10 days before day programs. To ensure that all registrants receive the information, these emails will always be sent to the email address you have provided, after the registration deadline has passed. What is the cancellation policy? It is GSWNY policy that participants should notify council of their cancellation by contacting customer care at customercare@gswny.org. This should be done as soon as possible as a courtesy to others on the program waitlist. Refunds will be issued for customer cancellations occurring before the registration deadline. Full refunds will be issued for any programs cancelled by council and registrants will be notified by phone as soon as possible and no later than the morning of the event. What are the appropriate adult ratios at program? Program spaces allotted to adults are determined by the GSUSA Safety Activity Checkpoints. Keep in mind that independence is a critical skill for girls in adolescence and we advocate for girl-led programs. Please be considerate of girls wanting to attend - only register the minimum number of adults needed to fulfill your group’s girl:adult ratio. When should I bring my health forms? These forms will be collected for outdoor programming. These forms will not be returned to you. Do not bring your only copy. Is there a policy on bringing food and beverages? Please bring REUSABLE water bottles in observance of the Girl Scout Law: “...use resources wisely, make the world a better place.” Single use bottles are wasteful, harmful to the environment and most importantly, not healthy for your children, https://www.livestrong.com/article/131685-health- effects-plastic-water-bottles/. If you or your child has food allergies, please notify council immediately so we can adjust food purchases as necessary. 4
Adult Training NEW HANDS-ON OUTDOOR SKILLS TRAINING FOR ADULTS! The GSUSA Safety Activity Checkpoints for 2019/2020 now requires that at least one adult per group be trained by their council prior to a troop-run camping event. To meet this training requirement, volunteers must review the Troop Camping in 10 Easy Steps online at bit.ly/troop-camping-10-easy-steps (PDF). When applying for a GSWNY campsite or submitting a Troop Camping on a Non-Council Owned Site Form, you will indicate that you have fulfilled this requirement. This indication will be “on your honor” and will not require documentation. However, we recognize that some volunteers would like additional resources and hands-on training. We are excited to announce that we are now offering hands-on skills sessions embedded within selected girl outdoor programs. Now adults can have interactive, fun experiences with skills such as fire building, food preparation and more – without having to sacrifice additional personal time. Just look for the tent icon next to any program title to find a program that integrates camping training for adults. Adults who wish to participate in the skills sessions at these programs must notify council upon registration for the program. This can be done by clicking on the link provided in your registration confirmation email which will direct you to a skills session sign-up list. Timely registration ensures an accurate quantity of materials and a better program experience. Please understand that these sessions may require adults to work separate from the girls, in groups with other adults. This may include and is not limited to being at a different station or doing a different activity from the girls.
