Welcome Admission Volunteers to Oshkosh 2019, Celebrating 50 years in Oshkosh! The EAA fly-in was first held in Milwaukee, Wisconsin, in 1953. In 1959, the event moved to Rockford, Illinois, where it was held annually through 1969 before coming to Oshkosh. EAA moved its permanent headquarters from the Milwaukee area to Oshkosh in 1983. Founder Paul Poberezny saw Oshkosh as the perfect place to bring together aviation enthusiasts. Over 50 years, nearly every significant aircraft type in the world has landed on the runways at Wittman Regional Airport to be part of the EAA fly-in. More important are the stories of the people who have become part of this event and the legacy of what is now known simply as Oshkosh. We celebrate that in 2019. The Oshkosh airshow has grown and changed in its 50 years in Oshkosh, but one thing remains the same. Volunteers like you remain at the heart of the celebration. As an AirVenture Oshkosh admissions volunteer, you are an important ambassador to EAA members and guests throughout the week. The expert welcome and care you give to each and every person helps them feel right at home. We value your ideas and suggestions, so please be sure to share them with your building Chairman or your EAA staff Liaison. While we cannot implement every suggestion, we appreciate your ideas and will consider each of them as opportunities for improving our operations in years to come. Founder Paul Poberezny aimed to make EAA a family organization from the start, involving not just the wives but the kids as well. As volunteers in the admission area, many of you become like family. This training guide is the companion piece to the training videos. This training guide is only part of the story. Be sure to view the seven training videos that are at https://www.eaa.org/en/airventure/support-and-volunteer/volunteer-admission-training . If your computer meets the requirements and you are unable to view the videos, you can try downloading by right clicking on the link and saving it to your computer. Each video is approximately 10 to 12 minutes and will require a good internet connection. Videos will also be available during your onsite training but it is strongly recommended that you view the videos prior to arriving at AirVenture. Video topics include: Signing up a new member, camping transactions, member and nonmember admission sales, miscellaneous item sales, cash handling techniques and handling an advance purchase transaction. This Training Guide is also available at the same location online. The videos you are viewing will be used from year to year, so you may notice the rates you see in the videos may not match the rates you see on your screen at the show. No worries. Miscellaneous transaction Transaction Basics - AirVenture Admissions There are several steps or components to selling memberships and admissions through EAA’s AirVenture Admission system, but don’t worry – relax and be happy! Just pay attention to the screens and the messages. The system is user friendly and will walk you through the transactions as you talk to your customer. Follow the same order for all your transactions to reduce possible errors and to be as efficient as possible. All transactions start with greeting your customer and welcoming them to AirVenture 2019! Next, determine the customer’s needs or wishes. Members always get the best rate, so ask if they are an EAA member. Most members will have their EAA member card, but if they do not have their card, you may use a photo ID to search the database and confirm if they are a current member. If they are not yet a member, they may join with you at the gate and get EAA membership admission rates. 4|Page Oshkosh AirVenture 2019 – July 22-28, 2019
Here is what your main menu will look like. Select the appropriate square to begin the transaction – Member Purchase, Nonmember Purchase or Join a New Member: Admissions may be purchased by members and nonmembers alike. The pricing is set so that members always receive the very best price on their tickets. Very often, it is more cost effective for a nonmember to join, then purchase tickets at the member rate. AirVenture Admissions automatically calculates this for you. As you follow the screens, you will see that each screen uses the rules and policies appropriate for your specific transaction. You should be familiar with the rules, but the screens will help as you learn. As you make your entries, it is important to use the correct fields. For example, during a nonmember transaction, entering each admission purchased into the correct category ensures an accurate price comparison between a member or nonmember purchase. If you made errors or your customer changes their mind during the transaction, correct the error on the screen or press the escape key to go back and re-enter the transaction correctly. Once you have completed the data entry, you will move to the financial portion of the transaction. Determine the form of payment and complete the process of either a credit or a cash transaction. Once receipts and credit cards or change have been returned to the customer, be sure to CLOSE THE CASH DRAWER! Proceed to the selection and distribution of admission bands only after the drawer is closed. If an error is discovered once the financial portion of your transaction has been completed, your transaction will need to be voided. Call a co-chair to assist you with this transaction! Use the transaction summary screen as a checklist when selecting the items for distribution. All adults should receive an adult wristband. Students (6-18 years) receive a student band. Children 5 and under receive a free child’s wristband. Some additional complimentary items will be included on the transaction summary list, including a map, brochure(s), an InfoGuide, forums schedule or a member button. EAA member buttons are always important, since AirVenture is our EAA member convention – and we want to see every member sporting an EAA member button! Don’t miss an opportunity to upgrade a nonmember to EAA member status. 2019 Oshkosh Admission Rates Sunday: (7/28) Member - $19, Guest - $19, Student - $10, Nonmember - $24, Student - $13, Veteran - $24 EAA Parking lots for Auto or Motorcycle: $10 per day or $60 per week * Members may purchase up to 14 days of admission passes or 2 weekly admissions at member rates. * Weekly amount shown is for the week. Weekly pass rates decrease during the week of AirVenture 2019. * Weekly rates are not available for nonmembers since it is less expensive to join EAA and receive member pricing. * Special pricing is available for veteran and spouse, active duty, retired military or National Guard. Annual EAA Membership Rates *Family membership includes spouse and dependent children under the age of 18. DOB is require for any children. *Digital subscriptions are included with all EAA memberships. Digital-only subscriptions are available for all members. Going digital saves International members the additional mail charge. Additional Membership Notes Take care when entering a new member’s address information. This is where they will get their magazine and new member materials! Note that country is at the top – be sure to change that drop-down if your member is International. Always ask for email – this is an excellent way for EAA to keep in touch. EAA Lifetime Membership – The same as a current EAA member, except their membership is paid for life and they will have a different card. EAA Century Club – A lifetime member who also receives courtesy camping and admission for himself and his immediate family. They will have a letter from EAA and must present their letter, their membership card and photo ID for verification. Fill out the form, have the member sign and date it. Put it in the cash drawer or to a co-chair. If they have forgotten their letter, there are duplicate forms for them. Ask a co-chair for assistance! AirVenture Specials - Automatic Renewal – Members save $4 and get a Jupiter Bluetooth speaker. Join or renew EAA for 3 Years at $99 Membership - Members save $21 on a 3-year membership – plus they save another $4 if they sign up for automatic renewal! EAA Camping – For EAA members only! One of the most popular ways to experience EAA AirVenture Oshkosh is to camp, whether it’s drive-in camping in Camp Scholler or setting up your tent under the wing of your own airplane. You are located right on the AirVenture grounds and a part of the unique community of aviation enthusiasts. Pricing – Basic Camping A three-day minimum is required and at least one person in your party must be an EAA member. Cost: Camping (basic site): $28 per day (3 night minimum). Campers pay for their camping from the day they secure the site through the last night of AirVenture, July 28th 2019. Campers leaving prior to the end of AirVenture may receive a refund upon check-out, less the three-day minimum. Check-out time is noon each day. Those departing after noon will be charged for an additional day. Just like the admission sales screens, AirVenture Admission camping screens walk you through the camping transactions. There are special rules and procedures for each campground, so be sure to take notes at training and familiarize yourself with these. To start the camping transaction, select EAA member or F1 from the main screen. You will be prompted on whether or not this is an advanced purchase camping. If so, select “Yes”. If not, select “No”. Enter the number on the next camping credential. You will be prompted for this number twice. Enter it carefully and do not memorize it! The credential number will determine the refund amount on checkout. AirVenture admissions will charge the correct amount for camping on that day. If your customer came in on a different day and should be charged for an additional stay, change the date. Next, advance to the admission screens, if needed, to complete the transaction. All camping transactions are printed out on the camping credential. In addition, campers receive, Camping Credential – this is a permit allowing the member to camp in an EAA campground, including Camp Scholler, Transient Aircraft Camping (N40), Showplane and South40, Homebuilt and Ultralight Campgrounds. All transactions are rung on the camping credential and the credential must be surrendered to receive a refund on check-out. Credentials also act as a car pass in Camp Scholler and should be affixed to the lower left of the windshield any vehicles entering the Camp Scholler gate. Never stick a credential to the windshield of an airplane! Tent Pass – This identifies the site as legally registered. The tent pass should be visible at all times, even when the member is away from their campsite. Receipt Copy – This green paper is the camper’s permanent receipt for their transaction. The receipt can also be used as membership verification during the show if the camper has joined or renewed while registering for camping. A limited number of improved sites (water and electric) are available in Camp Scholler for $67 per night, payable from the time the site is reserved, through the end of the show with no refunds. These sites are usually sold-out by the Tuesday prior to AirVenture. 8|Page Oshkosh AirVenture 2019 – July 22-28, 2019
New and returning volunteers alike, please take the time to to review some very important items for AirVenture 2019! Free admission to Oshkosh residents – Monday July 22. As a thank you to Oshkosh residents for welcoming the aviation world to their city for the past half-century, Oshkosh residents receive free admission all day on Monday! Residents may print their tickets online or come to the gate. Be sure to check ID to ensure Oshkosh residency. Scan advanced sales or enter the number of free admissions into AirVenture Admissions under F5, Exchange Passes. Tickets may not be exchanged for another day. Monday tickets will not reduce the price of a weekly admission ticket if purchased. PreAirVenture Restrictions - From Thursday, July 18th through Sunday July 21st there will be strict enforcement of access to restricted areas of the grounds, including Exhibit Buildings, Fly Market, Outdoor Exhibits and Aviation Gateway Park. To ensure safety while exhibitors set up, only credentialed exhibitors and vendors will be allowed in the restricted areas between the hours of 8am to 6pm. At 6pm the gates will be locked. Attendees will not need wristbands until Sunday, July 21st however they will not be able to enter the restricted area from Thursday July 18th until the morning of Monday, July 22nd. Entry at the Main Gate will be prohibited (to all traffic) through Saturday, July 20th. Main Gate South admission sales will be open Saturday, July 20th. Pedestrians wishing to enter the grounds on Saturday may use pedestrian gate 31. Veterans and active military get a deep daily discount! (Sorry, no weekly rates apply.) Student admission is discounted compared to years past. In 2018 a student weekly was $63. This year it is $47. .Member Incentives for 2019 Join EAA and get a Jupiter Bluetooth speaker. Members take their receipt to the EAA Welcome Center! Sign up for Automatic Renewal and get a $4 discount AND a Jupiter Bluetooth speaker. (at the Welcome Center) What is automatic renewal? Members using credit card for payment can have their membership automatically renewed each year. This keeps their membership going automatically by charging their card annually. They’ll enjoy uninterrupted service and never miss a magazine again! Members are notified prior to their renewal charge. Members may opt out of this program at any time with no penalty. 3 Years of EAA Membership only $99! Save $21 for three years of membership! Everyone can win selling EAA Memberships! Ask your chairperson about the NEW 2019 Volunteer Membership Sales contest! Everyone can win! Digital Edition of Sport Aviation - Sport Aviation magazine is available to all members in printed or digital format. The membership screen automatically defaults to receiving both. If you click on “Digital Subscription Only”, the member will not receive the printed version. You may want to suggest International visitors consider the digital version to save on postage. Postage for Canadian members is $11 per year and all other International members pay $26 per year. The 2-day Admission Special is back – A special two-consecutive-day nonmember admission of $80 will be sold again online for AirVenture 2019. Tickets can be purchased before or during the event, but must be purchased online. Be sure to provide consecutive day admission bands when redeeming these tickets. Sunday tickets are reduced – Because there are no evening activities on Sunday July 28, Sunday admission price is reduced. Be on the look-out for Sunday advanced purchase tickets. They may be redeemed for Sunday admission only - or used towards the purchase price of another day’s ticket. Members save on AirVenture programs - Program prices are $7 for members and $10 for nonmembers. For any advanced sales, once you scan the sheet please draw a line though the bar code or throw the scan sheet away. Special Veteran’s Pricing – Special daily Veteran pricing is offered again for 2019. (Sorry, no special Veteran weekly rates.) This rate is offered to Veterans and active military as well as members of the National Guard and their spouses. Thank them for their service! Next Day Exchange passes – A current day’s wristband is required for entry to the grounds at all times. However, beginning at 4:30pm each day, a visitor seeking admission will be sold a current day’s band but they will also be given a special exchange ticket to be exchanged for an admission band the next day at no charge. This exchange pass is transferable. Volunteers should keep track of all “next day” passes given out. Signage at gates will inform attendees about this policy. Member Card Format - Cards will have either a printed expiration date or a sticker expiration date. Either is good. If you order a replacement card, the card will come with a printed expiration date. PCI Compliance – The Payment Card Industry (PCI) requires EAA’s adherence to credit card handing procedures. Requirements are the same as last year, but be sure to cover this with your Chairperson and acknowledge that you have been advised prior to handling any transactions. Champion Decals and Member Buttons– A limited supply of dated collectable Champion Decals and EAA member buttons are available for distribution to members. You will find that members look for these from year to year. We are proud to announce that we are Rodent Free! The software, that is! The AirVenture Admissions software has been optimized for operation without the use of a mouse. There are keyboard shortcuts and hotkeys for every action. Be sure to make note of these as you watch the training videos, to make your job faster and easier! Representing EAA Volunteers, although not “official” representatives of EAA policy, Volunteers are, in the eye of our visitors, representing EAA and AirVenture. Be sure your appearance and actions meet the high standards of our respected organization. AirVenture is the world’s greatest fly-in and perhaps the most impressive event run by volunteers. Your helpful and cheerful attitude will maintain that tradition. Thank you! Handling disputes - If a problem arises that you can’t resolve easily, pass it on to the nearest co-chairman for resolution. We want you to enjoy your time volunteering and share your enjoyment with our visitors and other volunteers. EAA is marking the 50th consecutive year of its annual EAA AirVenture Oshkosh fly-in convention in Oshkosh in 2019. As a thank you to Oshkosh residents for welcoming the aviation world to their city for the past half-century, Monday is free to Oshkosh residents. There will be additional special offers for community members and additional ways to engage in this historic milestone. A roster of the most legendary American military aircraft in history, from iconic World War II airplanes to today’s most sophisticated flying machines, will be flying and on display this summer at EAA AirVenture Oshkosh 2019. EAA’s activities are being planned in conjunction with the U.S. Air Force Air Combat Command, EAA Warbirds of America, and individual aircraft owners. F-16 Viper and F22 Raptor Demonstration Teams will take part in heritage flights during the daily airshow. The Opening Night Concert with The Fray and Animal Years, kicks off the start of AirVenture right after the air show. The Fray’s hits include “How to Save a Life,” which spent more than a year on the Billboard Hot 100 chart, and “Over My Head (Cable Car)” as well as the single “Singing Low.” Animal Years was named a “Band to Watch” by Rolling Stone magazine in December 2017. Apollo 11 command module pilot Michael Collins will be the featured guest as EAA AirVenture Oshkosh 2019 commemorates the 50th anniversary of the Apollo 11 mission, which in July 1969 marked the first time men landed on the moon and returned safely. Collins will be will be joined by fellow Apollo astronaut Joe Engle during the evening program at Theater in the Woods on Friday, July 26, hosted by four-time space shuttle astronaut Charlie Precourt. 11 | P a g e Oshkosh AirVenture 2019 – July 22-28, 2019
Honor Flight VI Fly-In Theater EAA, American Airlines, and Old Glory Honor Flight are pleased to announce the sixth annual Yellow Ribbon Honor Flight as part of EAA AirVenture 2019. This popular event will take place on Friday, July 26, departing early in the morning from Wittman Regional Airport and returning early that evening, following the afternoon air show. The Honor Flight will arrive back at AirVenture grounds at 6:30, Friday July 26. Family members of attending veterans will be receiving wristbands and parking passes through the mail from Northeast Wisconsin Old Glory Honor Flight organization. If a veteran family member has any questions or concerns, direct them to the Veterans Information booth at the Main Gate. Theater in the Woods KidVenture Located at Pioneer Airport across from the AirVenture Museum, KidVenture allows young people to explore aviation from several different fronts. They earn FAA credit toward an A&P certificate through hands-on building projects, learn how to fly a radio-controlled airplane, modify a wing on a computer then find out how well it flies, and even see what it's like to land on Mars - making it a out-of-this-world experience. Highlights include eight A&P booths where kids learn basic building skills as well as Condor flight simulators and Kiddie Hawk flight trainers. KidVenture is open Monday through Saturday from 9 a.m. to 3:30 p.m., and Sunday from 9 a.m. to 2 p.m. Shuttles run throughout the day between the Bus Park and the Museum. 12 | P a g e Oshkosh AirVenture 2019 – July 22-28, 2019
1. Never put anything under the cash drawer. 2. Always write your name and “VOID” on any voided transactions. 3. Remember to have the customer sign the charge receipt. 4. Look at each exchange ticket. Report any suspected counterfeit to a co-chair but don’t confront the customer. 5. Remember to place all bills in your cash drawer face up and facing the same direction. This will help you, the next person to use your station and the people who count the money. 6. Keep the member’s card, license and/or credit card in your hand until you return it to the customer. Don’t leave it on the keyboard, your table or counter where they could blow away or be forgotten. 7. Only a co-chair may issue a charge credit or a cash transaction void. 8. Listen to veteran volunteers for tips to help you have more fun. 9. AirVenture 2019 is all about airplanes, but don’t just “wing” it. If you don’t know that answer, ask someone who does. 10. A warm friendly smile will go a long way in breaking down any barriers. 11. Check for a bulletin board in your building for any last minute changes and notices. Be sure to check it each shift. 12. To avoid spills and damage to equipment do not take food or beverages to your computer station. 13. Monitor your supplies (receipt paper, wristbands, change, membership materials, programs, etc) so that you don’t run out. 14. If a customer wishes to enter the grounds on Sunday, July 21, sell them admission for Monday July 22. Please advise your customer not to lose the admission band - so they can use it again on Monday. 15. Commercial Exhibitors wishing to purchase memberships or admissions should be referred to the Exhibit Manager’s office a convention headquarters for proper handling. 16. There may be sponsors that are give special rates. Look for that information to be posted in the in the sales area or ask a co-chair. 13 | P a g e Oshkosh AirVenture 2019 – July 22-28, 2019
17. ATM users who experience difficulty with an ATM transaction should be instructed to contact the banking institute that issued their card. If immediate assistance is required, have a co- chair contact the Finance Office. 18. The museum is an excellent value with family pricing. There are lots of airplanes, great displays, special attractions, air conditioning, flush toilets and a gift shop. Museum admission is included with AirVenture admission, but if someone does not seem prepared to spend the what it takes to get out on AirVenture grounds, suggest they go to the museum for the day instead and enjoy! 19. AirVenture visitors who have parked their aircraft on the grounds may need to get into the gate for departing Oshkosh. There is a form for that! As a co-chair for assistance. 20. A bank of terminals will be available at the EAA Welcome Center – free to members only. There are also WiFi hot spots around the grounds. 21. Those flying the B17 will have received information in the mail if they pre-purchased a ride. Admission bands are not included with the price of a flight. The B17 will depart from Appleton (Outagamie Regional Airport). Passengers will catch a bus on the AirVenture grounds for Appleton. They should check in the B17 trailer, located in the Warbird area. 22. Relax and enjoy your volunteer time! 23. And Remember – No Mouse Needed!
