Christchurch Spring Graduation Friday 17 September 2021 Graduation – Important Notice (Risk Management) If you are registering to attend the ceremony: We are closely monitoring the Covid-19 Alert Level requirements and for that reason recommend you make flexible travel arrangements. We’ll keep in touch. You can also visit www.ara.ac.nz for updates. Venue Christchurch Town Hall 86 Kilmore St, Christchurch Time – 10am Note: If late, graduands will NOT be allowed to cross the stage. Parade The parade to assemble at the Christchurch Art Gallery 45 minutes prior to the parade time. Please watch our ‘How to Graduate Guide’ for a better understanding of what to expect on the day. Wet Weather In case of wet weather, there will be no procession and all graduands will go directly to the Christchurch Town Hall. If there is no procession due to wet weather graduates should be at the Town Hall foyer by 9.10 am (with all guests seated by 10am). If it is wet on the day, please check the Ara Facebook page from 7am to see if the procession has been cancelled due to the weather. Graduation Details 2021 Graduands Once you’ve been confirmed as eligible to graduate, we will email you graduation communication with a link to the student portal. Please complete this form so we know whether you wish to graduate in person or graduate in absentia. If you choose to graduate in person, completing the form enrols you in your graduation ceremony and allows you to request your guest tickets. Regalia hire is separate from Ara and information is contained within this guide. If you wish to graduate in absentia, completing the form lets us know that you wish to either collect your qualification from Ara’s Central Academic Records, City campus, Madras Street, Christchurch, or have it posted to you. Please ensure we have your current address. If your qualification has not been collected from the office by 8 October 2021 it will be posted to you.
Ticketing / Guest Seating All graduands are entitled to 0–3 tickets free of charge to the graduation. You can collect your tickets from the GWC Regalia Hire at the same time you collect your regalia. Your guests are to be seated 20 minutes before the ceremony commences. Tickets are general admission only and seating is on a first come first seated basis, as no reserved seats are available. It is very unlikely that extra tickets will be available however, if you would like to go on the waiting list please email events@ara.ac.nz. If there are any tickets to re-allocate you will be notified by Monday 13 September. Regalia As part of the formal graduation ceremony, you are required to wear Ara regalia. Dress is smart/semi-formal wear (e.g. dress pants and collared shirt). Regalia needs to be ordered directly from GWC Regalia Hire website before 31 August 2021, after this date a late fee will be charged. GWC Regalia Hire Phone: +64 3 369 0604 Email: info@gwcregaliahire.nz Collection of Regalia: During graduations, hours are extended for convenience. You can collect your regalia from the UC Dovedale premises from 8am – 7pm on Thursday 16th September and Friday 17th September. Due to fit, it’s encouraged you collect your own regalia if you are eligible to wear a hat. All regalia is to be returned after your ceremony back to UC Dovedale premises. Anyone can return. After 17th September the opening hours go back to standard hours which are: Tuesday & Thursday 9.30am – 2.30pm https://gwcregaliahire.nz Graduands are responsible for obtaining their own regalia and we encourage you to organise yours early to ensure availability. The hiring of academic dress is a voluntary service provided by GWC Regalia Hire who own and maintain the regalia for Ara ceremonies. Please do not wear academic regalia in the rain. The hire cost of your regalia depends on the qualification you are receiving.

Regalia item hire costs Regalia Cost Ara scarf (certificate or diploma) $10 Gown $40 Ara hood $15 University hood $20 Please email info@gwcregaliahire.nz to order separately Trencher $20 Collecting and returning regalia Regalia hired for graduation can be collected from GWC Regalia Hire, Thursday 16 September 2021 between 8am and 7pm from their building on the corner of Dovedale and Solway Avenues, Christchurch. Parking is available in car park 2 off Solway Avenue and the GWC building is on University of Canterbury grounds. Regalia must be returned, in good order, on Friday 17 September 2021 to GWC at the corner of Dovedale and Solway Avenues before 7.00pm, family members or friends are welcome to return regalia on your behalf. If you are unable to collect your regalia on the Thursday, a family member or friend can collect it on your behalf. However, you MUST give your nominated collection person your correct height measurement - and if you are eligible to wear a trencher - your head circumference (measured just above the ears). There is a late return fee of $50 if the regalia isn’t returned before 2.30pm on Tuesday 21 September.
Late regalia collection This is only if you can’t arrange for your regalia to be collected on Thursday. Please call GWC Regalia Hire, 03 369 0604, and make alternative arrangements with the possibility of collecting your regalia from their building on the corner of Dovedale and Solway Ave from 7.30am on Friday 17 September 2021. Penalties for non-return of regalia A family member or friend can return regalia on your behalf. Please be aware if regalia is not returned you will be charged at replacement cost which is: Gown $528 Hood $180 Trencher $150 Scarf $80 *Out of town regalia replacement costs vary. Regalia refund policy If you notify Ara that you are withdrawing from your Graduation ceremony by Friday 10 September 2021, you will receive a full refund of your regalia hire costs minus a $10 administration fee. However, in the event you do not collect your regalia and do not advise us, there are no refunds. If you are ill for any reason, miss your graduation/flight or your flight was delayed, you can hire your regalia for photos or private ceremony at another time. If you are no longer eligible to graduate, we will transfer your order to the next graduation of the institution. To advise your withdrawal from a graduation ceremony, please email graduation@ara.ac.nz REGALIA ITEMS Gown A black, Cambridge-style gown is worn under the Ara graduation scarf or hood. The sleeves on the Cambridge gown have two openings: • graduates for a certificate, diploma or degree that have no previous degree use the lower opening • any graduate with a previous degree, new degree, graduate certificate, graduate diploma, Postgraduate or Masters use the higher opening Diploma and certificate scarf A diploma scarf (dark teal) is worn by graduands receiving diplomas and a certificate scarf (light teal) is worn by graduands receiving certificates. Degree hood The degree hood incorporates an Ara diploma scarf. The hood is worn with the scarf sitting on the shoulders and the hood hanging down the wearer’s back. Hood lining colours Each degree hood lining is a different colour denoting the degree being conferred.

Overseas hoods may not be supplied. 2. If you already have a degree and are now receiving an Ara degree, you should wear the hood that is the higher qualification. It is not appropriate to wear two hoods. 3. For some graduands, appropriate dress may include a Korowai.

GRADUATION STUDENT ASSEMBLY You must be in the forecourt at the Arts Centre NO LATER than an hour prior to the parade start time. 1. Find the row your department is in (A, B, C or D) 2. Find the name of your qualification. 3. Find your department sign and the sign on the ground that has your qualification name on it and stand behind it. 4. The marshals will then get you in alphabetical order ready to proceed along the concourse into the arena. 5. You need to stay in order to ensure you are awarded the correct qualification. 6. The Parade Marshal will brief you on the details of the graduation ceremony. Then at a signal from the Parade Marshal you will move along the concourse. 7. As you move in procession keep in the same order. Follow the directions of the marshals, who will direct you into the arena and then into your seat. GRADUATION CEREMONY After the welcome and introductions, you will be called to receive your award in qualification groups. Marshals will direct you. 1. File from your seat into the side aisle and wait to proceed to the stage. Your name will be checked at this point. 2. When directed by the marshal, move up the steps and wait until you are instructed to proceed across the stage. 3. You should walk to the Ara Board Chairperson who will shake your hand. You will be photographed at this point so remember to pause and smile. Then move across to the Chief Executive who will give you your qualification and shake hands with you. Once you have received your award, leave the stage down the central steps and return to your seat as directed by the marshals. Page 8 of 10
Note: if you are receiving a degree: March 2021 Graduands - carry your trencher until the Ara Board Chairperson has ceremoniously “capped” you. You should then put your trencher on and shake hands before moving across to the Chief Executive. PERSONAL BELONGINGS Please leave personal items (e.g. handbags, cameras, cell phones, flowers, etc) with your guests during the course of the procession and graduation ceremony. TIPS FOR ON THE DAY 1. Ensure your camera and phone batteries are charged for those graduation photos! We will have a portrait photographer stationed at the Town Hall foyer on the day – this and graduation teddies are a separate business from Ara but the information tables will be set-up in the foyer area for you to make any purchases. 2. Cap/Gown/Honours Regalia. Make sure you don’t forget the most important part and ensure you arrive at the venue already dressed, no regalia bags are to be left back-of-house. 3. If you feel ill once you are inside and seated do not be self-conscious, feel free to leave the building for fresh air and seek out one of our Ara marshals who can assist with chaperoning you outside or seeking medical aid. SPECIAL NEEDS If you or any of your guests have special mobility or access needs, please let us know by contacting us on at events@ara.ac.nz If you or any of your guests communicate by NZ Sign Language, we will have an interpreter at the ceremony. ON-LINE STREAMING If your friends or family are unable to attend your graduation, our graduation ceremonies for Christchurch are all streamed live on the Ara website on the day. Page 9 of 10
