WELCOME TO THE PENRYN BOARDING FAMILY. Dear Parent(s) Thank you for entrusting us with the care of your child. We look forward to getting to know both you and your offspring in the years to come. Please pop in for a chat or a cup of tea when you are on campus. We strive to create a home away from home for our Boarders and we undertake to keep your child safe in your absence. Our mission is to prepare our scholars for a happy and successful future and we pay attention to their physical, psychological and spiritual well-being at all times. This booklet contains information that we hope you will find helpful. We included a copy of the boarding rules and disciplinary structure. Feel free to contact us if you need any clarification. Please sign the declaration at the back of the booklet to acknowledge that you understand the contents of this document and undertake to abide by the rules and arrangements of the boarding establishment. This signed declaration will allow your child to take up his/her place as a Boarder at Penryn. Yours faithfully The Boarding Staff Dear New Boarder Welcome to the Boarding establishment at Penryn! You are about to enter a very exciting phase of your life. We hope that in the next few years you will become an independent, confident, happy and caring young adult who participates with enthusiasm in all that the College has to offer. We also hope that you will reach your full potential in whichever sphere suits you best. If you are feeling a bit nervous, don’t worry! Most of the new Boarders who joined us in the past felt the same way about leaving home and entering a new environment. Within a very short period of time you will have made new friends and will not be able to remember the nerves and the jitters. We have compiled this booklet that contains the boarding rules and information you might find useful. We hope that you enjoy reading it and ask that you sign the declaration at the back of the booklet to acknowledge that you understand the contents of this document and undertake to abide by the rules and arrangements of the boarding establishment. The signed declaration will allow you to take up your place as a Boarder at Penryn. Our best wishes for your success as we start our journey together! The Boarding Staff
INTRODUCTION Boarding at Penryn aims to offer a safe, secure, warm and homely environment for all our boarders, making it their home away from home. Our compassionate and empathetic staff provide an exceptional level of care to our students and ensure their academic, emotional, physical and social wellbeing is achieved within this setting. When scholars come to Penryn, they join a family where an inclusive community and grounded culture create a sense of belonging. Respect for our Christian ethos, a spirit of service and social justice encourages Penryn scholars to become valuable contributors to their communities. There are five Boarding houses on the campus. Acacia and Mahogany houses girls only. Waterberry and Marula houses boys only. Kiaat is a co-ed boarding house. Scholars share a cubicle with a roommate and enjoy the very large common room with access to DSTV. In the common room of each boarding house, there is a TV set, fridge, kettle, toaster and a microwave oven. Some crockery and cutlery are also provided, but you are encouraged to bring your favourite mug with you! The caterer provides bread, milk, butter, peanut butter; syrup, tea and coffee on a daily basis in each common room. All Penryn scholars are expected to participate in both cultural and sports activities and the weekly schedule on campus tends to be a very busy one. Shopping trips during the week are not possible to arrange, but Boarders who stay in for a weekend, are taken to the Riverside Mall on Saturdays if a vehicle is available. On Sunday mornings, we provide transport to Manna Christian Church for those who would like to attend the service. Other outings are organised by the boarding parents, such as bowling, picnics and going to the movies. Wi-Fi is available on campus and in the Boarding houses and Boarders may bring their laptops with them. They need to secure the computer to the desk in their room and must take the responsibility for the safety of their own possessions at all times. On the next page we included a map which hopefully will help you to find your way to your Boarding house and that is followed by the contact details of the boarding staff.
View our campus here: Penryn is distinctly Lowveld – a place of beauty and hope, with magnificent views as far as the eye can see.

WEEKEND PLANNING: WEDNESDAY • The Caterer needs to order the food for a weekend on Thursday mornings, so weekend planning MUST be done on Wednesday evenings by 20:30. Please assist us by contacting your child and finalising arrangements before this time. • Every Boarder fills in two forms: one for the caterer and one for the boarding establishment. • On the caterer’s form, the Boarder indicates which meals will be needed from lunch on Friday until supper on Sunday. • Weekend meals are charged to your account from this document and the information your child provides must therefore be accurate. • Please note that, while Boarders are on campus, attendance at all meals is compulsory. • On the form for the boarding establishment, the Boarders indicate whether they will be staying in or leaving for the entire weekend or part of the weekend. • Boarders who are not staying in, need to state their destination, the day and time they will be leaving, the day and time they will be returning, who the ADULT will be that will be signing them out and what the contact details of that adult are. • This information must be confirmed by the Boarder’s parents by 19:00 on Thursday. Please send an email to the boarding staff at boarding@penryn.co.za. • We take the safety of our Boarders seriously and therefore ask that you please drop us a line every time your child plans to leave the campus. We need to receive your written permission 48 hours before your child leaves the campus. Different staff members are on duty at different times and this ensures that all those who need to know the whereabouts of your child are timeously informed. • Weekly Boarders may return to their house on Monday morning, but they must arrive in uniform and ready for the school day. They should arrive at their house between 06:30 and 06:45 and must attend breakfast. • If you do run late on a Monday morning, drop your child at the dining hall. They can leave their luggage there and go directly to school. Please inform the Boarding parent via sms if this is the case. • Breakfast on Monday morning is compulsory for ALL Boarders.
DAILY ROUTINE FOR BOARDERS STAYING IN OVER WEEKENDS FRIDAY Boarders who booked to have lunch will return to their hostels immediately after lunch. The signing-out book will be with the teacher on duty in the dining hall. Parents who want to leave earlier must please sign their child out in the dining hall. SATURDAY If there are sports fixtures, times will be adjusted accordingly and Boarders will be informed of the weekend programme by their hostel parent. If there are no fixtures, the teacher on duty will switch the alarm off at 07:30. 08:30: Roll-call and breakfast. At breakfast, the Boarders will be informed if and when the shopping trips to the Mall will take place. The teacher on duty will have a form on which those who need to go shopping will sign up. THE SIGNING-OUT BOOK • There is a Signing-out book that remains in the common room of each Boarding house at all times. This contains a record of the movements of each Boarder over the course of a particular term and is regarded a legal document that must be used in a responsible manner by all who have access to it. • Whenever a Boarder leaves for an outing, short trip or tour with a Teacher in charge, signing out is not necessary. The staff will communicate amongst themselves so that the boarding staff will be aware of who in their house is going where and with whom. • On all other occasions, Boarders leaving the campus must be signed out by an adult. If this adult is not the parent, written authorisation is needed from the parent. • Boarders who make use of the transport services to Hoedspruit, Swaziland or Skukuza, must ask the teacher on duty to sign them out on Thursday evening. This can only be done if an appropriate email has been received from that Boarder’s parents before lunch on Thursday. A video whatsapp call is acceptable if the parent is not at home. • No boarder may go on an outing without an email from the parent being lodged with the boarding parent. Matrics who have vehicles on campus must be signed in and out by members of staff. This applies to weekends as well as afternoon trips to the Mall or other destinations. Please bear in mind that the 48-hour rule applies at all times and that written permission from your parents is still required.
PROCEDURE FOR BOARDERS LEAVING THE CAMPUS DURING A TERM • Discuss the trip or outing with your House parents (not an assistant Boarding parent) well in advance and get their permission first. In the absence of your parents, the House parents act in loco parentis and their decision is final. • Once you have permission to leave, ask your parents to send an email (see page 6). This email simply confirms to your Boarder parent that your own parents are aware of your plans and agree with the arrangements that have been made. The entire process must be completed 48 hours before you intend to leave the campus. • Please note: Your House parents have the legal right to refuse permission even if your parents have given permission. To avoid disappointment, heartache and even conflict, follow the procedure outlined above carefully. • When the adult taking responsibility for you arrives on campus, inform the Teacher on duty that you are about to leave and ask the adult to sign you out in the common room. You are then free to leave. An exit slip must be signed by the parent on duty and the adult collecting the boarder. This must be presented at the security gate for verification. • Boarders who are going home for the weekend and are leaving on Friday afternoon, must first go to the dining hall if they booked lunch on the previous Wednesday evening. No Boarder who has booked lunch may first fetch their luggage from their Boarding house and then return for lunch. Seconds will have been served by that time! PROCEDURE FOR BOARDERS RETURNING TO THE CAMPUS DURING A TERM • If you return to your Boarding house on a Sunday, you must do so before 17:30 so that you can drop your luggage and go to supper. • If you choose to return on a Monday morning, you must arrive in school uniform before 06:45 so that you can attend breakfast. • If you are running late for a good reason, ask the adult driving you back to call your Boarding parent so that the doors can be unlocked for you when you arrive. • When you return to the campus, you must be signed in by an adult. • Boarders who return by means of the Kruger, Swaziland or Hoedspruit bus, must report to the Teacher on duty immediately and ask to be signed in.
CATERING AND SPECIAL DIETS • Catering is outsourced to a professional catering firm and all meals are served in a central dining hall. The menu is approved by a dietician and offers healthy, balanced and delicious food – meal times on campus are happy occasions! • Our Catering Manager is Ms Leonora Marais. Her contact details are available on page 6 of this booklet. • To ensure that the Boarders are satisfied, they get the opportunity to comment on the menu and the quality of the food via the Boarding Exec on a monthly basis and regular surveys are also conducted. • Scholars with special dietary requirements due to medical conditions or religious and/or cultural rules are catered for if Ms Marais has been informed in writing by their parents. Please hand a hard copy of a letter explaining the special needs of your child to the Boarding parent on the first day you bring your child to Penryn. Support this where applicable with a medical certificate. • Boarders must attend all meals while they are on campus. They may only be excused by the Teacher on duty if they are sick, in which case a friend will collect a packed meal for them. • If a Boarder is going to miss a meal due to a sports fixture or a school commitment, they must inform Ms Marais or Bridgette at least 24 hours in advance. She will prepare a packed meal for them and will inform them when it can be collected. • We do not encourage fad diets of any kind and cannot cater for them at all. • On special occasions like birthdays, Boarders may ask for food to be delivered to the Campus. This can only happen with the permission of the Boarding parent. That Teacher will inspect the food that has been ordered before the scholars will be allowed to pay for it and collect it from the delivery person. The scholar will be accompanied to the gate by a boarding parent. PROCEDURES AT MEAL TIMES • Before a meal is served, the Teacher on duty rings a bell. • The Boarders are then expected to line up in their Grades outside the dining hall and to keep quiet. • Grace will be said and announcements made if necessary. • The Boarders then lead in through two entrances: the Matrics may always go in first, but the other Grades take turns from Mondays to Thursdays to go in first. • After you have collected your food from the serving station, you are welcome to sit anywhere in the dining hall except at the boarding staff’s table. Your fellow Boarders will be able to point this table out to you. • Seconds will be served 15 minutes after the meal has started. • When you have finished your meal, please take your crockery and cutlery to one of the two trolleys available for dirty dishes. Scrape your plate properly in the container that has been provided. • Should you have a problem with the food, report the matter to one of the catering staff immediately. Please do this in a respectful manner. • Please remain in the dining hall until a member of the Boarding Exec has offered a prayer of thanks.
PROCEDURES FOR SICK BOARDERS • Our matron is Mrs Lara Toy and her contact details are available on page 6. • Should you want your child to be taken to a doctor, please contact Lara before making an appointment. Her daily schedule is fairly full and she can only take Boarders to appointments at certain times. MEDICATION • According to the Medicines and Related Substances Act: • Only those articles and medications set out in the Act may be kept in first aid boxes. • No person is allowed to dispense medicine unless authorised to do so by the Pharmacy Act. • To comply with the Act, the following procedures have been adopted by the boarding establishment: • If a Boarder has to take medication prescribed by a doctor, the parents must please inform the head of the boarding in writing. • The boarding staff are prepared to manage and control acute and chronic medication for their Boarders provided the parents of that Boarder asks them to do so in writing and give clear instructions on how and when it should be administered. • We advise parents to pack a small emergency kit for their Boarder at the beginning of each term. Should you prefer, the head of the Boarding house will keep that kit for your child and will only dispense any of it with your permission. • Boarders may under no circumstances give or accept any medication from another Boarder. • Both Mopani and Riverside Mall Pharmacies deliver medication to Reception during the day. • In case emergency treatment is needed, Boarders are taken to Kiaat Hospital across the road from Penryn or Medi-Clinic. MEDICAL AIDS AND MEDICAL EXPENSES • If you belong to a Medical Aid, please hand a hard copy of both the front and back of the card to the head of the Boarding house on the first day of every year or when you first arrive. Please note: You will be asked for another copy at Reception, so please bring two copies with you! • If you do not have a medical aid, your child will be taken to Rob Ferreira Hospital in Nelspruit. Any costs incurred as a result of treatment and/or medication will be debited to your account for immediate payment. • Should your medical aid scheme not be recognised in South Africa, your account will be debited for immediate payment if costs are incurred.
FEELING SICK WHEN YOU WAKE UP? • Report to the Teacher on duty after 06:30. If you feel too sick to do this, ask your roommate to do so. • The Teacher will either ask you to report to Mrs Toy during breakfast at the dining hall or will give you permission to stay in bed until Mrs Toy can come and see you. • Once Mrs Toy has seen the Boarder, she will contact the parents to discuss the situation. • If you are sick enough to stay in bed (and you are NOT writing a test!), you will be sent back to your Boarding house and Mrs Toy will ask the Caterer to send you packed meals for the rest of the day. She will also inform the House parents via sms that you are absent from school. • Spending a day in bed means SPENDING A DAY IN BED. You may not get up and attend meals or visits your friends all over the campus after school. You may also not watch television or socialise in your own common room. • Should Mrs Toy decide you need to see a doctor, she will make an appointment, inform you where and when to meet her and then transport you to and from the doctor. Please wear your school uniform to any appointments. FEELING SICK DURING LESSON TIME? • Report to your Boarding parent (not an assistant!) and ask for a permission slip to go to Reception. • Hand the note in at Reception and ask that Mrs Toy be contacted, then follow Mrs Toy’s instructions. • You may under NO circumstances decide to go back to your Boarding house without following this procedure. FEELING SICK AFTER SCHOOL? • Report to the Teacher on duty that day. If that person is not available, speak to the other Teacher in your Boarding house. • If you still cannot get help, send an sms to your Teacher! • If all else fails, go to Mrs Toy at Aftercare. FEELING SICK DURING THE NIGHT? • Call the Teacher on duty on your cell phone. Please do not set off the alarm and wake the entire Boarding house up!
COMPULSORY OUT WEEKENDS AND HOLIDAYS • Boarders’ parents are responsible for their children’s transport to and from the College before and after out weekends and holidays. • Should a Boarder need to make use of a transport service, we suggest that Lowveld Link be contacted because they fetch and deliver from the Penryn campus. • Please note that no Boarders will be accommodated on campus during out weekends or holidays. • Boarders attending sports matches, tours or field trips on out weekends must arrange to stay with a day scholar going on the same trip. • On the day an out weekend commences, the Boarding houses will be locked one hour after lessons ended. The same applies on the last day of term. • The Boarding houses will open at 14:00 on the day before lessons start again and only supper will be served that day.
