Civil Weddings & Partnerships Civil Marriage Ceremonies can be performed in our licenced room at Calderfields; your whole day can be set within the grounds so you and your guests don’t need to worry about travelling from the church to the registry office to the reception. Our Civil Room can host ceremonies for up to 60 people. The rest of your guests can join you for your evening celebrations in our bespoke function room that caters for up to 200 people. The First Step in booking a civil ceremony is to reserve and confirm the date and time with us at Calderfields. Then you must arrange the Registrar staff to attend. Our wedding co-ordinator can advise you further on the process once you have booked a date.

Accommodation at Calderfields Our 20 log cabins are available for you and your guests at Calderfields and all of our rooms provide a stunning panoramic view of our golf course. Your Options Following you will find a selection of our wedding menus, buffet menus and drink prices. These menus are a guide and if you wish to change any of these, mix the menus or add courses we will be pleased to arrange a price for you. If you have your own favourite dish or wish to create your menu, please contact us and our head chef will be pleased to discuss this with you. A separate children’s menu is available if required. We are able to cater for any dietary requirements that guests in your party may have, please give us prior knowledge so we can arrange an alternative. Arrival & Toast Drinks When your guests arrive it is customary to offer them a drink as they gather and wait for the arrival of the bride and groom, or if you are using the civil room you can request that we serve you and your guests after the ceremony. A range of drinks are offered, you can choose from the following: Bucks Fizz, Sparkling Cava, White Wine, Red Wine, Sherry, Pimms and Lemonade or Fresh Orange Juice. Recommended Suppliers
Information PAYMENTS A deposit of £500.00 is required for all functions on confirmation and is non-refundable in the event of cancellation or postponement of your event. The final balance must be received no less than 60 days before the event. Any alterations made after this date is non-refundable. PAYMENT METHODS Cheque, Cash, Debit Card, Electronic Transfer, Bank or Building Society Draft. All cheques payable to: Calderfields Hotel, Golf and Country Club. PLEASE NOTE Credit Card payments carry a 2% surcharge. CHILDREN It is not usual to cater for babies less than 18 months but we are happy to heat baby food and bottles. Infants (3 & under) are catered for free of charge. Children aged (3-10) are charged half the adult price. We usually suggest a simple platter of chicken Goujons with homemade fries followed with ice cream. Children (10 and over) are charged at full price. All children (3 and over) attending evening parties must be catered for. Please note all children occupy a full place on your table plan. We offer up to 4 high chairs and if required you should indicate these on your plan. Children must remain under close supervision and remain within the areas designated to your event at all times. FLOWERS & BALLOONS You are welcome to provide table decorations in which case they may be delivered to the venue on the morning of your Reception.
Your Questions Answered We’ve got a date in mind for our wedding – what do we do now? Because we take wedding bookings so far in advance you should contact us as soon as possible to check availability. We sometimes have dates available up to the last minute, especially for less traditional days such as midweek weddings, so it’s often worthwhile giving us a call. At this point we can also arrange for you to come and visit the club, have a look around and discuss your general requirements. You have the availability on the date we want, how do we confirm our booking? We will provisionally hold the date for you for a pre-agreed time, up to 7 days. To confirm your booking all you need to do is sign and return a copy of the Terms and Conditions of the booking, together with your deposit. When do we discuss the finer details? Your personal wedding co-ordinator will arrange to meet with you 6-8 weeks before your big day to discuss everything you will need to know: menus, flowers, table plans etc. They will be your main point of contact up until the day itself at which point your wedding host will take over and ensure your day goes smoothly. If you wish to meet any time beforehand, don’t hesitate to contact us. When do we need to agree our final numbers? To allow us to plan your wedding efficiently you will need to provide us with final guest numbers 60 days prior to the wedding. When will we need to pay the final balance? Full payment of the balance is due 60 days before your wedding. Who will be around on the day itself to make sure everything goes as planned? On the day itself you will be met by your wedding host who will be on-hand to provide their support and ensure everything happens exactly as you planned. They will have worked closely with your wedding co-ordinator beforehand to ensure they have a thorough understanding of every single detail, so you don’t need to have any worries. Terms and Conditions All reservations at Calderfields Golf and Country Club are accepted subject to the following conditions. 1. A reservation is only confirmed on receipt of a non-refundable deposit of £500.00. Provisional bookings will only be held for a maximum of 7 days. A further £1000.00 is payable 90 days prior to the event. 2. All the balances must be paid 60 days prior to the event. 3. Direct debit schemes are available. 4. Calderfields operate a minimum numbers policy which allows for a maximum 10% reduction in numbers that are given at the time of paying the function deposit. Final numbers of persons are required 4 weeks prior to the function. Catering and charging will be based on such numbers not withstanding that the number of attendees may be less. If more than the guaranteed number attends the function the client will be charged according to the number attending. 5. Should the client wish to cancel the event, the club reserves the right to claim the following sums, unless a booking is obtained for the same date(s) from a third party on no less favourable terms. a. Cancellation 12 months in advance deposit forfeited. b. Cancellation between 12 & 9 months in advance 85% of the total estimated charges will be forfeited. c. Cancellation between 9 & 3 months in advance 95% of the total estimated charges will also be forfeited. d. Cancellation between 3 months & 30 days in advance 100% of the total estimated charges are required. e. Cancellations less than 30 days in advance 100% of the charges plus an additional 5% cancellation charge is required. f. In all instances notification of cancellation must be made in writing and will be effective on the date received by the club. 6. The club may cancel the booking under the following circumstances: a. If the club or part of it is closed due to circumstances beyond its control. b. If the client is more than 7 days in arrears of any payment to the club. c. If it might prejudice the reputation of, or cause damage to the club. If in such event (6.a) the club will refund any advance payments except the initial deposit made but will have no further liability to the client. 7. The clients and persons attending the club shall: Comply with all licensing, health & safety, and other regulations relating to the club. Not bring any dangerous or hazardous items into the club. Not bring or allow to be brought liqueur from outside the club for consumption during a function at the club. Nor consume either food or drink in the club not supplied by the club without the clubs prior written consent. Not bring any electrical equipment onto the premises without the clubs prior written consent. The client must provide outside companies PAT testing and public liability certificates for all equipment authorised to be brought onto the premises. Any persons or item in breach of these conditions may be refused admission from the club. 8. Liability: The club will not be liable to the client and or persons attending the function for injury to persons or loss or damage to property unless proved to be negligent. The client is advised to consider arranging insurance for the function covering public liability and loss or damage to its property and that of persons attending the function. 9. General: The club will take all responsible steps to fulfil the reservations to the best of its ability and in accordance with the details provided. However, it reserves the right to provide alternative services of at least and equivalent standard at no additional cost to the client and the client shall have no claim in respect of such alternative services. The club reserves the right to pass onto the client any adhering to the agreed times for services. Whilst the company has taken all reasonable steps that the information contained in its brochures, tariffs, leaflets and advertisements are accurate it reserves the right to alter, substitute or withdraw any service, facility or amenity without notice is necessary. 10. Damage or removal of venue & hotel property: A damage retainer will be chargeable no later than 24 hours before the event begins to the amount of £500. This amount is refundable once the venue is satisfied that all property is returned and maintained in its original state. Calderfields Golf & Country Club reserve the right to charge any guests the cost of rectifying damage, caused by a deliberate, negligent or reckless act. This also applies for the replacement of any items that are removed from the premises without the companies consent. If necessary the police will be contacted and CCTV will be used for evidence.
